Help on using the Appointment Scheduler

TThe first step is to choose a particular individual's schedule from the
picklist presented. Names can be added/removed from this list in the
Supporting Files section.
Next you will be shown a screen with every Sunday in the year marked.
These days are taken as the first day of the week and by moving the
cursor using
and pressing ENTER you will be shown that week.
_If there are no appointments for that week the "Add an appointment"
screen will be brought up. Press ESC if this is not needed.
dA check will be made if an appointment overlaps with an existing one.
Appointments can be linked with a particular prospect - press F10 for
a pick list of prospects - or left blank if it "general" such as a
visit to the doctor etc. ALT_A in update forms will show a history
of the prospect's appointments. ALT_P prints out a range of appointments,
handy for carrying around with you. F10 shows a graph of the free time
for that week. At the end of the day/week it is a good idea to go back
and fill in the appointment notes so that a permanent record is available
of what happened at the meeting.

SOther facilities:
ALT_T Find the next free period, after allowing for day of the week,
length of appointment etc. When a match is found you will be able
to make the appt. immediately or carry on searching.
eTAB
Switches between viewing a week of appointments or just those for
the day that is highlighted when TAB is pressed. In Day Mode a
mini-Time Planner is shown along the bottom of the screen.
_ALT_F On the main year-at-a-glance screen this will fill in the full
details for each week in the year - number of appointments and % of
time used (as defined in Configuration).

$AUTO DIAL
,A Hayes-compatible modem is required to use this feature.
Please do not change the modem settings in configuration
unless you are sure they are the cause of any problem. These
settings (including the initialising string of blanks) have
been found to work on most modems. If you are on an older
pulse type of exchange you should change the string ATDT to ATDP
|MERCURY
-The optional prefix allows for the diversion of phone calls to
Mercury. To enable this for a particular number place the
cursor over the field and press F10 - a tick
will appear to
signify that Mercury is being used. The cost code shown after
a phone number field will enable calls to be analysed (and
charged out if needs be) from your Mercury Statement. The codes
themselves are user-definable in the Utilities Section. In Utilities/
configuration you should specify whether you use 2 or 3 digit codes.
\Option Prefix 1: this should be 131,T the comma is to pause the
system while connections are made and the T is to ensure that the
mode is switched to Tone (Mercury cannot accept Pulse dialling)
Option Prefix 2: this should contain your PIN (Authorisation Code)
For security reasons this code is represented by * characters.

TENAMEFORM
If a code is entered here it will be used as part of
the dial prefix (if the dial prefix field in
Configuration has been filled in).
Cost codes are recognised by Mercury and itemised as
such on bills.
Mercury allows for the use of 2 or 3 digit cost
codes. To ensure that the modem dial string is
"constructed" correctly you should specify here
what size cost code you are using.

The usual text editing keys can be used to make
changes if you wish.
Be sure to press CTRL_ENTER when you have finished
so that the amendments are saved to disk.
F10 will just move you on to the next match found.

UPDREC
This number will be used for autodialling if a
modem is connected (and the configuration file
set up for a modem - see CONFIGURATION in Utilities)
Apart from numbers the following can be used :

SMAINMENU
The control codes can be embedded in word processor
produced documents and will be sent to the printer
at the relevant time. Only numbers will be accepted.
So for example ESC should be entered as 27.
Some printer manuals show the control codes as ASCII
eg; <ESC>(s3B

to the Supporting Files option off the main menu.

The keys PgUp and PgDn can be used to browse through
the Diary. It is possible to have multiple pages per day.
F4 goes straight to appointments edit section.
Text searching of the diary pages is available from the
searches sub-menu.
Diary information is stored on disk in encrypted form
for extra confidentiality.

This option should only be needed if as a result
of, say, hardware failure the key files have been
lost or corrupted in some way. It can be looked
on as a sort of "disk doctor" for fixing broken
files.
Once the process has been started it should not be
interrupted!

pDOCUMENT DATABASE
tImportant text files that you have in various locations on your hard
disk can be conveniently brought together in the Document Database
section, which is accessible by F8 in most parts of the program.
`The usual edit keys of INS (add), ENTER (change) and DEL (delete)
are applicable. Also, ALT_C create a text file or ALT_E edit a file.
[To view, search etc a text file with the report viewer press ALT_V
while the cursor bar is on the desired file. Files can be linked to
Contact records - press F10 for a picklist when prompted.
gIf the message "File Not Found" appears the most likely reasons
1) you have mis-typed the filename of the text file. You can
check the spelling by changing to the directory where it is
stored and typing DIR/P
2) the path is not complete. It should be in the format of
drive plus : plus \ plus directory name plus \
,C:\BUSINESS\

Keys F2-F9 bring up the desktop accessories
If a record has no entry in user field 1 or 2 it will
not be shown on the relevant pick list.

UTILS
Choose the file format you
want to export to
Enter the path and name of the
destination. Typical file
extensions would be:
DBASE
*.DBF
*.DIF
BASIC
*.BAS
FILE NAME: Enter any valid file name. The report
will be saved with that name.
Warning: If the file already exists, it will be
replaced.
TL.BAT is the name of the batch file stored in your
root directory (C:\)
It's purpose is to change to the correct directory
and run TLORD.EXE with a command line of 1%. This
enables the TL.BAT R reminder function to work from
your AUTOEXEC.BAT when you start up the computer.
The /B and /L (beeps and locks) flags are also added
to this batch file. For some reason this batch file
cannot be found on C:\ and you should recreate it.
An example is:
CD\TL
TLORD.EXE 1%
This assumes that you are using a directory called
TL on drive C. The path and filename can be set up by
you in Configuration (page 2).

This information is used in the activity summary (F6)
to work out time used for the week in question.
Only the messages for this prospect are shown. All the
usual cursor keys can be used to move around the
picklist.
Toggle a reminder line on/off with F10.
To get reminders showing when you first switch on
your computer include this line in your AUTOEXEC.BAT
file (at the end if possible):

program, if you requested it.
Time is suspended while Reminders are being updated.
To force new repeats press ALT_R.
The characters next to "Done" indicate the repeat

A quick way to get to your selection is to keep
pressing the first key of the description until
it is highlighted.
For example, pressing 'C' once will go to calendar,
a third time will go to calculator etc.
The IBM line drawing set (an example of which is the
border around this help window) is not printable on some
printers such as daisy wheels and on others like
dot matrix machines it can be very slow.
If you select NO at this field the IBM line drawing
characters will not be used in reports.

UImporting data is more involved because of the need to "synchronise"
the field names, types and lengths.
}Before starting have a look at the Data Import section of the manual
which shows the layout of the main database record. You should try
to ensure that the names or labels on the file that you want to import
correspond as far as possible with this layout.

When the program stops you will be at the File Utility window and
should proceed as follows:

If you are on one of the older pulse exchanges then

If you have problems using the ALT_D dial facility
it could be that one of these 4 strings needs
tailoring for your particular modem and you

Version 2.0 introduces a different method of dialing which uses
the Port Addresses - this is "Method 2".
In order to achieve compatibility with as wide a range of modems
as possible the dialing method from previous versions of Time
Lord has been retained and is described as "Method 1".
Method 1 always dials out at 300 bps whatever the baud rate
setting on the configuration screen. If your modem does not
support 300 bps then you should use method 2.
The name entered here will appear at the top of main
screens and also on printed reports.

the appointment window. Pressing the Esc or the Up key on the
first row will erase current changes without returning.
If the notes window is blank pressing CTRL_ESC (or ESC
from the top line) will allow an exit without creating
a record in the NOTES subsidiary file.
CTRL_ENTER (or ENTER at the last line) will save any
changes made.
Only used when printing reports.
If you decide to use a password - please don't
forget it !!
If using a password for the first time: Select

If you are already using Serial Port one for something
else, like a mouse, then choose 2.
If you have problems auto-dialling then choice of
the wrong port is a prime suspect.

If a task is not done by the due date it can be
automatically transferred to the Reminders list.
This is set up in the Configuration section.
If the Do By date has been passed then the task will
be shown in red.
Each To Do Task can have its own "sub" To Do list.

you will automatically be placed in "Add a record" mode.

PRINTER ERROR
The printer is not responding to the computer.
Possible reasons include:
1. Printer turned off
2. Printer unplugged
3. Out of paper
4. "On-line" light is not light.
5. Cable is loose between the printer and
the computer.
Check the above. Turn the printer off then
back on and retry.

If your printer is not on this list use INS to
add it. The control codes can be found in the
printer manual usually.

qPRINTED REPORTS
wThe reports module is supplied as part of the Utilities Package
which is sent to registered users.
~One of the report formats is a very handy pocket-organiser
style printout of a contact's details plus all notes/phone
messages going back a user-definable period. Page-length
and positioning is configurable so most sizes of paper
should be accomodated.
All printed reports can be viewed (via the Report Viewer which
is used to search the manual - see menu option before Program
Information), sent to the printer or sent to a disk file (sometimes
called spooling).
Full details of the Report Viewers features (searching, bookmarking
etc) are given in the manual.

nPUZZLING INSTRUCTIONS
The object of the game is to get all the squares in sequence (1 to
15). You do this by moving one numbered square by one space, either
up, down, left or right.
Use the arrow keys to move around.
~The puzzle is initialised with random values when first called
only. Subsequent calls to it continues any game in progress.
When the puzzle is solved, a window appears showing you how many moves
you took to solve it.

The default start and end dates will cover the
whole database. Just press ENTER at these
fields.

VSelecting can be done by one of FIVE ways:
By CATEGORY and ONE of the following: TOWN COUNTY POSTCODE
So for example you could select all the Accountants in Reading
and Newbury.
By NAME. this option is shown as such on the Selection Menu and
allows particular prospects to be selected/de-selected.
By pressing F10 in the logs selection of the mail shot menu. Logs
are lists of the records used in a mailshot and should you wish to
write to (or follow up with a phone call) the same people you can
do so this way. Logs can also be merged.
By searching the Notes for a word or phrase (case is ignored).
Searches option on main menu. Any field can be searched and/or
used for selection.

Records marked under 1) and 2) are "transferred" to the main
database file before being effective.
lPlease note that if you use method 1) and then method 2) the transfer
process will give priority to the method 2) selections. But any de-
selections made under method 2) could be overriden by method 1)
selections. It is best not to mix selection methods.
kThere is also a shortcut Select All option.
uBefore starting a new selection all records should be de-selected to
ensure a "clean slate".
As a final step you will be asked whether you wish to select only
records which are due a follow up - based on today's date as reported
by your computer. If this date is wrong you can change it in the
utilities section.

TMethod 4) allows you to set up your own selection criteria if
you put relevant keywords in your prospect notes. As an example
let's say you are a computer dealer and while you are on the phone
talking to prospects you make Notes (using ALT_N) of their equipment.
So you enter keywords such as "network", "laser printer" etc which
can be used at a later date to precisely target a particular mail shot.
YIf the records selected line shows ? this indicates that the
"view all" option has been chosen and the actual number of records
selected cannot be reliably determined. If all records are de-
selected this situation will be corrected. The ? could have resulted
form aborting a selection run part way through.
qSUMMARY:
The important thing to remember is that if you select a business category
you MUST also select ONE of the areas (town,county or postcode). Let's say
you want to mail 50 businesses a week. Once you have chosen the categories
mark towns from say A to E, press 9 to start the selection process and

Uthen look at the Records Selected indicator to see how near you are to
your target of 50. Just using option 1 and ONE of option 2 or 3 or 4
will not in itself "mark" records. You need to use option 9 "Start
Selecting" to do this.

you could combine them into one large follow-up
mailshot or telemarket by using F10 on each one

example merging a selection based on particular
towns with one based on county will result in the
county selection overriding the "lower priority"
towns.

diary pages, contact notes, reminders and appointment/meeting notes. Case
is ignored in all searches.
Names & addresses that are "tagged" will be used for the label printing
runs and also for the WordPerfect secondary merge files and in the Reports
Module which is supplied with the Utilities Pack when users register.
[Conditional searches can involve the use of "connectors" such as AND
or OR and are a very powerful and flexible way to access your contact
records. For examples look at SEARCHES on the Main Help Menu.

VTIME LORD can be used to keep track of all your business and
personal contacts and also help you to plan your time. All text
information (diary,contact notes,reminders,appointment/meeting notes)
can be searched via the search menu. Once you have jotted something
down in one of the above sections it will always be available to you.
[The first section to use is "Edit Contacts". Lists of your names and
addresses can be viewed in a sort of "rolodex" fashion by pressing
PgUp/PgDn when at the update form. This form is obtained by pointing
the highlighted bar on one of the picklists (in Name, Category, or user
field order) and pressing ENTER. The active hotkeys available at
the update form (ALT_N notes etc.) can be viewed by pressing F1.
`Keys are used in a standard way throughout. F1 brings help at any
point. (including help on Standard Keys Used)
sThe various desktop accessories (F2-F9) can be obtained at most points
in the program.

oThere is a screen-saver feature which ensures that if the program is
left for more than a user-set period without a keystroke then your
monitor's screen will be blanked. The screen image will be restored
as soon as any key is pressed. (Phosphor "burn-in" can occur if an
image is left for too long on the screen). Password control can be
used on the "re-entry".
CONFIGURATION:
BA variety of options is available - such as setting reminders to bleep,
showing the clock with seconds and turning off the quotations display.
ZOther configuration details you might like to set are: showing seconds
on the clock (or just hours/mins), using IBM lines (
etc) on your
printer (some printers like daisy wheels cannot print these lines)
and the length of your usual working day. This last one is used in the
Summary accessory (F9) to show % of working time used in a day.

this but it also permits look-up of all letters and phone calls
for a particular prospect, as well as the appointments diary, by
