- INTRODUCTION
- =====
- The Notes File lets you manage notes, thoughts, and ideas. Enter the information in any
- shape or form you desire - with askSam you'll be able to find it again.
- ===== INSTRUCTIONS =====
- To Modify the Note Form (optional)
- The Notes Template contains a predefined form for your notes. You can modify this form to suit
- your special needs. For certain type of notes you may wish to add more structure to the form.
- Since askSam can managed structured or unstructured information, you can even manage
- notes with absolutely no structure. To modify the Note Form:
- 1. Choose EDIT -> ENTRY FORM. You can add, delete, or reposition fields in the Entry Form.
- 2. Choose EDIT -> ENTRY FORM and select the YES button to save the modified Entry Form.
- Note - If you Delete or Change the names of existing fields, you may have to edit the pre-
- defined reports.
- Fields in the Entry Form
- The following is a list of fields in the Entry Form we prepared, and an example of how they could
- be filled out:

- Note: We've replaced the normal opening and closing brackets with ( and ) so that this example
- does not show up in any reports you create.
- To Enter a Note
- 1. Double Click on the "Add" Hypertext Link (or press F5). A new document containing a form
- for your note will appear. The date and a number are automatically inserted.
- 2. You note can be as long as you like. If you wish to use tabs, turn off the Data Entry mode
- and enter your information in the normal askSam word processing mode. Your note can be up
- to 16,000 lines long (approx. 275 pages).
- 3. Save your Note by choosing FILE -> SAVE or pressing CTRL+S.
- 4. To add another Note choose DOCUMENT -> ADD W/ENTRY FORM (or press F5).
- To Search for a Note
- Double Click on the "Search" Hypertext Link.
- You can search from the Command Line. Press the ESC Key to access the Command
- Line.Type the word or words you want to locate and press ENTER.
- Note: The ACTIONS menu contains a variety of search options that you can use to search
- your File.
- Reports in the Notes Template
- To make it easy for you to organize your Notes, we have included several reports in this
- template. You can modify these reports or create new ones if you wish.
- The Date List report displays a list of your notes sorted by date (the newest notes are
- displayed first).
- The Subject List report displays a list of your notes sorted by subject.
- The Search report lets you enter a word or phrase and retrieves the Notes that contain this
- word or phrase.
- After entering several notes you can run these reports by choosing TOOLS -> RUN REPORT
- and selecting the report you want to run.
- If a Report opens a second window, you can return to your original File by:
- - Double Clicking on any line in the Report (you return to the Document containing the
- information you clicked on).
- - Closing the window containing the Report output. (Choose FILE
- -> CLOSE or press CTRL+F4.)
- - Pressing CTRL+TAB to switch back to the previous window.
- Note - If you delete or rename fields in the Entry Form, you may have to modify some of these
- reports.
- To Delete this Document
- If you wish to delete this Document from your File (including the Hypertext Menu at the top of
- the Document), choose DOCUMENT -> DELETE while this Document is displayed. After
- deleting a Document you should PACK your file (choose FILE -> PACK).
