IDENTIFICATION/REGISTRATION
The IDENTIFICATION/REGISTRATION program is used to
track expenses for titles, registration fees, license
plate fees, etc. There are also fields for describing
the vehicle and for recording the purchase price.
Press F4 from the ** MAIN MENU ** to load this program.
You will be in the DISPLAY mode after it has loaded.
You can add, change, delete, or display entries
(records), record payments on a separate screen, ex-
clude or include the purchase price on the CPM report,
or return to the MAIN MENU.
DISPLAY - You are in the display mode when you first
load the program and whenever you escape from or
complete one of the other selections. Only one record
from the IDENTIFICATION/REGISTRATION file is dis-
played on the screen at one time. If you enter more
than one record, you can use the PGUP, PGDN, HOME,
and END keys to look at records that are not cur-
rently being displayed.
ADD - Press F1 to add a new record. Type in the fol-
lowing: (use the BACKSPACE key to backup if you need
to make a correction)
Year .............. year of vehicle (19xx)
Make .............. make of vehicle
Model ............. model of vehicle
Date Purchased .... date vehicle was purchased
Purchased From .... where the vehicle was purchased
(can be continued on the next
line - after tax)
Purchase Price .... cost of vehicle
Tax ............... sales tax (enter zeros if there
is no tax)
ID Number ......... vehicle identification number
Motor Number ...... engine identification number
Other ............. there are seven lines available
for comments, etc.

Press ENTER when ready, then press ESC. You will nor-
mally need only one IDENTIFICATION/REGISTRATION record
per vehicle. Please refer to Appendix B if you need
more.
CHANGE - Press F2 to change an existing record. Use the
HOME and END keys to move to the field you want to
change, make the change, then press ENTER. Press ESC
when you are done.
DELETE - Press F3 to delete an existing record. Press
ENTER if you are sure. The deleted record will still
be in the file but will not be included in reports.
If you change your mind and want to "undelete" the
record you can recover it by using the CHANGE option.
Press F2 and then ENTER. You will not need to re-type
any information.
GO TO PAYMENT SCREEN - Press F4 to go to the payment
screen associated with this record. You can log up to
24 payments on this screen. Please refer to Appendix
B if you need more. The fields you can enter here
are: Description, Date, Amount, and Paid Code. If
you need to erase an entry (the group of 4 fields)
you can use the SPACEBAR to clear the Description,
the Amount, and the Paid Code. To clear the Date you
need to position to the Date and press the DEL key.
CPM - XXCLUDE PRICE - Press F5 to toggle between
including and excluding the Purchase Price and the
Tax in the Cost Per Mile report. For example, if you
took out a loan for the vehicle and are logging the
payments in the LOAN/LEASE program, then you should
exclude the price so that only your loan payments are
being included in the CPM report. Please refer to the
LOAN/LEASE section for more information.
RETURN TO MAIN MENU - Press F10 to return to the
** MAIN MENU **.

INSURANCE
The INSURANCE program is used to track expenses for
insurance premiums and to provide you with a brief
summary of your coverages and limits.
Press F5 from the ** MAIN MENU ** to load this program.
You will be in the DISPLAY mode after it has loaded.
You can add, change, delete, or display entries
(records), record payments on a separate screen, or
return to the MAIN MENU.
DISPLAY - You are in the display mode when you first
load the program and whenever you escape from or
complete one of the other selections. Only one record
from the INSURANCE file is displayed on the screen at
one time. If you enter more than one record, you can
use the PGUP, PGDN, HOME, and END keys to look at
records that are not currently being displayed.
ADD - Press F1 to add a new record. Type in the fol-
lowing: (use the BACKSPACE key to backup if you need
to make a correction)
From ......... policy beginning date
To ........... policy ending date
Insurer ...... name of insurance company
Policy No .... policy number
Agency ....... your insurance agent or person to
contact
NOTE: At this point you can continue to add the
Coverages, Limits, and Premiums or you can press ENTER
and select CHANGE to enter this information.
Coverages .... you can use these areas to summarize
Limits ....... coverages (premiums are not included
in the CPM report, payments are)

Press ENTER when ready, then press ESC. You can create
a new record each time your coverages or premiums
change or you can create a new record only when you
have used all payment fields. Please refer to Appendix
B for suggestions.
CHANGE - Press F2 to change an existing record. Use the
HOME and END keys to move to the field you want to
change, make the change, then press ENTER. Press ESC
when you are done.
DELETE - Press F3 to delete an existing record. Press
ENTER if you are sure. The deleted record will still
be in the file but will not be included in reports.
If you change your mind and want to "undelete" the
record you can recover it by using the CHANGE option.

36 payments on this screen. Please refer to Appendix
B if you need more. The fields you can enter here

can use the SPACEBAR to clear the Amount and the
Codes. To clear the Date you need to position to the
Date and press the DEL key.

** MAIN MENU **.

TIRES
The TIRES program is used to track information as-
sociated with tires including cost, description, and
dealer. You can also keep track of when tires were
rotated.
Press F6 from the ** MAIN MENU ** to load this program.
You will be in the DISPLAY mode after it has loaded.
You can add, change, delete, or display entries
(records), or return to the MAIN MENU.
DISPLAY - You are in the display mode when you first
load the program and whenever you escape from or
complete one of the other selections. Only one record
from the TIRES file is displayed on the screen at one
time. There will be one record for each tire. Use the
PGUP, PGDN, HOME, and END keys to look at records
that are not currently being displayed.
ADD - Press F1 to add a new record. Type in the fol-
lowing: (use the BACKSPACE key to backup if you need
to make a correction)
Description .... description of the tire
Cost ........... cost of the tire
Tax ............ sales tax (enter zeros if there is
no tax)
Dealer ......... where the tire was purchased
Code ........... 1) Paid code - method of payment
(press the SPACEBAR if you are
not tracking this)
2) Loan code - if you took out a
loan to pay for this tire then
enter a * or #, otherwise

purchased
Odometer ....... the odometer reading for when the
tire was installed

Loc ............ code for where the tire was
mounted - use this to keep track
of rotation - (make up your own
codes)
Examples of Loc:
LF = left front RF = right front SP = spare
DF = driver front PF = passenger front
LRO = left rear outside LRI = left rear inside
Press ENTER when ready. Press ESC when you have added
all of your tires.
NOTE: After you have entered your first tire, you can
copy all of the fields except for Loc to successive
records by pressing the @ key.
CHANGE - Press F2 to change an existing record. Use the
HOME and END keys to move to the field you want to
change, make the change, then press ENTER. You can
enter information for 9 additional rotations. If you
need to erase a rotation entry, you can use the
SPACEBAR to clear the Odometer and the Loc. To clear
the Date you need to position to the Date and press
the DEL key. Press ESC when you are done.
DELETE - Press F3 to delete an existing record. Press
ENTER if you are sure. The deleted record will still
be in the file but will not be included in reports.
If you change your mind and want to "undelete" the
record you can recover it by using the CHANGE option.

LOAN/LEASE
The LOAN/LEASE program is used to track loan or lease
payments. It can be used for the initial purchase or
for loans for tires, new engines, etc.
Press F7 from the ** MAIN MENU ** to load this program.
You will be in the DISPLAY mode after it has loaded.
You can add, change, delete, or display entries
(records), record payments on a separate screen, ex-
clude or include the loan payments on the CPM report,
or return to the MAIN MENU.
DISPLAY - You are in the display mode when you first
load the program and whenever you escape from or
complete one of the other selections. Only one record
from the LOAN/LEASE file is displayed on the screen
at one time. If you enter more than one record, you
can use the PGUP, PGDN, HOME, and END keys to look at
records that are not currently being displayed.

Date Received .... date loan or lease was received

mally need only one LOAN/LEASE record per loan. Please
refer to Appendix B if you need more.

24 payments on the first screen. The fields you can

done.

GO TO SECOND PAYMENT SCREEN - Press F4 to go to the
second payment screen associated with this record.
You can log up to 48 payments on this screen. Please
refer to Appendix B if your loan exceeds 6 years.
Refer to the payment editing instructions in CHANGE.
CPM - XXXXXXXX - Press F5 to toggle between including
and excluding the Payments or the Finance Charge in
the Cost Per Mile report. You can choose to have only
the Payments or only the Finance Charge included on
the CPM report.
HOW TO USE THE LOAN TOGGLES
As far as the Vehicle Record System is concerned, there
are two types of loans. The first type is for the
purchase of the vehicle and the second type is for
everything else (tires, maintenance or accessories, and
insurance).
The COST PER MILE report breaks out all costs into
categories, for example, INSURANCE, TIRES, etc. When
you enter costs for items that were purchased with the
aid of a loan, you need to tell the Vehicle Record
System where to allocate these costs. You do this by a
combination of LOAN CODES and the F5 toggle.

VEHICLE PURCHASE LOAN - If you pay cash for the vehicle
then obviously you will not create a loan record,
however you will want to set the toggle to INCLUDE
the purchase price in the IDENTIFICATION/REGISTRATION
program. If you took out a loan then you need to de-
cide where you want the costs to go.
The following chart shows how the COST PER MILE reports
interprets toggle combinations for this type of loan:

OTHER LOANS - Use the LOAN CODES for items you log in
the MAINT/ACCESS/MISC-LOG, the TIRES log, and the
INSURANCE log. If you use a loan code of #, then the
cost will be spread out over the life of the loan and
will still be included in the report totals but will
not be included in the COST PER MILE totals for that
category.
The following chart shows how the COST PER MILE reports
interprets toggle combinations for this type of loan:

CPM - XXXXXXXX examples:
1) You take out a loan (or lease) for the purchase of
the vehicle and you are logging the payments in the
LOAN/LEASE program. You would probably want to
include only your actual payments (which includes
finance charges) in the CPM report. You should then
select the CPM - PAYMENTS option in the LOAN/LEASE
program and the CPM - EXCLUDE PRICE option in the
IDENTIFICATION/REGISTRATION program.
2) You take out a loan for new tires and you are log-
ging the payments in the LOAN/LEASE program. Enter
a Loan Code of # in the TIRES program for each tire
purchased with this loan and select the CPM -
PAYMENTS option in the LOAN/LEASE program. The CPM
report will now reflect the actual amount you paid
during a period of time and not the total cost of
the tires.
When the loan has been paid off, you can change the #'s
to *'s in the TIRES program and select the CPM -
FINANCE CHARGE option in the LOAN/LEASE program.
Now when you run the CPM report the amounts will
shift from the LOAN/LEASE category to the TIRES
category but the total amounts should be the same.
(The payments should equal the cost of the tires
plus the finance charge for the loan.)
NOTE: A LOAN CODE of * will include the cost
associated with that entry in the COST PER MILE report
while a code of # will exclude the cost.
3) You take out a 6 month loan to fix the transmis-
sion. You run the CPM report annually, not at all,
or only to look at the final total figures (you do
not care about the category totals).
Make the appropriate entries in the MAINT/ACCESS/MISC-
LOG and enter a * for the Loan Code. Select the CPM
- FINANCE CHARGE option in the LOAN/LEASE program.

The cost of repairing the transmission will show in the
MAINT/ACCESS/MISC category and the finance charge
will show in the LOAN/LEASE category in the CPM
report.
RETURN TO MAIN MENU - Press F10 to return to the
** MAIN MENU **.

MAINTENANCE REMINDER
The MAINTENANCE/REMINDER is used to create and custom-
ize a maintenance schedule for each vehicle and to log
the services that have been completed. You can create
operations that are unique to each vehicle.
The MAINTENANCE/REMINDER has no costs associated with
it, so if you choose not to use it, it will not effect
the CPM report.
Press F8 from the ** MAIN MENU ** to load this program.
You will be in the DISPLAY MAINTENANCE REMINDER mode
after it has loaded. You can add, change, delete, or
display reminder entries (records), add, change, de-
lete, or display services completed entries, or return
to the MAIN MENU.
DISPLAY - You are in the display mode when you first
load the program and whenever you escape from or
complete one of the other selections. Normally, the
last ten records from the MAINTENANCE/REMINDER file
are displayed. After you have entered more than ten
records, you can use the PGUP, PGDN, HOME, and END
keys to look at records that are not currently being
displayed.
ADD - Press F1 to add a new reminder record. Type in
the following: (use the BACKSPACE key to backup if
you need to make a correction)

DELETE - Press F3 to delete an existing record. Type in
the record number (include leading zeros). Press
ENTER if you are sure. A * will show in the REC field
if the item was deleted. If you change your mind and
want to "undelete" the item you can recover it by
using the CHANGE option. You will not need to re-type
any information.
DISPLAY SERVICES - Press F4 to display the last ten
services completed for the selected vehicle.
CHANGE SERVICES - Press F2 to change an existing
service completed record. Type in the record number
(include leading zeros). Use the HOME and END keys
to move to the field you want to change, make the
change, then press ENTER. Press ESC when you are
done.
NOTE: Normally, you should not need to CHANGE or
DELETE a service completed record. However, you may
occasionally want to change the MAINTENANCE OPERATION
description to make it more meaningful for the Service
report.

DELETE SERVICES - Press F3 to delete an existing
service completed record. Type in the record number
(include leading zeros). Press ENTER if you are
sure. A * will show in the REC field if the item
was deleted. If you change your mind and want to
"undelete" the item you can recover it by using the
CHANGE option. You will not need to re-type any
information.
RETURN TO REMINDER - Press F10 to return to the
DISPLAY MAINTENANCE REMINDER screen.
ADD SERVICES - Press F5 to add an entry to the service
file associated with the selected vehicle. Type in
the RECORD NUMBER of the maintenance operation that
was completed. Use the PGUP, PGDN, HOME, and END keys
to find the operation if it is not on the screen.
Fill in the LAST SERVICE information and press ENTER
when ready. Continue adding service records or press
ESC when you are done.
NOTE: You can only add a completed service if the
matching maintenance operation exists on the reminder
file for the vehicle. You may want to put a catch-all
operation in the reminder file as shown in the DEMO.
The LAST SERVICE information for the reminder record
will be automatically updated when you add the service
record. If you do not care about the odometer reading,
then enter zeros when creating or changing reminder and
service records. If you do enter zeros, however, you
will NOT be reminded of any services that are overdue.
RETURN TO MAIN MENU - Press F10 to return to the
** MAIN MENU **.

Reports
Hard Disk Systems only - Press SHIFT-F1 to go to the
** REPORT MENU **.
Exit to DOS
Press SHIFT-F4 to leave the ** MAIN MENU ** and return
to DOS.

** REPORT MENU **
The ** REPORT MENU ** is the normal entry point into
the report programs.
Floppy Systems - Insert your VRS 20 Report Menu disk
into drive A and type: VRMENU.
* 5¼" Floppy Systems - Both the Maintenance/Reminder
edit and report programs are on a separate program disk
- M/R Menu. Press F9 to run the reports.
The report programs all function in essentially the
same way. After a program has loaded, you are given
some default values. If you press ENTER without re-
placing any of these values, the report will be gen-
erated using the default values.
You can change the defaults to create a variety of re-
ports, for example, you can list all entries within a
time period that have a Paid Code of A. You can exclude
Codes by pressing the SPACEBAR to replace the letter
with a blank. Some reports give you the option of se-
lecting ALL records, ONLY LOAN records, or only NOT
LOAN records.
Please refer to Appendix A for a summary of available
reports.
NOTE: If you are not using CODES (entering a blank
instead) then you will only get GRAND TOTALS. If you
are using CODES and the totals of the CODES do not add
up to the GRAND TOTAL, then you may have accidently put
in a blank code in one of your records.
The best way to learn how the reports work is by ac-
tually running them. All reports give you the option of
printing to a printer, to your monitor, or to a file.

If you choose the screen, the report will be listed on
your monitor and will automatically advance screen by
screen after a short delay (the delay is determined by
the speed of your computer). Press the PAUSE key (if
you have one) or the CTRL & NUMLOCK keys to freeze the
screen.
If you choose to print to a file, a file containing the
report will be created on the default drive (in the
current subdirectory). The file name will be: REPORT.GAS
for the FUEL-LOG, REPORT.TIR for the TIRES, etc.

SELECTING VEHICLES
When you load a report program, the program assumes
that you want to create a report from the vehicle that
is shown in the SELECTED VEHICLE field on the
** REPORT MENU **.
If you want to create a report from another vehicle,
then press SHIFT-F2. A list of all vehicles that have
been created is displayed in the upper part of the
screen. Type in one of these names and press ENTER.

FUEL-LOG
Press F1 to load the FUEL-LOG report program.
The default values assume that you want to list all
records and all paid codes from the vehicle shown in
the top line.
FROM and TO - to list records for a particular period
of time, change the FROM and TO dates accordingly.
PAID CODES - if you do not want all paid codes then
use the SPACEBAR to remove the ones you do not
want. You can replace a code that was accidently
removed by re-typing that letter.
NOTE: Average Miles Per Gallon can only be calculated
if you select FROM and TO dates that both have a Y in
the Filled field and if you select all PAID CODES.
Example: You want to create a report showing just
the PAID CODE A totals for 1988. To do this, change
FROM to 01-01-88, TO to 12-31-88, PAID CODES B-F to
blanks, and press ENTER.
You will be returned to the ** REPORT MENU #1 ** screen
when the report has been listed. From here you can Re-
turn to the REPORT MENU, run another FUEL-LOG report,
or run a TRAVEL-LOG or a MAINT/ACCESS/MISC-LOG report.

TRAVEL-LOG
Press F2 to load the TRAVEL-LOG report program.
The default values assume that you want to list all
records and all travel codes from the vehicle shown in
the top line.
FROM and TO - to list records for a particular period
of time, change the FROM and TO dates accordingly.
TRAVEL CODES - if you do not want all travel codes
then use the SPACEBAR to remove the ones you do not
want. You can replace a code that was accidently
removed by re-typing that letter.
Example: You want to create a report showing just
TRAVEL CODES A and C for June, 1988. To do this,
change FROM to 06-01-88, TO to 06-30-88, TRAVEL
CODES B and D to blanks, and press ENTER.
You will be returned to the ** REPORT MENU #1 ** screen
when the report has been listed. From here you can Re-
turn to the REPORT MENU, run another TRAVEL-LOG report,
or run a FUEL-LOG or a MAINT/ACCESS/MISC-LOG report.

MAINTENANCE/ACCESSORIES/MISCELLANEOUS-LOG
Press F3 to load the MAINT/ACCESS/MISC-LOG report
program.
The default values assume that you want to list all
records and all codes from the vehicle shown in the top
line.

to exclude loan items.
Example: You want to create a report showing just
the items that were purchased with loans in 1988.
To do this, change LOANS ONLY to Y, FROM to 01-01-
88, TO to 12-31-88, and press ENTER.
You will be returned to the ** REPORT MENU #1 ** screen
when the report has been listed. From here you can Re-
turn to the REPORT MENU, run another MAINT/ACCESS/MISC-
LOG report, or run a FUEL-LOG or a TRAVEL-LOG report.

use the SPACEBAR to remove the ones you do not
want. You can replace a code that was accidently

the PAID CODE A payments for 1988. To do this,
change FROM to 01-01-88, TO to 12-31-88, PAID CODES
B-F to blanks, and press ENTER.

TIRES
Press F6 to load the TIRES report program.
The default values assume that you want to list all
records (tires) and all paid codes from the vehicle
shown in the top line.

rotation date falls within the FROM and TO dates.
