Title: Merging to Columns
Product: WordPerfect 5.1 for DOS
Number: 1128-11/2
Problem
You want the results of your merge to be printed in columns.
Concept
You need to put a column definition code in your Document Initial
Codes to specify the type of columns you want to use and the
definition for the columns.
Newspaper columns will merge from the top to the bottom of the
page, then from left to right. Parallel columns will merge from
left to right, then from top to bottom.
Solutions
Use Merging to Newspaper Columns or Merging to Parallel Columns,
depending on the type of columns you want to use.
Merging to Newspaper Columns
Place a newspaper column code in the Document Initial Codes of
your primary file.
1 Press Format (Shift+F8), then choose Document (3) and
Initial Codes (2).
You are now in the Initial Codes screen. You can enter commands
just like in a document editing screen.
2 Press Columns/Table (Alt+F7), then choose Columns (1), and
Define (3).
3 Choose Number of Columns (2). Type the number of columns
you want, then press Enter.
4 Press Exit (F7) once to return to the Initial Codes screen.
5 Choose On (1).
The Columns On command needs to go in the Document Initial Codes.
Otherwise, the columns will be turned on for each record. Each
record will then be placed on a separate page.
6 Press Exit (F7) twice to return to the document screen.
You now need to enter your field codes.
7 Press Merge Codes (Shift+F9), then choose Field (1).
8 Type the field number, then press Enter twice.
Repeat steps 7 and 8 for each field. When you have finished
entering fields,
9 Press Enter, then press Merge Codes (Shift+F9), then choose
Page Off (4).
We suggest that you block protect the field codes to keep each
record together.
10 Press Alt+F4 to block the codes you want to protect; we
suggest blocking only the fields.
11 Press Format (Shift+F8), then type y to protect the block.
When you are finished, your primary file should look like this
example when Reveal Codes is turned on (Alt+F3). However, your
primary file will have more or less fields, depending on your
particular merge.
[Block Pro;On]
{FIELD}1~
{FIELD}2~
{FIELD}3~[Block Pro;Off]
{PAGE OFF}
The blank line between field 3 and the {PAGE OFF} command will
place two hard returns between each record.
12 Save the primary file.
You are now ready to start the merge.
Merging to Parallel Columns
Place a parallel column code in the Document Initial Codes of
your primary file.
1 Press Format (Shift+F8), then choose Document (3) and
Initial Codes (2).
You are now in the Initial Codes screen. You can enter commands
just like in a document editing screen.
2 Press Columns/Table (Alt+F7), then choose Columns (1), and
Define (3).
3 Choose Type (1), then choose Parallel with Block Protect
(3).
4 Choose Number of Columns (2), type the number of columns
you want, and press Enter.
5 Press Exit (F7) four times.
Note: Do not turn on columns until you are back at the editing
screen.
6 At the editing screen, press Columns/Table (Alt+F7), then
choose Columns (1) and On (1).
You now need to enter your field codes.
7 Press Merge Codes (Shift+F9), then choose Field (1).
8 Type the field number, then press Enter.
Repeat steps 7 and 8 for each field. When you have finished
entering fields,
9 Press Ctrl+Enter to move to the next column.
10 Press Merge Codes (Shift+F9), then choose Next Record (5).
Repeat steps 7 through 10 for each of the remaining columns,
except the last column. When you have added all the fields for
the last column,
11 Press Columns/Table (Alt+F7), then choose Columns (1) and
Off (2).
12 Press Enter once to create a blank line, then press Merge
Codes (Shift+F9).
13 Choose Page Off (4).
When you have finished, your primary merge file should look like
the example below when Reveal Codes (Alt+F3) is turned on. You
may have more columns and fields, but the codes should be in the
same places.
Column 1 Column 2
[Block Pro; On][ColOn]{FIELD}1~ {NEXT RECORD}{FIELD}1~
{FIELD}2~ {FIELD}2~
{FIELD}3~[HPg] {FIELD}3~[Block Pro;Off][Col
Off]
{PAGE OFF}
