Appointments |
|
An appointment is a block of time set aside for a specific purpose. Usually it involves being at a certain place at a certain time. A visit to the doctor, meeting friends for lunch, or getting a haircut at a certain time are all good examples of appointments.
Appointments differ from memos in that appointments have a specific start time known in advance. Appointments can be designated as either public or private. Public appointments can be seen by everyone who views your calendar, except those who specifically have been denied access by you. Private appointments can only been seen by you and those to whom you give specific permission. |
|
Public and private appointment calendar events are both created in exactly the same manner. You will designate the appointment as public or private during the appointment creation process.
Log in to WorldClient and click the Calendar link on the main navigation bar.
Use the drop-down list box at the top of the page to choose the calendar on which you wish to create the appointment.
Click the Add Appointment icon that
corresponds to the date on which you wish to schedule the appointment.
You may, however, click the appointment icon on any other date and still
schedule the appointment for the appropriate date, but that will require
you to manually change the schedule date while creating the appointment.
Note |
If you are viewing someone elseÆs calendar and this icon is not visible then you do not have permission to schedule appointments for that person. |
The Add Appointment screen will appear. Under ôType of eventö, use the drop-down list box to choose whether you want the appointment to be public or private.
Use the date and time controls in the ôEvent start and end timesö section to set the beginning and ending date and time for the appointment. You must set both a start and end time for each appointment.
In the drop-down list box labeled ôSend reminder this far in advance of the eventö choose when you want to be sent a reminder message about the appointment. You can also choose ôNo reminderö if you do not want the reminder message to be sent.
Below the date and time controls, use the text box for entering some descriptive text or the details of your appointment.
For Public Appointments, in the list of names under ôPermissionsö hold down the CTRL (Control) button and click the users whom you wish to prohibit from viewing the appointment. For Private Appointments, click the users whom you wish to allow to view the appointment.
Click Finished.
To view the appointment, click the date on which it is scheduled.
Note |
When you create an appointment for someone else, an email message will be dispatched to that user informing them of the appointment and all of its details. |
