Screenfile YTD_TFER.SCN Screen# 01
You will see the above screen when you are adding new employees. In most cases
a new employee is just that, new, he has no Year to Date information to be
transferred and if that is the case reply N here and forget about the remaining
screens in this section.
However, if you are starting PAYROLL USA for the first time part way through a
year then there will be a Year to Date balance to be transferred from your
prior system for this employee. We transfer the YTD so it can be included with
the remainder of this year's pay on his W-2 form printed at year end, and so
that annual maximums on FICA, FUTA, and SUTA wages can be properly taken into
account when calculating future taxes.
Note, however, that 941, 940, and Quarterly State Unemployment forms printed by
PAYROLL USA will not include figures transferred from a prior system as figures
for these forms are built up on a pay by pay, quarter by quarter basis. Your
prior figures will need to be manually added to the 941 and Quarterly State
Unemployment forms for the first quarter you use PAYROLL USA and to the 940
Annual Federal Unemployment form for the first year you use PAYROLL USA if you
start part way into a Quarter or part way into a Year.
If you need to complete these screens you do not have to do it when adding the
employee. Providing you do it before the first PAYROLL USA pay cycle you can
access the employee in update mode after you have added him. When doing so
start at the YTD Hours screen and the above message will appear when you press
any key from the YTD Hours screen. Note that the pay cycle locks these YTD
screens for audit trail purposes so you will be unable to change them after
that without calling Anthistle Systems for help.
Screenfile YTD_TFER.SCN Screen# 02
You can transfer YTD hours on this screen. PAYROLL USA does nothing with YTD
hours other than add to them and print the totals on the YTD Payroll Register
which is an internal report for your use only. If you do not use these figures
for internal statistical purposes etc., and if you do not have them easily
available then you can omit them, just press PgDn to skip to the next screen.
See the EMP_UPDT series of screen documentation for an explanation of the
abbreviations on this screen, if needed.

Before you make any YTD pay and deduction entries this explanatory window will
pop up.

Now you can enter your YTD pay and deductions for this employee.
Screenfile YTD_TFER.SCN Screen# 05
The last of the YTD screens. Sick and Vacation Accruals are optional. If you
are using these features then enter the dollar value of accumulated time from
your existing system. It is vitally important that the figures on the right
side of this screen are entered. We have deliberately left them as zeroes here
(an error) to show another feature on the next screen.

The program will calculate what it thinks are the correct values for employee
FICA and for the employee + company totals expected on the right side of the
previous screen. It compares your entry to its calculations and if significant
differences are found this screen is displayed. The "FICA Soc Sec." and "State
Unempl." items are the employee contributions from Y.T.D. PAGE 2 OF 3 but the
other items are from the right hand column of Y.T.D. PAGE 3 OF 3.

Check the figures displayed on the previous screen against the figures from
your previous system, correct any differences in earlier YTD screens then enter
the correct amounts on the right hand side of this screen as shown here. At
1990 rates FUTA LIAB is FUTA WAGE times 6.2%, FUTA STATE CREDIT AVAIL is FUTA
WAGE times 5.4%, AMT SOC SEC ON WAGES is TXBLE 941 SOC SEC WAGES times 15.3%
(includes both employer and employee contributions). SUTA LIAB is calculated at
your individual rate. There are annual maximum (cut off) wages's for all these
calculations. (1990 $7,000 for FUTA and most SUTA, $51,300 for SOC SEC).
Screenfile YTD_TFER.SCN Screen# 08
If at this point you press F8 your figures will be totalled and you can see if
everything on this and the earlier screen looks good. You will not be able to
return to earlier screens if you are just now adding this employee to the file,
just complete the add then retrieve the employee in update mode and you can
flip backwards and forwards using PgUp and PgDn (on your number keypad with Num
Lock off, or on later keyboards there are also seperate grey PgUp and PgDn keys
that are independent of Num Lock).
When all employees have been transferred, and before the first pay cycle, you
can use a utility program available from the main PAYUSA menu to add all
employees together and print an overall total for comparison to the overall
totals from your previous payroll. Take Choice F5 = "CONFIGURATION & OTHER
UTILITIES" then take the sub choice for "CHECK INITIAL YTD TOTALS TRANSFERED
INTO PAY USA".
