- INTRODUCTION
- =====
- The E-Mail File lets you search and archive your E-Mail. The reports included with this template
- are designed to give you an overview of the mail you've received.
- You can use this E-Mail Archive as it is, or you can change it to better suit your needs. Modify
- the pre-defined reports, or create new reports. With askSam you are free to work the way you
- choose.
- ===== INSTRUCTIONS =====
- To Import Mail from your E-Mail Application
- In order to archive E-Mail, you will have to import your messages into askSam. To import E-
- Mail, askSam requires text files. Save the E-Mail you wish to archive as text files, and then do
- the following to import it into askSam:
- 1. Choose FILE -> IMPORT (or double click on the "Import E-Mail" Hypertext Link in this file).
- The Import Dialog Box appears.
- 2. Change to the directory where your E-Mail text files are located. Select the file or files you
- wish to import.
- 3. Make sure the File Type is set to TEXT and choose the OK button.
- Your E-Mail messages are imported.

- Note: If you have a single text file which contains multiple messages, you can choose the SET
- OPTIONS Button in the Import Dialog and define a Document Delimiter. The Document
- Delimiter lets you separate Documents in a single file into multiple Documents in your askSam
- database.
- To Search for an E-Mail Message
- Once your E-Mail messages are imported, you can use askSam's search features to locate
- specific messages.
- Double Click on the "Search Your Messages" Hypertext Link to search for a word or phrase.
- You can search from the Command Line. Press the ESC Key to access the Command
- Line.Type the word or words you want to locate and press ENTER.
- Note: The ACTIONS menu contains a variety of search options that you can use to search
- your E-Mail Messages. If the E-Mail texts which you import include a Date field, you can use
- askSam's date searches to search for messages within a specific date range.
- Reports in the E-Mail Template
- To make it easy for you to organize your E-Mail, we have included several reports in this
- template. You can modify these reports or create new ones if you wish.
- The Date List report displays a list of your E-Mail sorted by the Date that they were written.
- The newest messages are displayed first. (This report is only available if the E-Mail you import
- contains a Date field.)
- The From List report displays a list of your E-Mail sorted by the name of the person who sent
- the message.
- E-Mail ArchiveW
- The To List report displays a list of your E-Mail sorted by the name of the person the E-Mail
- was written to.
- The Search report lets you enter a word or phrase and retrieves the messages containing this
- word or phrase.
- After you import E-Mail, you can run these reports by choosing TOOLS -> RUN REPORT and
- selecting the report you want to run.
- If a Report opens a second window, you can return to your original File by:
- - Double Clicking on any line in the Report (you return to the Document containing the
- information you clicked on).
- - Closing the window containing the Report output. (Choose FILE
- -> CLOSE or press
- CTRL+F4.)
- - Pressing CTRL+TAB to switch back to the previous window.
- Notes on various E-Mail Packages
- CC:Mail: To save your E-Mail so that it can be imported into askSam, choose the FILE ->
- SAVE AS option. Although they contain a date, CC:Mail messages are not saved with a date
- field.
- Da Vinci eMail: To save your E-Mail so that it can be imported into askSam, choose the FILE
- -> SAVE AS option. Make sure the "Save with Header" option is checked in the Save As
- dialog.
- MCI Mail: To save your E-Mail so that it can be imported into askSam, download it to your
- local drive and then import it into askSam.
- Microsoft Mail: To save your E-Mail so that it can be imported into askSam, choose the FILE
- -> SAVE AS option.
- If you have further information on any of these applications or on any other E-Mail programs, we
- would be happy to incorporate it into this template for other users. Please contact our Tech
- Department with the information.
- To Delete this Document
- If you wish to delete this Document from your File (including the Hypertext Menu at the top of
- the Document), choose DOCUMENT -> DELETE while this Document is displayed. After
- deleting a Document you should PACK your file (choose FILE -> PACK).
