- When I hear about it in advance (scheduled downtime), I send a message to
- our on-campus listserv for library staff. If there is no advance warning,
- I use our campus voice mail system to call every library service desk and
- distribute a message giving any information I have about the cause and expected
- duration of the downtime. Our voice mail system has the ability to store
- a list of numbers in a PHONE GROUP. I just dial a two-digit number to send
- my message to about 20 numbers almost simultaneously.

- When the voice mail system is out, because of a power failure affecting
- that part of campus, I dial key public service points and ask them to
- distribute the information in an impromptu phone tree. This gets abbreviated
- and changed depending on the time of day, since not all libraries have the
- same hours.

- If the phone system is out, we are usually evacuating campus buildings, so I
- don't worry about letting people know what is happening until things return
- to normal.
