  125. 1. Overview.
  126.  
  127. 1.1 What the System Does.
  128.  
  129.     This application is made up of two modules. The Price module allows you
  130.     to create and amend your price list. Enter details of all the parts you
  131.     sell including prices and sale descriptions. The shareware version of
  132.     this module may be distributed freely but is restricted to details of
  133.     fifty parts. If you do not require more than fifty parts in your price
  134.     list then feel free to continue using this shareware as long as you
  135.     wish. If you register this shareware you will receive the commercial 
  136.     version which does not have any limit on the number of parts you can
  137.     enter. However the commercial version of the price book creation module
  138.     can not be distributed freely, as is traditional with software packages.
  139.  
  140.     The customer or order module is used by your customers to create orders
  141.     for your goods. This module has been placed in the public domain and may
  142.     be distributed freely without any payment of licence fees on condition 
  143.     that Software Enterprises make no warranty for either of these modules 
  144.     and can not accept responsibility for any losses which may occur.
  145.  
  146.     Please read the licence agreements. If you do not agree fully with the
  147.     conditions contained in the licences you must not use either module and
  148.     return the software for a full refund if you have paid for the commercial
  149.     version. It is also necessary that your customers agree to the licence
  150.     agreement for the customer module if they wish to use it.

  152.     Both modules are fully network compatible offering simultaneous access
  153.     to an unlimited number of network users.

  157.     The list below illustrates some of the benefits users of this software

  164.     of price lists can be very time consuming. Many users will find this
  165.     software reduces operating costs in this area.

  194.     a menu option to install the Price Book to floppy disk.  Despatch the diskettes

  198.     creation program to.  And there is no hidden cost.

  245. 1.3 The Price List Life Cycle.
  246.  
  247.     It is likely that most companies will wish to review their price list on
  248.     a periodic basis - perhaps quarterly. This software makes it easy to do
  249.     this. A suggested life cycle is given below. It is likely that many users
  250.     will want to deviate from this suggested procedure. In any event take care
  251.     to break your price book into manageable sections. Some of your customers
  252.     may have slow PC's. Putting no more than twenty items in each section 
  253.     should ensure everyone gets a very good response from this software.

  305. 1.4 Which Sections Should You Read.

  307.     It is envisaged that this manual will be useful to two groups of people.
  308.     
  309.     Supervisors will retain rights to all menu options and will be 
  310.     responsible for checking that data entries are made correctly.
  311.  
  312.     Operators will mainly be responsible for entering data, amending item
  313.     details and amending sections.
  314.  
  315.     The access level of each user can be set by the supervisors as can the
  316.     menu options which are available to each access level.
  317.  
  318.     It would be helpful for all users to read through this manual in full
  319.     so that an understanding of the entire application can be attained.

  330.         to be involved in data amendment. The system contains some powerful 
  331.         update mechanisms which should be understood fully before use so that
  332.         they are used correctly to amend the data as required.

  365. 1.5 Installation.
  366.  
  367.     The following instructions will help you to create an Electronic
  368.     Price Book in a fast and efficient way.
  369.  
  370.     It is a condition of sale that you read the licence agreement before
  371.     completing this installation and agree in full to the conditions
  372.     contained within it before proceeding.
  373.  
  374.     If you do not accept the terms and conditions of the licence agreement,
  375.     do not opened the sealed diskette package and promptly return it with
  376.     your proof of payment, whereupon your money will be refunded.
  377.  
  378.     a. At the DOS prompt of your PC (Probably C:\) Type CD \ and press 
  379.        <enter>. 
  380.  
  381.     b. Type MD PRICES and press <enter>. 
  382.  
  383.     c. Type CD \PRICES and press <enter>. 
  384.  
  385.     d. Insert the Installation diskette into your diskette drive with 
  386.        the label pointing up and the 'open' end going into the PC.
  387.  
  388.        It is recommended at this point that a virus checker be used 
  389.        to check for viruses on the distribution diskette(s). 
  390.      
  391.     e. Copy the contents of the diskette from the appropriate drive 
  392.        e.g. Type  COPY A:*.*  and press <enter> if your disk drive
  393.        is A:. 
  394.  
  395.        Wait until the files have been copied.
  396.  
  397.     f. At the DOS prompt type SELLMATE and press <enter>. 
  398.        The application files will be decompressed.
  399.  
  400.     g. Type PRICE and press <enter> to access the price book creation
  401.        module.        
  402.      
  403.  
  404.     h. Enter the login ID '111' and press <enter>. 
  405.     
  406.     i. Enter the password '111' and press <enter>. 
  407.  
  408.     j. Make sure your printer is switched on and has a supply of paper.
  409.  
  410.     k. Make sure your printer cable is plugged into the back of your PC 
  411.        and into your printer.
  412.  
  413.     l. If the printer is not plugged into the first parallel port of 
  414.        your PC then you may need to re-direct your print output from
  415.        the first parallel port.

  425.        e.g. Type MODE LPT1:=COM1 at the DOS prompt then press <enter>. 
  426.        Then type MODE COM1:9600,n,8,1,p  and press <enter> if your printer 
  427.        is connected to your first serial PC port and has a default 
  428.        configuration of 9600 baud rate, no parity, 8 data bits and 1 stop 
  429.        bit. 
  430.  
  431.        Insert these lines in your AUTOEXEC.BAT with the appropriate 
  432.        options to suit your printer (if they are required) and reboot 
  433.        your PC to redirect the output from the first parallel port if
  434.        this is necessary. 
  435.       
  436.        Consult the section in your DOS manual which explains the MODE 
  437.        command if you are having problems with the connection between
  438.        your PC and printer, alternatively consult your PC and/or 
  439.        printer supplier. 
  440.  
  441.     m. Make sure your printer is on line. 
  442.  
  443.     n. Using the <right arrow> key move the cursor to the 'Quit' menu.
  444.        Select the 'User Guide' option and print the user instructions.
  445.  
  446.       If there are problems printing, press the <escape> key until
  447.       the PRICE BOOK CREATION MODULE has been exited. Then re-boot
  448.       your P.C. (switch it off then after a wait of at least 10 
  449.       seconds switch it back on again.) 
  450.  
  451.       If in doubt, consult your PC user guide to find out the 
  452.       recommended minimum time delay between switching off and
  453.       switching on again.
  454.  
  455.       If problems still persist with the printer then consult your
  456.       Printer user guide for a diagnosis of the problem.

  485. 1.5 Accessing And Navigating Around The System.
  486.  
  487.      To make selections from the menu's use the <uparrow>, <downarrow> 
  488.      keys to highlite the relevant menu choice then press the <enter> 
  489.      key to make a selection. 
  490.     
  491.      Alternatively, press the number of the relevant menu choice.
  492.  
  493.      Use the <right> and <left> arrows to move between menus.
  494.  
  495.      Use the <up/down arrow> keys to cursor between fields and press
  496.      <F4> to confirm a screen entry or cursor beyond the last field on 
  497.      the screen. In most cases the <escape> key allows entries to be 
  498.      cancelled    i.e. not saved. In selection boxes use the <uparrow>, 
  499.      <downarrow> and <pageup>, <pagedown> keys to cursor through choices. 
  500.      Make a selection with the <enter> key or cancel the selection box 
  501.      with the <escape> key. 
  502.  
  503.      Throughout the application help is available from the <F1> key. 
  504.      Read the prompts given on the screen for advice about valid entries.
  505.      Take special care to save any changes you make. Throughout the 
  506.      application <F4> is used to confirm (i.e. save) any alteration. 
  507.      <Escape> is used to cancel a change. You can not cancel a change which
  508.      you have already saved. You will need to change the data back and save
  509.      it again.

  511.      Note that throughout the system lists tend to be made in alphanumeric
  512.      rather than strictly numeric order so that 71 would come after both 55 
  513.      and 555.

  545. 2.  What Each Menu Selection Does.

  547.     An explanation of each menu option is given in the order in which the 
  548.     options exist. This has been done for easy reference. Most users will 
  549.     use the options in the order specified in the 'life cycle' chart.
  550.  
  551. 2.0 Login Screen.
  552.  
  553. When you access the order book creation module you will be presented 
  554. with a login screen.
  555.  
  556. Until you alter it the master login ID is 111 and password is 111. The
  557. master password is displayed for the first ten logins after installation.
  558.  
  559. User ID's are created within the application and are normally user 
  560. initials.

  1387. When the Price Book has been completely keyed in, select this option to
  1388. install the customer module to diskette.

  1390. It is recommended that high density diskettes be used (especially
  1391. with large Price lists) as this will reduce the number of diskettes 
  1392. needed.

  1394. Format the diskettes before use. This program will request further
  1395. diskettes as required.

  1397. Check with your customers which floppy diskette size and density
  1398. they require/can read before despatching the Electronic Price Book
  1399. Customer module.

  1401. This system will allow a Price Book with about 2,000 parts to be
  1402. installed on to one high density double sided 3.5" diskette along 
  1403. with the customer module or about 4,000 parts if separate diskettes
  1404. are used.
  1405.  
  1406. It should be possible to improve this capacity by using file compression
  1407. packages but none is supplied with this package and provision would need
  1408. to be made for recipients of the Price Book to decompress the files.
  1409.  
  1410. Clearly label the diskettes once the Price Book Customer module has been
  1411. installed onto them. The label print option enables labels to be printed
  1412. for this purpose.
  1413.  
  1414. Photo Copy the Customer instructions or enclose your own instructions
  1415. on how to use the Customer module. Care should be taken to avoid the
  1416. spread of computer viruses by all parties involved in the transfer of
  1417. diskettes. It is recommended that all parties scan diskettes before
  1418. using files installed on them by using a proprietary virus checker.

  1567. Part numbers. These can be changed by value or percentage.

  1625. 2.4.2  Re-Indexing Data.

  1627. If at any time the data observed is different to that expected,    for example
  1628. if Parts start to go missing then it is possible that the system indexes
  1629. have become corrupt. To re-build them get all other users to log out of the
  1630. system then select this option.
  1631.  
  1632. This will rebuild all indexes so that users can accurately see the data as
  1633. it has been entered.
  1634.  
  1635. It is recommended that the indexes should be regularly rebuilt on a weekly
  1636. basis if the application is under heavy use (e.g. being worked on fairly
  1637. constantly by more than one user). Reindexing may take several tens of 
  1638. minutes    depending on the size of the data files and the speed of the PC
  1639. being used.
  1640.  
  1641. Reindex the files if ever the data is restored from a backup.
  1642.  
  1643. The biggest cause of index corruption is switching off a PC without exiting
  1644. the software package. This must be avoided or corruption of the indexes or
  1645. data files could result especially if a data update is in progress.

  1686. Select this option to add, change or delete users.

  1688. The first user is a golden user. This user can not be deleted or demoted
  1689. as this might prevent further access to parts of the application if no user
  1690. with sufficient rights remained.

  1692. Other users can be added, changed and deleted. It is recommended that users
  1693. initials be used as their User ID's and a unique password be created for each
  1694. user.
  1695.  
  1696. This will give individuals access to the Price Book and will enable the 
  1697. supervisors to track changes made via the audit trail.

  1699. Only users with sufficient rights will have access to each menu option. 
  1700. The access level determines whether a user may access a menu option. Access
  1701. level 1 users (i.e. the highest authority) have unlimited access to all
  1702. menu options.

  1704. Change the password of the system generated supervisor to secure the
  1705. system against unauthorised access.

  1707. In excess of 100 users can be created and can access this software

  2108.     Users can only gain access to the system with the use of a valid
  2109.     system User Id and Password. Amendment of user details is carried
  2110.     out within the application.
  2111.    
  2112.     Access levels are used to determine which parts of the application
  2113.     each user can enter. Keep your password secret. If you think that
  2114.     others might have found out your password make sure it is changed.
  2115.  
  2116.     Several safe guards have been put in place to help preserve your 
  2117.     security. When passwords are typed into the system on login they are
  2118.     not displayed on screen. Instead a number of asterisks are displayed
  2119.     equivalent to the number of characters you have typed.
  2120.  
  2121.     Passwords are encrypted before storage. Even some one with 
  2122.     specialist knowledge of how to access the raw data would never get
  2123.     access to the user passwords. Not unless they were also experts at
  2124.     deciphering the results of encryption algorithms.
  2125.  
  2126. 3.2 Audit Trail.
  2127.  
  2128.     An audit trail is kept of user activity in the system. This allows
  2129.     monitoring of the system. It also serves as a record of the work 
  2130.     which has been completed.
  2131.  
  2132. 3.3 Backups.
  2133.  
  2134.      It is recommended that all data files be backed up to floppy
  2135.      diskette or tape at least once a day. Several generations of
  2136.      backups should be kept e.g. keep a set of diskettes/tapes 
  2137.      for Monday, a set for Tuesday, a set for Wednesday ... etc.
  2138.  
  2139.      A separate end of week backup could be saved so that in the
  2140.      event of file corruption the data could be restored as it was
  2141.      at    the end of any one week.
  2142.  
  2143.      All data files have an extension .DBF.  
  2144.  
  2145.      Consult your DOS manual for use of the BACKUP and COPY commands.
  2146.  
  2147.      If the need arises to resort to a backup, make sure to run the
  2148.      reindex option before continuing with use of the system. Indexes
  2149.      could be saved along with data files (these have an extension .NTX)
  2150.      but this is not recommended.

  2152.      If the indexes are so badly corrupted that the system will no
  2153.      longer run then type EPBINDEX in the C:\PRICES directory to
  2154.      run the re-index utility from the DOS prompt. Again make sure
  2155.      all users are out of the system otherwise the indexes can not be
  2156.      rebuilt.

  2166.      It is a condition of sale of this package that a copy of the Customer
  2167.      Module Licence agreement provided with this package is copied and 
  2168.      despatched with each copy of the Customer module.

  2170.      Carefully pack the diskettes and despatch to the Customer. There is 
  2171.      no    limitation on the number of times the Customer instructions can be 
  2172.      photocopied, nor is there a limit on the number of times Customer 
  2173.      Module diskettes can be prepared.

  2175.      The Customer module can be copied as many times as required, as can
  2176.      the shareware version of the  main Electronic Price Book system .

  2344.     5.9.  NEVER forget to save your own data files  to floppy disk or tape at
  2345.           the end of each day. Do not keep these files in the root of your 
  2346.           hard disk i.e. in directory C:\  Applications will work much more 
  2347.           efficiently if you keep files in sub-directories. Sub-directories
  2348.           (e.g. \PRICES ) do not have a limit on the number of files that
  2349.           can be stored (unlike the root directory.) In addition, vital
  2350.           system files are kept in your root directory which you should
  2351.           keep well away from unless you know what they are. There is no 
  2352.           advantage in keeping distribution data files in the root 
  2353.           directory of a hard disk. 
  2354.           
  2355.     5.10. NEVER ignore an error message. This is a very high specification
  2356.           system written with a high degree of fault tolerance. As such it
  2357.           may carry on working even if a fault is encountered. This provides
  2358.           a high degree of resilience which is important from a business
  2359.           perspective. However if a fault has occurred, action needs to be
  2360.           taken before its impact becomes serious. The best monitors of a 
  2361.           system are the users. Report any error message or warning. A timely error
  2362.           report can vastly reduce the effort required to recover from a 
  2363.           failure. However, the implication may be loss of data integrity if
  2364.           action is not taken.
  2365.  
  2366. 6.  What To Do If Things Go Wrong.
  2367.        
  2368. 6.1    Testing.
  2369.  
  2370.        This application has been thoroughly tested. Each program has been
  2371.        tested after completion. Every line of code has been excuted. In 
  2372.        addition the completed system has been tested and the results have
  2373.        been verified.
  2374.  
  2375.        Although all reasonable endeavours have been made to 'prove' the
  2376.        system it is never possible to guarantee that all faults have been
  2377.        identified and corrected.
  2378.  
  2379. 6.2    Differing Faults.
  2380.  
  2381.        There are four fundamental types of fault which may arise. The action
  2382.        to be taken in each case is as follows ;
  2383.  
  2384.        a. Fatal errors. The application hangs, terminates unexpectedly with
  2385.        the display of an error message or data is changed in an erroneous way
  2386.        by the actions of the application. This is a grade 1 fault. Copy any
  2387.        error message down verbatim and contact us immediately preferably in
  2388.        writing. 
  2389.  
  2390.        Explain how the fault arose and report the exact error message.
  2391.  
  2392.        b. Functional errors. Data is not effected by these faults and the 
  2393.        system does not terminate abnormally or hang but the application does
  2394.        not behave as expected. Usually this means the pressing of an <Escape>
  2395.        key has no effect or <F1> does not call up help as advertised on 
  2396.        screen. Note down the failure and inform us.

  2404.        It is important in this case that the exact circumstance leading to
  2405.        the failure is described. It is often very easy to fix this sort of
  2406.        fault if we know exactly how it occurred.
  2407.  
  2408.                                    
  2409.        c. Cosmetic errors. These are low importance faults which do not 
  2410.        effect the outcome of any processing. Generally these concern the 
  2411.        layout of application generated reports, spelling mistakes on screen
  2412.        and errors in this user guide. Do not ignore them. Note them down and
  2413.        inform us.
  2414.  
  2415.        d. Enhancements. The system does not behave in the way that you would
  2416.        like. Nothing has actually gone wrong but necessary functionality is
  2417.        not available. Apply to us in writing for an estimate to include
  2418.        this functionality. If we judge that it is of general interest we
  2419.        may offer to include it free of charge. Alternatively a competitive
  2420.        fixed price quote will be given.
  2421.  
  2422. 6.3    Lost Data.
  2423.  
  2424.        If data goes missing there could be a number of explanations.
  2425.        Remember this is a multi user system. Just because you have not
  2426.        deleted something does not mean it has not been deleted. An audit
  2427.        trail is automatically kept of all changes to the data. (Who made a
  2428.        change, when it was done, what they did ... ). 
  2429.  
  2430.        This application has been designed for optimum speed and efficiency.
  2431.        This speed is achieved by accessing data through a series of indexes
  2432.        (similar to the index in the back of a book.) This means it does not 
  2433.        have to read the entire 'book' to find the information required. 
  2434.        Instead the application can go directly to the relevant 'page'. On
  2435.        the rarest of occasions these indexes can get corrupted (this can 
  2436.        occurr if someone switches off their PC whilst running a program which
  2437.        adds or deletes records). A menu option exists to recreate indexes.
  2438.        
  2439.        Whilst this is done no one can access the data. This is one of the
  2440.        reasons you should never switch off your PC without first exiting any
  2441.        application.
  2442.  
  2443. 6.5    Memory Defragmentation.
  2444.  
  2445.        Occasionally, whilst you are in this application you will hear your PC
  2446.        processing whilst it has been left, doing apparently nothing, on a 
  2447.        menu.  Do not be concerned.
  2448.  
  2449.        The application has been programmed to carry out processor housekeeping
  2450.        (mainly defragmentation of system memory) as required once the 
  2451.        processor has been at rest for more than 10 seconds. 
  2452.  
  2453.        Ignore this activity. It will abort as soon as you elect to do 
  2454.        anything and resume once your processor falls silent for more than
  2455.        10 seconds if required. Its sole purpose is to make your PC run faster.

  2495.     File.                              An organised collection of data stored

  2498.     File Server.                       The central PC in a local area network
  2499.                                        which forms the focal point.
  2500.                                        The PC on which all shared data and

  2502.                                        runs a Network operating system

  2506.     Indexing.                          A means of summarising the contents of

  2735.      2.1. Make sure your printer is switched on and has a supply of paper.

  2737.      2.2. Make sure your printer cable is plugged into the back of your PC 
  2738.           and into your printer.

  2741.           your PC then you may need to re-direct your print output from
  2742.           the first parallel port.

  2772.      2.4  If there are problems printing press the <escape> key until
  2773.           the PRICE BOOK CUSTOMER MODULE has been exited. Then re-boot

  2775.           seconds switch it back on again.)

  2777.           If in doubt, consult your PC user guide to find out the 
  2778.           recommended minimum time delay between switching off and
