- MailMan

- This is the public domain demonstration version of MailMan. It can be
- freely distributed on the condition that all the files are kept unaltered
- and together.
- The only difference between this and the fully working version, is that
- you cannot print or save.
- For an independent review of MailMan you can read what Mark Webb had to
- say in the November edition of Archimedes World.
- Note: all the "moans" he mentioned have been corrected or added (CSV file
- imorting).

- Introduction
- ============
-
- This is the new version of MailMan - with a slightly better look and
- a couple of extra features. MailMan is a database and label printing
- application that copes with most requirements. It offers a flexible
- approach to what can be a difficult task. So no matter what type of
- printer or stationary you have MailMan will meet your needs and give
- you pleasing results.
- It supports outline fonts, draw files and will even automatically
- centre the text, so you can give your labels that professional look.
- It has a flexible field structure which allows you to configure the
- database to your personal needs - an address book, notepad/diary etc.

- Getting started
- ===============

- MailMan loads in the usual way and initialises on to the icon bar.
- Click select to call up the address book which acts as the central
- point for all the applications functions.

- Users with RISC OS 2 need to ensure that they have already loaded some
- fonts otherwise MailMan will fail to load - sorry!

- Loading MailFiles
- -----------------
- MailFiles are loaded in the standard way, by either double clicking on
- them or dragging them to any of MailMan's windows or on to the icon on
- the icon bar.

- Loading Drawfiles
- -----------------
- Draw files can be loaded by dragging them to any of MailMan's windows or
- on to the icon on the icon bar.

- Loading CSV files
- -----------------
- To load CSV files you should make sure they have filetype &DFE (see your
- Acorn user guide if you are unsure of how to do this) and drag the file
- either to then MailMan icon on the icon bar, or to any of MailMan's
- windows.
- The CSV file should contain 11 fields or less - MailMan will adjust its
- record structure accordinly. If there are more fields then the file will
- fail to load.
- Please note: A CSV file will take noticeably longer to load than the
- standard MailFile.

- Main features
- =============

- Outlined below are the main functions MailMan offers:

- Note: the accompanying MailFile is provided to help you grasp the use
- of the functions and options, quickly and easily and is there to be
- experimented with.

- Database
- ========
-
- Misc
- ----
- Fields - This allows you to name each field. Click Ok to change the field
- names.
-
- Save
- ----
- Config - This saves the font information (font name, size and leading) as
- well as saving the field names. This information will then be loaded
- whenever MailMan is loaded.

- Records
- -------
- Note: The use of any of the record options which change the total number of
- records will revert the selection of files to the Current record+ state - see
- below.
-
- Sort
- ----
- Sorts all the records with respect to any line.
- You should note that when a sort is made on a line which some records don't
- have information on - repeated sorts will change the order of these records.
- For instance, repeating a sort of phone numbers whilst displaying record number
- one will result in record number one changing each time this sort is made.
- MailMan is simply reorganising the records that do not have information on
- telephone numbers - so don't think the sorting process isn't working correctly,
- like I did, it is.

- Search
- ------
- If a search is successful the results will be displayed in another window
- along side the main one. From here you can choose:

- Save - Saves the result of the search.
- Remove - Remove the records found from the main file.
- Goto - Make the main window goto the current record displayed in the found
- window.
- Show
- ----
- Label - Opens the label window.
- Page - Displays an A4 page of labels.

- NumGen
- ------
- This is provided so you can included some sort of numbered field for
- printing raffle tickets or customer numbers etc.
- Use the placement option to place the NumGen output in the required line.

- Selection
- ---------
- Selection is used to chose which records you wish to output to the
- printer. The results of your selection will also be shown in the Page
- viewer window.

- Current record+ - This selects a page of records starting with the one
- currently displayed in the address book.
-
- All records - Selects all records.
-
- Records ranged - Selects only those records which are given by the
- range you have chosen.
-
- Records containing - Like the search option, this will select those
- records that contain the text you have specified.
-
- Note: This search is not case sensitive.
-
- Print
- -----
- Prints using the standard RISC OS printer drivers. (Not in this demo
- version).
-

- Label
- =====
-
- The label displays the current record shown in the address book.
-
- Fonts
- -----
- Move the mouse pointer over the arrow next to the font name to display
- the font menu.
-
- The leading is the spacing between each line of text.
-
- Offsets
- -------
- This is where all the options that effect the label are selected.
-
- Label size
- ----------
- Chose the size of your label. The default is based on an A4 piece of
- paper with two columns of labels.
- All the measurements are in OS units. These are the units used to draw
- lines on the screen. I have used these for simplicity sake and to
- minimise rounding errors if I were to use millimetres etc. At an
- estimate they are roughly equal to 0.14 of a millimetre - I think!
- So 1400 OS Units = 1400*0.14 = 196mm.

- Text format
- -----------
- You can either use fixed offsets which will give all your labels the
- same horizontal and vertical starting point or use the centre text
- option. Please note that centre text will change any fixed text offsets
- you may have entered.
- Ignore empty lines - This option, when selected, will ignore any lines
- which are unused so the text is all together. When deselected, any
- lines that are unused will be shown, so text is spaced out.

- Draw format
- -----------
- You enter the size of the box you wish the Draw file to appear in and
- it is scaled to fit this box.
- Position at - simply give the co-ordinates of the top left hand point
- where you want the picture to be displayed.
- Remove - removes the currently loaded Draw file.

- Fields
- ------
- Select and deselect the fields you want to be displayed.

- Page
- ====

- Settings
- --------
- The label offsets are relative to the printer margins, so changing your
- printer margins will effect the positioning of your labels on the page.

- Display menu
- ------------
- This gives you two options Page and Output. Page governs what you see
- on the screen and output governs what the printed result will contain
- (Boxes/Text).

- Setup
- -----
- You can have a maximum of three different settings in MailMan. For example,
- A4 Labels, Disc Labels and Continuous Labels - note that changing to a
- different setup will revert all settings to those that have been saved to
- disc - so make sure you save any settings you wish to keep before changing
- to another setup.

- Special Keys
- ------------
- F1 - Insert the date at the current caret position.
- F2 - Display the label.
- F3 - Display the A4 page.
- F4 - Insert a record before the current one.
- F5 - Insert a record after the current one.
- F6 - Delete the current line.
- F7 - Delete the current record.
- F8 - Clear all records.

- Notice
- ------
- If MailMan suffers a fatal error then your are advised to reset your machine
- by pressing the Ctrl and Break keys. Fatal errors are most likely to occur
- after playing non-multitasking games. To guard against this you should always
- reset the machine after playing games.

- This concludes my summary of MailMan's main features.

- Tip
- ===
- To set up MailMan to print on your particular type of label paper (this
- would normally be labels on A4 sheets) - although you can use continuous
- label paper if you wish) it is best to use the following steps:
-
- - Set the printed output to boxes only.
- - Load a piece of normal A4 paper.
- - Roughly estimate the margins, gaps, etc..
- - Print.
- - Place a page of Labels on top of the A4 piece with boxes on them, and
- hold them up to the light.
- - See if the boxes match the outlines of your labels.
- - Adjust until they do.

- Note: It is sometimes useful to make the boxes smaller than the actual
- label size to allow for minor differences when loading paper in your
- printer. If you have a sheet feeder etc. then this is probably not
- necessary.
