OVERVIEW
========
Introduction
------------
Welcome to TaxList, a fast intuitive program that maintains
an ordered list of tax related financial information to make April 15
a little less painful. The program allows the rapid entry of random
data and sorts this information in chronological order as it is
entered. The information can be entered piecemeal throughout the year
or it can be done at a single sitting.
The basic idea behind TaxList was to develop a program that
would enable the rapid entry of raw financial data, allowing a person
to quickly prepare a federal tax return (and many state returns)
without having to wade through a pile of disparate checks, invoices,
and etc. TaxList uses a finite array that resides in memory so that
any processing is extremely fast. As currently designed, the program
will maintain a list of 1500 records.
TaxList was written in Turbo Pascal 5.5 and makes extensive
use of subroutines in the Object Professional library written by
TurboPower Software. Turbo Pascal is a registered trademark of
Borland International. Object Professional and TurboPower are
trademarks of TurboPower Software.
It should be pointed out that TaxList does NOT present
information in a ready-to-file format. The information is raw data,
and does NOT take into consideration any deductibles or reductions
required by tax regulations. Also, please remember that an acceptable
expense, credit, etc. for a federal return might NOT be acceptable for
a state return, and vice versa. The data is stored with brief line
item descriptions from both the Internal Revenue Service Form 1040 and
the Schedule A.

System Requirements
-------------------
TaxList requires an IBM personal computer or compatible with
640k of RAM. A hard drive is not necessary. A color monitor is
recommended due to the use of color in certain procedures. At a
minimum TaxList will work off of one 720k floppy diskette or a dual
360k system. Under no circumstances try to run TaxList off of a
single 360k diskette. The program and its data files require somewhat
more space than 360k.
Files
-----
When TaxList is decompressed it will produce four files,
TAXLIST.EXE, TAXLIST.LIB, TAXLIST.DOC, and READ.ME.
TAXLIST.EXE This is the main program file.
TAXLIST.LIB This is a small file containing the line items
from Form 1040 and Schedule A. It is used by the
entry/edit system. This file should NOT be
edited.
TAXLIST.DOC This user's manual.
READ.ME Contains instructions for printing TAXLIST.DOC.
When the program executes the first time it will produce a
large (approximately 129k) data file called TAXLIST.DAT. The size of
TAXLIST.DAT remains constant.
No attempt should be made to modify the TAXLIST.LIB file.
In fact, to further safeguard its integrity, you should make it a read
only file. To make TAXLIST.LIB read only, issue the following command
(without the quotes):
"A:ATTRIB +R B:TAXLIST.LIB" <Enter>
This command assumes that TAXLIST.LIB is on drive B and the
ATTRIB.EXE is on drive A.

Installation
------------
Hard Drive or Single Floppy (720k or larger):
To use TaxList in either of these systems, you will need to
copy TAXLIST.EXE and TAXLIST.LIB onto the floppy or into a new
subdirectory on your hard drive.
Dual 360k Floppy:
Copy TAXLIST.EXE and PRINT.COM onto one floppy and label it
Program. Copy TAXLIST.LIB onto another floppy and label it Data. Put
the Program disk into drive A and the Data disk into drive B. Change
to drive B and issue the command A:TAXLIST to run the program.
If the program file is on a bootable disk then the following
AUTOEXEC.BAT will correctly load and run TaxList:

This batch file assumes that you want to print reports from
within the TaxList environment and that you copied PRINT.COM to drive
A.
Conventions
-----------
TaxList uses various types of command keystrokes which, in
this document, will always be enclosed inside of angle brackets.
Several commands use the Ctrl (denoted with a ^) or Alt keys in
combination with other keys. Function keys have not been implemented
in this version of TaxList. Examples of command keystrokes are as
follows:
<AltA> Press the Alt key and the "A" key together.
<^Enter> Press the Ctrl key and the Enter key together.
<Esc> Press the Escape key.

<PgDn> Press the Page Down key.
<^QD> Press the Ctrl key and the "Q" key together.
Immediately follow this combination with the "D"
key with no intervening commands.
<LeftMouse> Press the left mouse button.
Nomenclature
------------
The terms credit, adjustment, income, and expense are based
on tax regulations. Income is any type of taxable income received by
you, such as salaries, interest, and etc. Adjustments are
expenditures which adjust your gross income, such as IRA
contributions. Credits are payments made by you that directly reduce
your tax liability such as the Federal withholding amount on your
salary check and child care expenses. Expenses are your typical tax
deductions such as mortgage interest, business expenses, and etc. Do
NOT enter any expenses that are not tax deductible, such as sales
taxes or credit card interest.
Data Structure
--------------
For those interested, each data item in TaxList is a Pascal
record in the following format:
Deleted : Boolean
Date : LongInt
Amount : Real
Note : String[15]
Type : String[2]
Detail : String[55]
Deleted is a true/false field which indicates if the record
will be deleted when the data is saved.
Date is a long integer and can handle dates up to and
including December 31, 3999.
Amount is a real number field and holds dollar amounts.
Note is a string field of fifteen characters. However,
Taxlist does not allow user independent entries into this field. The
user is presented with a pick list of acceptable entries.

Type is a string field of two characters. In this field
Taxlist will only allow four entries -- IN for income, EX for expense,
AD for adjustment, and CR for credit. The entries in this field are
automatically filled in based upon the selection made in the note
field.
Detail is an unrestricted string field with fifty-five
characters.
The records are stored in an Object Professional's ram
array, and are managed with the routines provided with that object.
The pick lists, entry/edit window, and menu system were all
developed using Object Professional's subroutines and/or utility
programs.

WORKING SCREEN
==============
The working screen consists of four rows, two at the top and
two at the bottom with a textured work surface between the two pairs.
The topmost screen row is the title row. It contains the
program's name on the left and the current date and time on the right.
Below the title row is the menu row. It has six selections
-- About, Enter, Browse, Reports, DOS, and Quit. The Browse and Quit
selections both have pull down sub-menus.
At the very bottom of the screen is the status row. This
row will present a list of available hot keys for use during various
program operations. It will also be where various messages will
appear from time to time.
Just above the status row is the help row. This row will
present brief help tips for menu selections and entry/edit operations.

TAXLIST MENU SYSTEM
===================
Movement Commands
-----------------
The following movement/selection commands are available
within the menu:
<Left> <^S> Highlight bar will move left one selection.
If the highlight bar is on the left most
item, it will wrap around to the right most
item. When there is a sub-menu associated
with the current selection, that menu will be
erased upon movement. Also, if a sub-menu
was active with the current selection then
any selection with an associated sub-menu
will have the sub-menu activated.
<Right> <^D> Highlight bar will move right one selection.
Other behavior is similar to <Left>.
<Home> Highlight bar will move to the first (left
most) item on the menu, or the top item of a
sub-menu.
<End> Highlight bar will move to the last (right
most) item on the menu, or the bottom item of
a sub-menu.
<Up> <^E> <^W> On a sub-menu the highlight bar will move up
one item. Like horizontal movement, if the
highlight bar is on the top item, it will
wrap down to the bottom item. On the main
menu, pressing one of these keys will
activate a sub-menu. If the selection has no
sub-menu then nothing will happen.
<Down> <^X> <^Z> On a sub-menu the highlight bar will move
down one item. The <Down> command will also
pull down a sub-menu if one is associated
with the current selection.

<Enter> <LeftMouse> If the current selection does not have an
associated sub-menu, then the indicated
operation will occur, otherwise the
associated sub-menu will be activated.
<Esc> <RightMouse> If there is an active sub-menu on the screen,
then it will be erased, otherwise this
command does nothing.
Finally each menu or sub-menus selection has a highlighted
character (in red). Pressing one of these characters will move the
highlight bar directly to that selection. Thereafter, the indicated
operation will be performed. If there is a sub-menu associated with
the selection then it will be activated.
As you move around the menu, you will note that row 24 will
contain a brief description of what each highlighted selection will
do.
About Selection ( )
-------------------
The About selection opens a window on the work surface which
displays the authors name and address along with available memory.
Press any key to close the window.
Enter Selection
---------------
The Enter selection opens the entry/edit window on the work
surface. Further operating details regarding this window can be found
below.
Browse Selection
----------------
The Browse selection opens a pick list window on the work
surface. This window will display all of your data arranged
chronologically. In the event that you have not entered any data yet,
you will receive a brief reminder of this fact on the status row.

Reports Selection
-----------------
The Reports selection opens a sub-menu with two choices, Row
or Column.
The row report produces a written report on disk
(TAXLIST.ROW) with each data item occupying two lines and separated by
a dashed line. If a hard copy printout is desired then TaxList
submits the report to PRINT.COM for printing. Since PRINT.COM is a
spooler, you can continue using TaxList while the printer is printing
your report. You can even exit the program with no adverse effects.
The column report produces a columnar report on disk
(TAXLIST.COL) with each line of data occupying one line. The hard
copy option is the same as the row report.
DOS Selection
-------------
The DOS selection enables you to temporarily exit to DOS.
It leaves TaxList and invokes a second copy of COMMAND.COM. To return
to Taxlist, just enter the command EXIT at the DOS prompt. The DOS
prompt will remind you of this command. The screen color was
intentionally made an intense yellow on black as an added reminder
that there is an active program in residence.
The amount of memory available to run another program will
vary depending on your system. The more TSR's (terminate and stay
resident programs) and the MS-DOS version will directly affect the
available memory. The author's system uses MS-DOS 5.0 and with DOS in
high memory has about 264k available if PRINT.COM is installed in low
memory.
Quit Selection
---------------
The Quit Selection opens a sub-menu with two selections,
Stay or Quit. The Stay selection gives you the option of remaining in
TaxList.
This would be a good place to mention that TaxList does not
prompt for saving your work. This function is done every time you
properly exit the program. It should go without saying that disasters
do happen and that the TAXLIST data file should always be backed up on
a separate floppy diskette.

Hot Keys
--------
While the menu system is active, the following additional
commands are supported:
<AltT> This command opens a window which shows the total figures
for the four types of data items. The bottom edge of the
window will indicate the total number of undeleted records.
Pressing any key will close the window.
<AltS> This command performs a forced save of data. Use this
command if there is any chance that your computer might have
a power loss or similar disaster. TaxList does NOT perform
timed backups.
<AltQ> Immediately saves your data and exits the program.

ENTRY/EDIT SCREEN
=================
When you select Enter from the menu, or while in the browse
screen you press <AltA> or select a record for editing, an entry/edit
window will open to enter new data or modify previously entered items.
New entries are placed chronologically in the array using an insertion
sort.
Movement Commands
-----------------
The following movement commands are available within the
entry/edit window:
<Left> <^S> Move the cursor left one character. If the
cursor is already at the beginning of a field
then the cursor will move left one field.
<Right> <^D> Move the cursor right one character. If the
cursor is already at the end of a field then
the cursor will move right one field.
<^Left> <^A> Move the cursor left one word.
<^Right> <^F> Move the cursor right one word.
<Home> <^QS> Move the cursor to the beginning of the
field.
<End> <^QD> Move the cursor to the end of the field.
<Up> <^E> Move the cursor up one field.
<Down> <^X> Move the cursor down one field.
<Tab> <^I> Move the cursor to the next sub-field. For
example, in the date field pressing <Tab>
will move the cursor from month to day.
<ShiftTab> Move the cursor to the previous sub-field.
<^PgUp> <^QR> Move the cursor to the first field.

<LeftMouse> Move the cursor to the field pointed to by
the mouse.
As you move through the fields, the status row will offer a
brief description of the purpose of each field.
Editing Commands
----------------
Once you are in a desired field, the following editing
keystrokes are available:
<Delete> <^G> Delete the character at the cursor.
<Backspace> <^H> Delete the character to the left of the
cursor.
<^Y> Clear the entire field.
<^End> <^QY> Delete from the cursor to the end of the sub-
field.
<^T> Delete the word to the right of the cursor.
<Insert> <^V> Toggle the insert mode off and on. A fat
cursor indicates the insert mode and a thin
cursor indicates the overtype mode.
<Enter> <CenterMouse> Accepts the contents of the current field and
moves the cursor to the next field. If the
cursor is already in the last field then
cursor will wrap around to the first field.
<^R> <^QL> Restore the original contents of a field.
<^Enter> The contents of the entire record are
accepted and the entering/editing process is
ended.
<^PgDn> The contents of the entire record are
accepted and the screen is set up for a new
entry. Using this command keystroke will
enable you to rapidly enter numerous new
records.

<Esc> <RightMouse> The entry/edit process is aborted. The
current information is not retained.
Date Field
----------
The date field is used to record dates. It is a required
field which means that a user will not be allowed to leave this field
or save the record without entering a valid date. TaxList validates
the information in this field to insure that it is a valid date. If
you enter an invalid date (eg. 13/12/92, or 2/29/93) or leave the
field blank, then a warning message will appear on the status row.
You will have to acknowledge this message with a keypress.
The date field accepts information in the MM/DD/YY format.
By using <Tab> you can move from sub-field to sub-field very quickly.
The beginning default for this field is the current date. If you are
entering multiple records then the new default will be the date of the
last entry.
Amount Field
------------
The amount field is used to record amounts. Like the date
field it is a required field with similar warning message and
response. It uses a numerical style of editor, which means that new
digits appear on the right and push previous digits to the left. The
maximum amount for this field is $999,999.99.
Note Field
----------
When you move into the note field, you are presented with a
pick list of acceptable responses. Movement in this field is
accomplished with the cursor movement keys. <Up> and <Down> will move
the highlight bar up or down one item. <PgUp> and <PgDn> will scroll
one window page. If a mouse is detected, a text oriented scroll bar
will appear on the right frame of the window which has the usual hot
spots for moving the highlight bar. When you find the required item
then press <Enter> (or double click <LeftMouse>) and the highlighted
item will appear in the note field.

As you move through this pick list, a more detailed
description of each selection will appear on the status row. A
complete listing of these selections and their corresponding
descriptions is in Appendix A. The note entries are a short form
notation of the line items found on Form 1040 and Schedule A. The
descriptions on the status row are (space permitting) the complete
line items as they appear on the tax forms. As an aside, this
information is maintained in the TAXLIST.LIB file. As noted earlier,
do NOT attempt to modify this file -- you will only corrupt it and
cause Taxlist to crash.
Type Field
----------
This field is not directly addressable by the user. Its
contents rely solely on the item selected in the note field. The
contents for this field are IN for income, EX for expenses, AD for
adjustments, and CR for credits.
Detail Field
------------
The detail field is for you to record any information
regarding the current record. Such information could include check
numbers, invoice numbers, or miles driven (eg. for a doctor's visit).
This field will accept fifty-five characters, however, the entry field
is limited to thirty-eight characters. When you type the thirty-
eighth and subsequent characters, the left most characters will be
pushed out of the field. These characters are not lost and will be
saved with the other information.
Hot Keys
--------
There is only one additional command keystroke associated
with the entry/edit screen. This is <AltT> which is discussed under
the menu's hot keys.

BROWSE SCREEN
=============
When you select Browse from the menu a window will open and
all of your data will be presented in the form of a pick list in
chronological order. In this window you can select a record for
editing or toggle a record as deleted/undeleted.
The window will only display seventeen items at a time.
When the number of records exceeds this amount, a "More" header will
appear on the bottom right of the window frame with one or two arrows.
The arrows signify that there is more data in one or both directions.
As you move from record to record, then contents of the detail field
will appear on the help row.
Movement Commands
-----------------
The following movement commands are available in the browse
screen:
<Left> <Up> Move highlight bar up one item. If the
highlight bar is on the first item, then it
will wrap around to the last item.
<Right> <Down> Move highlight bar down one item. If the
highlight bar is on the last item, then it
will wrap around to the first item.
<Home> Move highlight to the first item.
<End> Move highlight to the last item.
<PgUp> The pick list display will scroll up one
window relative page.
<PgDn> The pick list display will scroll down one
window relative page.
If TaxList detects a mouse then a scroll bar will appear on
the right frame of the window with the usual hot spots for moving the
highlight bar.

Editing/Deleting Data
---------------------
To edit a record, use the movement keys and highlight the
record. Press <Enter> and the Entry/Edit window will open with the
selected record's contents filling in the fields. If you have a
mouse, just put the pointer on the desired record and double click
<LeftMouse>. Make any corrections and press <^Enter> to accept the
changes. If you decide against modifying any information, just press
<Esc> and the editing process will quit with no changes made to your
data.
When you accept your changes (ie. press <^Enter>), the old
record is deleted and the modified information is inserted as a new
record. This will give you the final chance of changing your mind by
deleting this new record and undeleting the old record.
Deleting a record is very simple -- highlight the desired
record and press <AltD>. The display will change to red letters
signifying that this is a deleted record. To undelete the record,
just highlight it again and press <AltD>. The letters change back to
their old colors and everything is as it was before.
Deleted records remain visible (in red) until the data is
saved to disk. At this time the deleted records are purged and cannot
be recovered.
A method of making duplicate entries is simplified by using
edit in conjunction with delete. Suppose you have a recurring expense
on a frequent basis. Highlight one of the old records, select it for
editing, make any necessary changes, and accept. After you are back
in the browse window, undelete the old record. You now have two
records which, except for your change, are identical.
Hot Keys
--------
While the browse system is active, the following additional
commands are supported:
<Esc> Close the browse window and return to the
menu.

associated with this window will be active.

REPORTS
=======
When you select Reports from the menu, you are presented
with a sub-menu with two choices, Row or Column.
TaxList first writes the report to disk and then (if
desired) prints it. If you wish to print reports from within TaxList,
you must install PRINT.COM (PRINT.EXE for MS-DOS 5.0) PRIOR to running
TaxList. Do NOT install PRINT.COM by invoking TaxList's DOS shell and
running PRINT.COM. This procedure will crash TaxList.
Since the row report and column report differ only in style
rather than procedure, they will be discussed together. When either
one of the reports is selected, you will be prompted if hard copy is
desired. The default for this prompt is no. Thereafter, TaxList will
create the report in memory. The program then checks for an existing
report file and, if found, asks for permission to over write. If you
give a positive response a file is written to the default
disk/directory. A hard copy report is then generated (if earlier
requested) by submitting the file to the PRINT.COM queue. Since
PRINT.COM is a spooler, you can request that another report be printed
or exit TaxList to run another program. The only thing you can't do
is turn off the power.
The row report produces a file named TAXLIST.ROW. The
report is sorted by type, note, and date. Each record will occupy two
lines. The first line contains the day, date, type, note, and amount
fields of each record. The second line will contain the fifty-five
character detail field. Unlike the column report, the row report will
indicate if the sorting process was successful. Each record will be
separated by a dashed line.
The column report produces a file named TAXLIST.COL. The
records are arranged by date with each record occupying one line.
This line will contain the date and note fields. Between these two
fields are headings for expenses, income, credits, and adjust. The
amount for each record will appear under the appropriate heading.
The last page of either report will contain the totals for
income, expenses, credits, and adjustments. A brief example of both
reports is in Appendix B.

In the event that a hard copy report is not wanted until
later, you can print it outside of TaxList by entering the following
command at the DOS prompt:
PRINT TAXLIST.ROW
Alternatively, you could simply copy the report file to your
printer using the command:
COPY TAXLIST.ROW PRN
Both styles of reports are formatted for output in memory
before writing them to disk. It is not recommended that a report be
loaded into a word processor for printing.
