The Data Entry Form
The Data Enty Form is made up of three sections.
1). The top section allows you to enter all the important information
about your item. Detail is important in this section if you ever
need to present your insurance company with a list of items
to be insured. Or if you need to claim items that have been lost
or stolen.
2). The middle section is for information about the person or
place you purchased the listed item.
3). The bottom section is for free form notes. Use this for anything
you would like.
All entry fields are flexable and will accept your data in either letters
or numbers.
KEY FIELDS
Key Fields are used to format the data that appears on
reports and view tables.

The Data Entry Form

Dept..Make..Model..Company Name. Are all Key Fields.
Cost. Is a Total and Subtotal Field.
The data entered in these fields are used by the Report Selections
and View Selections on the Main Menu.
Example: "View Records By Make"
The Database is sorted first by the data entered in the KEY
FIELD "Make". A second sort is then made on the KEY FIELD "Model".

If we go to "View Records By Dept" we would get the following.

The Table will now list the KEY FIELD "Dept" in order. For more on View
Tables highlight "TABLE" and press enter.
KEY FIELDS are used in the "Print Report By" menu items much the same way
For information of Print Report By highlight REPORT and press enter.
The "COST" Field is used to give a running total of all the items listed
in the :"View Records By Make" and the "View Records By Dept" Tables.

PRINTER
Send A Report To A File
The File Option will allow you to send your report to an ASCII
file. Your data will be sent to the three following
files: DEPT.TXT, MAKE.TXT & VENDOR.TXT.
The Drive & Path where TXT files are sent will be
displayed on the Report Menu & the Utilites Menu
Example:
TEXT REPORT
Path & File Name: C\PHOEQ3\DEPT.TXT
This option is useful if you'd like to take advantage of your
Word Processors functions or import the data into another program.

This Menu will display program and system information and allow you
to Reindex & Pack your data files.
Auto-Indexing is now used the Photography Equipment Database.
Auto-Indexing works each time you start the program and each
time you Add, Change or Delete a record. Auto-Indexing updates your
indexes and optimizes your data files.
The Reindex and Pack Database selections are for the hands on you
user. You may use these functions as often as you like.
Reindexing: This will update all data files. And Optimize records for
faster access.
Pack:
This will remove all deleted records. Reclaim unused disk
space. Update Indexes. Optimizes Data.

Send A Report To The Printer
This option will allow you to send your report to LPT1, LPT2, or a TEXT File.
Select Printer 1 to send Report to a printer connected to LPT1
Select Printer 2 to send Report to a printer connected to LPT2
Just align your paper and press enter.
The third selection sends you report to a text file. The name of the
file appears at the right.

General:
On the Main Menu you will have a choice of three Items:
Print Report By Dept
Print Report By Make
Print Report By Vendor
Highlight the Report you want and press Enter. This will bring up
the Report Menu. You may send your Report to LPT1, LPT2 or a TEXT
File.
The Text File names are: DEPT.TXT
MAKE.TXT
VENDOR.TXT
They will be created in the same DIR as the program files.
In other words if this program
is located in C:\PH3\ your

Using The View Tables
The Main Menu offers three VIEW TABLES.
VIEW RECORDS BY MAKE
(Records Are Sorted By Make & Model)
VIEW RECORDS BY DEPT
(Records Are Sorted By Dept, Make & Model)
VIEW RECORDS BY VENDOR (Records Are Sorted By Vendor, Make & Model)
The ARROW KEYS are used to Browse forward and backward through your
records.
To VIEW A RECORD, highlight the record you would like to view
and press ENTER. The complete record and form will fill the screen.
You may press ESC to return to the VIEW TABLE. Or make changes to
the record.
To ADD A RECORD from ther View Table. Press the INSERT key. The Data Entry
Form will fill the screen. After you press the enter key on the last
field the record will be saved and indexed automatically. Press
ESC at any time to return to the VIEW TABLE. You may also press
CONTROL ENTER to save the record at any time.

To DELETE A RECORD. Highlight the Record you would like to DELETE.
Press the DELETE KEY. The Data Entry Form will fill the
screen allowing you to view the record that is about to be
deleted. You may press ESC to return to the VIEW TABLE and
the record will not be erased. Or You may press ENTER to
Erase the record.
To CHANGE A RECORD. Hightlight the record you would like to CHANGE.
Press Enter. The Data entry form will fill the screen
allowing you to view the information you entered.
You may make any changes you would like. Pressing enter
on the last field will save your changes and return you to
the VIEW TABLE. You may also press CONTROL ENTER to save
changes.
You may press ESC to return to the VIEW TABLE. Your changes
will not be saved.

All VIEW TABLES allow you to locate and group records.
At the bottom of each TABLE you will see
"Locate Record By (*DEPT*MAKE*VENDOR)
If you were at the View Records By Dept, View Table, at the bottom
of the screen you would see Locate Record By "Dept".
If you typed the word DARKROOM in this field all the records
with the word Darkroom entered in the Dept field of the Data Entry
Form would be grouped together on your screen.
If you were at the View Records By Make View Table, at the bottom
of the screen you would see Locate Record By "Make".
If you typed the word NIKON in this field all records with the
word NIKON entered in the Make Field of the Data Entry Form
would be grouped together.

View Records By Vendor
In this table you will see the Vendors name listed more
than once if you bought more than one piece of equipment
from them.
View Record By Make & View Records By Dept
Both of these view tables keep a running total of
all the amounts entered in the Cost Field.
This figure is located at the bottom of the View Table.
