This chapter describes how to use Galahad to produce personalized form
letters.
In order to create a file that will produce form letters you will need to
use the =.E command. This command allows you insert standard phrases (subtext)
anywhere in your text. To set up a form letter, simply start writing to the
first person on your list and place all the constant phrases (the phrases that
will appear in every letter) at the bottom of the page as subtext.
&dSubtext
What phrases are constant? If you print all your letters at the same
time, then the date will be constant. Therefore make the date be subtext.
Begin by placing the first =.E (it should be =.E1) at the beginning of your
file. Then place your date line at the bottom of the file, preceded by =.:1
(that is dot, colon, one). This should appear as follows:
=.e1 =.b6
=.:1 February 7, 1984
Both the dot E and dot colon commands should be placed at the far left of
the screen. Notice that all other dot letter commands necessary for formatting
the letter are included in their appropriate places.
Now put in the inside address and salutation for the first name on your
list as shown in the following example: .i7
=.E1 .b
Albert Allen
Street 1
Albia, Albania
Dear Mr. Allen:
=.:1 February 7, 1984 =.b6 .i
If the opening of your letter is a constant, place a =.E2 on the line
just after the salutation as shown in the following example:
.rh1,78
.i7
=.E1
Albert Allen
Street 1
Albia, Albania
Dear Mr. Allen:
=.E2
=.:1 February 7, 1984 =.b6
=.:2 Thank you for applying for the Galahad seminar. .i
.rh1,78
If you have more subtext to add insert them with =.E3%/%=.:3%,
=.E4%/%=.:4%, and so forth. When you are finished with your first letter all
your subtext will be at the bottom of your file. To create a second letter,
simply end your last constant statement with a =.G command (to begin on a new
sheet of paper) and enter the second inside address directly below the first.
Be sure to use the appropriate dot E commands to call up your constant text.
As you enter addresses keep your subtext at the bottom of your file.
Consider the Galahad file on the next page. It was used to create the
three form letters that end this appendix.
Note the use of the =.B0 in the =.:2 line. =.B0 has the effect of
cancellinΣ the automatic =.B that will be supplied by the Galahad text
formatter. The form letter is such that subtext is supplied by =.e2 by the
next sentence that is to be on the same line without a break. Of necessity,
the only way to state the subtext is as a partial line. There should be no
break but the partial line tells the formatter to provide an automatic =.B.
The =.B0 cancels this implied break.
