1. General Features of TO_DO 1. General Features of TO_DO
TO_DO is a full-featured system for managing the daily
schedule for an individual or a group. It creates and
manages reminder notes on your IBM-PC or compatible system
providing ready access to today's notes, a glimpse at the
notes for the next several days, full editing features,
flexible date entry, telephone list management, operating
system access, and much more. All of the features of TO_DO
are accessed through the main pull-down menu. Use the cursor
arrow keys to highlight the desired function and press enter
to select it. In addition, the first character of any
displayed entry may be used to select it.
The F1 key can always be used to display HELP for the menu
entry that is currently highlighted. I encourage you to
browse through all of the HELP entries. It will give you a
quick look at all of the available features and some insight
into their use.
TO_DO is designed to be an easy to use system for reminding
you of important meetings, approaching deadlines, and
special occasions. It allows you to post notes for future
dates and have them automatically displayed when the date
arrives. To be useful, these notes need to be readily
available on the indicated dates. This simply means that
you must be certain that you will see the notes every day.
The most painless way to do this is to add TO_DO to you
AUTOEXEC.BAT file. That way, you will see if there are any
notes for today, get a glimpse at the notes for the upcoming
dates, and have an opportunity to write notes for future
dates.
If you do not want your AUTOEXEC processing to pause at
TO_DO when there are no reminder notes for the current date,
simply append "/N" to the command in the form: "TO_DO /N".
When called in this fashion, it checks the list of available
notes and determines if there is a note for the current

date. If there is not, it briefly displays the upcoming
notes, checks for required automatic deletions, and exits.
See the COMMAND OPTIONS section for a full description of
the options that may be used on the TO_DO command.
The sections that follow give you an introduction to the
many features of TO_DO. Please read through them and enjoy
using this product. Be certain to read the installation
section before beginning to use this product.
2. Installation Parameters 2. Installation Parameters
The TO_DO.EXE and PARAMS.EXE executable programs should be
copied from the installation disk either into a directory
that is included in your PATH statement or into one that
will be the default directory when you execute these
programs. These programs are most widely available if they
are somewhere in your PATH. Before you first run TO_DO, you
should run the PARAMS installation program to install
parameters compatible with your system and preferences.
When you execute PARAMS, you will be asked for some simple
configuration information. These options allow you to
tailor the execution of this utility to match your needs.
When calling PARAMS it is important to provide the file
identifier of the TO_DO executable filethat is being
modified and the identifier of a file that will contain the
modified TO_DO with the parameters installed.

EXAMPLE PARAMS CALLS:
PARAMS TO_DO.EXE TODO.EXE
This will install the new parameters into a
file named TODO.EXE in the default directory.
A:PARAMS A:TO_DO.EXE C:\MYDIR\TO_DO.EXE
This will execut PARAMS from drive A:, read
the input file from the floppy disk A: and
install the new parameters into a file named
TO_DO.EXE in directory \MYDIR on the hard
disk C:.
PARAMS \INSTALL\TO_DO.EXE \WORK\TO_DO.EXE
This will install the new parameters into a
file named TO_DO.EXE in the \WORK directory
using the \INSTALL directory as input.
The qualified identifiers of the source file and the target
file must not be identical. The .EXE extension should be
specified on each file name parameter, but it will be
supplied if no file name extension is specified..
When PARAMS first begins execution it will scan the input
TO_DO file to determine the current settings and begin
writing the output file. This may take from 30 seconds to
three minutes depending on your disk configuration. Once
that is complete, you will be asked to provide selections
for the following options.

The disk drive and directory that will be used by TO_DO to
store notes, the phone list, etc. must be identified during
installation (or through the use of the /D parameter on the

TO_DO command). Normally, it will be desirable to create a
separate hard disk directory for this data. This can be
done by entering the following commands:
C: (or other hard disk
drive)
MD \TO_DO (create the TO_DO
directory)
If the C drive is being used and the selected directory is
named \TO_DO as in the example below, you simply enter:
C:\TO_DO
in response to the prompt for drive and directory
information. It is a good idea to fully qualify the file
specifications by providing both drive and directory names
as shown in these examples. When selecting a directory for
these data files, it is a good idea to avoid the root
directory of any drive. Over time, TO_DO will create and
delete many files in the chosen directory. Having a large
number of deleted files in the root directory can interfere
with the ability of some file recovery programs.
The data file drive and directory information must be
provided before TO_DO can be used. Normally it it most
convenient to provide this information during installation.
This makes it unnecessary to provide it each time the
program is called. If you prefer to specify this
information on the call to TO_DO (e.g. to support the use of
several, independent sets of note files), see the COMMAND
OPTIONS section of this document.
2.2 Set Display Colors 2.2 Set Display Colors
The available color palette will be displayed for you with
the color number associated with each setting indicated.
You will be asked to select colors for the display
background, normal text, reverse video text, menu text,
highlighted menu option text, informational message text,
highlighted informational message text, error text, and help

text. Choose any color selections that appeal to you and
work well on your equipment. Experiment with color settings
to find those that are most effective for your use.
If you wish to retain the current color settings, simply
enter a value of zero for the first color option that is
presented. As you are prompted for each color selection,
the current setting for that type of text is displayed.
2.3 Auto Delete Option 2.3 Auto Delete Option
You will be asked if you want TO_DO to automatically delete
outdated notes. If you answer with a "Y", TO_DO will delete
any notes for past dates when it completes execution. If
you use auto-delete and want to keep an old note, you may
use the copy note feature to move the text to a future date.
If you wish to manage the deletion of the notes yourself,
you may turn off auto-delete with a "N" response.

You may decide whether you want TO_DO to ask you to confirm
your selection each time you ask to exit from the program.
For most purposes, the extra question in the exit process is
not necessary, but the choice of processing styles is up to
you.
2.5 Date Format 2.5 Date Format
Dates may be entered and displayed in either of two formats.
This installation option selects which will be used. The
default date format uses a month number (1-12) followed by a
day number (1-31). These are separated by a slash and may

be followed by another slash and a year number. This
default format is MM/DD/YY.
The other supported format reverses the order of the month
number and the day number for use in localities that
normally specify the day number first. This optional format
is DD/MM/YY.
2.6 Support of Note Categories 2.6 Support of Note Categories
The use of note categories is a powerful feature that allows
you to optionally separate notes according to subject,
client, employee, etc. However, some TO_DO users do not
require the use of categories. This installation option
allows you to decide whether note category options will be
included in the TO_DO main menu.
2.7 Editor Information Parameters 2.7 Editor Information Parameters
You will be asked to identify the text editor that you wish
to use for note editing features. TO_DO will work with any
editor allowing you to continue the use of familiar tools.
When you are asked for the editor file name and path
information, enter the name of your editor (with any
directory information that is needed to access it). You
will also be asked to provide any parameters that must be
passed to your editor before and after the name of the file
to be edited. Most editors do not require any parameters,
and you may simply enter RETURN in response to these
questions. If you normally specify some parameters when you
call your editor, you may want to indicate them here. You
may also call a .BAT file to access your editor if this is
what you normally do. If this is required, be certain that
you include the .BAT extension in the identification of your

editor. This lets TO_DO know that it must be called in a
different fashion.
3. TO_DO Command Options 3. TO_DO Command Options
You may set one or more processing options when you enter
the command to begin executing the TO_DO program. The
command options are normally preceded by a slash character
("/") and may include a value string indicated with an equal
sign ("="). Optionally, the slash may be omitted if each
option appears in a separate command parameter. Examples of
the command option formats are shown below.

TO_DO N D=c:\my_dir C=AC /E=\utility\my_editor \E1=X
3.1 No Wait Option /N 3.1 No Wait Option /N
The NO WAIT option is especially useful for placing a call
to TO_DO in your AUTOEXEC.BAT file to cause it to be
executed each time you start up your computer system. If
the /N option is included on the call, TO_DO will check the
set of reminder notes and exit if there are no notes for the
current day. This allows processing to continue if there
are no notes to be read. If you wish to enter commands to
write notes, etc., this option should not be used.
3.2 Data File Drive and Directory Option /D 3.2 Data File Drive and Directory Option /D
The drive and directory option "/D" is used to override the
installed location of TO_DO data files. This allows you to
maintain several separate sets of note files, phone lists,
etc. by placing them in separate directories. This option

may also be used to initially specify the data file location
without running the PARAMS installation program. The data
files location should not normally be set to the root
directory of your hard disk drive as this may interfere with
your ability to recover accidentally deleted files.
Example: TO_DO /D=C:\MY_DIR
3.3 Category Selection Option /C 3.3 Category Selection Option /C
The /C option allows you to initially select a note
category. The option includes an equal sign and a two-
character category code. The indicated category will be
preselected when TO_DO begins execution. The effect is the
same as selecting the category from the menu.
Example: TO_DO /C=AC
3.4 Editor Information Options 3.4 Editor Information Options
The editor information options allow you to specify calling
parameters for your choice of text editor program. These
provide access to your editor for editing existing notes and
phone list entries. Normally, these would be installed by
the PARAMS program during the installation process. You may
use these options to override those selections, however, if
you want access to a different editor.
3.4.1 Editor File Identifier Option /E 3.4.1 Editor File Identifier Option /E
The /E command line option gives the file specification that
will be used to access your editor. A fully qualified file
identifier including a drive specification, a full directory

path, and the file name provides the most reliable form of
editor identifier. The full specification allows the editor
to be used regardless of current default drive or directory
settings.
Example: TO_DO /E=C:\MY_EDIT.EXE
3.4.2 Leading Editor Parameters Option /E1 3.4.2 Leading Editor Parameters Option /E1
Some editors may require the use of additional parameters on
the command line call beyond identifier of the file that is
to be edited. Most editors do not require parameters of
this kind, but TO_DO provides these /E1 and /E2 options for
those that do. The /E1 option allows you to specify editor
calling parameters that will appear in the call before the
identifier of the target file.
Example: TO_DO /E=C:\MY_EDIT.EXE /E1=par1
3.4.3 Trailing Editor Parameters Option /E2 3.4.3 Trailing Editor Parameters Option /E2
This option is equivalent to the /E1 option above, but it
specifies editor calling parameters that appear after the
target file identifier in the editor call. Most editors do
not require the use of this parameter.
Example: TO_DO /E=C:\MY_EDIT.EXE /E2=par2

The TO_DO main main appears at the top of the screen. The
selection are arranged horizontally across the screen. As
each top level menu selection is highlighted through the use

of the right and left arrow cursor movement keys, the second
level menu selections appear, arranged vertically below
selection.
Processing selections are made on the second level menu by
highlighting an item using the up and down arrow cursor
movement keys and pressing the return key. The F1 key may
be used at any time to receive help text describing the
highlighted option.
4.1 Note Category Features 4.1 Note Category Features
Note categories are an optional part of the TO_DO main menu.
If you do not need them, you may elect to remove the
selection during installation with the PARAMS program.
Categories allow you to establish classes of notes and have
notes for each day separated according to category. You may
view the notes with the categories intermingled or on a "by
category" basis. Some users utilize the category features to
separate notes according to individual clients, by user on a
multi-user system, or by task type. The category features
are sufficiently flexible to allow them to be used in a
variety of ways. Other user do not need the added
flexibility provided by the categories. They may simply
write all of their reminder notes to the general notes
category and use TO_DO as though there were no categories.
Another relatively new feature is the ability to separate
notes according to priority. Note priorities give the user
an additional clue to aid in processing the notes.

4.1.1 Select Category 4.1.1 Select Category
By selecting a *cateory you can temporarily limit the set of
notes that are displayed to those in the selected category.
This can give you a quick view of the things that are
upcoming for an individual client or type of task.
4.1.2 Add a Category 4.1.2 Add a Category
With the exception of the "General Notes" category, any
other note categories are assigned by you through the use of
this option. You assign a short description to the category
and TO_DO assigns a two character alphabetic code. The code
is displayed with the notes and makes up the first two
characters of the file name for the notes.
4.1.3 Delete a Category 4.1.3 Delete a Category
When a note category is no longer needed, you may delete it
through the use of this option. A menu of the currently
assigned categories will be presented and you may pick one
to delete. If there are remaining notes for the deleted
category, they will be automatically deleted as well.
4.2 Read Features 4.2 Read Features
TO_DO automatically displays the note for the current day on
the right side of the screen when execution begins. You may
select any other note to be fully displayed in its place.

4.2.1 Next Note 4.2.1 Next Note
Choosing the next note feature will cause TO_DO to find the
next note after the currently displayed one and present it
on the screen. If there are no notes for later dates, the
display will remain unchanged.
4.2.2 Previous Note 4.2.2 Previous Note
As expected, this function will cause TO_DO to move
backwards through the chronological list of notes and
display the one that precedes the currently displayed note.
If there are no earlier notes, the display remains
unchanged.
4.2.3 Select Date 4.2.3 Select Date
This feature allows you to directly select the note that you
wish to read. The dates of all existing notes are presented
in a menu, and you simply choose the one that you want. If
there are too many notes to be displayed on the screen in
this menu, you will see an indication that there are more
notes available (above or below your current position in the
menu). Use the PgUp and PgDn keys to access these
additional notes.
4.3 Write Features 4.3 Write Features
These features allow you to easily write reminder notes
associated with one or more future dates. The notes will
then be displayed automatically when that date arrives.
Writing notes causes the text that you supply to be appended
to any notes that already exist for that date. Writing a

new note for a given date does not affect any other notes
that may have been written for that date. When you are
entering a date for a note or the text of a note, you may
press the F1 key to display a calendar for any month that
you choose.
4.3.1 Select Date 4.3.1 Select Date
This feature allows you to directly select a single date to
be associated with the note that you are about to write.
The date may be indicated in a variety of formats (see
section 6 for the available date formats). If the indicated
date is not valid, you will be asked for the date again.
Notes may be written for any date in the next several
hundred years.
4.3.2 Range of Dates 4.3.2 Range of Dates
You may also select to have the note that you are about to
write apply to a range of dates. You will be asked to
provide the beginning and ending dates. These dates may be
in any of the supported date formats and need not both be in
the same format. For the sake of safety, you are limited to
having the note apply to no more than 31 consecutive days in
a single transaction. You wouldn't want TO_DO writing 100
years of notes on your disk because you mistyped a date
would you?
4.3.3 Copy a Note 4.3.3 Copy a Note
You may copy the text of the notes for any date to any
other. This can be helpful when things are rescheduled.
Simply choose the source note from the menu of available

notes and indicate the additional date that it is to apply
to using any of the supported date formats.
4.4 Search Features 4.4 Search Features
TO_DO allows you to search the note files or the phone list
using one or two keys to control the selection of matching
items. At the conclusion of the search, those items that
matched the selection criteria are displayed.
4.4.1 Search Keys 4.4.1 Search Keys
The search string that directs the search may either be a
simple text string or two substrings with a specified
relationship. If a simple string is entered, any note or
phone list entry that contains that string will be
considered a match.
If two substrings are used, they become two search keys.
Before an item can be considered to match, it must satisfy
the given realtionship between the substrings.
The general format of a two-key search string is shown
below:
string1 .relation. string2
The relationship is enclosed in periods and may be any of
the following:
.AND. - both strings must appear
.OR. - either string must appear
.XOR. - either string, not both
.NOT. - string1 but not string2
This search key format is used for note file searches and
for phone list searches.

4.4.2 Note Search 4.4.2 Note Search
The note file search examines all existing note files to
determine if they meet the search criteria. Those notes
that match are displayed in a SEARCH RESULTS window. The
search key format is described in the SEARCH KEYS section
above.
4.4.3 Phone List Search 4.4.3 Phone List Search
The phone list search that appears in the SEARCH section of
the main menu examines all fields in existing entries in the
phone list to determine if they meet the search criteria.
Those entries that match are displayed in a phone entries
menu. The information field associated with any of the
selected phone list entries may be viewed by highlighting
the entry in the menu and pressing the F1 key. The search
key format is described in the SEARCH KEYS section above.
If your system is equipped with an autodial modem and TO_DO
has been installed for telephone dialing, you may select one
of the matching entries for dialing by moving the highlight
to it with the cursor keys and pressing return. If your
system is not equipped for dialing, you may simply view the
entries, dial the telephone manually, and press ESC.
4.5 Phone List Features 4.5 Phone List Features
The phone list features allow you to create, edit, browse,
and search a list of entries containing a name, telephone
number, and other information. The entries are lines in a
text file. Each entry is expected to have the name
information first, the telephone number second, and optional
other information at the end of the line.

The entries are otherwise free-form. The telephone number
is the only required separator between the name field and
the information field. To be recognized as a telephone
number, a field must contain only digits, parentheses,
commas, and dashes, and must be at least 4 characters long.
The search and browsing options also allow you to select an
entry for automated dialing. To use the dialing feature,
you must have an autodial modem on your system and must
configure TO_DO for dialing when PARAMS is run.

The full phone list search examines all fields in existing
entries in the phone list to determine if they meet the
search criteria. Those entries that match are displayed in
a phone entries menu. The search key format is described in
the SEARCH KEYS section above. The matching entries are
displayed in a menu. If you select one of the entries and
press RETURN, the number will be dialed for you. The
information field associated with any of the selected phone
list entries may be viewed by highlighting the entry in the
menu and pressing the F1 key.
4.5.2 Phone List Name Field Search 4.5.2 Phone List Name Field Search
The phone list name field search examines only the name
field in existing entries in the phone list to determine if
they meet the search criteria. Those entries that match are
displayed in a phone entries menu. The search key format is
described in the SEARCH KEYS section above. The matching
entries are displayed in a menu. If you select one of the
entries and press RETURN, the number will be dialed for you.

The phone list information field search examines only the
information field in existing entries in the phone list to
determine if they meet the search criteria. Those entries
that match are displayed in a phone entries menu. The
search key format is described in the SEARCH KEYS section
above. The matching entries are displayed in a menu. If
you select one of the entries and press RETURN, the number
will be dialed for you. The information field associated
with any of the selected phone list entries may be viewed by
highlighting the entry in the menu and pressing the F1 key.

The "Other Features" provide access operations that you may
need to support your management of the reminder notes.
4.6.1 Delete a Note 4.6.1 Delete a Note
As you would expect, this allows you to delete any of the
existing reminder notes. The available notes will be
presented in a menu. Simply choose the note that you want
to delete. The text of that note will be displayed, and you
will be asked it you wish to delete it. If you have chosen
the right note, just enter a "Y", and the note will be
removed.

4.6.2 Edit a Note 4.6.2 Edit a Note
This feature allows you to use your own text editor to
modify any of the existing notes. The available notes will
be presented in menu form. Once you pick one, your editor
will be called to allow you to change the text of that note.

This selection allows you to gain direct access to your text
editor. TO_DO is suspended while you edit any file that you
would like. Once you leave the editor, you will return to
TO_DO.
4.6.4 Print Notes 4.6.4 Print Notes
You may direct selected notes to the printer or to a
separate file through the use of this feature. Simply
identify the notes to print and the target device or file
that is to receive the notes.

You may also suspend TO_DO while you run other DOS programs.
This selection will take you to DOS. After each operation
you will be prompted that you may return to TO_DO by typing
"EXIT".

5. Date Entry Formats 5. Date Entry Formats
Dates may be entered as a full date string, a partial date
string, a day of the week, or an offset from today's date.
5.1 Full Date String 5.1 Full Date String
A full date string using a numeric style has the form
"MM/DD/YY". A one or two digit number is used to indicate
the month, day, and year of the desired date. Examples are:
7/4/1988, 01/01/01 (turn of the millennium), and 04/1/89.
The year may also be specified with a full four digit
number. The date must be in the future since writing TO_DO
notes for the past makes no sense.
A full date string using a a named month style has the form
"Mon DD, YY". A three or more character month name is used,
the day is specified with a one or two digit number, and the
year is given with a two or four digit number. Examples
are: July 4, 1988; January 1 01; (turn of the millennium),
and Apr 1 89.

The year may be omitted from the date string if you so
desire. In this case the current year will be assumed.
Examples: 09/30, Apr 17, and 12/31.

If only a single number is specified, it is assumed to be a
day number in the current month and the current year. TO_DO
will then attempt to use that date.

5.4 Day of the Week 5.4 Day of the Week
The desired day of the week may be entered if the target
date is within the next 7 days. Only the first two
alphabetic characters are examined, and the case of the
characters is ignored. If you write a note on a given day
of the week and indicate the same day of the week as the
target of the note, TO_DO assumes that you mean a week from
now. If you want to write a note for today, use a date
string or an offset of zero. Examples of specifying the day
of the week are: SU, Sunday, sUnDay, th, and Fr.

Finally, dates may be specified as an offset from the
current date. To use an offset, enter a "+" followed by the
numeric offset in days. Examples are: +0 (today), +365 (a
year away), +7 (next week), and +3653 (about 10 years away).

Part of the text of your notes can come from any existing
text file. To copy a file into one of your notes, just
enter a commercial "at" sign (@) followed by the file
specification at the beginning of any line in the note. The
file will be copied and you will be able to enter more text
if you want. As an example, the entry @\CONFIG.SYS would
cause your system configuration file to be included in a
note.
