  12. This document can also be viewed/printed in the NOTEPAD section of
  13. Datacal Plus, or you may use a word processor .

  15. Warning: Do Not attempt to run unless you have configured
  16.          Datacal by typing:   DATACAL SETUP      (See Below!)

  20.                         INTRODUCTION
  21.  
  22. DATACAL PLUS is designed to run on IBM compatible machines.
  23. The program requires at least 475K free available ram. Using ram
  24. resident programs is to to be avoided or monitored.
  25.  
  26. Before running Datacal Plus for the first time you must run 
  27. DATACAL SETUP as indicated below. If you are using a modem, 
  28. you must set the baud rate and proper COM ports etc. If you have
  29. a color monitor, use the Color Change feature under the Utility 
  30. menu within Datacal Plus to set the most pleasing color.
  31. Another crucial step is to confirm that you have a Config.sys 
  32. file in your root directory (per below) or an error will occur.

  35. INSTALLATION:  (HARD DISK AND 640K REQUIRED)
  36.  
  37. Verify that you have an adequate supply of files and buffers
  38. as per the Config.sys file.
  39. Example of minimal config.sys file:
  40. Higher files and buffers may be needed for your system
  41.  
  42.                         Files = 20
  43.                         Buffers = 15
  44.

  46. Run Datacal Setup:
  47.  
  48. After all files are copied into a unique subdirectory,
  49.  
  50. Type :         DATACAL SETUP  and press [Enter]
  51.  
  52.  
  53. Answer all the questions asked by the setup program.  When
  54. finished, type:
  55.  
  56.                    DC  and press [Enter].
  57.  
  58. Note: Batch files accessing Datacal from the root directory
  59.       should utilize the set clipper statement as shown below:
  60.                             cd\datacal
  61.   (Sets memory usage)     set clipper= v014;e000
  62.                             datacal
  63.                             cd\
  64.  
  65. If you experience "SNOW" flickering on your COLOR MONITOR when
  66. running program, replace the 'set clipper=v014' statement above
  67. with 'set clipper=S1;v014'. This will eliminate the "SNOW".
  68.  
  69. If your are expanding a trial copy to a new hard disk;
  70. here is the pkunzip syntax for the ZIP FILES:
  71.  
  72. 1.    Copy Zip files and pkunzip to target subdirectory.
  73. 2.    Type:  PKUNZIP DC*.ZIP
  74. 3.      After files are expanded; type Datacal Setup.

  83. Explore Datacal's menu oriented features at your own pace. You 
  84. can begin adding records immediately. Here are some suggestions:
  85.  
  86. 1. User Defined Fields. Setup the Client screen the way you like
  87. it with the User Definable Fields section (Under Database, U).
  88. 30 fields can be assigned new names; of these, 7 are Indexed
  89. for rapid retrieval (See Database FIND function). You can also
  90. redefine the Invoice fields (New for version 2.8).
  91.  
  92. 2. Begin Adding names/addresses to the Database. Choose several
  93. appropriate codes to differentiate clients from vendors, etc.
  94. The Codes are later used for searching and for printing Reports.
  95. While you're there, create some (I)nvoices and quotes. Invoices    
  96. are tracked with respect to Balance Due and Payments. Statements  
  97. may be printed for individual companies showing current Balance.
  98.  
  99. Hint: Under invoice "type", hit "W" to display a list of the 7
  100. possible choices (Invoice or Credit or Receipt etc.).
  101.  
  102. 3. Datacal features an Autodialer coupled to a Call Tracker! 
  103. Simply press (F2) to begin the Dialing (Modem required), then hit
  104. the Return key. You next have the option of posting the Last Call
  105. Date and Follow Up Call dates automatically! Locate the Follow Up
  106. calls by using the (F)ind by Follow Up function Index.
  107.  
  108. 4. Place a question mark (?) under the Part # section of an 
  109. Invoice and hit Return. You will see the "Pop-Up" INVENTORY
  110. section where you can select a part # and the description and 
  111. price will be pasted onto the Invoice automatically! To add 
  112. additional items to the Inventory, Exit the Database and  
  113. select the Datacal Inventory Section to Add/Edit etc. 
  114.  
  115. 5. Use the Calendar section to Add Meetings, Important Dates,
  116. filings and Closing dates, Sales meetings etc. Press #5 to 
  117. select various display configurations I.E. Week-at-a-Glance etc.
  118.  
  119. 6. Create Form Letters in the Mailmerge section by pressing C to
  120. Create/Modify letter description. Press the F4 key within the 
  121. letter to add Merge Data to the letter such as Balance Due,
  122. or other Data contained on the Client Screens.
  123.  
  124. Note: Do not use Quotes or Less than Brackets (" or > <) in the
  125. Mail-Merge letters or errors will occur.
  126.  
  127. 7. Check out the Help screens (F1) and the Pop-up Rolodex 
  128. (ALT-F10). The Pop-Up Rolodex is useful for routinely dialed 
  129. numbers such as friends, relatives, restaurants etc.

  132. 8. Print out REPORTS! Try Report # 3, Followup Calls.

  137. Problem Section:
  138. *  The most common problem is the file CONFIG.SYS is missing or 
  139. not installed correctly causing an error message (4). Verify the 
  140. presence of this file as per the above installation, then reboot 
  141. to activate it. Also, make sure you ran Datacal Setup properly
  142. to assign the proper drives and modem information etc.
  143.  
  144.  
  145. *  Insufficient Memory. The program fails to load because there 
  146. is not enough FREE memory to run the program. Check for Ram 
  147. Resident programs and eliminate them until 475+ free ram or 
  148. more is available to Datacal after bootup. Use CHKDSK to verify 
  149. the total RAM available for your programs.
  150.  
  151. *  "Strange" ERROR (Q/A/I). Sometimes an index file 
  152. can get "corrupted". Use Utility, reindex (#5) to prevent this.
  153. If the problem persists, use the following "Heavy Duty Reindex":>
  154. At the prompt:
  155.               Type:  Datacal Fixer 
  156.  
  157. This will "cleanup" your records and eliminate 90% of all 
  158. database errors caused by bad Indexes or Data. This error is
  159. usually caused by shutting off the computer without properly
  160. exiting Datacal FIRST (don't try it!!).
  161.  
  162. *  Error (2) message indicates File Not Found. The message 
  163. usually gives the name of the missing file. Adding the missing 
  164. file and/or reinstalling followed by reindexing Datacal is 
  165. suggested. Caution: Don't overwrite existing data (.DBF Files)!
  166.

  169. SPECIAL REMINDERS
  170.  
  171. 1) NEVER shut off the computer until you have exited Datacal 
  172. Plus and are at the DOS prompt or file damage/loss may occur.
  173.  
  174. 2) NEVER, EVER REMOVE DISKS from the computer when Datacal is 
  175. being used. PERMANENT FILE AND PROGRAM damage will probably 
  176. result. This applies to floppy users ONLY! Exception: You may 
  177. EXCHANGE data disks in Utilities, feature "E". ALWAYS Exit 
  178. Datacal Properly! 
  179.  
  180. 3) Never use a valuable and highly productive software product 
  181. like Datacal without making Archive copies of Program disks and 
  182. backing up essential data files. Example: Diskcopy all three 
  183. Datacal disks and regularly copy the Customer.dbf, Invoice.dbf,
  184. Payments.dbf and Notes.dbf file to a floppy disk for safekeeping.
  185. Several Very Good Commercial Backup Systems Exist for making
  186. professional and reliable backups...Use Them!

  188. We Have found Pkzip -es to be excellent for .DBF File compression 
  189. and backup. We also recommend Mace Gold, Fastback and 
  190. PC Tools as Perfectly Acceptable Data Insurance.
