Example, before you issue the pay checks you find you paid somebody for hours instead of hours - you may want to re-run the pay cycle. If there are no pay cycle errors then the files PAYUSA.DTA, PAYUSA.INX and PAYUS.DTA output by the pay cycle have to be copied from \PAYOUT to \PAYIN before updates for the next pay cycle are done. This copying is controlled by the programs and will be done (or not done) based on your answers to this message. PRESS ANY KEY The run control flag in the PAYUSA.CNF file indicates that you have not copied the output files from the last pay cycle to the input directory, therefore we will be reading or updating the same files as were input to the last pay cycle (in effect throwing away the results of the last pay cycle). This is appropriate ONLY IF you are fixing errors prior to RE-RUNNING the last pay cycle. Good insurance in case of re- runs being required due to errors discovered later, or in case required later to re-create reports for accounting purposes. You can, if you wish, do a full size backup to diskette from here. See the file BACKUP.TXT on your program directory if you need more information on backups. Want to create a backup on a diskette NOW ? (Press Y or N ) We will create a unique directory on the diskette for each pay cycle. The directory name will identify the pay cycle date the files were input to. This allow storage of several pay cycles on the same diskette (if there is space). If you have a lot of employees (e.g. the files will not fit on a diskette), you may prefer to use PKZIP or ARC to compress the files to about % of the original size and save storage space. (Compressed files require PKUNZIP, or ARCE or ARC to expand them to back to their original size before they can be used). Since these data compression utilities are not our programs we cannot make them a part of PAYROLL USA's routine processing. They are ShareWare programs, so Register direct with the authors of those programs and execute them from the DOS prompt if you wish to use them. O.K. to back up file FULL SIZE ? (Press Y or N ) y PAYUSA.DTA PAYUS.DTA PAYUSA.INX PAYUSA.CNF WHICH DISK DRIVE TO WRITE THE BACKUP ON ? (Press A, B, C, etc. ) a Insert a formatted diskette with sufficient space in Drive A then press Y, or press N to abort backup Starting with the version we have tightened control of backups where multiple configuration files exist. To reduce the potential for backing up onto or restoring from the wrong disk we are writing volume labels on the diskettes and checking them each time a diskette is used. You will only see this message if there is something odd about the labels. Expecting to find diskette labelled SMITH The diskette you are using for the backup is labelled ANTHISTLE This could indicate it is a brand new diskette being used because the previous diskette is full, or it could indicate this is the first backup with the version, or it could mean it is the wrong diskette. Only you know the answer. ANY KEY TO SEE A DIRECTORY OF YOUR BACKUP DISKETTE ANTHISTL.E bytes are available Is this the correct diskette to use for backups of SMITH employees ?
