Be where you need to be, when you need to be there with DATEBOOK II. An
enhanced version of our DATEBOOK program with many added features.
^1DATEBOOK II HELP SYSTEM^0
DATEBOOK II provides an extensive help system. At all times, the bottom
two lines of your screen offer helpful hints and function key information.
If you need more assistance, press <F1>. You may also view help on specific
topics by using the Help Index available on the Help Menu; press <ALT> and <H>
for the Help Menu.
^1USING THE MENUS^0
DATEBOOK II employs a pull-down menu system in which the menu is always
available at the top of the screen. The following menu items are provided:
File View Event Date Print Help
There are two ways to access the menu. (1) Press <F10> and use the arrow
keys to move the highlight bar to the item of your choice; press <ENTER> to
select that option. (2) Directly activate the menu; press and hold the <ALT>
key and then press the first letter of the menu item. For example, to
activate the "Event Menu," you would simultaneously press <ALT> and <E>.
Once a menu-item is selected, a sub-menu of associated functions is
displayed. Use the <UP ARROW> and <DOWN ARROW> keys to move the highlight
bar to the function and press <ENTER>. Press <ESC> to cancel a menu without
choosing an item.
When menu options are not appropriate, those options will appear muted and
the menu highlight bar will skip over them. For example, if you do not have
any event files open, the "Close event files" menu option will be muted.
^1FILE^0
The "File" menu provides the tools to Open File(s), Close File(s), Display
File Options, Convert an old Datebook File, or Exit the program. DATEBOOK II
can open up to five files simultaneously.
^COpen File(s)
The Open File(s) Selection screen displays a list of Datebook II files
and the path where they were found.
To open an existing file, use the <UP ARROW> and <DOWN ARROW> keys to move
the highlight bar to a file name and press <ENTER>.
Create a new file by moving the highlight bar to "Specify a Datebook II
event file to load," entering the new file's name, and pressing <ENTER>.
Change the path by moving the highlight bar to "Path," entering the new
path, and pressing <ENTER>.
^CClose File(s)
"Close File(s)" displays a list of the open Datebook II files and provides
the ability to close designated files or all open files. To close all files,
highlight "Close all Open Files" and press <ENTER>. To select files to
close, use the <ARROW> keys to highlight a file name and press <ENTER>. A
yellow diamond will appear to the left of the file name. Once all files to
close have been marked, highlight the "Close Marked Files" option and press
<ENTER>.
^CDisplay File Options
"Display File Options" menu item views and edits the File Description,
associated Archive File, and default Event (disposal) Action. Use the <UP>
and <DOWN> arrows to move from field to field.
The File Description provides a short description that is displayed when
selecting a file to open.
The Archive File is another event file which receives expired events from
the current file. Archive files can be used to maintain a history of expired
events. By archiving events, your regular event files can be used for current
and upcoming events without being cluttered with past events. If you ever
need to look up an expired event, then you can open the archive file to view
it. Archive files can be used in the same manner as any other event file.
While it does not make sense to add future events to an archive file, you may
want to create past events which you previously forgot to enter. Similarly,
you might edit events in an archive file to update the event comments with
notes about the outcome of the event. Datebook II will run faster if fewer
event files and fewer events are loaded. For the best performance, archive
expired events, and open your archive file only to access old events and/or
print history reports.
An event is considered "expired" when its ending date has passed. The
Event Action determines what action Datebook II will take when an event
expires. You may specify the action to take for each event independently. The
value you specify on the File Options Screen serves as the default value when
you create new events. Press the <SPACEBAR> to select the appropriate action:
Keep - events are left in the file after expiration.
Archive - events are moved to the designated archive file at expiration.
Delete - events are permanently (automatically) removed after expiration.
The file options are saved when you leave the "File Option" menu.
^CConvert an old Datebook File
This screen is very similar to the "Open File(s)" Selection screen except
the files listed are in the format used by Version 1 of Datebook. Select the
"Old Datebook format" file(s) from the list. (See "Open File(s)" section.)
The file will be converted and opened for use.
NOTE: Your old Datebook file will not be destroyed. For example, if your
old Datebook file is named "MEETINGS.DBD," then the conversion will create
"MEETINGS.DBE." All Datebook II files have the ".DBE" file extension.
^CExit Datebook II
Select this option to leave the program, closing any open files.
^1VIEW^0

Schedule, To-do List, or Pending Notices.

the <+> (<->) key to increase (decrease) the date. The item will be
repositioned in the list. To change other information in the To-do List, move
the list pointer to the entry and press <F4>. Change any of the information
and press <F4> to save the entry.
To remove an item from the To-do List, move the list pointer to the entry
and press <DELETE>.
Press <F5> to print the To-do List.
The To-do List may contain up to 20 entries. The To-do List is stored in
a separate file "DATEBOOK.TDO" which is loaded and saved automatically when
you view the To-do list.
^CPending Notices
"Pending Notices" shows a list of upcoming events with active warnings
for the current day. You will be warned about these events until the event
occurs or you turn the warning status "OFF".
A diamond character to the left of an item in the Pending Notices list
indicates the current warning state is "ON." Turn the warning state OFF for
an event by highlighting the event and pressing <ENTER>. Pressing <ENTER>
once more will turn the warning back on. If the warning state is turned OFF,
the event warning will not be displayed on the next Pending Notices list.
To add an event, press the <INSERT> key. (See "Create New Event.") To
edit an event, highlight the event and press <F4>. (See "Edit Event.")
To remove an event from the event file, highlight the event and press
<DELETE>. Press <Y> to delete or <N> to cancel the deletion.
Press <F6> to turn on (off) the comment below each event.
Press <F5> to print the Pending Notices Report.
^1EVENT^0
"Event" creates, edits, deletes, and browses events in the open files.
^CCreate New Event
"Create New Event" adds new events to an open file. Use the <UP ARROW>,
<DOWN ARROW>, <LEFT ARROW>, and <RIGHT ARROW> keys to move to each field,
enter information and press <F4> to save. Special hints are available in some
fields.

SPORADIC EVENTS are events which recur in irregular patterns. Select
"sporadic" for event type, then press <F8> to enter the dates and times for
the event. On the calendar, use the <ARROW>, <PGUP>/<PGDN> and <+>/<-> keys
to adjust the days, months, and years respectively. Highlight the desired
date, and press <INSERT>; enter the times; press <F4>. Up to 34 different
occurrences for Sporadic events may be entered. Press <F4> again to save
sporadic event occurrences. To delete an occurrence, move the calendar
highlight to the corresponding day and press <DELETE>. Press <ENTER> to
switch between the sporadic event list and the event calendar.
^CEdit Event
"Edit Event" edits (changes) an existing event. Select the event by
highlighting the event title on the Day or Month "View" screens or "Browse"
display. Press <F4> to edit the selected event.
Use the <ARROW> keys to move to the field, make changes, and press <F4> to
save the changed entry. (See also "Create New Event.")
^CPrint Event
"Print Event" produces a listing of the displayed event.
^CCopy Event
"Copy Event" copies an event from one file to another. Any changes to the
event are made only to the copy; the original event remains unmodified. The
event that is copied will reflect all changes made.
"Copy Event" behaves just like "Edit Event" (refer to directions on editing
an event). If you change the filename field of a copied event, then the event
will be saved to the specified file. This allows you to copy events between
event files. If the filename field is not changed, then a second copy of the
event is created in the same file.
^CArchive Event
"Archive Event" allows you to move an event from a file to its archive
file. Any event can be moved to its designated archive file with this option,
including non-expired ones. Before archiving events, you must first specify
an archive file on the File Options Screen (see "Display File Options" above).
^CDelete Event
"Delete Event" allows you to remove an event from an event file.
^CBrowse Event
"Browse Event" pages through the events in all open files. Use <PGUP>
and <PGDN> to move backward and forward through the file. (See "Edit
Event.") Delete an event from the file by pressing <DELETE> while the event
is displayed.
^CSelect
"Select" restricts the display and reporting features to Active and/or
Expired events or to certain event classes. A diamond appears to the left
of the currently selected options. Use the selection feature to print
event reports showing only selected event classes. For example, you could
print reports showing only work-related events by selecting only the classes
which pertain to work.
Use the <UP ARROW> and <DOWN ARROW> keys to highlight the classification and
press <ENTER> to turn it "ON" or "OFF."
^CEdit Event Classes
"Edit Event Classes" maintains a list of up to 19 event class names for
grouping related events. For example, the class names "Finance Committee" or
"Whitney's school" might be used to group related events. (See "Select" for
use of the event class.)
Use the <UP ARROW> and <DOWN ARROW> keys to position the input bar in the
list. Enter the Event Class name. You exit this section by selecting another
menu item and all additions and changes are saved.
You may have several Event Classes which are used more frequently than
others in the list. You may rearrange the order of Class names in the list.
Use the <UP ARROW> and <DOWN ARROW> to position the input bar in the list.
Press the <TAB> key to select the item. Use the <UP ARROW> and <DOWN ARROW>
to position the selected item and press <TAB> once more to reinsert it into
the list.
