- INTRODUCTION
- =====
- The Internet File lets you search and archive messages and texts you download from Internet
- (It also works with information downloaded from any other on-line system. The reports included
- with this template are designed to give you an overview of the messages you've downloaded.
- You can use this Internet Archive as it is, or you can change it to better suit your needs. The
- amount of information available on Internet is mind-blowing. It comes in different shapes and
- sizes, so it is not possible to prepare a "one-size-fits-all" Template for Internet information. You
- may need to modify this Template. Call us if you need assistance. Using askSam's searches
- and Auto Field Recognition, you'll be able to bring organization to vast sea of information you
- can gather on the Net.
- ===== INSTRUCTIONS =====
- To Import Information Downloaded from Internet
- In order to archive Internet messages and texts, you will have to import the information into
- askSam:
- Internet Archive

- 1. Choose FILE -> IMPORT (or double click on the "Import E-Mail" Hypertext Link in this file).
- The Import Dialog Box appears.
- 2. Change to the directory where your text or message files are located. Select the file or files
- you wish to import.
- 3. Make sure the File Type is set to TEXT and choose the OK button.
- Your texts or messages are imported.
- Note - If you have a single text file which contains multiple messages, you can choose the SET
- OPTIONS Button in the Import Dialog and define a Document Delimiter. The Document
- Delimiter lets you separate Documents in a single file into multiple Documents in your askSam
- database. For example - if you have multiple messages in a file, you can define a string such
- as DATE as the Document Delimiter. Each time askSam encounters this string, a new
- document will be created in your database.
- Automatic Field Recognition
- Once your messages and texts are imported, you can use askSam's Automatic Field
- Recognition to define fields in the information. Fields are helpful if you wish to create reports,
- sort, or narrow the scope of a search. askSam can use any word followed by a colon as a field -
- for example DATE, TO, FROM, SUBJECT.
- To use the Automatic Field Recognition function:
- 1. Choose TOOLS -> AUTOMATIC FIELD RECOGNITION
- 2. Select the ALL DOCUMENTS setting in step 2.
- 3. Choose the Generate List button.
- 4. A list of possible field names is displayed. Double click on the words you wish to use as
- fields and choose the OK button.
- Internet Archive
- To Search for an E-Mail Message
- Once your messages are imported, you can use askSam's search features to locate specific
- messages.
- Double Click on the "Search Your Messages" Hypertext Link to search for a word or phrase.
- You can search from the Command Line. Press the ESC Key to access the Command
- Line.Type the word or words you want to locate and press ENTER.
- Note - The ACTIONS menu contains a variety of search options that you can use to search
- your Information.
- Reports in the Internet Template
- To make it easy for you to organize your E-Mail, we have included several reports in this
- template. You can modify these reports or create new ones if you wish.
- The Subject List report displays a list of your messages sorted by Subject. (This report is only
- available if the E-Mail you import contains a Subject field.)
- The Search report lets you enter a word or phrase and retrieves the messages containing this
- word or phrase.
- You can run these reports by choosing TOOLS -> RUN REPORT and selecting the report you
- want to run.
- If a Report opens a second window, you can return to your original File by:
- - Double Clicking on any line in the Report (you return to the Document containing the
- information you clicked on).
- - Closing the window containing the Report output. (Choose FILE
- -> CLOSE or press
- CTRL+F4.)
- - Pressing CTRL+TAB to switch back to the previous window.
- To Delete this Document
- If you wish to delete this Document from your File (including the Hypertext Menu at the top of
- the Document), choose DOCUMENT -> DELETE while this Document is displayed. After
- deleting a Document you should PACK your file (choose FILE -> PACK).
