SHAREWARE
Customers and Activities, referred to as C&A and is distributed
as Shareware.
Shareware is professional software distributed through Bulletin
Boards, Information Services, User Groups, Software Vendors and
friends. The software is offered for trial purposes, try before
you buy. Shareware is not free, if you like this program and are
using it, you are obligated to register your copy. By registering
your copy of C&A, you receive many added value bonus's and offerings.
Registration consists of a $29 registration fee. In return for
your support, you will receive technical support, a registered
license agreement, a registered version of the program, along
with some additional utility programs. For instructions on
registering see the file "ORDER.DOC".
LICENSE AGREEMENT
This is the shareware version of Customers and Activities, referred
to as C&A. You are licensed to use C&A for a 30 day trial period.
At the end of the 30 day period, you are required to register.
You may freely distribute the C&A shareware distribution file
"CA20S.EXE" to anyone you wish. You may not alter or in any way
change the distribution file "CA20S.EXE" or the files contained
within "CA20S.EXE".
You may not distribute any of the files contained within the
distribution file "CA20S.EXE" separately. You may not charge
a fee for "CA20S.EXE" or any of the files contained within
"CA20S.EXE". You may not advertise or promote C&A as free. You
may charge a fee for shipping or storage media used to distribute
the "CA20S.EXE" file. If a fee is charged for shipping or storage
media, YOU MUST NOTIFY MAGNIFIED SOFTWARE IN WRITING.

CONVENTIONS
Highlight bar or highlighted prompt may appear different
on monochrome systems. On these systems, the highlighted
area may be inverse video or an underscore. No matter
what type of system you have, highlighted refers to the
blinking cursor prompt and highlight bar is the current
default selection.
Quote marks "" that surround user input or file names,
are not part of the input or file name. The quote marks
merely signify file names or the beginning and ending of
user input.
Key or key sequences to enter, are enclosed by <>.
A dash separating 2 keys denotes pressing 2 keys at
the same time.
Examples:
<E> or <e> This denotes the E key, upper or lower
case characters are ignored. Upper or
lower case characters are ignored in all
single and multiple character commands.
<Alt-e> Press the <Alt> key and <e> key at the
same time. The <e> key can be an upper
case <E>. Commands are case insensitive.
<Ctrl-q><y> Press the <Ctrl> key and <q> key at the
same time and then immediately press the
<y> key.
<F3> Press the function key <F3>.

I. What is C&A ?
C&A is Customers and Activities, a data entry and management
program compatible with DOS 3.0 or later, and IBM PC, XT, AT
compatible computers. C&A provides for the management of
customer or client information and activities or memos. Now is
a good time to jump to the installation section, so you can
view the C&A screen while reading this document.
C&A provides a means to manage customer or client information
and track historical data about your, our their, last activity.
The functions of C&A are separated into 2 main categories,
customer or client information and activities.
Customers or clients are any person or company that you do
business with or correspond with in any way. Any company or
person you deal with, on a business or personal level, can be
viewed as a customer. Therefore, we will use the term customers
to refer to customers, vendors, companies, acquaintances, friends
or any other person or thing, which you serve or require services
from. Once entered, a customer can be retrieved by a unique
reference number, last name, or any one of 2 phone numbers.
Have you ever wanted to know what you last did for a customer,
what their last purchase was, what was discussed last on the
phone, what's their cat's name, what their wife's name, just
who is this, etc.. Activities provide this kind of information
in a very flexible way.
Activities are historical information or future plans for any
particular customer. Each activity contains a date, activity code,
description and memo text. We will briefly discuss each of these
elements of an activity. The date is any valid date in the form
MM/DD/YY. The activity code is any one of 52 user definable codes.
Activity descriptions are any short note about the activity. And
lastly, the activity memo text is any information related to this
activity date, code and description. The limitations to activities
are:
o Codes are predefined.
o One template file per activity code.
o Each customer can have only one activity for a
particular date and code. In other words, the
activity date and code must be unique for a
specific customer. Note, this limitation enhances
the querying and organization of activities.
Each activity code can have a predefined or user modifiable
description. An optional template file links activity memos to
their respective code. The template file contains any standard
information related to the activity. The template file can be a
standard letter, estimate work sheet, order or invoice form, etc.
Any one of the customer's addresses can be inserted into the memo
through a single command. If you have the registered version of
C&A, your name and company address can be inserted.
C&A is a flexible way to manage your customer, vendor or friend
base. Customer and activity information can be viewed or
printed. If you haven't already tried running C&A, now is a good
time, section (II. Installation) will show you how. If you are
already running C&A, skip to section (III. Running C&A).
II. Installation
The following will describe the installation of C&A and how
to use C&A while reviewing this document.
The recommended installation is to a hard drive. Although
C&A could be installed on a floppy drive, this installation
is not recommended. Free disk space verification is not
performed. If you use a floppy or have limited free disk
space, be cautious when adding new customers or activities.
To install to a floppy, follow the instructions below using
the floppy drive letter. (1.4M or 1.2M floppy disk required)
Step 1: Preparation
- Choose the drive that you will want the C&A files to
reside on. A hard drive is recommended.
- Decide what to call the C&A directory. It is recommended
that you use "CA" as the directory name. The C&A directory
is where C&A is run.
- The amount of Disk space required depends on your
storage needs. It is recommended that there be at
least 1 meg of free disk space, after installation.
Although, the C&A files require 860K bytes, you will
need extra disk space to add customers and activities.
The recommended free disk space is 1.9 meg, prior to
installation.
Step 2: Create DOS Directory
- Change the default drive to the current drive, at the
DOS prompt > type
(Drive letter):
where (Drive letter) is the drive, if you were to install
to drive "C", type

The DOS prompt "C>" should be displayed.
- Create the new directory, at the DOS prompt "C>" type
MD CA
- Now change your default directory to "CA", at the DOS
prompt "C>" type
CD\CA
Step 3: Copy Shareware Installation File
- Copy the file "CA20S.EXE" over to the "CA" directory.
For this example, the distribution file "CA20S.EXE"
is on a disk in the "A" drive and the C&A drive and
directory is "C:\CA". At the dos prompt "C>" type
COPY A:CA20S.EXE
- Once you have copied the file "CA20S.EXE" to your
C&A directory, now you can extract the files.
- Make sure you are in the correct directory, at the
DOS prompt "C>" type
DIR
- This should display the default directory and the
"CA20S.EXE" file as the only file existing in this
directory.
Step 4: Extract C&A Files
- Extract the C&A files, at the DOS prompt "C>" type
ca20s
- The files will now be extracted. This will take
a couple of minutes. If any of the files already
exist within the default drive and directory, you
will be prompted to over-write (Y/N) ?
- If every thing is well, all the required
files should exist in this default directory.
- Make a backup copy of "CA20S.EXE" on a floppy or
other directory.
- After making the BACKUP COPY OF "CA20S.EXE" you
can delete the file "CA20S.EXE". This will protect
you from accidentally extracting the C&A files and
over-writing your old C&A files.
Step 5: Run C&A
- Make sure you are in the directory where you installed
the C&A files. You must be in the C&A directory when
running C&A.
- If you are not in the C&A directory, at the DOS prompt type
CD \CA
- To start C&A, at the DOS prompt "C>" type
CA
- C&A automatically detects most system configurations,
but may not be able to on your computer. If you have
a color VGA, the Magnified Software graphics logo should
be displayed. On any other display, a text based company
information screen will be displayed.
- After the company logo displays, a message "Wait.."
is displayed.
- Once the program has finished loading, the "Wait..." message
clears and the C&A entry screen will be displayed.
- IF the display is distorted, you may need to use a
command line option described in step 6, otherwise
press <Enter> and your on your way.
Step 6: Can't Run C&A
- To bypass the graphics display, at the DOS prompt "C>" type
ca ns
- To force a MONO display, at the DOS prompt "C>" type
ca m
- To bypass the graphics screen and force a MONO display,
at the DOS prompt "C>" type
ca ns m
- If you get an error display, make sure your in the
C&A directory. That is the directory where you installed
C&A.
- If you don't have enough memory, at the DOS prompt "C>"
type
ca min
Note: The min command line option must be the first
option. This will reduce memory consumption to
the minimum. After min you can use the m or ns
command line options.
Step 7: Still Can't Run C&A
- Review the "CATEK.DOC" document, which contains technical
considerations. Otherwise, register your product and
technical support will be provided.
III. Running C&A
This is C&A's tutorial. All C&A tutorial lessons assume that
you are using the database's supplied with the shareware
version of C&A. These database's have pre-entered data, which
the examples use. If you are an experienced computer user,
you may want to skip this section. Lessons are as follows:
LESSON (1) Start Up
LESSON (2) Get Customer By Customer Reference Number.
LESSON (3) Adding A Customer and Activity.
LESSON (4) Query or Find Customers.
LESSON (5) Query or Find Activities.
LESSON (6) Printing Customers and Activities.
LESSON (1) Start Up
Follow installation steps 1..4 above, and now we have a
working C&A directory. To begin C&A, make the default
directory, the directory where C&A was installed.
At the DOS prompt "C>" type
cd \ca
which changes the default directory to "CA", assuming you
used the recommended C&A directory name. Next, at the
DOS prompt "C>" type
ca
A graphical logo display should appear on color VGA systems.
If you have a MONO display a text based information screen
will appear. If nothing displays, you probably can resolve
this by using a command line option. See Step 6 in the section
(II. Installation) or skip to section (VI. Command Line Options)
for more information on command line options.
After the logo display appears, read the message and when
you have finished press <Enter> to continue. If you don't
press <Enter> the program will automatically continue after
a short period of time. The C&A entry screen and copyright
notice is displayed, press <Enter> to continue.
If C&A will not run, review the "CATEK.DOC" document, which
contains technical considerations. Otherwise, register your
product and technical support will be provided.
LESSON (2) Get Customer By Customer Reference Number.
The C&A display should be visible, and a highlighted prompt
Customer# : ░░░░░░
should be displayed. Press key <1> and <Enter>, the value 1
will be left padded to "000001", and the existing customer will
be retrieved.
Customer "000001" was pre-entered for you. This is Magnified
Software's information. Notice the 2 separate addresses called
(Home) and (Other). The registered version of C&A allows these
names to be customized. All the relevant customer information
should be displayed and the highlighted prompt
<Find>
Activity : ░░/░░/░░
should be displayed. Notice, above the prompt "Activity"
the characters "<Find>" are displayed. This is the activity
mode display, which can be "<Find>", "Modify" or "<Add>".
The activity mode lets you know, what you are doing as far as
activities are concerned. We can enter a date or simply press
<F4> and all the activities for this customer will be displayed,
6 at a time. Press <F4> to display the activities for customer
"000001". The first activity

should be highlighted. Move the highlight bar up or down by
using the up or down arrows. The mouse can also be used to
change the display, but we will discuss that later. Now, press
<Esc> or <Alt-x>, to exit the Activity view screen. Press <F4>
and the same activity view display should be displayed. Press
<Enter> when the highlighted activity is the first activity. The
highlighted activity will be retrieved and displayed. Notice how
the activity mode display has changed to "<Modify>".
The cursor will be in the lower portion of the screen. This is
the un-zoomed memo text display area. Now, press <Alt-z> and
the memo display will now expand to the full screen. This
memo text is the C&A order form. You can move around the
screen by using the arrow keys or the mouse. If you are using
the mouse, move the mouse cursor to the start of the underscore
lines after "Name : __" and press the left button. This will
move the cursor to that position. You can also use the arrow
keys to directly move the cursor to the new position.
Now we need to make sure that we are in over-write mode. Press
the <Insert> key, if your cursor became thin, you have changed
to over-write mode. If your cursor became fat, you were in over-
write mode and changed to insert mode. Make sure you have the
thin cursor prompt and type your name over the underscore line.
Notice that you are over-writing the underscore line as you
type your name. This is over-write mode. By pressing the
<Insert> key, you will change back to insert mode. The <Insert>
key is a toggle switch. Make sure your in over-write mode and
for practice fill out the rest of the order form. This will show
how C&A can be used to track invoices, as well as memos.
To help speed up the process of entering data and cleaning up
the order form, after typing your name, use the clear to end of
line command by pressing <Ctrl-q><y>. This means to press the
<Ctrl> and <q> keys at the same time and then press the <y> key.
If you would like to view some of the more common opperation
commands, press <F1> for help.
After entering your practice data, a hard copy of this can
be printed. If you have a printer connected to LPT1, try the
print command <Alt-p>. If your printer is not connected to
LPT1, an error question dialog will be displayed. Simply answer
the question by pressing <n>, to stop printing. Another dialog
message will be displayed, press <Enter>.
To exit the memo entry screen, press the <Alt> and <x> keys
at the same time <Alt-x>. This is the exit command. The
highlighted prompt

should be displayed. Now, press <Alt> and <n> keys at the
same time <Alt-n>. This is the new activity command. The
question dialog
Activity 01/29/92 has been modified
Do you want to update ?
<Yes> <No> <Cancel>
will be displayed. Simply press the <y> key for yes,
<n> key for no, or <c> for cancel. The answers are
as follows:
Yes - Update or add the activity.
No - Don't update and discard all changes made to
the activity fields and memo.
Cancel - Cancel or ignore the command.
Press <n> for don't update and the highlighted prompt
Activity : ░░/░░/░░
should be displayed. Now we have clean memo and activity fields.
We could add a new activity or search for more activities at
this point. But, that will be left to the other lessons.
Press the <Alt> and <x> keys at the same time <Alt-x>. This is
the exit command. The highlighted prompt
Customer# : ░░░░░░
should be displayed. We are back to where we started at.
In the next lesson we will add a customer and activity.
LESSON (3) Adding A Customer and Activity.
This lesson starts where Lesson (2) left off. The highlighted
prompt
Customer# : ░░░░░░
should be displayed. Press the <Alt> and <n> keys <Alt-n>, this
is the new customer command. The next sequential customer number
is created and displayed.
Customer# : 000002
Customer "000002" is the next customer after "000001". Be
aware, that if we enter a customer number that does not exist,
we will be asked if we want to add it. But, it is advisable to
use the <Alt-n> command to create customer numbers. Duplicate
customer reference numbers are never allowed by C&A. The next
highlighted prompt
Phone (HOME): (░░░) ░░░ - ░░░░
is displayed. Enter the Phone number, area code first. This
is the second key item. The first was the customer reference
number. If this phone number is a duplicate, a warning message
is displayed. The verification of a duplicate first phone number
does not check the second phone number. If another customer has
the same phone number entered for the first phone number,
the duplicate phone number warning is displayed. The second
phone number is not verified to be a duplicate of the first.
Also, note that the first phone number key is a required field.
Prior to updating the customer information, this field must be
complete.
Before going further, a short discourse on duplicate keys. If
you have passed the Phone (Home) field, backup using the left
arrow key or left tab. Enter "7147075968", after you have
entered the phone number, the duplicate key warning
WARN: Duplicate (Home) Phone KEY
is displayed. This warning is issued when another existing
customer has the same first phone number. A warning is
just that, it is possible to have duplicate keys, but it is
not always desired. Now we can determine if a duplicate
customer exists. Backup to the Phone (HOME) field using the
left arrow key or left tab. Press <F4> or <Alt-f> to find
the customer or customers with this key. All customers with this
first phone number or greater, will appear in the customer
view screen. After we have verified that this is not a
duplicate customer, press <Esc> to exit. If this customer
is a duplicate, move the highlight bar to the correct
customer and press <Enter>. You will then be asked if it is
OK to discard the customer you are adding. Press <y>, and
the selected customer will be displayed. If you press <n>,
you will be back to where you left adding the new customer.
The next section assumes that you pressed <Esc> while in
the customer view screen.
Now, go ahead and change the first phone number back to your
home phone number. After entering the first phone number
you will automatically be in the second phone number field.
The second phone number (Other) highlighted prompt
(Other): (░░░) ░░░ - ░░░░
is displayed. Enter another phone number, area code first.
This is the third key item. If the second phone number matches
another customer's second phone number, the duplicate phone
number warning is displayed. IF this is so, perform the same
procedure as we did with the first phone number field. You
should familiarize yourself with this verification process for
duplicate keys. This is the only way you can prevent duplicate
customers.
After entering the second phone number, the next highlighted
prompt
First Name : ░░░░░░░░░░░░░░░░░░░░
is displayed. Enter your first name and press <Enter>. The first
entered character of the first name field is automatically
upshifted. This will occur in many fields. Notice that after
you exit the First Name field, the customer's first name is
displayed next to the Customer# : field. This is where the
customer's full name is constructed and displayed. The next
highlighted prompt
MI : ░
is displayed. Enter your middle initial. Notice how after
entering the last character of any field, you are automatically
moved to the next field. If you made an error, you can use the
arrow or tab keys to move back to the field. The mouse can also
be used by moving the mouse cursor to the desired field and
clicking the left button. The next highlighted prompt
Last Name : ░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░
is displayed. Enter your last name here. This is the last
customer specific key item. If there is another customer with
this last name, a duplicate key warning will be displayed.
The same duplicate customer checks, as with the phone numbers,
apply here. What should we do if the last name includes something
like (Jr., Sr. or II)? Enter these as part of the last name like:
Smith, Jr.
Note that, "Smith" will not match with "Smith, Jr." and no
duplicate key message will be displayed. But, we can still
look-up all customers with the last name "Smith", by entering
"Smith" in the last name field and pressing <F4> or <Alt-f>.
Prior to updating, the customer's last name must be at least
3 characters. After entering the last name, press <Enter> and
the next highlighted prompt

will be displayed. The street address field is 2 fields.
Right below the above field is

There are 2 separate fields under the same heading. The first
line can contain a Company or Business name, or be left blank.
It is suggested to leave the first line blank, rather than
the second line. But, this is up to you, anything can be entered
in these fields. Press <Enter> at the first field, and enter
your street address in the second. Press <Enter> and the next
highlighted field
City : ░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░░
is displayed. This is where you will enter your full city name.
A pick or selection menu is available at this field. By
pressing <F3> or <Alt-s>, a menu of available city names will be
displayed. City names are user definable, see section
(V. Customizing C&A) for more information. Move the highlight bar
to the desired city name and press <Enter> or press <Esc> to
exit without a selection. If a selection was made, the next
field prompt will be displayed. Otherwise, enter the name of
your city and press <Enter>. The highlighted prompt
State : ░░
is displayed. A pick or selection menu is available for this
field. Press <F3> or <Alt-s> to select from a menu of available
states. State abbreviations are customizable by the user, just
as the city names were. The states are in alphabetic order, and
the state's full name is displayed along side its abbreviation.
Move the highlight bar to your state and press <Enter>. The
state's abbreviation is automatically entered for your and the
highlighted field
ZIP : ░░░░░ - ░░░░
is displayed. The full 5 or 9 character Zip-Code can be entered.
Enter your Zip-Code and press <Enter>. The highlighted prompt
(OTHER)

is displayed. This is the first street address field for the
second address. All fields under the (Other) heading are
duplicates of the first address (Home). The complete set of
the second address fields look like

corresponding fields in the first address. Since these fields
are duplicates of the first address, we will skip over
the instructions in entering a second address. Go ahead and
enter your work or business address. Similar procedures
apply to these fields as the first address fields. If there is
no need for a second address, any general information can be
entered here.
After you have pressed <Enter> in the (Other) Zip-Code field

the highlighted prompt
Activity : ░░/░░/░░
is displayed. We are now in the activity section of the C&A
entry screen. At this point we may need some help. Press <F1>
and the help screen will be displayed. Each entry field has
help available via the <F1> or <Alt-h> commands. See section
(IV. Screens and Commands) for more information on the help
screen. When in the help screen press <Enter> at each
"Any key to continue" prompt. After a couple of <Enter> keys,
we will be back to the activity date field prompt.
Activity : ░░/░░/░░
We are ready to add an activity for this new customer. First,
look over the customer information entered. Verify that the
information is correct. Now if we try to add an activity,
we will be asked to update the customer. Before we begin
adding an activity, there are a number of options available.
<Alt-u> - Update customer and clear screen for next
query or add.
<Alt-w> - Update customer and stay in the same field.
<Alt-t> - enter today's date.
Before any activity query or update, the customer must be
added. If we forget to update the customer, a dialog question
will be displayed, asking if it is OK to add the customer.
Go ahead and enter <Alt-t>, the dialog question

to add the customer and the dialog message

The highlighted item

is displayed. IF we would have answered <n> or no, so as
not to add the customer, we would have been moved back to
the first phone number field.
Now we are entering or finding activities for this customer
and today's date. No activities exist yet, so we will add one.
The activity code field is a verified field. Each entered code
is verified against the selectable code values. See
(V. Customizing C&A) for more information.
If we know which activity code we want, it can be entered.
By pressing <F3> or <Alt-s> a pick or selection menu is
displayed. The selection menu's heading will read:
"Activity Descriptions". Move the highlight bar up or down
with the arrow keys. The mouse can also be used, see
(IV. Screens and Commands) for more information.
Activity descriptions and codes are user definable. When
the description contains an asterisk in the first position,
the description field can be modified. Move the highlight bar
to activity code "0000", an asterisk will be the description.
Press <Enter> to select this activity code. The short cut method,
would be to key in the 4 zeros "0000". The highlighted prompt
Code : 0000
is displayed. Press <Enter> and the dialog box question
Add new Activity for mm/dd/yy ?

is displayed. Press the <y> key to answer yes. The
highlighted display

is displayed. Notice, the asterisk has been removed.
When the description field contains an asterisk only,
it is removed prior to modifying the description.
This field is different from the other fields. Only 35
characters are displayed, but a maximum of 60 characters
can be entered. The first 26 characters of the description
are used for keyed look-up or finds. For more information
on the restrictions and keyed access to activities, see
section (IV. Screens and Commands). Enter
"My first Activity"
with out quotes and press <Enter>. The cursor will now move
just under the underscore line. This is the activity memo text
editor portion of the entry screen. Before continuing, lets
look at the activity description that we entered.
Notice how we entered an upper case or capital M as the
first character. Capital or upper case letters are ignored
in queries or finds. All keyed access ignores upper or
lower case characters.
Now we will return to the memo text, where we last left.

into the activity's memo. You would then be allowed to make
any needed changes to the memo. For more information
on activity memo templates see section (V. Customizing C&A).
The current memo edit screen may seem to small, press
<Alt-z> and the edit screen will expand to its full size.
Finish typing your memo text and press <Alt-z> to shrink the
edit screen. Note, all options or commands are available while
the memo edit screen is zoomed or un-zoomed. When you have
finished, press <Alt-w> to update the memo and the dialog message

This lesson will show you how to look-up customers or a customer,
by phone number, or last name. If you are running C&A, make sure

commands in this lesson. The commands are:

Before continuing, a short discourse on key items and how
they are used. There are 4 key items: Customer#, Phone (Home),
(Other) and Last Name. The (Home) and (Other) phone numbers
will be referred to as first or second phone number, respectively.
Customer# is a unique, zero padded, numeric key. Duplicates are
never allowed, thus the term unique is used. First and second
phone numbers are stored (Area Code) + (3 digits) + (4 digits).
Alphabetic characters are never allowed in phone numbers. Both
phone number keys may be duplicated, although a duplicate key
warning message is issued when another customer's phone number
matches. Note, that a phone number is considered a duplicate
only when it is the same phone number field of another customer.
IF 2 customers have the same first phone number, that is a
duplicate. A customer's first phone number matching another
customer's second phone number, is not considered a duplicate.
The Last Name key item is an alphanumeric key, duplicates are
allowed. Duplicate Last Name keys issue a warning. This helps to
reduce the duplication of customers. Last Name key items are
case insensitive. In other words, it does not matter if the
alphabetic characters are upper or lower case. The letter "A"
matches "a", "E" matches "e", and so on.
Key item searches find all keys equal to or greater than the
searched key. Filtering is not available with customers, since
this would cause a long delay in certain situations.
To clarify key searches, examples will be given. These examples
are hypothetical, and are not to be part of the tutorial's
exercises. In other words, don't try these yourself. The phone
numbers used don't exist in the C&A database.
We enter the area code "800" in the first phone number field
and press <F4>. The 1st phone number field will look like

and the search key is "(800) - ". The matching keys
would be as follows:

number field and press <F4>. The 1st phone number field will

As you use the search facilities within C&A, this will

The only customers if any, are the ones you entered. The
customers displayed should all have an 800 area code or
greater. A blank highlight bar in any view screen, denotes
no matching or greater than keys found. Press <Esc> and
the highlighted prompt

is displayed. Notice that we never left the first phone
number field before executing the find command <F4>.
When you enter the find command <F4> or <Alt-f>, C&A
will try to determine the right key item to use. The field
where the command was issued is checked first. If it's
blank, C&A will attempt to find a previous non-blank
key to use. The top of the customer view screen will
display which key is used. When your selection is
not what you wanted, check the top of the customer
view screen. This will show you, if you are using the
key that you thought you were using.
When we need to look-up a customer by their first phone number.
Enter the customer's complete phone number and press <F4>.
The customer or customers with this phone number will be
displayed. Hopefully, the first customer displayed and
highlighted will be the correct one. Press <ESC> to exit the
view screen.
Lets move to the Last Name field by pressing <PageDown>. Type
"Soft" in the Last Name field. Notice, if your <CapsLock> key
is off C&A will automatically upper case the first character of
each word in the Last Name field. This adds a little control
to the way certain fields are entered, as well as reducing key
strokes. Now, press <F4> and the customer view screen will
display any customers with a last name that starts with "Soft"
or greater.
Press <Esc> and then <PageUp> to return to the highlighted field
Customer# : ░░░░░░
prompt. This completes Lesson (4).
LESSON (5) Query or Find Activities.
You should be familiar with the command key notations <Alt-x>,
<y> and so on. The explanations for commands will be brief.
If you are not familiar with the commands, you should
familiarize yourself with them. Lessons (5) and later, will
assume that you know how to enter C&A commands.
In this lesson we will be working with Customer "000001".
In the customer reference field press <1> and <Enter>.
Customer "000001" should be displayed and the highlighted
prompt

is displayed. Using the right tab or arrow key move to
the year part of the date field. Also, four <SpaceBar> keys can
be entered. Enter "92", the activity field will be

displayed. Notice the top of the activity view screen. Next
to the heading "A c t i v i t y", the key used is displayed.
In this case, it is "(date & code)". We have selected all
activities for the year 1992 and later. About 4 activities should
be displayed in the activity view screen. Use the arrow keys
to move the highlight bar up or down. Look to the top right
corner of the screen, "Filter OFF" is displayed there. This
is a reminder that filtering is off. Press <Alt-o> that is
the alphabetic "o" character not zero. Now the top right corner
displays filtering. This tells you that filter is on and
the records are actually being filtered. In other words,
the keys are something other than blank. Blank spaces
within keys, denote a wild card character when filtering.
Filtering considers a blank to mean any character matches.
If filtering was on, but all the keys were blank, the top
right corner would display "Filter ON".
Look at the activity codes for the displayed activities.
They are as follows:

Note, if you have entered or modified activities, this may
not be what is displayed.
What if we only wanted to view the activities with a "1" as
the last character. We can do this through filtering.
Press <Esc> and you will be back to the code field.
Use the space bar or arrow keys to move over to the last
character of the code field and press <1>. The display
should be

The prompt is in the description field. Press the left arrow
key to get back to the code field. Press <F4> and the
activity view screen is displayed. Make sure filtering
is on by checking the top right corner of the activity
view screen. "Filtering" should be displayed in the top
right corner. The activities displayed should have
the codes "0001" and "1001", all for the year 1992. If we
would have not moved back to the activity date field,
the key used would have been description. This does
not affect the activities displayed, but it does
affect the number of activities that must be filtered.
So as to understand which is the best way to find the
wanted activities, a brief discourse on what the activity
keys are, is necessary.
Activities have 2 keys: date & code and description.
Both keys are prefixed by the customer reference number.
The date & code key converts the date to yymmdd format.
That is, the year + month + day. So, for customer "000001",
date "01/02/92" and code "0001" the date & code key
would be "0000019201020001". The conversion of the date
allows a customer's activities to be found for a specified
year, year and month, or year, month and day. Filtering
adds the ability to find activities for a specific month,
or month and day. The description key uses the first 26
characters of the description only, and is prefixed by the
customer reference number. Keyed access or filtering using
the description field, is case insensitive. With filtering
off, the key search begins with matching keys and continues
finding keys greater than the original key value. Suppose we
had the following single character keys:

A search is performed on the key value C, the keys found
would be C, D and E. If filtering was on, the key values
found would be C only.
Suppose we needed to find all the activities for customer
"000001", that had descriptions beginning with "C&A". First,
press <Enter> until you get to the activity description
field. Enter "c&a", upper and lower case characters are ignored.
Press <F4>. Only one activity should be displayed in the
activity view screen. The displayed activity should be

This concludes Lesson (5). The next lesson will show you how
to print activity and customer reports.
LESSON (6) Printing Customers and Activities.
C&A uses LPT1 as its default printer port. If your printer is
connected to a printer port other than LPT1, see section
(VI. Command Line Options) for information on changing the
printer port. The shareware version of C&A allows printing
to a printer port only. C&A registered version allows printing
to a disk file as well as a printer.
The default printer type is a generic printer. Most printers
should work with this default printer. The registered version
of C&A provides support for other printer types.
3 printed reports or forms are available. Each report or
form is selected by the context of what you are doing. The
reports or forms are:
- Customer and Activity Single Lines
- Customer and Activity
- Activity Memo Only.
Lets start by reporting a customer and associated activities.

should be displayed. Press <F4> and the customer view screen
will be displayed. Use the arrow keys to highlight a customer.
To make this simple, highlight the customer "000001". Press
<Alt-p>, for print this customer. A message "Printing" is
displayed at the top of the customer view screen. If the
printer was offline or an error occurred while printing,
the printer error dialog will display. Correct the problem
and resume printing by pressing <y>. Halt printing by
pressing <n>. The most common problems with printing are
the printer being offline, or not connected properly.
Your printer should have printed the Customer and Activity
Single Lines report. This report prints customer information
and all activities for the customer. The activities are in
date and code order. Printing this report is available
through the customer view screen at any time. At this point,
the customer view screen should be displayed. Select customer
"000001", by highlighting this customer and pressing <Enter>.

should be displayed. When any C&A prompt is displayed the
Customer and Activity report is available. Press <Alt-p>
to print this report. Notice, since an activity memo has not
been selected, the fields are left blank on the report. Select
an activity by pressing <F4>, highlighting the first activity
and pressing <Enter>. The selected activity should be

The C&A order form should be displayed in the activity memo
edit screen. Press <Esc> to exit the memo edit screen.

is displayed. Press <Alt-p> and the Customer and Activity
report is printed. Notice how all the report fields are now
filled. 2 pages should have printed. The first page contains
all the customer information data, but on the second page
this information is condensed. Press <PageDown> to go to
the last active field. The memo edit screen should be
the last field. Now the Activity Memo Only report can
be printed. Press <Alt-p>, to print this report. This report
can also be printed from the activity view screen. Simply
use the <F4> key to display the activity view screen,
highlight the desired activity and press <Alt-p>.
You should now be familiar with C&A commands and reports.
After using C&A, the need for additional reporting may
be necessary. Register your product and in addition to
the registered version and utilities, you will receive
information about C&A reporting.
This concludes Lesson (6) and the C&A tutorial.
IV. Screens and Commands
In this section C&A screens and fields will be defined, as well as
the commands used for each screen and field when applicable.
Standard screen colors are provided with the shareware version
of C&A. The registered version allows C&A screen colors, and
other parameters to be customized. Available C&A screens are:

The main entry screen provides for customer inquiries, activity
inquiries, reporting, new customer and activity entry, and
customer and activity management. The main screen is separated
into 7 parts. Customer reference, phone numbers, Names, first
address, second address, activity, and current date/time. The
following will show each field or fields followed by descriptions.

Customer# field is a numeric field that is right justified
and left padded with zeros. This field is referred to as customer
reference. Customer reference is a key field and is used as a quick
way to refer to any customer, as well as internal management of
each customer. A customer reference must be unique, no duplicates
are allowed. Directly following the customer reference is a
display only field. This is used to display the customer's full
name.
Phone (HOME): (░░░) ░░░ - ░░░░ (Other): (░░░) ░░░ - ░░░░
The Phone numbers are numeric only fields and are keys to
the customer records. Area code is followed by the 7 digit
phone number. This provides a way to find all customers for
a specific area code as well as by the complete phone number.
The only drawback to this is that the area code must be known
and entered to query the customers for a specific phone number.
The Phone (Home) phone number is referred to as the first
phone number, and the (Other) as the second phone number.
The first phone number is a required field, the second phone
number is optional. Both phone numbers are verified not to be
duplicates. When the first phone number is a duplicate of another
customer's first phone number, a warning is displayed. The same
procedure applies to the second phone number.
First Name : ░░░░░░░░
MI : ░
Last Name : ░░░░░░░░░░░░░░░░░░░░
The First Name, MI and Last Name fields all are used to create
the customer's full name. MI is the middle initial. The First
Name and MI fields can be anything. The Last Name field is
a key field used to query the customers for a specific last name.
Last names are verified to be unique. If a duplicate is found,
a warning message is displayed. Duplicate last names are allowed,
but a warning is displayed to reduce the number of duplicate
customers. All of the fields used to make up the customer's full
name, convert the first character of each word to upper case.
Therefore it is not necessary to use the shift key when entering
a name.
Addresses (Home)

Addresses (Home) fields are referred to as the first address
or first address fields. The street address is 2 fields which

name or a long street address. City and State fields have associated
pick or selection menus, which may be customized. For further
information see (V. Customizing C&A). To display a selection menu,
press <F3>. Street and City fields upshift the first character of
each word. The State field upshifts all characters. When the City is
not blank, State will default to 'CA', this is customizable. Zip is
a numeric only field, although spaces are allowed.

Activity fields include date, code, description and memo text
editor. A display only indicator, is displayed at the top of
Activity. This indicator has the values "<Find>", "<Add>" or
"<Modify>". This shows what you are doing with activities.
The value "<Find>" shows that you are entering key values to
find or query activities for this customer. "<Add>" shows that
an activity is being added, and "<Modify>" shows that an activity
is being modified. The date field is of the form Month/Day/Year.
The date is verified to be a valid date before updates. Code is any
valid customized activity code. Date and code are used to create
the first key. This key must be unique for any specific customer.
In other words, customer reference, date and code must be unique.
When the date and code are used to create this key. The date is
transformed to the form, Year/Month/Day. This provides searching
by a specific year, year/month or year/month/day. The description
field is linked to the code field through the customization or
creating of activity codes. Descriptions may be predefined and
protected, or predefined and modifiable. Description is used to
create the second activity key. Only the first 26 characters of the
description are used for this key, and upper or lower case is
ignored. For further information see (V. Customizing C&A).
The field below the underscore line, is the memo text editor.
This area is where the text for an activity is entered. For
commands and other information see (C&A Activity Memo Screen)
below.

Current date/time provides the current system date and time.
These fields are only as accurate as the time and date kept by
your computer system.
C&A Main Entry Commands
Command tables are in 3 parts. Mouse, operation and edit commands.
Mouse commands are used to select an entry field or activate some
common commands. Operation commands are those which are associated
with a process. Edit commands are those commands effecting the
editing of or movement within, an entry screen field.
When there are more than one command for the same operation or

as you read the resulting dialog screen questions and act
accordingly.
Entry Mouse:

limited and is usually not needed. But, for
example: if you retrieved a customer, edited the
first name and immediately pressed <Esc>, the
changes made would not have been fixed. So, the
<Esc> command would clear the screen and not ask if
it was ok to discard your changes. Note that if you
had moved to another field, this would have also
fixed the changes made.
<F9> Exit or abort current operations.
<Alt-e> This command will be used frequently to exit a
<Alt-x> selection menu or view screen without making a
<Esc> selection, aborting modifications, and exiting
<Ctrl-Break> C&A. When exiting or aborting modifications,
you will be notified by a dialog question screen.
<F1> Display help screen for the this field or screen.
<Alt-h>
<F2> New customer or clear activity.
<Alt-n> <F2> or <Alt-n> will function differently depending
on where your cursor is located. If your cursor is
in any of the customer fields, other than the
activity fields, a new customer will be added.
The next available customer number is created
automatically.
<F3> Display selection menu.
<Alt-s> Selection menus are not available for all fields.
The fields that have selection menus are:
first and second address city field, first
and second address state field, activity code
and activity description.
<F4> Display View screen.
<Alt-f> This command activates the key to use for look-ups
and displays a view screen. The key selection
used for customer inquiries, is determined by
which field was active when this command was
activated. Also, which customer keys are blank or
not blank aids in determining which customer key
is used. While in an activity field, this command
displays the activity view screen.
<F5> Enter a new activity for today's date.
<Alt-t> By pressing <F5> or <Alt-t>, the current system
date is entered in the activity date field.
A prompt for the activity code is then displayed.
<F6> Delete displayed customer or activity.
<Alt-d> This command will begin the deletion process
for the displayed customer or activity. In
order to delete a customer or activity, you
must be modifying the customer or activity.
Customer's are verified to not have activities.
If there are activities for the customer,
a dialog question will be displayed. Note that
the active current field, will help to determine
if an activity or customer is deleted.
<F7> Update and clear.
<Alt-u> This command updates the displayed customer or
activity and immediately clears the screen.
Note, when the activity mode is <Add> or
<Modify> and the active field is an activity
field, this command only applies to the activity.
<F8> Update.
<Alt-w> This command is the same as <F7> or <Alt-u>,
except the screen is not cleared.
<Alt-p> Print displayed or highlighted item.

C&A Activity Memo Screen
The activity memo screen is the open area under the activity
field's underscore. This area is the memo editor window, which is
by default in the unzoomed mode. When zoomed this screen's size
is increased to a full screen. Since this screen is part of
the main entry screen, it will not be shown hear.
Memo Mouse:

The customer view screen is used to display and select queried
customers. Customer key values are entered through the C&A main
entry screen and the command <F4> displays the customer view screen.
All qualifying customers are displayed in key order. That is,
each customer with keys equaling the entered key value are first.
Those customers with increasingly greater values are then displayed
in order of magnitude. For further information see section
(LESSON (4) Query or Find Customers).
The top of the customer view screen displays the key used for the
query. If your query does not produce the desired customer
selection, check this display only field. The next line is the
screen title, and then the field titles. Select any customer by
using the up or down arrow keys to highlight the customer and
press <Enter>.
At the top left corner of the view screen is a box with a line
in it. This is the close window box. Place the mouse cursor on
this box and press the left button. This will close the customer
view screen. <Alt-x>, <Esc>, <F9>, <Alt-e> or <Ctrl-Break> will
also close this view screen.

The activity view screen is used to display and select the
queried activities for the current customer. Activity key values
are entered for a customer using the main customer entry screen's
activity fields. By pressing <F4> the activity view screen is
displayed. The first line of the activity view screen displays
the title and key used. The far right corner indicates if the
filter is On, Off or filtering. Filtering is toggled by pressing
<Alt-o>. Date, Code and description fields are analogous to the
main entry screen, although you may notice that the description
is the full 56 characters. Select any customer activity by using
the up or down arrow keys to highlight the activity and press
<Enter>.
At the top left corner of the view screen is a box with a line

The selection menu above is generic. Each selection menu has its
own title and the items selectable differ.
Selection menus provide an easy way to control the input of
certain fields. The fields: City, State, Activity Code and
Activity Desc all have selection menus. A field's selection menu
is displayed by pressing <F3> when the field is current or
highlighted. If the field where the selection menu was activated,
has a value contained within the menu, this item is the default
or highlighted item.

C&A Dialog Question or Message Screen
Notices and questions are communicated to the user through
a dialog screen. There are 3 kinds of message screens:
o Yes, No, or Cancel
o Yes or No
o Message
The dialog question or message screen will highlight the
default answer. For mono screens, the characters » and « will
enclose the default answer. By pressing <Enter> the default
answer will be chosen. The default answer can be changed by
pressing the <Tab> key. An answer can be immediately selected by
pressing the key, which is the first character of the desired
answer.
The cancel answer to a dialog message is the same as pressing
<Esc>. Therefore, cancel means to cancel the last command.
All dialog screens use the same commands, except the possible
answers will change. The following are examples of each dialog

V. Customizing C&A
C&A can be customized using command line options, MSG files
and TEP files. The registered version of C&A provides additional
customization through a setup program. For information about
registering your copy of C&A, see the file "ORDER.DOC".
In this section we will discuss how to customize C&A by modifying
the MSG and TEP files. Command line customization options are
not discussed here. See section (VI. Command Line Options) for
command line option information.
An ASCII text editor is required to customize C&A TEP and MSG
files.
The ASCII text editor can be any editor that creates DOS text
files. A DOS text file is the same type of file as "CONFIG.SYS"
or "AUTOEXEC.BAT". All tabs must be expanded to spaces. That is,
space characters must be used instead of tab characters. This is
often an option of the editor. The editor "EDIT" supplied
with DOS 5.0 will work. Each MSG file must be located on the
same drive and in the same directory as the executable file
"CA.EXE". For more information about file locations and
directories see the text file "CATEK.DOC".
MSG Files
MSG files are used to customize the pick or selection menus.
There are 3 of these menus selectable from the main entry
screen. We will refer to pick or selection menus simply as
selection menus. Selection menus provide structure and
in some cases, control over the input of certain fields.
The selection menus are: City Names, States, and Activity
Descriptions.
Each selection menu has a maximum of 52 items, which are used
as is, or may me changed. An ASCII text editor is required
to customize any one of these selection menus.
"CITYNAME.MSG"
The first selection menu is City Names. As many as 52 different
city names can be added to this selection menu. This provides a
consistent and easy way of entering common city names. City
names are never verified and may be left blank within the
main entry screen. The file "CITYNAME.MSG" contains the
names of each city selectable through this menu. The format
is as follows:

The third and final selection menu is Activity Descriptions.
This is the most important of all the selection menus. Activity
codes are verified to exist within this menu when entered. The
file "ACTDESC.MSG" contains activity codes and descriptions. Also,
this is where the description over-ride indicator is located.
The description over-ride indicator is an asterisk in the first
position of the activity code's description.
As many as 52 user definable activity codes are available. If
you define all 52 activity codes, a customer will be able to
have 52 activities entered for each calendar date. That is
52 activities, per customer, per calendar date.
The file "ACTDESC.MSG" contains the activity codes and
descriptions available for selection or entry. The format
is as follows:

used for key look-ups.
The "ACTDESC.MSG" file is the most important C&A file. You will
want to do this customization, before using C&A for your own data.
What types of activities will be tracked as well as groups will
need to be decided on. The following is an example on how this may
be done.
Suppose that you were a salesman who sold PC/XT/AT compatible
computer systems. You would probably need to manage hardware,
software and combined estimates. In addition to estimates,
purchase orders and correspondence would be necessary. Our
activity groups would be as follows:

The miscellaneous group provides 3 activities per customer, per
calendar date. Each of these activities must have their descriptions
entered. With the codes set up as they are, all miscellaneous group
activities are found by performing a search on "000 ". That is,
retrieve a customer, and in the activity code field enter "000" and
press <F4>.
The estimates: hardware, software and both are all "1000" codes.
They can all be found by entering "1" in the activity code field
and pressing <F4>. All estimate activity codes have pre-entered
descriptions. These cannot be modified. But, this could be
easily changed by adding an asterisk to their descriptions.
Purchase order activity codes are all "4000" codes. Notice how
returns and complaints are grouped with the purchase order codes.
This allows us to find all purchase orders, returns and complaints
by entering "4" in the activity field and pressing <F3>. If we
only wanted purchase orders, we enter "40" in the activity
code field and press <F4>. If we only want complaints, we enter
"41" and press <F4>, and so on.
Phone calls and letters are all correspondence. These are all
"7000" codes. By entering "7" in the activity code field and
pressing <F4>, all letters and phone calls are queried. All
activity codes 7001, 7002, 7003 and 7101 can have their
descriptions changed.
With your ASCII text editor, open the file "ACTDESC.MSG" and we
will change the activity codes and descriptions. After you have
modified the "ACTDESC.MSG" file, it should look like:

the name "CA" + (activity code) + ".TEP". For the above
"ACTDESC.MSG" file, the template files for each code would

The same ASCII text editor can be used to create or modify any
one of these files. Template files must be no more than 76
characters across and no longer than 0 - 124 lines. IF a template
file is created and it exceeds the defined limits, an error message
will be displayed. If this occurs make sure your template file is
within the defined limits.
Some template files above will already exist from the
initial installation of C&A. Any one of these files can
be modified or deleted. When a template file does not
exist for an activity code, it is simply not used.
For a good example of a template file, see the provided
file "CA0001.TEP".
VI. Command Line Options
Command line options are those parameters that follow the
program name. At the dos prompt
C>
by typing "ca max lpt2", without the quotes, will start C&A
using maximum memory and printer port LPT2. This is what
the complete command line would look like:
C>ca max lpt2
Some command line options must be used as the first parameter
of the command line. Although, most command line parameters
can be in any order. All options, entered as command
line parameters, must be separated by a single space as
shown above. Also, command line options can be entered as
upper or lower case. The following table will show each command
line parameter and its affect.

VII. Other Options
There are 2 other options available:
o Standard Configuration File "CA.CFG"
o DOS Environment Variable "CAEMS"
Standard Configuration File "CA.CFG"
The standard configuration file "CA.CFG" is located in the
same drive and directory as the C&A program file "CA.EXE"
"CA.CFG" contains configuration information that is loaded
during C&A's startup. This configuration file was created
using the registered version of C&A's setup program. If you
rename this file to "CAX.CFG" and at the dos prompt "C>" type
ca
C&A will not find the "CA.CFG" file and will use the internal
default configuration. This default configuration uses extended
colors, rather than the normal colors used by C&A when the
"CA.CFG" file is loaded. Extended colors provide more colors than
normal colors.
Provided with the shareware version of C&A are 4 configuration
files. These will give you an idea of what is possible when using
the registered version of C&A. The following table shows each
configuration file with a short description.

Colors are Extended and Fail Safe = ON.
Any one of the provided configuration files can be used through
the (P + configuration file name) command line option. It is also
possible to rename the standard configuration file to another name,
and rename a custom configuration file to "ca.cfg".
FAIL SAFE is a data base protection mode. When fail safe is "ON",
all database files are flushed to disk after any update. This
insures that C&A data base files are not corrupted. But, when
fail safe is "ON" there is a short delay after updates. The
configuration file "CA1.CFG" has fail safe set to "OFF". This
will significantly decrease the delay after a database update.
But, will not protect the database integrity of C&A in the event
of an abnormal termination. For your convenience the program
"CAFIX.EXE" is provided. This program will fix a corrupted C&A
data base.
DOS Environment Variable "CAEMS"
The DOS environment variable "CAEMS" is usually not needed. But,
if you are having problems with your system's EMS, this may help.
When C&A detects EMS is available, it will first use it for
program overlay management. If you are not familiar with overlays
don't worry. IF enough EMS exists, C&A will use it for its overlay
file. Otherwise, it is not used for overlays.
If you are having problems with your EMS and C&A, or you would like
to reserve your EMS for other process's. The following DOS
environment variable will stop C&A from using EMS for its overlay
file.
At the DOS prompt "C>" type
SET CAEMS=N
This would look like:
C>SET CAEMS=N
Setting this DOS environment variable will stop C&A from using
EMS for its overlay management. CAEMS can have the value "N"
or "Y". "N" means don't use EMS for overlays and "Y" means
use EMS for overlays. If you don't have EMS, this option
is ignored. If you have EMS, don't set this unless C&A must not
use EMS.
By using seting "CAEMS" to "N" and the command line option "noems",
C&A will use none of your system's available EMS.
VIII. Quick Help
Quick help is a short overview of each command and what
its function is. This listing is not comprehensive, but
provides a list of available commands which may differ
depending on the situation.
Quick help is found in the file:
"CAHELP.DOC"
This file is in the directory where you installed C&A.
IX. Utilities
The shareware version of C&A includes 2 utility programs.
The program "CABUILD.EXE" will create a new set of C&A
database files, and "CAFIX.EXE" will rebuild C&A index
files.
"CABUILD.EXE"
This program will build all the required C&A database
data and index files. Before running this program, you
will need to manually delete the old C&A database files.
See "CATEK.DOC" for a complete list of the C&A database
file names. To build new C&A database files, make sure
you are in the directory where the C&A database files
are to be located, and at the DOS prompt "C>" type
CABUILD
This will begin the C&A database file building process.
"CAFIX.EXE"
This program will rebuild the C&A database index files.
Index files may become corrupt during a power failure
or abnormal termination of C&A. When the data base mode
fail safe is on, the likelihood of a corrupted index file
is minimized. Fail safe is on by default.
The fix program will only recreate the index files from
the old data file. After running this program, some of
your data may be lost. The situations that cause data loss
are:
- Fail safe is off and C&A is abnormally terminated
after updating or adding new data.
- Fail safe is on and C&A is abnormally terminated
while updating or adding data.
Prior to running "CAFIX.EXE", you will need to:
- Back-up all C&A database files
- Determine if you have adequate free disk space
See section (X. Back-Ups and Capacities) for more information
on making back-up copies of your C&A database files. After
you have made back-up copies, you must determine if there
is adequate free disk space. To do this, you must:
- Use the DOS "DIR" command to determine the
size of your data files.
IE. "dir actdb._da"
"dir custdb._da"
- Add the file sizes of both files "actdb._da" and
"custdb._da".
- Disk bytes free should be more than the total file sizes
of both "actdb._da" and "custdb._da", plus a buffer of
about 560K bytes.
- If your disk space is close to the amount determined above,
make 2 back-ups of your C&A data base files. 2 back-ups
would allow for the possibility of one of the back-ups
not being restorable.
Once you have determined that there is enough free space, at the
DOS prompt "C>" type
dir *._*
This will display all the C&A database files and show that
you are in the correct directory. If you are in the wrong
directory, use the "CD" DOS command to make the default
directory correct.
Now, once you have made back-up copies of your C&A database
files, determined there is enough free disk space and the
your default directory is correct, the database fix can
begin. At the DOS prompt "C>" type
cafix
This will begin the process. You will be warned and asked
if it is OK to continue. Press <y> if you want to continue,
otherwise press <n>. Once C&A data base fix starts, you must
not abort it or turn your computer off. If a power failure
occurs, simply restore your back-up of C&A database files.
Before the fix process begins a new database, a message will
be displayed. While each database is processed a process
indicator is displayed. For the customer's data base "."
is displayed and for activity's "o" is displayed. One
indicator is displayed per 100 database records processed.
When the fix process is complete the process will terminate.
Now you can verify that the fix was 100% successful.
If either of the files "ACTDB._MS" or "CUSTDB._MS" exist
their were duplicate key errors. If any one of these files
exist, please call Magnified Software at (714) 707-5968

X. Back-Ups and Capacities
C&A does not perform any back-ups of data or related files.
The back-up process is beyond the scope and functions of
C&A. Back-ups are best handled by a separate command or
program designed specifically for the back-up process.
Back-ups can be performed using the DOS backup command or
a DOS Back-up program like "The Norton Backup", is highly
recommended. At Magnified Software, "The Norton Backup"
has been used with great success. This back-up program has
more than payed for it self with fast reliable back-ups.
The files that will require regular back-ups are as follows:

The file "CA????.TEP" represents all of the TEP files. The
following DOS wild card file types will specify all the files
needed for regular back-ups.

C&A database capacities in most cases will exceed your requirements.
The following table will show each database and capacity.

Lets put this in perspective. If you had 2 thousand customers
and each customer had 1 activity per day. It would take more
than 1366 years to exceed the database limitations. DOS and

The registered version of C&A allows database files to reside
on separate disks, which will extend the limitations imposed
by DOS or hardware.
C&A database records for customers are about 450 bytes per
customer record. Activities are variable length records, this
means that only the required disk space is used for each
activity. Activity records are about 984 bytes to a maximum
of 9800 bytes per activity.
