VIII. PRINT/DISPLAY OPTIONS
It is the print options that take `beyond
the functions of just circulation and turn it into a powerful
management tool for accurately recording patterns of check-outs
and aiding with collection development. Some of the print routines
are for housekeeping tasks; e.g., generating late notices and bills.
Others produce statistical reports of use in relation to collection
size. In addition to the statistics by LC or
Dewey divisions (the latter by 100's,
10's, or 1's)
which are automatically kept, you can designate 254
more Category Types whose titles may be listed and circulation totals
may be tallied.
The explanations and tutorials for this section will be brief
since each printout is reproduced on a page near the explanation.
In addition, you should print a sample of each of the print options.
The brief tutorials in this section are not numbered. Instead, they are
set off by asterisks and labeled "Examples." They will
give the information that will enable you to respond to the screen
prompts. You will learn about the print routines while you actually are
printing.

Enter Option #
The choices on the Print Menu are divided by use rather than
by kind of printout. For example, overdue notices are found both in
the Mailing Notices and the School Printouts. The Mailing Notices
would meet the needs of a college or public library as well as
schools. The School Printouts were designed specifically with
educational institutions in mind.
Given your circumstances, you will
probably find that you use some printouts and never use others.
Always make sure that the printer is connected and turned
on before trying to print out any lists, notices, or reports. Telling
the program to print when it cannot may cause the program to freeze
up. If this happens you should simply turn on the printer.
You will also be reminded before each printing to be sure the printhead
is aligned with the top of the form.
Generally speaking,
printing can be paused by hitting @Return! or can be aborted by
pressing @Esc!.
If you have caused the printing to pause, pressing @Return! a second
time reactivates the printer from the point where you paused.
After you press @Esc! the printing does not stop immediately; it finds
the next convenient stopping place, often the end of the next page.
During the Demo/Tutorial, you may wish to exit printing routines early
by pressing @Esc! once you have an idea how the printout looks.
Wherever you see "Follett Library Software" on these
printouts, the name of your library will appear when you use the
hard disk system you have purchased.
PATRON TRANSACTIONS
This choice will print all books currently checked out to a
specific person and also any reserves or fines for the patron.
This is very useful if someone is leaving the area and you wish
to present a formal notice of materials owed.
When asked whether you want a printout, respond with a
`Y` for "Yes," then type or scan the patron number.
If that patron
has current transactions, you will be asked to turn on the printer,
set the paper to top of form, and press @Return!. The individual's
record will then be printed. When the printing is finished, you may
press any key to return to the screen for
entering another person's barcode number.

MAILING NOTICES
The notices printed as Mailing Notices are in a format that
can easily be sent through the mail. If you want to send them to the
home address and have
included the full address of the patron in the patron record, when
asked "Address To Special Location (Y/N)?" respond with an 'N.' If
you used only the short form (Name, Special Location, and School
Year) or if you entered both a Special Location and a Street Address
but prefer to distribute this printing through the homeroom (or
other Special Location), when asked "Address To Special Location
(Y/N)?" respond with a 'Y.'
You will notice that the program prints one Mailing Notice to
an 8 1/2" x 11" sheet of fanfold paper. The notice is divided into three
parts by dotted lines. If you fold it on these lines, the addresses
will show through in a standard #9 double-windowed envelope (FOLLETT
product No. 75006).

PRINT OVERDUE NOTICES
and PRINT BILL NOTICES
The procedures for printing Mailing Notices for overdues and
for bills are identical. Only the heading and the
first two lines of the message are different. Your first and possibly
your second mailing should be in the form of an overdue notice.
Succeeding mailings would then be bill notices; they are similar to
"final" notices.
In the System Setup
section, you will learn how to customize the messages if you
would prefer different wordings.
On these two Mailing Notices
a person's overdues or bills (including
fines) are placed on one notice.
After selecting one of these options, you will be asked several
questions:
1)
Are you using a special form (the Trans-O-Gram`form which is
available from FOLLETT)? Respond with a 'Y' or an 'N'.
2) Next you are asked whether the notices should be
addressed to "Special Location" rather than "Address."
Again, respond with a 'Y' or an 'N.'
3)
Then you will be asked to indicate the range of dates for which you
would like overdues or bills. In most cases this would be one or two
weeks, perhaps a month.
Finally
the printer must be turned on, the paper set to top of form, and
@Return! pressed. The printing will then begin.

PRINT RESERVE NOTICES
The system does not ask you for a date range when you select
this menu option. It automatically prints a reserve notice for each
reserved item that has been returned to the library for which no notice
has yet been sent. If the person does not
come after the first notice, there is no provision for further notices.
They are printed one to a page with fold lines so that they fit
into a windowed envelope.
Later you will learn how to edit the text of this message from the
System Setup Menu.

PRINT EXPIRED CARD NOTICES
This routine would be used primarily by public libraries to
inform their patrons that their library cards are about to expire and
to request that they come in and renew them. This is an excellent tool
for purging the files of patrons who have moved away.
The screen will ask you for a month and a year. It will then
check the patron files and send a letter to all those patrons whose
Card Expiration Date matches the date you put in.
Again, you can edit the text of this message from the
System Setup Menu.

as well as the printing of Rolodex cards.

Enter Option #
On Lists and Reports the date of the "Last Report" is
often displayed on a line beneath Today's Date. This is the last date on
which you used the System Setup Menu's
Option 4: UPDATE LAST REPORT DATE. This feature will be explained in
the System Setup section.
PRINT FINE LIST BY LAST NAME
This is an alphabetical list of all patrons who currently owe
fines. (There is a similar option in School Printouts. However, staff
members are not included in the School Printouts listing.)
This
list is helpful if patrons do not pay their fines at the circulation
desk. Their names can be checked off this list wherever they pay
and then the list can be brought over to the computer at a convenient
time to clear all paid fines at one time.

PRINT TITLE LIST
This choice will print a complete list of all books in the
system in alphabetical order by title. If you wish to exit the
printing before it has reached the end of the list, you may. The
program will continue to the end of that page and then stop. When
you return, you will have the option of continuing where you left
off or starting at the beginning again.
The title list prints the following columns:
Title
Type 1 & Type 2:` These are the Category Types (2-255) in
which you may place your books in order to generate reports by Category
Type.
Call Number/Author
Price
BC#:` The item's barcode number
LST Date:` This is the due date of the book the last time
it was checked out.
C:` Circulation Period. If nothing was entered in this field
in the bibliographic record, it was recorded as an "R" or regular
Circulation Period.
LR#:` The number of circulations since the Last Report Date
was reset.
TC#:` The total circulation for this item since the system
was begun. This number will continue to increment as long as
`is being used.

PRINT PATRON LIST
When you select this option, you will be asked whether you wish
to print only Restricted Patrons. If you say 'Yes,' the list will show
only the Restricted Patrons-- those for whom you have entered a
Patron Type of '0' (zero).
If you say 'No,' the result will be
a list in alphabetical order by last
name of all patrons in the system. As with the title list, the printing
may be interrupted. You may resume the printing where
you left off or start at the beginning.
On either patron list, the following columns are printed:
Patron Name
Special Location:` Usually a room location in schools.
ID#:` A secondary number of your choosing (e.g., Social
Security Number). If you put nothing in this field when originally
entering information about the patron,
the barcode number is repeated here.
BC#:` Barcode Number
Exp:` Card Expiration Date
Yr:` School Year
T:` Type (student, faculty, or restricted borrower)
TC#:` Total circulation for this patron

Then print a list of all patrons.

PRINT RESERVE LIST
This choice will print a list of all the items that are on
reserve. After selecting this option, you will be asked whether you
wish the list to be sorted by title or by patron. You will probably
want to print both as they serve different purposes. (Neither list is
alphabetical; they are in "transaction order.")
A collection of
the lists sorted by title is a valuable purchasing tool since the
list points out collection shortages. Most of the titles listed will
be candidates for consideration for additional copies.
The list by patron can be kept at the desk or on the same shelf
where the books being held are placed. A glance at the list will tell
you which of the books are being held for the patron who is inquiring,
and the last column will say "RDY" if the book is on that shelf.

PRINT ROLODEX CARDS
This option prints patron Names, School Years, and Barcode #'s
on continuous 4" X 2 1/6"
Rolodex card stock (FOLLETT catalog No. 75031). When working
with the hard disk program,
you will be asked whether you wish to print the
Rolodex cards from floppy disks or from the hard disk.
If you are printing directly from the hard disk,
you are asked whether you wish to print cards for one graduation year.
Then you are asked to enter the starting and ending barcode
numbers for the cards you wish to print at this time.
Finally, you are
reminded to turn on the printer, have the Rolodex stock set at top
of form, and press @Return! to start the printing.

PRINT FACULTY OVERDUE LIST
This option prints a list of all overdue books checked out to
patrons who are coded as being F (Faculty) in the patron entry field
labeled "Type of Patron." (These items are omitted from the overdue
lists printed in the School Printouts' list options.)
Returned items for which fines are
owed are also shown.
This list is
arranged alphabetically by surname. It considers any item overdue that
is due prior to Today's Date (or the Grace Period's
Overdue Date if you use a Grace Period).

of the date entered as Today's Date when entering the system (or as of
the Grace Period's Overdue Date if you use a Grace Period). The list
is alphabetical by surname, and it includes both faculty and regular

and whether you wish to have phone numbers printed
on the list.

REPORTS
The reports you can generate with can provide
you with a powerful management tool. It is possible to display the
pattern of use on a daily basis, cumulative totals since the last
report, or totals since the system was first begun. On the hard
disk with 30,000-65,000 volumes and
8,000-15,000 patrons, some of these reports
can be produced instantly. Others will take forty minutes or more
to generate depending on the number of items on the disk. Some
of them, therefore, were designed only for periodic reporting. In
many libraries this will be the first time a statistical look at
circulation will be possible.

PRINT/DISPLAY DEWEY (OR LC) REPORT
The Dewey (or LC)
Division report will produce both numerical counts
of circulation and a comparison of each division to the total
collection. The report includes three time periods: total circulation
since the system was begun, total circulation since the last formal
report date,
and circulation for that day. The Dewey report can be generated
by 100's, by 10's, and by 1's. This means that you can look at how your
900's circulated, or your 970's, or your 973's. This report is followed
by a circulation report on the five Special Call # Abbreviations;
e.g., FIC,
REF, SC.
The is the classification range.
The second column shows a number followed by a percentage.
The number is the total number of items circulated from that Dewey
division. The percentage shows how that number reflects a percentage
of total circulation. In the printout that follows, there were three
circulations of the two books in 001-099 and that represented 6.25%
of the total circulation.
The shows the number of circulations since
you changed the date shown as the Last Report Date. When you first
begin using your own `system, this column will be the same as
the second column. But, you will probably decide to set the
collection counts for this column back to zero after the end of
the year (which is done by updating the Last Report Date in System Setup
Options after printing the statistical reports for the year).
At that point column two continues to increment, but column
three starts over at zero. This allows you to compare circulation year
by year.
The fourth column shows daily circulation by actual count
and by percentage of total circulation. If you need this information on
a daily basis, you will want to print this report each day.
The shows the actual number of books in that
division and what percentage of the collection that represents. You
will notice that the Setup Menu's Option 5: ADD/UPDATE COLLECTION COUNTS
allows you to manually set the item
counts. They are, of course, set automatically as you enter books into
each division. But this means that this column would not be
accurate until you barcoded and entered all the books in your
collection into the computer. By manually setting the collection number
of items in each division (from a hand count of your shelf list cards),
you can keep these statistics accurate even if you're barcoding the
collection on the run.

Category Report
When entering the bibliographic information about the books
in your collection, there were two fields on each item's data entry
screen for Category Types. You may
use these fields to tag books precisely for these reports. There are
254 possible Category Types which you may use, plus one (#1)
that
automatically uses to categorize Temporary Items.
The Category Types that have been designated in this Demo/Tutorial
are shown on the report printed on the opposite page.
Imagine that money from Special Funding bought books on the
subject of the Civil War. By tagging those books with Category Type
2 and Category Type 4 and using Boolean logic, you will be able to
trace through the year how these new purchases circulated. The
remaining 249 Category Types have not been named in the Demo/Tutorial.

Report by Number of Circulations
This report prints the titles of all books circulated in a
specific numeric range, either in total circulation or since the last
report. It allows you, for example, to see all the books that have
been checked out more than five times. This is very helpful when you
are preparing an order for additional copies of popular books.
The screen will ask you for a range:

<ql,,38/sp,4> Enter Circulation Range: ____ - ____
Entering "5 - 15" will search for all books with at least
5 circulations but less than 16. If you want only those that circulated
twice, you would enter "2 - 2". It is more likely that you would want
to see a range than a specific number. To print a list of books that
have never been checked out, enter "0 - 0".
Next you will be asked whether the circulation range you have
entered refers to the number of circulations in total or the number of
circulations since the last report.

Report by Category Number
This report will list the circulation figures by specific
Category Types. You may search on a single type;
e.g., Special Funding, or on two
Category Types simultaneously. Reports on two types allow
a Boolean relationship (And, Or, or Not) between the two.
First you are asked whether you wish to search on 1 or 2
Category Types. Then you are asked to enter the number/s of the
type/s to be searched. If you are searching by two numbers,
you are asked which Boolean connecting term applies: "not," "or," or
"and." The name/s you assigned to the number/s
is/are then displayed (as well as the Boolean term, if applicable),
and you are asked to confirm your selection with a
'Y' or 'N.' The searching and printing will be begun as soon as
you press @Return! to indicate that the printer is ready.

PRINT/DISPLAY FREE BARCODES
This report helps you keep track of which barcodes are not
yet assigned or have become free. At the beginning, all barcode
numbers are free. After a time, when patrons have moved away or titles
have been withdrawn from the system, these lists will be useful tools
for reassigning empty numbers to new patrons and books.
After you select this option, you are asked whether you want a
list of free barcode numbers for patrons or titles. Then you are asked
the number at which you wish to start and whether you would like a
printed list of the barcode numbers.
On the hard disk, patrons' barcode numbers go from 1 to 8,000 or
15,000; and titles are from 1 to 30,000 or 65,000. On the Demo/Tutorial,
patron barcode numbers go from 1 to 128, titles from 1 to 250.

based on the popular "Overdue Writer" program.

Third, you will
determine the range of dates for which the printouts will be done.
This option is a powerful one. It allows you to determine what is to
be considered overdue for this printing. It gives you the capability of
printing a list of everything checked out (by asking for everything due
between 00/00/00 and 99/99/99).
The School Printout options
will include up to 500 transactions in
one printing. If the dates you enter encompass a period for which
more` than 500 transactions are included,
you will have to choose dates closer together.
If your total overdue items exceed 500, adjust the dates
so that you are requesting a printing of no more than 500 at one time
use the Mailing Notices or Lists options,
School Printouts. They will list all items or print all notices;
however, they cannot be printed in Special Location or Surname order.

Option 2 prints individual notices only.
On overdue lists, titles will
be displayed or omitted (for "right to privacy" reasons) according to
the directions entered on your Change System Options screen.
After selecting the list option, you will be asked whether you
wish to limit the list by year. If you respond positively to that
question, a place will be provided for typing the year you wish to have
listed. (This option allows a list of overdues and fines for all members
of a graduating class.)
An asterisk ( * ) preceding the patron name indicates that the
overdue item is reserved for another borrower.

and then slipped into the pocket of the book at check-out time.
Twenty-four due date slips are printed to a page. You may choose which
due date slips to print and how many.
If you select Option 6, the date printed will be
exactly as you enter it. Six spaces are available allowing for three
characters of the month name, one space, then 2 digits for the day:
