The shareware version of Schedule*Master may be copied and
distributed freely, as long as no profit is made from its
distribution. You also may not 'bundle' Schedule*Master with
another product or service (hardware or software) without prior
written consent from the author.
The registered version of Schedule*Master is licensed for use on
all machines owned by the person to whom the software is
registered, as long as it can not be run on more than one
machine at the same time. Businesses may use Schedule*Master on
one machine only - a site or corporate license is needed to use
Schedule*Master on more than one machine, unless multiple copies
are purchased for each machine in use. Write to the author for
information on site/corporate licenses.
Overview
Schedule*Master is an easy-to-use yet powerful system to manage
your daily schedule and to-do list - it's powerful enough for
business use, yet won't take you weeks to master.
Schedule*Master provides an easy way to manage the two basic
types of events that most people need to keep track of -
appointments and tasks (Todo lists). Schedule*Master considers
an appointment to be an event that occurs on a specific date,
with a definite begin and end time. Todo records are events
that must be completed on a specific date, but not at a specific
time, and will continue to appear until you close or delete
them. Using this approach to managing todo lists provides you
with a way to ensure that you won't forget about something
simply because the due-date has passed.
Major Features
Each event (appointment or todo record) can have a 'note'
attached to it with further information about the item. The
note record is handled via a full-screen text editor and is
limited only by the amount of memory your system has. On a
system with 640k of memory you could have approximately 400+k
available for each note (more on this later!).
Extensive searching and reporting capabilities are available to
allow you to find information once you have entered it.
If you have a mouse, and your mouse driver is loaded, it will be
detected automatically. Almost all functions can be performed
by the mouse.
The number of records Schedule*Master can handle is limited only
by the available disk space. There is one exception - you can't
have more than 500 open todo records at a time (and if you have
500 open todo items you're probably in deep trouble!).
System Requirements
Schedule*Master requires and IBM* PC/XT, AT, PS/2 or any other
100% IBM compatible computer with at least 480,000 bytes of
available memory, a hard disk with at least 1 megabyte of free
space (more is needed as the database grows) , a monochrome or
color monitor, and DOS version 3.0 or higher. Microsoft*
compatible mice are supported, but not needed.

Installation Instructions
To install Schedule*Master to your hard disk :
Make a backup of the distribution diskette(s). If you already
have a version of Schedule*Master installed on your hard drive
then make a backup copy of it as well.
Insert the distribution diskette into your diskette drive. If
you received more than 1 distribution diskette then insert the
one marked #1.
Make that diskette drive the current drive (for example type A:
followed by ENTER if it is the A drive).
Type INSTALL and press the ENTER key.
The install program will ask you for the name of the directory
you wish to install to. You may accept the default SMASTER2 or
enter a different name. If you are upgrading the shareware
version 2.0 to the registered version 2.0 you must supply the
name of the directory in which you have already installed the
shareware version.
You will be asked if you wish to install only the programs or
the entire system. If you are upgrading from the shareware
version 2.0 to the registered version of 2.0 then install only
the program files. For all other installations, choose the
option to install the full system.
If you received more than one distribution diskette you will be
asked to insert the other diskette(s) as necessary.
After the installation is complete, remove the diskette and
store it in a safe place.
If you are installing the registered version of Schedule*Master
six companion programs will also be installed :
SM_INDEX.EXE - This program re-builds the alternate indices for
the database. It is used internally by the CONVERT1 and
CONVERT2 programs.
CONVERT1.EXE - This program allows you to convert the data from
version 1.3 of Schedule*Master into the new format used by
version 2.0.
CONVERT2.EXE - This program allows you to convert the
categories and people lists from version 1.3 to the format used
by version 2.0.
MASSCHNG.EXE - This program allows you to make 'mass' changes to
the records in the database in a very easy yet flexible manner.
SMCOPY - Allows you to copy selected records to a new database
file to be used by the SMMERGE utility.
SMMERGE - Merges the file created by SMCOPY into the current
database.
Instructions for these programs are included at the back of this
manual.
If you did not receive the above-listed programs, it is because
you have received the 'Shareware' version of Schedule*Master
(see the file REGISTER.TXT for information on how to register).
Running Schedule*Master
To run Schedule*Master simply change to the directory
Schedule*Master was installed into (for example CD\SM2) and type
SM followed by the ENTER key *. A small window will appear
informing you that Schedule*Master is 'working..' - this will
last anywhere from a second or two to between 6-8 seconds
depending on how many records are in the database and the speed
of your machine (on a 16mhz 386/SX machine it shouldn't last
longer than 8 seconds). The second window you will see will be
the Schedule*Master copyright notice. Simply press any key
after the copyright notice is displayed to proceed. Note that
in the shareware version of Schedule*Master a shareware notice
will display for approximately 6 seconds. After pressing a key
the 'main' or calendar screen is shown.
If you have a mouse, and your mouse software is loaded, a square
'mouse cursor' will appear at the center of the screen
(approximately). The mouse can be used throughout
Schedule*Master to perform various functions instead of, or in
concert with, the keyboard.
Throughout this document, whenever the mouse is being discussed,
you will see a small mouse icon that will alert you that the
following function can be performed with a mouse.
There is a section at the end of the manual called
Trouble-Shooting - please turn to this section if you are
experiencing difficulty running Schedule*Master. If this
section does not provide an answer for your particular problem,
and you are a registered user, please contact me via any of the
methods listed in your registration package and I'll see what
can be done to help you.
Note that you can only run one copy of Schedule*Master at a
time. If you are using a task-switching program or
multi-tasking environment it is conceivable that you may try to
run it in 2 different sessions at the same time. If you do
attempt this, you'll receive a message informing you that
Schedule*Master is already running. You can override this
message and continue execution anyway, however it's not a good
idea to do so, as Schedule*Master may behave unpredictably. See
the Trouble-Shooting section for more information.
*There are 2 options you can enter on the command-line :
Type SM X to execute Schedule*Master changing all hi-lite 'bars'
to arrows.
Type SM N to disable the swapping feature when editing notes and
categories (when you edit categories or notes the program will
first 'swap' itself out of memory, to EMS memory if available or
to disk, so that larger notes can be created). Disabling the
swapping makes editing occur faster, however you will not be
able to create large notes. Also you do not want to use this
option if you have less than 560,000 free bytes of memory before
running Schedule*Master.
Initial Setup - Running Schedule*Master The First Time
With Schedule*Master you can keep track of appointments and todo
items quickly and easily. You can 'jump in' and start using the
system without reading this entire manual, and you'd probably do
O.K., however please take a few minutes to at least read this
section. Learning how to use the 'category' and 'people' lists
effectively will allow you to organize your appointments better
and will make reports more meaningful.
'Wait a minute - what are categories and people lists?' - I can
hear the question already!
Basically the idea is to 'categorize' your appointments and todo
items in such a way that you can perform searches more easily.
For example, I use Schedule*Master at work and some of the
categories I have defined are :
Holiday
Meeting
Off - Personal
Off - Sick
Off - Vacation
Projects
Vacation
When I enter an appointment with someone I can categorize it as
a 'Meeting'. If I categorize all my meetings as such, I am then
able to perform a search later on the category 'Meeting' and see
all the meetings I've attended over a certain period of time.
Notice that I have 3 categories that begin with 'Off -' (Off -
Personal, Off - Sick, and Off - Vacation). Whenever someone in
my group takes a day off for one of these reasons I categorize
the record with one of these 3 categories. This enables me to
later see all the time someone has taken for vacation, personal
and sick time. I can also see all the time they have taken by
simply searching on 'Off'. I'll get into searching more in a
later section, however you can probably see that creating good
categories can give you considerable flexibility later when you
need to find and create reports on the records you have entered.
So what's the people list for? Well, that can actually be used
in 2 different ways. The first way would be to create a list
of people that you regularly meet with; another way would be to
create a list of people who work for you. Using the scenario
above, if you created a list of the people working for you it
would be easy to see 'how many days off did Bob take this year?'
, 'how many were vacation?', etc. If you created a list of
people you regularly meet with you would be able to create a
report of how many times during a certain period of time you met
with someone.
Initial Setup - Continued
Keep in mind, though, that creating a pre-defined category and
people list is not mandatory - it is there simply for your
convenience. Also, once you create a list it is easy to modify
it later to add or delete items as needed. You can also create
appointments and todo records for people you don't have
pre-defined - someone you only meet with infrequently, for
example.
I think you get the hang of it! If you wish to create a
category and/or people list now, turn to the section of the
manual called Creating/Changing the Category and People Lists.
Please keep in mind that pressing the F1 key will cause a Help
window to appear at the bottom of the screen. Pressing ALT+F1
will increase the size of the help screen, and ESC will exit
help.
Working With The 'Main' or Calendar Screen
The calendar display, for all practical purposes, is the 'main'
screen for Schedule*Master. Aside from the copyright notice,
this is the first screen you will see. This screen is basically
a large calendar, with menu options at the top of the screen,
and a listing of the active keys in a smaller 'window' to the
right of the calendar. At the bottom of the screen is a
'status' line containing the current time and the status of the
buffer (more on the buffer later). Notice that the current date
has an asterisk (*) to the right of it and it is also hi-lited.
You can select a date from the current month to work with by
using your cursor keys to move the hi-lited box around the
calendar and pressing the ENTER key. For now, try using the
cursor keys (or arrow keys) to move the hi-lited box around on
the screen.
Other keys allow you to move around the calendar also. They are:
Arrow keys Move the h-lite around from day-to-day
Page Up Go to the prior month
Page Down Go to the next month
Home Go to the first day of the month
End Go to the last day of the month
+ Go to the next year (same month)
- Go to the previous year (same month)
F1 Help
F2 Go to today's date
F10 Activate the top menu
W View weekly schedule
G Go to a specific month and year
You can also use the mouse to activate the functions mentioned
above. Move the mouse cursor over any of the options in the
right-hand window and press the left mouse button. This will
have the same effect as typing the option from the keyboard.
For example, move the mouse cursor over the text that reads
'Home' and press the left button. You'll notice that the cursor
will move to the first day of the month. Now try moving the
mouse cursor over the word 'End' and press the left button to
see what happens. The only time the mouse acts differently is
when you move the mouse cursor over the line that reads 'Arrows
| Move pointer'. When the mouse cursor is here, pressing the
left button has the same effect as using the left arrow key,
pressing the right button has the same effect as pressing the
right arrow key. If you use the mouse to request help, you may
close the help window by pressing the left mouse button while
the mouse cursor is in the help window.
Working With The 'Main' or Calendar Screen - Continued
Once you have moved the hi-lited square to the date you wish to
work with press ENTER to continue. The other functions
available from the main or 'top' menu will be discussed later in
this manual.
Weekly Graph
The weekly graph function of Schedule*Master allows you to see,
at a glance, all your appointments for the week. The graph
actually shows only what hours are taken each day for
appointments, however this allows you to easily see what time
you have free during the week. You can display the graph by
pressing W while viewing the calendar screen. After pressing W
a small window will appear asking you to select the person whose
weekly appointments you wish to see. You can press the F2 key
to display a list of pre-defined people, type in a person's name
directly or leave the field empty to display all appointments
for the week. The week displayed will be the week in which a
day is hi-lited on the calendar. For example, if February
5,1992 was hi-lited the weekly graph would show all the hours
that are taken with appointments for February 2,1992 through
February 8,1992.
Once the graph is displayed you may press P to print the graph
or any other key to return to the calendar display.
Once the window appears asking you to pick the person whose
appointments you wish to graph, you may display the selection
list by clicking on the field twice with the left mouse button
(double-clicking).
The Daily Display
When you have pressed ENTER on the calendar screen all
appointments and todo items for the date you have hi-lited will
be displayed. This is called the Daily Display screen, and this
is where a lot of your time will be spent adding, changing, and
deleting records. Each date can have up to 100 events
(appointments and todo records combined) with 20 records
displayed at a time. The display will show appointments first
in white text on a blue background (color monitors only), and
then todo records in black text on a green background. By
default, the appointments will be sorted by time, and the todo
records will be sorted by priority (you can change these
defaults - see the section Using The Main Menu). The first
event for the day will be hi-lited if an event exists -
otherwise a hi-lited empty line will be displayed.
The records themselves are too large to display on the screen
completely, therefore some of the fields are not completely
shown. These are :
Category - only the first 8 characters are shown
Person(Who) - again, only the first 8 characters are shown
Text - only the first 43 characters are shown
If you hi-lite a record and press ENTER (as described in the
next section) you will see the entire record. Also any reports
created will show the entire record.
Since todo records do not have specific start and end times, you
will see the actual due date in these fields, followed by D for
'due' or C for 'closed' depending on whether or not to decide
to show closed todo records.
The Daily Display - Continued
The following keys may be used while viewing the daily display :
A Add an appointment
B Copies a record to the buffer
C Close the hi-lited record (todo records only)
ENTER Edits/changes the hi-lited record
ESC Return to the calendar display
G Go to a specific date without returning to the calendar
display
M Move the hi-lited record to another date
N Adds a note to the record, or edits a note if one already
exists.
P Prints the days events
ALT+P Prints the days events and any notes
T Adds a todo record
Left/Right arrow keys Move the the prior/next day
F2 Move to today's date
DELETE key Deletes the hi-lited record
Page Up/ Page Down Show the previous/next 20 records
F3 Displays a 'pop up' calendar
ALT+F10 Exits to a 'DOS shell' Schedule*Master remains active
R Repeat the hi-lited event
These keys are listed at the bottom of the daily display screen
for your convenience. Simply press the key associated with the
desired function to activate that function. The only key not
shown at the bottom of the display is R for repeat. You must
enter this option from the keyboard.
The functions listed in the table above can also be activated
with the mouse. Move the mouse cursor over the text for the
desired function and press the left mouse button to activate the
function. This will have the same effect as typing in the
key(s) on the keyboard. You can move foreward 1 day by moving
the mouse cursor over the 'arrow' on the upper right-hand corner
of the screen and pressing the left mouse button. You can move
back 1 day by moving the mouse cursor over the 'arrow' on the
upper left-hand corner of the screen and pressing the left mouse
button.
Adding An Appointment
From the daily display screen press the A key to add an
appointment. A window will appear which will allow you to enter
information about the appointment. You may enter the fields as
follows :
Start Time - Enter the time of day the appointment begins. The
format for the time is HH:MM plus either 'am' or 'pm'. For
example 08:00 am.
End Time - Enter the time of day the appointment ends. The
format is the same as the start time.
Category - What category do you wish to assign to this
appointment. You can press F2 for a list of categories. To
select a category from the list you can use your cursor keys to
hi-lite the desired category and press ENTER. You may enter
text directly into this field without picking one from the
selection list by simply typing the text you wish (up to 15
characters). You may also leave this field blank if you wish.
Person - To whom are you assigning this appointment, or with
whom are you meeting. Again you may press F2 for a list of
defined people.
Text - The text for the appointment. This field is required and
can be up to 50 characters in length.
The mouse can be used while adding an appointment to move from
field to field. Simply move the mouse cursor to the field you
wish to go to and press the left mouse button. The editing
cursor will move to that field and you can make changes /
additions as needed. If you move the mouse cursor to the
category or person fields and press the left button twice
(double click) the corresponding choice lists will pop-up, and
you can select a person or category by pressing the left mouse
button while the mouse cursor is over the selection you wish.
If there are more items in the list than can be shown at one
time you can scroll down through the list using the mouse
cursor. To scroll, move the mouse cursor to the right-hand
border of the selection window where the 'scroll bar' appears
(very similar to Microsoft Windows'* scroll bars) and press the
left mouse button to scroll either up or down. This takes
longer to explain than it does to use! At any time you can move
the mouse cursor outside of the appointment window and press the
left mouse button to abort this process - similar to pressing
the ESC key as described on the previous page.

Adding An Appointment - Continued
After entering the last field the window will close, the record
will be added, and the display will be updated to show the
record has been added. You can use the Tab keys to move back
and forth between fields and change any of the values before
saving the record. Alternately, you can press F10 to save the
record while in any field.
At any time you may press the ESC key to cancel this process and
return to the daily display screen.
Adding A Todo Record
Adding a todo record is accomplished by pressing the T key while
viewing the daily display screen. A window will appear in which
you can enter the information about the todo record. You may
enter the fields as follows.
Due Date - The date this todo record must be completed by. The
date will be filled in automatically with the date being viewed,
however you may overtype the date with any date you desire. The
format for the date is MM/DD/YYYY - note that the year must be 4
digits.
Completion Date - This is the date the record was actually
completed on. Normally when you create a todo record you would
leave this field blank, however if you are adding a todo record
that you have already completed you may enter the completion
date here. If a completion date is present, the record will be
considered a 'closed' todo record as soon as it is added.
Category - What category do you wish to assign to this todo
record? You can press F2 for a list of categories. To select a
category from the list you can use your cursor keys to hi-lite
the desired category and press ENTER. You may enter text
directly into this field without picking one from the selection
list by simply typing the text you wish (up to 15 characters).
You may also leave this field blank if you wish.
Person - To whom are you assigning this todo record? Again you
may press F2 for a list of defined people.
Text - The text for the todo record. This field is required and
can be up to 50 characters in length.
Priority - Todo records can have a priority associated with
them. This is a 2 digit numeric field that allows you to
prioritize your tasks. For the Schedule*Master's purposes lower
priorities are more significant, for example the highest (most
important) priority is 0 and the lowest (least important) is 99.
Number of days ahead of time to display - Todo records can begin
appearing ahead of their due date as a reminder to you that they
are soon due. There is a system default (more on that later)
that will be used if you leave this field as is (-1). The
system default can be overridden for each todo record by
entering a number here between 0 and 99. For example, if you
enter 25 in this field, the record will begin appearing on your
daily display 25 days ahead of its due date.
Adding A Todo Record - Continued
The mouse can be used while adding a todo record to move from
field to field. Simply move the mouse cursor to the field you
wish to go to and press the left mouse button. The editing
cursor will move to that field and you can make changes /
additions as needed. If you move the mouse cursor to the
category or person fields and press the left button twice
(double click) the corresponding choice lists will pop-up, and
you can select a person or category by pressing the left mouse
button while the mouse cursor is over the selection you wish.
If there are more items in the list than can be shown at one
time you can scroll down through the list using the mouse
cursor. To scroll, move the mouse cursor to the right-hand
border of the selection window where the 'scroll bar' appears
(very similar to Microsoft Windows' scroll bars) and press the
left mouse button to scroll either up or down. At any time you
can move the mouse cursor outside of the todo window and press
the left mouse button to abort this process - similar to
pressing the ESC key as described on the previous page.
After entering the last field the window will close, the record
will be added, and the display will be updated to show the
record has been added. You can use the Tab keys to move back
and forth between and change any of the values before saving the
record. Alternately, you can press F10 to save the record while
in any field.
At any time you may press the ESC key to cancel this process and
return to the daily display screen.
Editing (Changing) A Record
You may change a record you have previously entered from the
daily display screen. To change a record use your cursor
(arrow) keys to move the hi-lite bar to the record you wish to
change and press ENTER. The appointment or todo record window
will appear with the records' fields filled in. You can move
from field-to-field by using the Tab key or the up/down arrow
keys. You may change an entry by either backspacing the text
already there or simply typing over it. Pressing the Insert key
will toggle between insert and overtype modes. In insert mode
the cursor becomes a large block, and as you type any letters to
the right of the cursor will move to the right as needed. You
can save the updated record by pressing Enter while the cursor
is in the last field, or by pressing the F10 key anywhere. If
you wish to abandon the changes simply press the ESC key and any
changes you have made will not be saved.
When editing a record, as when adding a record, you can use the
mouse to move from field to field. Simply move the mouse cursor
over the field you wish to move to and press the left mouse
button. The editing cursor will then move to that field and you
can make changes as needed. If you move the mouse cursor
outside of the editing window and press the left mouse button
the window will close and any changes you may have made will not
be saved - similar to pressing the ESC key.
Closing An Open Todo Record
Remember that todo records will stay open, and keep appearing on
your daily display, until they are closed. This way you can't
forget about a todo item simply because the date has passed. To
close a todo record, from the daily display screen use the
cursor keys to move the hi-lite bar to the record you wish to
close. Press the C key and the record will be updated with the
current date being displayed, and marked as closed. If the due
date is not the same as the completion date then the record will
disappear from the display. Depending on your setup options,
you may be able to view the record again by simply moving to the
original due date and displaying that day's records. You may,
however need to perform an Extended Search in order to view the
record again (see the section Schedule*Master Configuration).
Adding A Note / Changing A Note
With Schedule*Master you can 'attach' a note to any record.
This note can be any size (depending on available system
memory). To add a note to a record, use the cursor keys to move
the hi-lite bar to the record you wish to attach a note to.
Press the N key and the full-screen editor will appear. You can
enter any amount of text you wish at this time. Pressing the F2
key while in the editor will save the note, and the F3 key will
exit the editor and return to the daily display screen. There
is a section called Using The Full-Screen Editor later in this
manual that fully explains the editor functions. You can also
choose to install and use your own text editor if you wish. To
install another editor see the section Schedule*Master
Configuration.
When you exit the editor the daily display will be updated and
an asterisk (*) will be displayed to the left of the text line
of the record. This is your indication that the record has a
note attached to it.
You can change a note already attached to a record just as if
you were adding a note for the first time. When you press the N
key the editor will appear with the note already loaded. You
can then make any changes as needed and press F2/F3 to save and
exit the note.
Moving A Record To Another Date
Once you have entered records into the database, you'll probably
find a need to move them around. Appointments can be postponed
and todo record due dates can change. For that reason
Schedule*Master allows you to move a record to a new date. To
move a record, use the cursor keys to hi-lite the desired record
and press the M key. A small window will appear in which you
may enter the new date for the record. Enter the date in
MM/DD/YYYY format. Once you have completed entering the year,
the window will disappear and the daily display will be updated
to show that the record is indeed gone. If you go to the date
you moved the record to you will see that it has been moved.
After you have pressed the M key you can press ESC to abort this
function - the record will not be moved.
Once the move window is visible you can use the mouse to move
from field to field. Simply move the mouse cursor to the part
of the date you wish to change and press the left mouse button.
The edit cursor will move to the location requested and you may
change the record as needed. If you move the mouse cursor
outside of the move window and press the left mouse button the
window will close and the function will be aborted, the record
will not be moved.
Go To Another Date
When you are viewing the daily display screen it's quite
possible that you'll want to move to another date quickly,
without having to return to the calendar display screen. You
can accomplish this by pressing the G key. A 'go to' window
will appear in which you can enter the date you wish to go to.
Enter the date in MM/DD/YYYY format. Once you have completed
entering the year, the window will disappear and the daily
display change to the date you have requested. After you have
pressed the G key you can press ESC to abort this function - the
record will not be moved.
Once the 'go to' window is visible you can use the mouse to move
from field to field. Simply move the mouse cursor to the part
of the date you wish to change and press the left mouse button.
The edit cursor will move to the location requested and you may
change the record as needed. If you move the mouse cursor
outside of the move window and press the left mouse button the
window will close and the function will be aborted - you will
not move to another date.
Deleting A Record
So far you've been told how to enter records, close them and
move them, but what happens if you enter a record by mistake; or
what if an appointment or todo item is cancelled? You'll
probably want to delete the record! Deleting a record in
Schedule*Master is simply a matter of using the cursor keys to
hi-lite the desired record and pressing the Delete key. A small
window will appear asking you to confirm the delete. If you
press Y (no need to press ENTER), the record will be deleted.
If you press N or the ESC key the record will not be deleted.
The daily display screen will be updated if necessary to show
that the record has indeed been deleted.
CAUTION!!!
Be careful when deleting records - there is no way to get them
back!.
The Pop-Up Calendar
Sometimes when you're moving records, or using the 'go to'
function it would be helpful if you could see a calendar to
determine the correct date. For that reason the F3 key has been
assigned to the pop-up calendar. You can press F3 at any time
in Schedule*Master and a small calendar will appear in the upper
right-hand corner of the display. You can use the page up and
page down keys and + and - keys to move from month to month, and
year to year, just as in the main calendar display. Press the
ESC key and the pop-up calendar will disappear.
Go Directly To The Current Date
While viewing the daily display you can use the arrow keys to
move from day to day, or go to a date directly. To return to
the current date quickly, without having to return to the
calendar display, simply press the F2 key. The records for the
current system date will be shown.
Printing A Day's Records
You can print the records for the current date, while in the
daily display screen, by pressing the P key. Appointments will
print first, followed by todo records. If you wish to also
print any notes that might be attached to the records then use
ALT+P. Any notes will be printed after the todo records have
been printed. This is a rather simple way to print the events
for the day, however it is not the only way. There are various
reports within Schedule*Master that can be accessed thru the
Reports menu (see the corresponding section of the documentation
for more information on this). A sample of this print-out is
included with this documentation, as are samples of all of the
reports. Check the table of contents section at the beginning
of the manual to determine what pages they are on.
Repeating A Record
Often you will enter records that need to be repeated every
week, every 2 weeks, every so many days, etc. An example might
be a record showing that you get paid every week, or every 2
weeks. Schedule*Master provides a way to repeat records in many
different ways.
From the daily display, use the cursor to hi-lite the record you
wish to repeat and press the R key. The repeat options menu
will be displayed, from which you may choose to repeat the
hi-lited entry : daily, weekly, bi-weekly, monthly, annually, or
every x number of days. Use your cursor keys to move the
hi-lite area to the corresponding entry (daily, weekly, etc) and
press the Tab key to go to the next field.
Your cursor should now be in the field that allows you to
specify the number of days between events - this field is only
really valid if you have chosen 'Every X days' as your repeat
option. If you have selected 'Every x day' then enter the
number of days you wish to have between the events. Press the
Tab key again to move to the next field.
This field is a date field, and you use it to specify the date
you wish the repeating to stop. This field is mandatory for all
types of repeating records, and must be in MM/DD/YYYY format.
Once you have entered the date, a prompt will appear at the
bottom of the screen asking you if you really want to continue.
If you enter Y then the repeat will be performed - a window will
appear informing you that the repeat is in progress. If you
enter N for the prompt, you will be taken back to the repeat
options menu so that you may make changes if necessary. If you
then press the ESC key the repeat will be aborted, and you will
be returned to the daily display screen.
You can use the mouse to move from field to field, as you can
with any data entry form, by moving the mouse cursor to the
field you wish to go to and pressing the left mouse button. You
can also use the mouse to select the type of repeat you wish to
perform. Simply move the mouse cursor between the parenthesis ()
next to the type of repeat you wish to perform and press the
left mouse button.
Using The Buffer
Schedule*Master's buffer is provided as another way to repeat
records. Sometimes you may need to repeat a record every third
Monday, or the second Wednesday of the month, or at some other
interval that Schedule*Master's repeat option doesn't provide
for. There is a way to perform this type of repeat - it is a
somewhat manual process - but it's not too difficult.
From the daily display screen, use the cursor keys to hi-lite
the record you wish to repeat and press the B key. That record
has now been copied into the buffer.
Press the ESC key to return to the calendar display. Note that
the lower right-hand corner of the display now reads
Buffer:active .
Use the cursor keys to move the hi-lited square to the date you
wish to repeat the record on.
Press the B key and the record will be added to that date.
You can repeat the step above to add the record to other dates
as necessary.
The record will stay in the buffer until you press the C key
(for Clear), or until you exit Schedule*Master.
Once you become used to using the buffer you'll see that it's
really very easy to repeat records this way and it provides a
great deal of flexibility.
The DOS Shell
You may need to exit Schedule*Master temporarily at some point
to perform file maintenance or some other task. You can do this
from the daily display screen, and from the calendar screen, by
pressing ALT+F10 (that is, hold down the ALT key and press the
F10 at the same time). Schedule*Master will remain in memory so
that you may return to the program exactly where you left off,
however most of it will be 'swapped' to disk, or to extended
memory (if you have extended memory available) so that the DOS
session can have a larger amount of free memory available to it.
When you invoke the DOS shell you'll notice the that DOS prompt
you're used to seeing has been changed. It now reads [ SM 2.0
x:\yyyyyy ] where x=the drive you are running Schedule*Master
from and yyyyyy=the name of the directory in which
Schedule*Master is installed. The prompt is altered as a
reminder that Schedule*Master is sitting in the background
waiting for you to return. You can return to Schedule*Master by
typing EXIT and pressing the ENTER key.
Caution !!
When you use the DOS shell function there are a few things you
must remember :
Do not run a memory-resident program while you are in the DOS
shell. Schedule*Master will be unable to free the TSR's memory
and will behave unpredictably.
Make sure that you are in the directory Schedule*Master is
installed in before typing EXIT to return to the program. If
you are in another directory, Schedule*Master will be unable to
find it's data files and will abort.
Don't try to run Schedule*Master again - make sure you always
return by typing EXIT.
Using the Main or 'Top' Menu
You can activate the main or 'top' menu from the calendar screen
by pressing the F10 key or by pressing / . You can also
activate a particular function by holding down the ALT key and
press the first letter of the function you wish to perform.
This menu allows you to perform searches, produce reports, and
perform miscellaneous functions such as establishing categories
and people lists, choosing a text editor, etc. The functions
are discussed on the following pages from left to right.
You can also activate the main or 'top' menu by moving the mouse
cursor anywhere on the top line of the display and pressing the
left mouse button once. This has the same effect as pressing
F10 or / keys.
Extended Search
The extended search function of Schedule*Master allows you to
perform comprehensive searches on the records in the database.
Activate the top menu by pressing F10 - the extended search
option is already hi-lited. Press ENTER to display the search
screen. The fields on the search screen may be entered as
follows :
Search For - You can limit your search to include only todo
records, only appointments, or both types of records. Use the
right and left arrow keys to move the hi-lited box to the
desired type and press either the TAB key or the ENTER key to
move to the next field.
From Date - This is a required field. Enter the date you wish
to begin the search. The format is MM/DD/YYYY.
To Date - This is also a required field. Enter the date you
wish the search to stop. The format is also MM/DD/YYYY.
Category - If you wish to limit this search to a particular
category you may enter the category here. Pressing F2 will
display any pre-defined categories you have set up so that you
may either choose one from the list or type one in yourself.
You may also search on a partial field if you wish. For
example, if you have categories such as Off - Vacation, Off -
Sick, Off - Personal you can search for all 'off' days by
entering Off in this field. Any records that have the letters
Off will be found. This search is not 'case sensitive' - it
doesn't matter if you use capital letters or not - all text will
be searched.
Who - If you wish to limit this search to a particular person's
records you may enter that person's name here. Pressing F2 will
display any pre-defined people you have set up so that you may
either choose one from the list or type one in yourself. As in
searching for categories, mentioned above, you may search on a
partial field if you wish. You may also leave this field blank
to include all records.
Priority - You can limit this search to records of a specific
priority if you wish, or you can accept the default of -1 which
will include all records. Keep in mind that searching by
priority is only valid when including todo records in the search.
Open/Closed/All - You can limit the search to include only open
todos, closed todos or all todos by entering O, C, or A in this
field. Keep in mind that this will only be useful if you are
including todo records in the search.
Text - You can search for records based on what was entered in
the text field. Simply enter any text you wish to search for,
or leave the field blank if you wish. The search will not be
case-sensitive and you can search on partial text if you wish.
Extended Search - Continued
You can use the mouse to move from field to field when entering
the search criteria. Simply move the mouse cursor to the field
you wish to go to and press the left mouse button. The edit
cursor will be moved the field you selected. If you move the
mouse cursor outside of the search window and press the left
mouse button the search will be aborted - similar to pressing
the ESC key.
After you have entered the desired fields you begin the search
by pressing the F10 key (or you can abort the search by pressing
the ESC key).
The first 100 records matching your search criteria will be
displayed, much the same way as in the daily display. You'll
notice that in the upper left-hand corner of the screen the date
of each record is shown as you move the hi-lite bar over each
record. The options available while viewing the results of the
search are :
EDIT
You can edit/change any record by using the cursor keys to
hi-lite the desired record and pressing ENTER. A window will
open displaying the record and you can make any changes you
wish. Pressing ESC will close the window without making any
changes, pressing F10 will cause any changes you made to be
saved. Any of the functionality available to you when
entering/changing records from the daily display are available
to you now - see that section if you need more information.
Delete
You can delete a record by pressing the Delete key after using
the cursor keys to hi-lite the desired record. A window will
appear asking you to verify this action. Press Y to delete
there record or N to cancel the delete.
Close
You can close an open todo record by pressing C after using the
cursor keys to hi-lite the desired record. Remember you can
only close open todo records.
Add/Change A Note
Pressing N will either add a note to a record, or edit a note
already attached to the record. See the section on
adding/editing records from the daily display screen if you need
more information.
Press the ESC key to return to the menu. If there are more than
100 records in the database a window will appear asking you if
you wish to continue the search. If you press Y the next 100
records matching your search criteria will be displayed. If you
press N then the search will stop.
Reports
The reports options can be reached by either pressing F10,
moving the hi-lite bar over to the right once by pressing the
right arrow key - and pressing ENTER, or by holding down the ALT
key and pressing R. This will open the reports sub-menu from
which you can select daily, weekly, or monthly reports.
Daily Report
The daily report can be selected by pressing ENTER while Daily
Report is hi-lited. Pressing ENTER will cause a window to open
which will ask you to provide information about the report you
are creating. Enter the fields as follows :
Appointments, Todo Records, Both - You can limit this report to
include only todo records, only appointments or both types of
events. Use the cursor keys to move the hi-lited box to the
desired record type and press either Tab or ENTER to move to the
next field.
Date of report -Enter the date you wish to create a report for
in MM/DD/YYYY format. The date hi-lited on the calendar will be
filled in for you automatically by default.
For - Enter the person you wish to create the report for, or
leave this field blank to include everyone in the report. If
you press F2 a selection list will appear of all the people you
have previously defined to the system. You can select a person
by moving the hi-lited area with the cursor keys and pressing
ENTER.
After you have entered the last field the report will be
created for you. You could also press the F10 key before you
enter the last field and the report will begin printing. An
example of the report is include at the end of this manual.
Before you enter the last field, or press F10, you can abandon
the report by pressing the ESC key.

Utilities
The utilities options can be reached by either pressing F10,
moving the hi-lite bar over to the right twice by pressing the
right arrow key - and pressing ENTER, or by holding down the ALT
key and pressing U . This will open the utilities sub-menu from
which you can perform the following functions :
Edit Categories / People
You can change the categories and people defined to
Schedule*Master by pressing ENTER while Edit Categories / People
is hi-lited. Pressing ENTER will cause a full-screen editor to
activate which will allow you to add or change these items. The
fist 13 lines of the file give you instructions on how to
perform the changes. DO NOT CHANGE THE FIRST 13 LINES IN THIS
FILE or any other changes you may make to the file will not be
saved.
You may add categories by inserting lines after the word
*Categories in the file. DO NOT ALTER THE LINE THAT READS
*Categories or any changes you may make to the rest of the file
will not be saved. You can insert lines by moving the cursor to
the end of the line that reads *Categories and pressing ENTER.
Doing this will cause a line to be inserted and your cursor will
be at the beginning of the line. Enter anything you want to
define as a category, however keep in mind that when entering
appointments or todo records only the first 15 characters will
be used. You can continue to enter lines in this manner until
you are finished. When you are finished, press the F2 key to
save the file and then press F3 to exit. You will then see a
small window that reads 'Working ... just a second ...' for a
few seconds while your entries are being sorted (that's right,
Schedule*Master will keep all your entries in alphabetical
order!). When the sorting is complete the window will disappear
and you can then choose other options or press the ESC key twice
to return to the calendar display.
Changing people works the same as changing categories - just
insert the lines after the line that reads *People. Remember DO
NOT ALTER THE LINE THAT READS *People or any changes you make
won't be saved.
There is a section at the back of the manual that gives you more
information on how to use the full-screen text editor include
with Schedule*Master. You may also use your own editor if you
want - see the sections that follow this one.
Export To ASCII
The main database used by Schedule*Master to hold appointments
and todo records is organized in Paradox* 3.5 format. If you
have Paradox then you can use it to look at the database - DON'T
MAKE ANY CHANGES TO THE FILES OTHER THAN BY USING
SCHEDULE*MASTER!! Some of the fields in the Paradox tables will
look strange to you - that's because they weren't really meant
to be used outside of Schedule*Master. If you wish to copy the
appointment/todo database to another program, such as a
spreadsheet or database program, then you need to export the
file to a format readable by the other program. Most
spreadsheet and database programs are capable of reading ASCII
files, therefore you can use the export function to copy the
Schedule*Master database to ASCII format.
You can perform the export function by pressing ENTER while
Export Database To ASCII is hi-lited.
A window will appear asking you for the name of file to export
the records to. Enter up to 8 characters - an extension of .TXT
will be added for you. After entering the filename press F10
and a window will appear informing you that the export is in
progress. When the export function is complete you will be told
to press any key to continue. Press any key and the export
message window will close. You may now either select other
options or press ESC twice to return to the calendar display.
The file created is in ASCII comma delimited format, which is
what most programs are capable of importing. The format for the
export file is as follows :
Numeric record type. 1=appointment, 2=open todo record, 3=closed
todo record.
The date of the appointment in MM/DD/YYYY format, or if this is
a todo record, the date the todo record is due.
The start time of the appointment, or if this is a todo record,
it will always be 13:00 pm. The times are not in military
format - only the todo records will appear to be.
The date the todo record is actually completed, or if this is an
appointment, it will be the same as the first date.
The end time of the appointment, or if this is a todo record, it
will always be 12:00 am.
Priority. This is only valid for todo records - appointments
will always be 0.
15 character category.
15 category person.
50 character text.
The above-listed fields are the only ones converted for export.
Mass Delete
The mass delete option provides a way for you to delete a group
of records at one time. You can choose to perform a mass delete
by selecting Mass Delete from the utilities menu (press ENTER
while Mass Delete is hi-lited).
After choosing this option a window appears asking you to select
the records to delete. You can fill in the fields in the
following manner :
Appointments Only, Todo records only, both - You may limit the
mass delete to appointments, todo records or all records by
moving the hi-lite to the desired record type with the cursor
keys.
Starting Date - This is a required field, and is used to tell
the mass delete function the date to begin deleting records.
Enter the date in MM/DD/YYYY format.
Ending Date - This is also a required field, and is used to
specify the date to stop deleting records. Enter the date in
MM/DD/YYYY format.
Category - You can limit the records to be deleted to a specific
category by typing that category here. You can also use the F2
key to display a list of pre-defined categories to choose from.
After pressing F2 you can select a category by using the cursor
keys to move the hi-lite to the desired category and pressing
ENTER. You may also leave this field blank.
For Who - You can limit the records to be deleted to a specific
person by typing that person's name here. You can also use the
F2 to display al ist of pre-defined people to choose from. You
can also leave this field blank if you wish.
Text - You can delete records based on the text that's in them,
however the text must match exactly. You can also leave this
field blank.
After filling in the appropriate fields you continue the delete
by pressing F10. After pressing F10 the program will ask you to
confirm the delete. Enter Y to perform the delete or N to stop
without deleting any records. If you reply N you will be
returned to the mass delete screen so that you can make any
changes if you need to. You can then press the ESC key to quit
the delete function.
You can use the mouse to move from field to field when entering
the delete information. Simply move the mouse cursor to the
field you wish to go to and press the left mouse button. The
edit cursor will be moved the field you selected. If you move
the mouse cursor outside of the mass delete window and press the
left mouse button the report will be aborted - similar to
pressing the ESC key.
Schedule*Master Configuration
You can choose the configuration option from the utilities menu
by hi-liting Schedule*Master Configuration and pressing ENTER.
The configuration options will be displayed and you can change
any of them that you wish. The options are as follows :
Days ahead of time to show todo records - Todo records can be
made to appear on the daily display ahead of time as reminders
that they are soon due. You can enter any number between 0 and
99 here, and by default all todo records will begin appearing
the number of days ahead of time you specify. Remember that
this default can be overridden when entering individual todo
records.
Show closed todo records? - This option allows you to specify
whether or not you wish closed todo records to appear in the
daily display. Enter Y if you want them to be displayed or N if
you don't.
Todo records will be sorted by - Press F2 for a list of the ways
in which todo records can be sorted. The type of sort you
select will determine how todo records are displayed in the
daily display, and on reports. This can be changed at any time.
Appointment records will be sorted by - Again, press F2 for a
list of ways in which appointments can be sorted. By default,
they will be sorted by time, however you can change this at any
time.
Duplicate records warning is - Press F2 to choose between On and
Off. If you have this On, which is the default, then any time
you attempt to add an appointment for someone on a date and time
that they already have an appointment you will be warned that
you are attempting to add a duplicate record. You may override
this warning and add the record anyway if you wish. If this
selection is Off then no warning will occur.
Current printer driver is - Schedule*Master can support a
number of different printers. Press F2 to display a list of
valid printers. Select a printer by using the cursor keys to
hi-lite the desired printer and pressing ENTER. If your printer
is not mentioned it is possible for you to create a printer
driver yourself - see the section at the back of this manual for
more information on doing this. You may also contact me (if
you are a registered user) and I will be happy to walk you
through this process, or create one for you.
Schedule*Master Configuration - Continued
Current note editor is - Schedule*Master uses a full-screen text
editor for some of its functions. One is provided with the
program that you can use, or you can use a different one if you
wish. Simple enter the name of the editor you wish to use here.
There are a few things to keep in mind when changing this :
The editor must be an ASCII editor, capable of reading and
writing pure text files.
The editor must either reside in the same directory as
Schedule*Master, or be present in your Path statement (see your
DOS manual for more information on setting and changing your
path statement.
The editor must be able to accept a file name on the command
line as its first argument (most editors can do this but check
to make sure yours does).
If you keep those things in mind you should not have a problem
using your own text editor. The editor included with
Schedule*Master is a public-domain text editor called TDE (the
Thomas/Davis editor) and instructions for using it appear in the
back of this manual.
After making any changes to the configuration press the F10 to
save them. If you press ESC then any changes you may have made
will not be saved.
You can use the mouse to move from field to field when entering
the configuration information. Simply move the mouse cursor to
the field you wish to go to and press the left mouse button.
The edit cursor will be moved the field you selected. If you
move the mouse cursor outside of the configuration window and
press the left mouse button the function will be aborted -
similar to pressing the ESC key.
Help
Select this option by activating the top menu, using your cursor
keys to hi-lite the word Help and pressing ENTER. This will
open a window showing you the copyright notice and version
number of Schedule*Master. Remember context-sensitive help is
available at any time by pressing F1. Press any key to close
this window.
Quit
To leave Schedule*Master and return to DOS choose this option
from the top menu.
Creating A Printer Driver
Schedule*Master can work with many printers, however there are
too many to possibly support them all. For that reason the
capability exists for you to create a printer driver for your
particular printer. Follow the steps listed below to create a
printer driver - make sure you have your printer manual before
you begin doing this.
Use the TDE editor to edit the file SMDRIVER.OTH. Type TDE
SMDRIVER.OTH followed by ENTER.
Change the lines in the following manner with the corresponding
printer codes :
Line 1 - Printer reset
Line 2 - Bold on
Line 3 - Bold off
Line 4 - Underline on
Line 5 - Underline off
Line 6 - Double-wide on
Line 7 - Double-wide off
Line 8 - Condensed on
Line 9 - Condensed off
Use Schedule*Master's configuration option to make the Other
printer the active one. See the printer driver section above.
Any lines added after line 9 will be ignored, you may use them
as comments. Make sure all printer codes are entered as
characters. Do not exceed 80 characters per line . Do not type
'Line 1, Line 2' etc., just type codes.
Using The Full-Screen Text Editor
The editor included with Schedule*Master is TDE - The
Thomas/Davis Editor - and has been released into the public
domain. To use the editor in a stand-alone mode you may simply
type TDE at the command-line of DOS, followed by the name of the
file you wish to edit and press ENTER - for example TDE
FILENAME. The editor is a full-screen editor and there are many
functions that you can perform while editing a file. The editor
is capable of editing multiple files, find/replace functions,
copying/moving lines, etc. The functions available are
described below. Functions preceded with @ are activated by
holding down the Alt key and pressing the corresponding key,
functions preceded by # are activated by holding down the shift
key and pressing the corresponding key, functions preceded by ^
are activated by holding down the Ctrl key and pressing the
corresponding key.
The full-screen editor functions are not listed in this document - they are
listed in the registered user documentation. Press F1 while in the editor
for a list of available commands.
Miscellaneous Mouse Functions
The mouse can be used throughout Schedule*Master, and most of
the ways to use it have already been explained in each section.
There is one other function that you can perform with the mouse
called window moving. Any time a data entry window appears or
when you press F3 to activate the pop-up calendar, you may use
the mouse to move the window around on the screen. This is
useful when a window or data-entry screen is overlaying data on
the screen that you wish to see. To move a window, position the
mouse cursor anywhere along the windows' top or bottom border,
press and hold down the left mouse button, and move the mouse
around to reposition the window. When you remove your finger
from the mouse button, the window movement will stop and you may
now enter data, or whatever functions are available in the
window , as normal.
Don't forget, you can always use the mouse to move from field to
field in a data entry screen, select menu options, and perform
many other functions within Schedule*Master. Also keep in mind
that your mouse software must be loaded before running
Schedule*Master or it will not be active.
Trouble-Shooting
This section is provided as a way to help you solve problems you
may encounter when using Schedule*Master. It is organized in a
question/answer format. The question will appear first, with
the answer under it.
I can't seem to execute the program. When I type SM and press
ENTER nothing happens.
This could be a number of things, however the most likely is
that you are missing 1 or more of the files needed to run the
program. At a bare-minimum you must have the files listed in
SMFILES.TXT in the same directory in order to run the program.
If any of these files are missing Schedule*Master will behave
unpredictably. This could also happen if you have edited the
files directly, outside of using Schedule*Master. Restore the
files from the distribution diskette keeping in mind that if you
restore any files beginning with SMRECORD you must restore all
of them, and this will basically wipe out any data you may have
entered. MAKE FREQUENT BACKUPS!!
Whenever I try to edit the categories and people nothing happens.
Probably insufficient memory to load the editor.
Schedule*Master must have at least 468000 bytes of free memory
in order to run properly. Insufficient memory will also make it
impossible to add/change a note or use the DOS shell function.
Another possibility is that you have the name of the editor
spelled wrong, or it isn't in your path.
Why do my reports have strange characters in them?
The most likely cause is that you are using a printer driver
that is incompatible with your printer. See the section on
selecting a printer driver for more assistance.
When I run Schedule*Master a message appears informing me that
it is already running, but I know it isn't - what do I do?
This probably happend because you did not exit the program
properly the last time you used it. Always use 'Quit' from the
top menu, or ALT-X , to exit the program. If you are sure that
your do not have Schedule*Master running in another sesson then
press Y to continue running.
Sometimes I hear 2 'beeps' - what is this?
Schedule*Master has insufficient memory to complete the
operation, however no data was actually lost or damaged. Try
the operation again after making more memory available.
Mass Change Utility
The mass change utility is provided free to registered users.

The Conversion Utility
If you are a registered user of Schedule*Master two utilities
have been provided that will allow you to convert your version
1.2 or 1.3 files to the new format used by 2.0. Instructions for their
use is provided with the registered user documentation.
