HiPerTrk
INTRODUCTION
HiPerTrk is a fully integrated client list management software system
which features:
- A Name & Address File System (CardFile) and related Note Pad
- Ability to Print Labels Base on Selection Criterion
- Exports Information to a Word Processor/Data Base System
- Date Tickler File with an Annual & Monthly Wrap Feature
- Calendar with Tickler Dates Highlighted
- Full Screen To Do List
HiPerTrk was written in BASIC and uses Assembler routines to perform
some of the file maintenance and screen handling functions. The BASIC
program was complied using Microsoft's QuickBASIC.
NOTE: HiPerTrk was originally distributed as DESKUtil from LPS in
1989. The DESKUtil software product is no longer supported. Through
an association with HiPerSoft Systems, the original product was
redesigned, enhanced and improved. Conversion routines to the new
HiPerTrk system have been made available to the registered user of
DESKUtil. We are in business to support our user base!
Planned Enhancements
Work is underway to enhance the product by:
- Adding a user defined short hand capacity for entering information.
- Providing a utility to sort and print CardFile labels in Zip code
order which supports different label forms.
- Integrating the HiPerTrk Tickler calendar with HiPerCal, our
Calendar Management System designed to merge and print calendars.
- Providing a routine which can be used to display the first 15
entries in the Tickler when your computer is turned on.
Client List Conversion
As an added service, HiPerSoft will convert your existing mail/client
list to HiPerTrk format for an additional $14.95. When you register
your copy of HiPerTrk, include an IBM compatible disk copy of you list
and we will do the rest. If you are using an existing system, simply
export the information to a disk.
What you will receive is a fully functional HiPerTrk package with your
information all set up and ready to go! Imagine, the immediate use of
HiPerTrk to produce mailing labels or export the information for
personalized letters. When a client calls, pull up his/her
information, make notes for future reference, and use the Tickler to
insure timely follow up.
System Requirements
HiPerTrk requires an IBM (or compatible) computer using MS-DOS 2.0 (or
higher) with at least 256K of available memory. A hard disk is
recommended for best results as a fully utilized system with 6,548
records in the CardFile and 1635 Tickler records requires 5.9 mm bytes
of disk memory. Note: the system only acquires disk space a necessary
to support the active records. A color monitor is necessary to get the
full effect of the screen layouts.
As distributed via the shareware service, HiPerTrk supports a maximum
of a 500 record CardFile and a Tickler file of 500 dates. This
configuration fits nicely on one floppy disk and will allow you to
determine if HiPerTrk is of benefit to you. The ability to expand the
data base to its full capability is available to users who register
with HiPerSoft Systems.
Getting Started
As always, it is recommended that you make a copy of the distribution
disk and place the original in a safe place. A brief description of
the files on the disk are contained in a file named PACKING.LST also
review the READ.ME file. If you are using a hard disk, it is
recommended that you set up a directory for the HiPerTrk program and
associated files. The installation of HiPerTrk has been simplified via
the use of the INSTALL program on the distribution disk. After
creating the environment, start the HiPerTrk system by typing
'HIPERTRK'.
GENERAL OVERVIEW
HiPerTrk has four basic screens:
ToDo(f6) - Full screen for recording important things to do.
Anything placed on the screen will remain from session to session.
Newly entered information appears in a different color.
CardFile(f7) - A Name and address file with an associated note pad
section. The CardFile is presented in alphabetic order based on the
key. The scan can be selective based on a user defined 'SCode'
field.
Tickle(f8) - Tickler file in date sequence. Items can be entered
directly or via the Tickler command on the CardFile screen. The
Tickler uses a one year time horizon and will wrap items either
monthly or annually as specified.
Utility(f9) - Basic routines to support printer setup, exporting of
records, and tickler file.
Use the appropriate function key to move between screens. Each of the
screens will be discussed individually.
***** General Functions *****

Additional information will be displayed depending on current function.
Calendar (f2)
A simple calendar is displayed from certain screens when f2 is pressed.
The up & down arrows scroll through the years, while left & right
arrows scroll the months. The Home key returns the calendar to the
current month & year. To remove the calendar use any non calendar
control key. If a date is in the Tickler file, it will be highlighted
on the calendar.
Print (f3)
A print function is available for the ToDo List and the Tickler. If
the print is invoked from the ToDo screen, a three month calendar, the
current month's Tickler information, and the ToDo list is printed. The
printer is set up according to the Printer Setup information created
from the Utility Screen. If the print function is invoked from the
Tickler screen, you are prompted for the month to be printed.
SCode User Menu (f4)
A user defined SCode help menu is provided for recording user defined
scan codes. The menu is activated via the f4 key and is available to
the CardFile and certain functions of the Utility screen. Depressing
the f4 twice from the CardFile screen enables you to update the menu
using the standard edit commands. To save the changes hit the
<Enter> key.
The menu is displayed for reference when using the SCAN command from
the CardFile menu and will disappear after the SCodes (if any) are
entered.
Registration Information (f10)
HiPerSoft's address, telephone number, and registration information are
displayed by hitting f10 from the ToDo Screen.
***** ToDo Screen (f6) *****
The ToDo Screen is just that, a place to list items that "need" to be
done. The screen is "free form" in that you can place information
anywhere on the screen. Information on the screen stays there until
you remove it. The screen is maintained between sessions in a file
named TODO.DAT. The ToDo screen is updated to disk only during the
Clean UP & Exit Phase.
***** CardFile Screen (f7) *****
The CardFile screen has three sections of which two are always visible.
The third becomes available when you want to add a reference to the
CardFile record in the Tickler file.
1) Name & Address Section.
KEY The key is used to locate a record. Records are always
displayed in key sorted order. Records are viewed in
ascending order by using the <Enter> key or down arrow. You
can backup a maximum of three records by using the up arrow.
You can select a scan code 'SCode' to select a particular type
of record. The SCAN Command (S) prompts for a 'SCode' (see
below) while the VIEW(V) command defaults to a scan code of
"*/*" and displays all records in key sequence order.
NAME & Five lines are available for a name and address. The first
ADDRESS line will be place in the Tickler file if the tickler (t)
subcommand is used.
PHONE Phone field can be selected during the Export function.
MISC1 & Used for related miscellaneous information. Because it
MISC2 is possible to Export these fields to a word processing system
you might want to place client or other pertinent info here
such as a letter salutation, or account information.
SCODE A user defined code to identify a class of records such as
clients or prospects, etc. The SCode gives you the ability to
select records for viewing, printing labels, and exporting
records. The first character is the Major code, the second is
the minor code. Selection is done first on the Major, and
then on the Minor code. The asterisk (*) is the wild code and
should not be used in a SCode of an individual record. (Note:
All SCodes are maintained in Capital Letters.) For example,
to view or select all records having the codes C1, C3, and CS
using the CardFile command SCAN(S) enter C/13S at the prompt.
DATE Record entry date is placed there, but you can update it.
When Finished updating or adding new information hit <Enter> to save
information. The <Esc> key will terminate the edit and does NOT save
information.
2) Notes Section.
The notes section is a free form area for recording information related
to the entry. This portion of the screen is updated by using the
subcommand notes(n). When finished updating use the <Enter> to end and
save the information. See editing commands above. After you update
the notes section you will be prompted for a follow up tickle date. If
none is required hit the <Esc> key. The f2 Calendar is available for
reference.
3) Tickle Section.
The section appears after you have completed updating the notes section
or if you use the tickler(t) subcommand. The Tickle file uses a one
year time horizon starting with tomorrow's date. If you enter today's
date, it will show up a year from today. The first line of the Name &
Address section is placed in the Tickler file and is given the
temporary(T) attribute. The f2 Calendar is available for reference.
4) Commands.
Add Adds a record to the CardFile. Processing will take you
through all three sections of the screen. See the above notes
for editing functions.
SCAN Scan through the CardFile in key order using a Scan Code. The
command will prompt you for a SCode. The SCode user defined
help menu will come up for reference only. To select all
records hit the <Enter> key. You are then prompted for a
starting key. Keys are not sensitive to capital letters.
Entering Smith or sMiTh as a start key will cause the scan
will start at the first Smith encountered that satisfies the
SCode criterion.
VIEW Functions the same as the SCAN, using the default scan code
"*/*".
5) Subcommands. (Entered from the SCAN or VIEW Command modes.)
Update Edit the Name & Address section. Because it is possible to
change the KEY, it will APPEAR that the edited record occurs
more than once in the file. It doesn't. The next time
thought the Scan only one occurrence of the record will
appear.
Notes Edit the notes section. The full notes section is available
in a free form fashion.
Tickle Add a reference to this CardFile record in the Tickler file.
Label Print the five line name and address section to the printer.
It is assumed that the default printer setup codes have been
updated via the Utilities screen. The first time print a
label you will be asked if the printer is ready. Subsequent
uses will assume the printer is setup.
eXport The record is exported to a file in accordance to the
parameters set up in the Utility screen. The first use of
the export command starts a new file, subsequent records are
added to the file. This function allows you to scan through
the file and Export record information as necessary.
Delete Deletes the current record both Name & Address and Notes from
the file. The Tickler file is not changed.
***** Tickler Screen (f8) *****
The Tickler screen displays event items in date order with items
highlighted depending on the date. The file uses a one year time
horizon. The information displayed includes the date and day of the
event, a status field, and the event. Items can be added directly from
the Tickler screen or via the CardFile screen. Items entered via the
CardFile screen are always Temporary (T) items and use the first line
of the Name & Address information to identify the event.
Tickler items can have one of four statuses:
Temporary The entry will be deleted by the Clean function.
Weekly The entry will be replicated for 13 weeks on the same day
of the week. An expired W entry will be removed during the
Clean function.
Monthly The entry will be replicated for the same day of the month
for the entire year (12 entries). An expired M entry will
be rolled out to the next year during the Clean function.
Permanent The permanent entry will be rolled out one year during the
Clean function.
When using the Monthly status it is best to refrain from using the last
day of the month and use the first of the next month. If you use the
last day, the Clean function will alter the day to the LOWER of the day
specified or the last day of the month. When going from January to
February, the day will be adjusted from 31 to 28. Rolling from
February to March, day 28 will be carried forward.
Tickle Commands
Add Add an item to the Tickler file. See edit commands (f1).
Update Update the current entry. The status can be updated, but the
Weekly(W) or Monthly(M) attribute is not executed during the
update.
Delete Delete an item from the file. The item deleted is the
current entry which is pointed to by the Arrow "==>". You
are asked to confirm the deleting of each item.
Clean Used to mass delete items which have expired. Position the
Arrow at the first item you want to SAVE. Remember only
"past Dated" items can be cleaned. If the item has a status
of T (Temporary) or W (Weekly) the item will be deleted
during the Clean function. If the Status field is M
(Monthly) or P (Permanent) the item is not deleted, but
rolled into next year. The only way to delete a Status P or
M record is to individually delete the item.
Hist Add Used to add an entry prior to the current date. Used for
historical purposes. The Weekly(W) or Monthly(M) attribute
is not executed during the update.
***** Utilities Screen (f9) *****
The Utilities screen is used to support other functions of HiPerTrk and
to do mass selection and processing of CardFile records. A brief
description of the command is displayed when the individual commands
are invoked.
1) Labels
CardFile Allows the mass printing of CardFile labels based on
Labels selection code (SCode) criterion. The SCode menu f4 is
available for reference.
Printer Use to set up printer ASCII control characters for printing
Setup one up labels. You can change the number of lines per inch
as well as the character pitch and the length of the form.
The stream of characters specified in the first two lines
are sent to the printer prior to printing the first label.
2) Tickle File
Tickle Used to set the highlighted notification time in the Tickler
file. If set to zero the notification is turned off.
3)Exporting Records
Export Allows the mass exporting of CardFile information based on
selection code (SCode) criterion. If individual records were
exported to the default export file, then the Export(X)
function will add records to that file. Running Export(X) a
second time will overlay information selected in the first
run. To create multiple copies, define a new file name for
each export. The SCode reference menu f4 is available.
Export Set the default export file name. This name will be used if
File records are exported for the CardFile Screen.
Export Select the format of the exported records. Two popular ASCII
Format formats are available. Additionally, a WordPerfect(c) format
is available. Other formats will be added as necessary.
Contact HiPerSoft for special requests.
Export Select fields of the CardFile for exportation. The first
Contents five name and address items are always exported.
***** General Technical Information *****
For speed and efficiency, HiPerTrk relies on an "in memory" key index
to access CardFile and Notes information. The files CARDFILE.KEY and
NOTES.KEY are tables of keys used to index the data files CARDFILE.DAT
and NOTES.DAT respectively. HiPerTrk allocates memory for the KEY
files, manages the keys in memory, and ONLY updates the appropriate
files at termination. The routine also manages the file TICKLER.DTE in
memory. This file is used to maintain the Tickler information and is a
combination of keys and data.
┌───────────────────── CRITICAL NOTE ──────────────────────────┐
│ Because of the relationship of the Key and Data files, it is │
│ important that the system be shutdown in an orderly fashion │
│ so that the key tables can be written to disk. If, for example │
│ the system is just shutdown by turning off the power, the │
│ results are unpredictable. A separate utility is provided to │
│ registered users to rebuild and expand key files. │
