Shareware Notice
Congratulations! You have received a copy of Black Book
Plus, a fun and easy-to-use name and address database. This
software is not free, but is provided as shareware. This means
you can try it before you buy it. Shareware allows you to review
and evaluate software without having to pay for it first. If you
don't like the software, don't use it. However if you find Black
Book Plus useful, please register. Registration entitles you to
the latest version of Black Book Plus and update notifications.
Registration also helps support product development and
enhancement.
Quick Start!
If you are in a hurry to try Black Book Plus and don't want
to read this DOC file, this should get you started.
1. Make sure you are in the directory containing your new Black
Book Plus v3 files and type "install c:" (Replace c: with the
Drive you wish to install BBP). This will run an
installation program which will create a new directory
called \BBPV3 and copy all program files to that directory.
When the installation is completed, you will be placed in the
new directory and BBP will run.
OR:
1. Create a directory on your hard drive for Black Book Plus
Example: md\BBPV3
2. Copy the files into the new directory
Example: Copy *.* \BBPV3.
3. Change to the new directory.
Example: cd\BBPV3
4. To run as a stand alone program type "BBPV3" (without the
quotes).
5. To run as a TSR "popup" program type "BBPV3 /L" (without the
quotes). To "popup" Black Book Plus press "Alt + Tab". That
means press the Alt key and the Tab key together.
For more information, please read on... :)
About Black Book Plus
Black Book Plus (BBP)is an electronic "black book" address
data base. It can be run as a TSR (pop up) program using
approximately 7k of ram. This will allow you to "pop up" Black
Book Plus while running other DOS programs. It can also be run
as a stand-alone program in DOS. BBP can also be run as a DOS
program under Windows. With BBP you can keep track of names,
addresses, phone numbers and notes for all your friends, family,
business associates, or organizations all in one program. There
is no need to load a file for your personal friends and another
for your business colleges. BBP allows you to attach keywords or
codes to each "card" entered, so you can organize the entries as
needed. Black Book Plus also will print envelopes, labels, phone
books, postcards, index, and rotary cards. You can use BBP to
track your Christmas card list, or even business contacts.
Black Book Plus is a very easy program to use. Pressing any
letter will "zoom" you to the first occurrence of a last name
starting with that letter. You can browse through the cards
using either the arrow keys, or the mouse. Flip to the back side
of the card and you can enter notes for each card. You can also
search for a card by selecting "Search" from the pull down menu.
When using the search mode, you can search for cards by name,
company, city, state, zip code, keywords, code, phone number,
address, cards tagged for printing, or a combination of keywords
and codes. You don't need to know the correct spelling to do a
search. For instance, entering J D during a name search will
find all cards with names starting with J D. Like John Doe, Jack
Doe, and Jane Dainty. The Codes and Keywords allow you to
organize your cards into almost any order you need. They also
allow quick recall of special groups. For instance using DOCTOR
as a keyword would allow you to recall a list of all of your
doctors with just a few keystrokes.
Using Black Book Plus
To run this software you will need an IBM PC, XT, AT, PS/2
or compatible computer with a minimum of 512K of memory and one
floppy disk. However a hard disk and at least 640K of memory is
recommended. To start Black Book Plus you can use the supplied
Install program by moving to the drive and directory that
contains your new Black Book Plus v3 files and type "install c:"
(Replace "c:" with the Drive you wish to install BBP). This will
create a new directory (\BBPV3) and copy the program files into
that directory. If you prefer to install BBP manually, first
create a directory for the program and data files. If you are
not sure how to do this check your DOS manual for instructions.
Then copy all the files to the new directory. The files should
be BBPV3.EXE, BBPV3.DOC (this file), BBPV3.PIF, BBPV3.ICO,
VENDOR.DOC REGISTER.DOC, and INSTALL.BAT. To start the program
and run as a stand alone DOS program, move to the directory
containing the files and type "bbpv3". To load BBP as a TSR (pop
up) program, type "bbpv3 /l". This will load a 7k resident
kernel into memory and use Expanded memory as a swap file. When
the hot key (Alt+Tab) is pressed, the program will "pop up" over
DOS or any DOS program (See "Using Black Book Plus as a TSR "Pop
up" program" and "Command Line Options" for more information).
Unregistered versions will display the shareware information
until a key is pressed. After pressing a key the main program
will start. After the program has been run for the first time it
will create several new files. Card.dat is the data file needed
to store all the card information and Notepad.dat is the data
file for the Note Pad. The files with the .ndx extension are
used for searches. If the .ndx files are lost or damaged you can
repair them from the Utilities menu. If the card.dat file is
lost or damaged you loose your information forever. It is
important to back up your data. This can be done from the
Utilities menu. Black Book Plus also allows you to Import and
Export data. The Export procedure can be useful if you wish to
do a mail merge. The comma delimited ascii file can be used by
many word processors including WordStar and Word Perfect. The
Import procedure lets you use information you may already have
stored in some other database file. These items will be
discussed more later.
When you first enter Black Book Plus you will be in the
Browse Mode. (Note: If there are no entries in the database you
will be prompted that the database is empty and ADD will be
highlighted in the pull down menu) The very top line of the
screen displays the current date and time. Below that is the
pull down menu. In the center of the screen is the "card". Just
above the card is the status line. This will display which mode
(Search or Browse) you are in. Each entry will have it's own
card. This is where all the information is placed. Pressing the
"F1" key will display a help list of key functions.
Note: If you are upgrading from version 2 see "Converting data
from version 2" later in this DOC.
Pull Down Menu
The Browse Mode is the only place you can use the pull down
menu. To access it press "Esc", or "Alt" and the first letter of
your menu choice. (Alt + U for utilities etc.) The selected menu
item will be highlighted and if there are submenu choices they
will be pulled down. To select one, use the arrow keys to move
the highlighted bar to your choice and press "Enter" or press the
highlighted letter of your selection. The mouse can be used
also. The left button duplicates the "Enter" key and the right
button duplicates the "Esc" key. The pull down menu is made up
of 6 choices. They are Utilities, Search, Add, Edit, Delete, and
Print.
Utilities
Utilities contains 7 sub-choices. Reindex, Backup, System
Information, Import, Export, Screen Trouble, and Quit.
A. Reindex
When using Black Book Plus the index files are automatically
updated so normally you will not need to use this feature. If
you Import data into your card file the Reindex procedure will
automatically run to update all the files. The only time Reindex
should be needed is if the index files (files with the "ndx"
extension) are damaged or lost. If the program does not seem to
be recalling information correctly try running Reindex. Using
Reindex when the files are not damaged will not harm any data.
Reindex will take a little time to complete. The bigger the data
file the more time it will take. Of course, time also depends on
the computer used. On a 10 Mhz. 8088 a data file containing 130
records will take approximately 1 minute and 20 seconds. A 250
record database using a 486DX33 will take approximately 15
seconds.
B. Backup
The Backup utility will copy the data files "card.dat" and
"notepad.dat" to either A: or B: drive. To select Backup, press
"Alt - U" to access the pull down menu (or press Esc). When the
Utilities menu is pulled down press B to start the backup
procedure. After selecting Backup you will be prompted for the
drive to copy the data file to. Put a formatted disk in the
drive you select and follow the directions on the screen.
Remember, it is ALWAYS a good idea to back up your data, no
matter what program you are using!
C. System Info
System Info gives you a little information about your
computer system and the data file. Press "Alt" and "U" to access
the Utilities menu. Next press "C" or use the mouse or cursor
keys to highlight System Info and press "Enter". A window will
pop up displaying the information. The information includes: 1.
The registration number. 2. Who it is registered to. 3. Free
memory (ram) 4. Total disk size. 5. Free disk space. 6. DOS
version. 7. Data file name. 8. File size. and 9. Number of
Cards in the file.
D. Import
The Import procedure will import a comma delimited ascii
file into the card.dat file. This allows you to utilize
information you may already have collected and entered into a
different database program. The Import procedure will create a
new card file if there is none, or add to the current one. First
you need a file to Import. You will need to create a file or
export the information from your database. dBase III + is one of
many database programs that can export it's data into a comma
delimited file. The rules for the file are this: it must be in
ascii text format, fields must be enclosed in quotes, separated
by commas, and each record must end with a carriage return. If
you have information in a database program that you would like to
use in Black Book Plus consult your database manual to see if it
can create a comma delimited file for you. Before Importing a
file make sure you have a backup of your Card.dat file. To use
the Import procedure press "Alt" and "U" (or press Esc) to get to
the Utilities menu. Next press "D" to choose Import or use the
cursor keys or mouse to highlight Import and press "Enter". A
window and prompt will appear on the screen, asking for the
import file name. Enter the file and path name. Next a window
will appear asking if this is a Black Book Plus file. If the
ascii file was created with Black Book Plus's Export procedure
answer yes. The import will begin, automatically entering fields
into the correct places within the data file. If the file was
created with other than Black Book Plus answer No and a window
will appear with a list of fields. The prompt will ask "What is
field #1". This is asking what field number 1 of the comma
delimited file (source file) is. Highlight the field in the list
matching the field in the import file and press "Enter". If
there is no match select "Not found". Continue for each field in
the source file. When done, select "Start conversion". The
program will then attempt to copy the data from the source file
into the proper fields of the card.dat file. If the file you
named is not the correct type of file you will hear a beep and
see a notice on the screen. If you picked more fields than your
import file contains the program will tell you and then abort the
procedure. When the import is completed a window will pop up
showing how many cards were copied into your card file and how
many total cards are in it. Next, the program will rebuild the
index files to match them to the new data. The import procedure
does create a backup file called card.bak before writing any
data. If the program fails for some reason, or you selected the
wrong fields, you can rename card.bak to card.dat to reclaim your
original data. Again if your data file contains any information
it is still a good idea to back it up to a different drive. A
lot of SAFETY is better than retyping lost information!
E. Export
The Export procedure will export cards into a comma
delimited text file for use with other programs, or to pass
information to other users of Black Book Plus. Many word
processors can use data from a comma delimited file for mail
merge routines. You can even use the Export to print your labels
or reports in programs other than Black Book Plus. WordStar and
Word Perfect are two word processors that can use this type of
file. Consult your word processor's users manual for more
information on mail merge and importing data. To use Export,
press Alt + U (or press Esc) to get to the Utilities menu. Next
press E to start the Export procedure or use the cursor keys or
mouse to highlight Export and press enter. You will be asked if
you wish to export all the cards or only the tagged cards. If
you wish to mail merge only some of your cards then you can tag
them and export only the cards you need. Or maybe you want to
share part of your data with a friend who is using Black Book
Plus. Again, you can mark just the cards you wish to share and
export them. Your friend can then use the Import procedure to
add the cards to his or her data file. Next you will be prompted
to select the sort order for exporting. This will place the
cards in an ascending order using the index file you choose. The
next prompt will ask for the file name for the export file.
Bbpdata.txt is the default name but you can change it to any
legal DOS file name. To send the file to another drive or
directory use the full drive and path name (ie. a:party.lst).
If the file name already exists a warning will sound and you will
be given a chance to abort or overwrite the file. To abort the
procedure press ESC in any of the windows. This will return you
to the Browse mode.
F. Screen Trouble
Screen trouble will correct "snow" or scrolling problems.
These problems are found on some older CGA screens. To use it
press Alt + U or Esc, to pull the Utilities menu down. Next
press F or use the cursor keys or mouse to highlight Screen
Trouble and press Enter. A window will pop up asking if you are
seeing snow. If you see "snow" on the screen during any of the
program operations select Yes. This will slow screen writing
down some, but should correct the problem. Next you will be
asked if the screen scrolls correctly. If you experience bad
flicker when the screen scrolls (while printing labels or reports
to the screen) select Yes. Again this may slow down screen
writing some but the flicker should disappear. Selecting Yes
when there is no problem will not harm anything but will slow
down program operations.
Quit
This selection of course, will quit the program and return
to where you were when Black Book Plus was started. Before
quitting all files are closed and data is saved. Pressing "Ctrl"
and "Q" will also quit the program.
Search
Search contains 11 sub-choices. Name, Company, City, State,
Zip code, Code, Keywords, Phone Number, Address, All Tagged, and
Code + Note. The Search mode allows you to search on any of
these fields. You can search for one specific card or create a
list of cards. During the search you are asked if you want to
limit the search to cards that are tagged only. This will filter
out unwanted cards making your list more usable. Lets say you
want to search for people living on Maple Street in Home Town.
First search by City for Home town and Tag the cards. Next
search by Address for Maple Street. When asked if you want to
limit the search to tagged cards only answer Yes. You will be
given a list of cards of people living in Home Town who live on
Maple Street. If you want all people living in Home Town, answer
No and the tags will be ignored. This type of search can be used
for all fields listed above. Below is a detailed description of
each Search field.
A. Name
A name search can be accomplished by selecting "Name" from
the search submenu. You can use name search to find a desired
card or to create a list of matching cards. You may wish to
locate John Doe or maybe all the Doe family or even all people
with the initials of J. D.. You can even limit the search to
all Doe's in a certain area Code. To do a name search first
access the pull down menu by pressing "Esc" or "Alt" and "S".
Then select Name by pressing "A" or by using the mouse or arrow
keys to move the highlighted bar to Name and press "Enter". You
will be prompted for a first name and a last name. Black Book
Plus can search on a partial string. This can be handy if you
are not sure of the spelling or if you wish to recall a list of
people with the same name. When prompted for a first name, enter
the first name as it was entered in the database, or any part of
the name starting from the first letter. If you were searching
for John Doe you could enter John or J or Jh or any other
combination for the first name as long as you start from the
front of the name. You could not enter Jn to recall John. The
same rules work for the last name field. If you wanted to recall
all the Doe's (for a family reunion maybe?), you would press
"Enter" for the first name, leaving that field blank. Then enter
Doe for the last name. This will recall all the Doe's entered
into the data file. Next you will be asked if you want to limit
the search to tagged cards only. When the recall is completed
the status line above the card will tell how many matching cards
were found and what type of search was performed. You can page
through the list using either the arrow keys or the mouse. The
PgDn and PgUp keys will flip the cards from front to back. If
you wanted to create labels for all the matching cards you could
press "Ctrl" and "Home" to tag all the cards in the list for
printing. Each card marked for printing will have a "Tagged" in
the lower left corner of the card. If you are in the Browse mode
and press the "Ctrl" and "Home" keys you will tag all the cards
in the database. Pressing "Ctrl" and "End" will untag the cards.
Again if you tag the cards while in the search mode only the
cards found in the search will be tagged or untagged. If you are
in the Browse mode all the cards in the data file will be tagged
or untagged. Pressing "Ctrl" and "T" will tag only the currently
displayed card. If the card is already tagged pressing "Ctrl"
and "T" will untag it. Press "Esc" to leave the search list and
return to the Browse Mode. If you wish to tag only the cards in
the list but there are some cards not in the list which are
already tagged, press "Ctrl" and "R". This will untag all cards
and retag the cards in the current list.
B. Company
This will search the data file for a company name. A
Company search can be done by selecting "Company" from the search
submenu. To do a Company search first access the pull down menu
by pressing "Esc" or "Alt" and "S". Then select Company by
pressing "B" or by using the mouse or arrow keys to move the
highlighted bar to Company and press "Enter". You will be
prompted for a company name. Black Book Plus can search on a
partial string. This can be handy if you are not sure of the
spelling or how it was entered into the data file. When prompted
for a company name, you may enter the company name as it is in
the database, or any part of the name. If you were searching for
RANKEL SOFTWARE you could enter RANKEL, RAN, R, Software, or any
other part of the company name. However you could not enter RS
to recall RANKEL SOFTWARE. Next you will be asked if you want to
limit the search to tagged cards only. When the recall is
completed the status line above the card will tell how many
matching cards were found and what type of search was performed.
You can page through the list using either the arrow keys or the
mouse. The PgDn and PgUp keys will flip the card from front to
back. If you wanted to create labels for all the matching cards
you could press "Ctrl" and "Home" to tag all the cards in the
list for printing. Each card marked for printing will have a
"Tagged" in the lower left corner of the card. If you are in the
Browse mode and press the "Ctrl" and "Home" keys you will tag all
the cards in the database. Pressing "Ctrl" and "End" will untag
the cards. Again if you tag the cards while in the search mode
only the cards found in the search will be tagged or untagged.
If you are in the Browse mode all the cards in the data file will
be tagged or untagged. Pressing "Ctrl" and "T" will tag only the
card displayed. If the card is already tagged pressing "Ctrl"
and "T" will untag it. Press "Esc" to leave the search list and
return to the Browse Mode. If you wish to tag only the cards in
the list, but there are already some cards not in the list which
are tagged, press "Ctrl" and "R". This will untag all cards and
retag the cards in the current list.
C. City
This will search the data file for a City. You may wish to
recall all your friends in a certain city or just your favorite
shareware programmer! To do a City search first access the pull
down menu by pressing "Esc" or "Alt" and "S". Then select "C"
from the search submenu, or use the mouse or arrow keys to move
the highlighted bar to City and press "Enter". You will be
prompted for a City name. Black Book Plus can search on a
partial string. This can be handy if you are not sure of the
spelling or how it was entered into the data file. When prompted
for a city name, you may enter the city name as it is in the
database, or any part of the name starting from the first letter.
If you were searching for SILVER LAKE you could enter SILVER
LAKE, SILVER, SIL or any other combination for the city name as
long as you start from the front of the name. You could not
enter LAKE to recall SILVER LAKE. Next you will be asked if you
want to limit the search to tagged cards only. When the recall
is completed the status line above the card will tell how many
matching cards were found and what type of search was performed.
D. State
This will search the data file for a State. With a State
search you can recall all your contacts in any given state. To
do a state search first access the pull down menu by pressing
"Esc" or "Alt" and "S". Then select "State" from the search
submenu by pressing "D", or by using the mouse or arrow keys to
move the high lighted bar to State and press "Enter". You will
be prompted for a State. Black Book Plus can search on a partial
string. This can be handy if you are not sure of the
abbreviation. When prompted for a State, you may enter the State
as it is in the database, or just the first letter of the
abbreviation. If you were searching for KANSAS you could enter
KS or K. Next you will be asked if you want to limit the search
to tagged cards only. When the recall is completed the status
line above the card will tell how many matching cards were found
and what type of search was performed. You can page through the
list using either the arrow keys or the mouse. The PgDn and PgUp
keys will flip the card from front to back. If you wanted to
create labels for all the matching cards you could press "Ctrl"
and "Home" to tag all the cards in the list for printing. Each
card marked for printing will have a "Tagged" in the lower left
corner of the card. If you are in the Browse mode and press the
"Ctrl" and "Home" keys you will tag all the cards in the
database. Pressing "Ctrl" and "End" will untag the cards. Again
if you tag the cards while in the search mode only the cards
found in the search will be tagged or untagged. If you are in
the Browse mode all the cards in the data file will be tagged or
untagged. Pressing "Ctrl" and "T" will tag only the card
displayed. If the card is already tagged pressing "Ctrl" and "T"
will untag it. If you wish to tag only the cards in the list,
but there are already some cards not in the list which are
tagged, press "Ctrl" and "R". This will untag all cards and
retag the cards in the current list. Press "Esc" to leave the
search list and return to the Browse Mode.
E. Zip code
This will search the data file for Zip codes. To do a Zip
code search first access the pull down menu by pressing "Esc" or
"Alt" and "S". Then select "Zip code" from the search submenu by
pressing "E", or by using the mouse or arrow keys to move the
highlighted bar to Zip code and press "Enter". You will be
prompted for a Zip code. Black Book Plus can search on a partial
string. This can be handy if you are not sure of the zip code or
if you wish to recall a list of cards within the same general zip
code area. When prompted for a zip code, you may enter the first
5 digits of the zip, or any part of the zip starting from the
first number. If you were searching for 66539 you could enter
66539, 665, or any other combination for the zip code as long as
you start from the front of the zip code. Next you will be asked
if you want to limit the search to tagged cards only. When the
recall is completed the status line above the card will tell how
many matching cards were found and what type of search was
performed. You can page through the list using either the arrow
keys or the mouse. The PgDn and PgUp keys will flip the card
from front to back. If you wanted to create labels for all the
matching cards you could press "Ctrl" and "Home" to tag all the
cards in the list for printing. Each card marked for printing
will have a "Tagged" in the lower left corner of the card. If
you are in the Browse mode and press the "Ctrl" and "Home" keys
you will tag all the cards in the database. Pressing "Ctrl" and
"End" will untag the cards. Again if you tag the cards while in
the search mode only the cards found in the search will be tagged
or untagged. If you are in the Browse mode all the cards in the
data file will be tagged or un tagged. Pressing "Ctrl" and "T"
will tag only the card displayed. If the card is already tagged
pressing "Ctrl" and "T" will untag it. If you wish to tag only
the cards in the list, but there are already some cards not in
the list which are tagged, press "Ctrl" and "R". This will untag
all cards and retag the cards in the current list. Press "Esc"
to leave the search list and return to the Browse Mode.
F. Code
This will search the data file for cards with the same Code.
Codes can be used to group your cards into any order you may
need. You may wish to keep a list of all your party friends or
business associates. To do this you would enter a code in the
code field when filling out a card. You might use B for business
associates and P for party folks (or any other code that makes
sense to you). To do a Code search first access the pull down
menu by pressing "Esc" or "Alt" and "S". Then select Code from
the search submenu by pressing "F", or by using the mouse or
arrow keys to move the highlighted bar to Code and press "Enter".
You will be prompted for a Code. Next you will be asked if you
want to limit the search to tagged cards only. When the recall
is completed the status line above the card will tell how many
matching cards were found and what type of search was performed.
If you are in the
Browse mode and press the "Ctrl" and "Home" keys you will tag
all the cards in the database. Pressing "Ctrl" and "End" will
untag the cards. Again if you tag the cards while in the search
mode only the cards found in the search will be tagged or
untagged. If you are in the Browse mode all the cards in the
data file will be tagged or untagged.
G. Keywords
This will search the data file for your keywords. This can
be used to group your cards in ways not possible with the code
field. A keyword search, searches all three Keyword fields for
the entered text. Any text or numbers can be entered in the
keyword field. You might want to mark your doctor's cards by
using EYE DOCTOR, KIDS DOCTOR, or anything else that makes sense
to you. To do a Keyword search, first access the pull down menu
by pressing "Esc" or "Alt" and "S". Then select Keywords from
the search submenu by pressing "G", or by using the mouse or
arrow keys to move the highlighted bar to "Keywords" and press
"Enter". You will be prompted for a keyword string. Black Book
Plus can search on a partial string. This can be handy if you
are not sure of the spelling or if you use more than one keyword
for each card. Next you will be asked if you want to limit the
search to tagged cards only. When prompted for a keyword string,
you may enter the string as it is in the database, or any part of
the note. If you had a card that contained "EYE DOCTOR" in any
of the keyword fields you could enter EYE DOCTOR, DOCTOR, DOC,
EYE or any other combination for the keyword.
If you wish to tag only the cards in the
list, but there are already some cards not in the list which are
tagged, press "Ctrl" and "R". This will untag all cards and
retag the cards in the current list. Press "Esc" to leave the
search list and return to the Browse Mode.
H. Phone Number
This will search the data file for a specific area code or
phone number. If you need a list of all contacts living in a
certain phone district or if you have a phone number with no
name, you can use this feature. To access it press "Alt" and "S"
of press "Esc" to pull the menu down. Then press "H" for Phone
Number or use the cursor keys or the mouse to highlight Phone
Number and press "Enter". You will be asked to enter the number
to recall. Enter the number or press "Esc" to abort. You can
enter just the area code, the entire number or just a portion of
it. Do not enter "-" or "()". Only numbers are accepted. Next
you will be asked if you want to limit the search to tagged cards
only. When the recall is completed the status line above the
card will tell how many matching cards were found and what type
of search was performed. You can page through the list using
either the arrow keys or the mouse. The PgDn and PgUp keys will
flip the card from front to back. If you wanted to create labels
for all the matching cards you could press "Ctrl" and "Home" to
tag all the cards in the list for printing. Each card marked for
printing will have a "Tagged" in the lower left corner of the
card. If you are in the Browse mode and press the "Ctrl" and
"Home" keys you will tag all the cards in the database. Pressing
"Ctrl" and "End" will untag the cards. Again if you tag the
cards while in the search mode only the cards found in the search
will be tagged or untagged. If you are in the Browse mode all
the cards in the data file will be tagged or untagged. Pressing
"Ctrl" and "T" will tag only the card displayed. If the card is
already tagged pressing "Ctrl" and "T" will untag it. If you
wish to tag only the cards in the list, but there are already
some cards not in the list which are tagged, press "Ctrl" and
"R". This will untag all cards and retag the cards in the
current list. Press "Esc" to leave the search list and return to
the Browse Mode.
I. Address
This will search the data file for a specific address. This
will search both address lines. To use this procedure press
"ALT" and "S" or "Esc" to pull the menu down. Next press "I" or
use the cursor keys or the mouse to highlight Address and press
"Enter". You will be asked for the address to search for. This
search mode will search both address lines for the string you
entered and return the cards that contain the string. For
instance if you wanted a list of people lining on Main Street,
you could just enter Main and Black Book Plus will search for all
address containing Main. Such as 202 Main Street, 145 Main
etc... . If you entered 202 it would find all the addresses
containing 202. Like 202 Main, 202 Lake Street etc... . The
program will search anywhere in the address lines. The string
does not have to start the line. Next you will be asked if you
want to limit the search to tagged cards only. When the recall
is completed the status line above the card will tell how many
matching cards were found and what type of search was performed.
If you wish to tag only the cards in the
list, but there are already some cards not in the list which are
tagged, press "Ctrl" and "R". This will untag all cards and
retag the cards in the current list. Press "Esc" to leave the
search list and return to the Browse Mode.
J. All Tagged
This will search the data file for all cards that are
"Tagged". Tagging is used for printing labels or printing a
report. All tagged cards will be printed. If you wish to look
through the cards that are tagged, first access the pull down
menu by pressing "Esc" or "Alt" and "S". Then select "All
tagged" from the submenu by pressing "J", or by using the arrow
keys to move the highlighted bar to "All tagged" and pressing
"Enter". When the recall is completed the status line above the
card will tell how many matching cards were found and what type
of search was performed. You can page through the list using
either the arrow keys or the mouse. The PgDn and PgUp keys will
flip the card from front to back. Each card marked for printing
will have a "Tagged" in the lower left corner of the card.
Pressing "Ctrl" and "End" will untag all the cards found in the
search, and "Ctrl" and "Home" will retag them. If you are in the
Browse mode and press the "Ctrl" and "Home" keys you will tag all
the cards in the database. Pressing "Ctrl" and "End" will untag
all cards.
K. Code + Keyword
This will search the data file using a combination search of
the Code field and the Keyword field. Lets say you use the
program for a dating database. You may want to use the Code
field for a "rating" from 0 to 9, and the Keyword field for
personal interests. Suppose you need a date for Saturday night.
You could use the Code + Keyword search to create a list of all
people you rate as 9's that like snow skiing. You could also
limit the search to only people in your city. To use this
procedure press "Alt" + "S" or "Esc" to pull down the menu. Then
press "K" or use the cursor keys or the mouse to highlight Code +
Keywords and press "Enter". You will be asked for the Code to
search for. Codes can be any letter from a to z or any number
from 0 to 9. Next you will be asked for the Keyword string.
This will search all cards for the string you entered which is
located anywhere in any of the three Keyword fields. After
entering the Keyword string you will be asked it you wish to
limit the search to only Cards that are tagged. If you select
Yes, the search will find only the tagged cards that match the
search strings. If you wanted to limit the above example to only
the people in Kansas City you would use the search by City
procedure to tag Kansas City Cards before you start the Code +
Keyword Search. When the recall is completed the status line
above the card will tell how many matching cards were found and
what type of search was performed. You can page through the list
using either the arrow keys or the mouse. The PgDn and PgUp keys
will flip the card from front to back. Each card marked for
printing will have a "Tagged" in the lower left corner of the
card. Pressing "Ctrl" and "End" will untag all the cards found
in the search, and "Ctrl" and "Home" will retag them. If you are
in the Browse mode and press the "Ctrl" and "Home" keys you will
tag all the cards in the database. Pressing "Ctrl" and "End"
will untag all cards. Pressing "Ctrl" and "T" will tag only the
card displayed. If the card is already tagged pressing "Ctrl"
and "T" will untag it. If you wish to tag only the cards in the
list, but there are already some cards not in the list which are
tagged, press "Ctrl" and "R". This will untag all cards and
retag the cards in the current list. Press "Esc" to leave the
search list and return to the Browse Mode.
Add
Use this selection to add new cards. To choose Add press
"Esc" or "Alt" and "A" (If the data file is empty the program
will highlight Add upon entering ). When the pull down menu
highlights Add press "Enter". The First Name field will be
highlighted first. Enter the information and press "Enter" to
continue to the next field. You can use the arrow keys to move
from field to field. Fields can be left blank if need be. Press
the "F1" key for Help if needed. To enter information in "free
form" on the back of the card, press PgDn. This will flip the
card to the back side. PgUp will flip the card to the front
again. When finished entering information press "F10" to save
the card. Another blank card will appear. Continue adding
information or press "Esc" to end the Add Mode. If you start to
add information and decide to quit, pressing "Esc" will exit you
from the add mode without saving information on the card
displayed. All previously saved cards will be preserved.
When entering information all text will be in upper case
(except on the back side of the card). I chose this for several
reasons. One is the Postal Service prefers capital letters on
their addresses. Another is to help us non typists to enter
information quickly. The last reason is to speed searches by not
having to check for upper and lower case strings. The Zip Code
field will accept numbers only. The Code field can accept
numbers between 0 and 9 or letters A through Z. The rest of the
fields can accept any characters.
Note: Before "flipping" to the back side of the card press
"Enter" to move to the next field if you changed or entered data
in the current field.
Edit
This is used to change information in a card. Select it by
pressing "Esc" or "Alt" and "E". When the pull down menu
highlights Edit, press "Enter". You will be prompted for a First
Name and Last Name. Enter the requested information and press
"Enter". If found the First Name field of the selected card will
be high lighted. You can use the arrow keys or the mouse to move
through the card. Press "F1" for help if needed. When finished
changing the card, press "F10" to save the change. If you wish
not to save your changes, press "Esc". There is a hot key that
can be used if the card you wish to edit is currently being
displayed. To use it press the "Ctrl" and "E" keys. You will
enter the Edit Mode for the currently displayed card. During an
edit you can move to the back side of the card by pressing PgDn.
PgUp will flip the card back to the front. Press "Enter" to move
to the next field before "flipping" if data was changed in the
current field.
Delete
Use this to Delete a card from the data file. To use this
press "Esc" or "Alt" and "D". When the pull down menu highlights
Delete, press "Enter". You will be prompted for a First Name and
a Last Name. Enter the information as requested and press
"Enter". If the card is found it will be presented and a note
asking "Delete this Card? (Y)es (N)o" will be displayed. press
"Y" for yes and "N" for no or use the cursor keys or mouse to
highlight your choice and press "Enter". Y will delete the card
from the data file and update the index files. N will not change
any information. There is a hot key that can be used also. If
the card you wish to delete is currently being displayed, press
"Ctrl" and "D". The Delete message will be displayed at the
bottom of the card. Again press "Y" or "N" to either delete the
card or ignore the command. "Ctrl" + "X" will Delete all cards
in the list. This will only work in the Search Mode. This can
be used to delete large number of cards quickly. Remember
however that deleted cards can not be recovered. Always keep
current backup copy of your data!
Print
This is used to print labels, Phone books, Address books,
index cards, post cards or envelopes. To select the print menu
press "Esc" or "Alt" and "P". The pull down menu will display 10
choices. Two sizes of multi-purpose labels, Shipping labels,
three sizes of envelopes, two types of reports, and two types of
cards, index cards and post cards. Below is a detailed
explanation of each.
A. Labels 3 1/2 X 15/16
B. Labels 4 X 1 7/16
If you wish to print more than one label you will need to
"Tag" the cards you wish to print. To do this use the Search
mode. This is described in detail above. After your selected
cards have been tagged you are ready to print. To start, select
Print from the pull down menu by pressing "Esc" or "Alt" and "P".
Then choose the size of labels by pressing "A" or "B" or by
moving the highlighted bar using the arrow keys or the mouse.
You will be asked if you wish to print the current card only.
Selecting "Yes" will print a label for the currently displayed
card only. If you select "No" the program assumes you have
already "Tagged" your cards and you will be asked what sort order
to use for printing. Select the order you wish the labels to be
printed in. If you want them in order of Zip Code pick that, if
you need them in order of Last name then choose Last name etc...
. Next you will be asked if you want the Company name included
on the labels. Press "Y" for yes and "N" for no and press
"Enter". Next is a prompt asking how many of each label you want
to print. You can choose from 1 to 999 for each label. You will
then be asked where to send the labels. You can send them to the
printer (Lpt1, Lpt2 or Lpt3), to a disk file, or to the screen.
If you choose to send them to the printer you will be asked which
port to send them to. After making your selection a prompt will
pop up telling you to turn the printer on and align the labels.
Align them so the print head is an the first print line. If you
choose to send them to a disk file you will be asked for the file
name. Enter the full drive, path and file name. If you just
enter the filename they will be sent to the current directory.
Any legal dos filename will work. If you choose to send the
labels to the screen they will scroll, non stop in the same
format as they will be printed.
Note: the printer needs to be set for 6 lines per inch to
properly print the labels. This is a common setting for most
printers. If your labels do not line up correctly check the
setting of your printer. Also if you wish to use a special font
you can set your printer for this if it is available. If you
have an address line or name that is too long to fit on the
label, try using a smaller print pitch. By changing the print
pitch you can use longer or shorter labels than the 3 1/2 or 4"
selection.
C. Shipping Labels 4 X 1 7/16
This will print large shipping labels which can be used for
sending packages. These labels are designed for plain shipping
labels with no TO: or From: pre-printed on them. Shipping labels
with a small box for the From address and a larger box for the To
address will work fine. I used the Avery #4161 labels to design
this procedure. Before printing the shipping labels you must tag
the cards you wish to print, unless you only need labels for one
address. To do this use the Search mode. This is described in
detail above. After your selected cards have been tagged you are
ready to print. To start, select Print from the pull down menu
by pressing "Esc" or "Alt" and "P". Then choose the "C" for
Shipping labels or move the highlighted bar using the arrow keys
or the mouse to Shipping Labels and press "Enter". The first
prompt will ask if you want to print the current card. If you
only need a label for one address and the correct card is
currently being displayed, select "Yes". If you need more than
one address select "No" and you will be asked what sort order to
use for printing. Select the order you wish the labels to be
printed in. If you want them in order of Zip Code pick that, if
you need them in order of Last name then choose Last name etc...
. Next you will be asked if you want the Company name included
in the shipping address. Press "Y" for yes and "N" for no and
press "Enter". The next prompt will ask if you wish to enter a
return address. Press "Y" for yes and "N" for no. If Yes was
your answer you will be given a four(4) line prompt to enter the
return address on. The address you entered will be displayed and
you will be asked if it is correct. Next is a prompt asking how
many of each label you want to print. You can choose from 1 to
999 for each label. You will then be asked where to send the
labels. You can send them to the printer (Lpt1, Lpt2 or Lpt3),
to a disk file, or to the screen. If you choose to send them to
the printer you will be asked which port to send them to. After
making your selection a prompt will pop up telling you to turn
the printer on and align the labels. Align them so the print
head is at the first print line. If you choose to send them to a
disk file you will be asked for the file name. Enter the full
drive, path and file name. If you just enter the filename they
will be sent to the current directory. Any legal dos filename
will work. If you choose to send the labels to the screen they
will be presented one by one in the same format as they will be
printed. If it is, then printing will begin. If not, then the
return address will be displayed again so you can make changes.
The return address will be centered on the shipping label. You
may need to print just one label to make sure everything is lined
up like you want it. Note: the printer needs to be set for 6
lines per inch and 10 pitch to properly print the labels. This
is a common setting for most printers. If your labels do not
line up correctly check the setting of your printer. Also if you
wish to use a special font you can set the font (if your printer
has them) before printing begins.
D. [Business] Envelopes E. [Small] Envelopes
F. [Christmas] Envelopes
These selections will print the address of the card being
displayed, or a set of tagged cards, onto a business envelope (4
1/8 x 9 1/2), a small envelope (3 5/8 X 6 1/2), or odd sized
envelopes such as Christmas Envelopes.
Note: the printer needs to be set for 6 lines per inch and 10
pitch to properly print the envelopes. This is a common setting
for most printers. If your envelopes do not line up correctly
check the setting of your printer. Also if you wish to use a
special font you can set the font (if your printer has them)
before printing begins.
G. Address Book H. Phone Book
These selections will print names and addresses for all the
cards that are tagged. See Search, for information on tagging
cards. To select this press "Esc" or "Alt" and "P" to pull down
the print menu. Then select the type of report you want by
pressing "F" or "G" or by moving the highlighted bar to the
report of your choice by using the arrow keys or the mouse. The
first prompt will ask which sort order you want to use. Select
the order you want the report to be listed in. Next you will be
asked to enter a Report Title. This can be used to put a heading
on your reports to identify them better. The next prompt will
ask you where to send the report. Reports can be sent to the
printer, a disk file or the screen. If you are sending the
report to the printer you will be asked which port to send it to.
Lpt 1 - 3 are available. If you are sending the report to a disk
file you will be prompted for a file name. Any legal dos
filename will work. If you want to send it to a disk or
directory other than the current one, use the full drive and path
name (ie. b:\report\bbprept.txt). If you elected to send the
report to screen it will be scrolled non-stop in a window. The
Address Book will print all the information from the front side
of the card into a neat format that can be used as an address
book. The Phone Book will print one line of information for each
card, just as a telephone book does. This will contain the First
and Last name, phone, and address.
I. Post Card J. Index Card
These selections allow you to print 4 X 6 Post cards or 3 X
5 Index or rotary cards. You can print information from the
front or back of the cards. For instance, lets say you are
having a party and you want to send post cards for invitations.
You would first search and tag the cards you wanted to send.
Then using the Post Card selection you would print the mailing
address and your return address on the front of the cards
(tractor feed cards work great for this but single cards can be
used also). Next you could create a temporary card in BBP with
the party information on the back side. Then print x number of
copies of the back side of this card on the reverse side of your
Post cards. Now your Post cards are ready to be mailed! The
Index Card feature may be handy if you need access to the
addresses at another location but don't have a computer. You can
print the name, phone number and address of each contact on the
front of the index card, turn the cards over, and print the
information from the back side of the card onto the Index card.
To print cards press "Alt" and "P" or "Esc" to pull down the
menu. Press "I" for Post Cards or "J" for Index Cards or use the
cursor keys or mouse to highlight your selection and press
"Enter". The first prompt will ask if you wish to print the
current card only. If you want to print the address of the card
that is currently being displayed press "Y". To print more than
one card press "N". ( If you want to print a list of cards you
should have tagged the cards you want printed before starting the
print operation.) Next you will be asked which side of the card
you want to print. If you chose to print a list of cards a
prompt will ask for the sort order to print them. The next
prompt will ask "How many copies of each?" This will allow you
to print more than one card for each address if needed. You can
select from 1 to 999. If printing Post cards you will be asked
if you want to print the Company name. Select "Yes" or "No".
Then you will be asked if you want to print a return address. If
yes, you will be given a four(4) line prompt to enter the
address. The next prompt will ask where you want to send the
card to. You can send the card to the printer, screen or a file.
If sending to the printer you will be asked what port to send it
to. Make sure the printer is on and the envelope is aligned so
the top of the card is at the first printing line. If sending it
to the screen the card(s) will be displayed just as it will
print.
Note Pad
This is where you can keep track of special notes you may
need. If you use a large amount of Codes in your Cards this is
the place to list them so you can recall them at a later time.
You may also want to use it as a reminder for important
information. To use the Note Pad just press F5. Enter the
information you desire and when done press F10 to save it to
disk. Pressing F1 while in the Note Pad will give you a help
screen. To review the information, press F5 to pop up the note
pad again. Pressing "Esc" will close the pad without saving or
changing any information.

Files
Your Black Book Plus version 3 program should have 6 files.
BBPV3.EXE, BBPV3.DOC, BBPV3.PIF, BBPV3.ICO, REGISTER.DOC, and
VENDOR.DOC.
1. BBPV3.EXE is the main program file.
2. BBPV3.DOC is the file containing the documentation for the
Black Book Plus.
3. REGISTER.DOC is the registration file. Use it to register
your copy of Black Book Plus.
4. BBPV3.PIF is a PIF file to be used when running BBP under
Windows.
5. BBPV3.ICO is an icon file for Windows.
6. VENDOR.DOC is an information file for Shareware vendors
7. INSTALL.BAT is the installation program for BBP
After running this software for the first time it will
create several new files. The data files are CARD.DAT, and
NOTEPAD.DAT. The files with the extension .NDX are index files.
Temporary files are written to disk at times to be used during
program operation. Normally they will be removed at the close of
the program. If the program is ended abruptly (ie. re-booting
while in the program) there may be some temporary files left on
disk. If you see files with the extension of .LRF in the Black
Book Plus directory you can erase them. * Do not erase these
files while BBP is running in Windows or loaded as a TSR program.
Do not use this extension for your own files!
Using Black Book Plus as a TSR "Pop up" program
Black Book Plus can be used as a TSR or Pop up program.
This means that when loaded, pressing a "hot key" will pop BBP up
even while running another DOS program. BBP will pop up over
almost any text based DOS program. However it will not pop up
over most graphics based programs including Windows. This pop up
feature can be very useful. Lets say you are writing a letter
and you need an address to type into the letter heading. You can
press the hot key (Alt + Tab) and BBP will pop up over the top of
your word processor. You can look up the address or even print
the envelope without ever exiting from your word processor. When
done, quit BBP and you are back in your word processor program.
The best way to utilize the TSR portion of the program is to
include the command in your autoexec.bat file. Then every time
you boot up your computer the TSR portion of BBP is loaded. BBP
will only use 7k of ram. Black Book Plus must be loaded AFTER
any TSR communication programs, memory managers and mouse
software. Do not try to Pop up BBP when a data transfer is
running such as receiving a fax or downloading a file.
Information may be lost. To load BBP from your autoexec.bat file
you will need to add two lines. One to change to the directory
which BBP is located and one for the command to load the program.
example: CD\BBPV3
BBPV3 /L
It is best to place the BBP commands just before your last
command in autoexec.bat. Below is a list of command line
functions you can use to change the way BBP uses memory and
starts up.
Command Line Functions
Here is a list of the command line functions you can use to
start BBP as a TSP "Pop up" program.
Options are:
No parameters = Black Book Plus normal mode (no TSR)
/1 = Load resident and use single swap file
/D = Load resident and force disk swapping
/H hex code = Load resident and change default hot key
/L = Load resident and use EMS or XMS for swap file
/M = Load resident and disable swap message
/U = Unload Black Book Plus
/X = Load resident and use XMS for swapping if
present
/? = show these command line options
example: bbpv3 /L /M (loads TSR and disables swap message)
The default mode for Black Book Plus (bbpv3 /L) will load
BBP as a TSR. The program will first look for EMS to use as a
swap file when popping up. If no EMS is found the program will
look for XMS. IF neither EMS or XMS is found, BBP will swap the
memory contents to disk when popping up. The program will
normally use 2 swap files. The default "hot key" is Alt + Tab.
A message will be displayed at the bottom of the screen after the
hot key is pressed indicating the program is swapping memory.
Using /D will load BBP resident and force disk swapping even
if EMS or XMS is found. This can save your EMS and XMS memory
for other programs but will slow down BBP's start up operation.
/H hex code is used to load BBP resident, use EMS or XMS for
a swap file (if found) and change the default hot key (Alt +
Tab). To change the key you need to look up the keys hex values
in the table below. The first table is for the first key pressed
(such as Alt, Ctrl etc ...). The second table is for the second
key pressed. If you want to use a combination of keys for the
first key, such as Ctrl + Alt, add their values from the first
chart together. This will allow you to press the first two keys
in any order (Ctrl + Alt or Alt + Ctrl). Remember you are using
hexadecimal arithmetic when adding!

Alt = $0800 (from top chart)
Tab = $ 0F (from bottom chart)
$080F is the hex value
Example 2: The value for Ctrl + L Shift + B is
Ctrl = $0400 (from top chart)
L Shift = $0200 (from top chart)
B = $0030 (from bottom chart)
$0630 is the hex value
Example 3:
You can select a hot key which does not use the shift, alt or
ctrl keys. For example, to use just the F10 key the value would
be
$0000 (from top chart)
$ 44 (from bottom chart)
$0044 is the hex value
/L is the default for starting BBP. Unless you need to save
your EMS or XMS memory this is the best way to start BBP.
/M will load BBP resident, use EMS or XMS for a swap file
(if found) and disable the swap message at the bottom of the
screen. If you are using a fast 486 computer this message may
just flash at the bottom of the screen before the program loads.
If the flash is annoying, use this option.
/U will unload Black Book Plus from memory. BBP should be
removed with no problems as long as no other TSR was loaded after
it. If another program was loaded after BBP, remove that program
first.
/X will load BBP resident and cause BBP to look for XMS
memory (for the swap file) first. If no XMS memory is found it
will look for EMS. Use this option if you have extra XMS and
want to save your EMS. BBP normally looks for and uses EMS
first.
/? will display these command line options.
Any combination of these options should work. For example,
to load BBP, use XMS memory, disable the swap message, and change
the hot key to F10, you would use this command:
bbpv3 /X /M /H $0044
Using Black Book Plus with Windows
Do not use the TSR options of Black Book Plus if you are
using Windows. In order to use BBP with windows you should use
the PIF file provided. An icon is also provided. Using the PIF
file will allow you to reindex a large data file in the
background while running other programs. The PIF file also will
keep Windows from closing any BBP files before they have been
written to disk.
Note: The Pif file was created in Windows 3.1 and assumes Black
Book Plus is installed in the directory c:\bbpv3. If you
installed the program in another directory or drive you must
modify the Pif before using it. DO NOT change the "allow close
when active" option. Allowing Windows to close the program while
active may cause a loss of data!
Converting data from Version 2
To convert data from BBP version 2 to version 3:
1. Make a BACKUP of your version 2 CARD.DAT file and put it away!
2. "Export" All Cards (not just tagged cards) using VERSION 2.
3. Copy the exported file into your version 3 directory.
4. "Import" the file into version 3
5. When asked if the import file is a Black Book Plus file answer
"yes". The Import will begin automatically.
6. If for some reason version 2 does not export all cards please
notify me. Some copies of version 2 contained a bug that would
prevent all cards from being exported.

Printer Notes
This program was tested using a Panasonic KX-P1124 dot matrix
printer in Epson mode. Any Epson compatible printer should work.
The reports, labels, and envelopes were designed to be printed
using 6 lines per inch (lpi) and 10 characters per inch (cpi).
You will have to do some testing of your own to see if the
program will print on other types of printers.
