INTRODUCTION
============
PhoneBook is intended to be an easy program for anyone to use to
store, sort, browse, or print a list of names, addresses, and phone
numbers. There are presently many packages on the market which do
the same or even a better job, but they are often bundled together
with a word processor, a spread sheet, a data base, and ten or
twenty other assorted functions. These programs are great for the
person who uses them everyday. But many users are only occasional
users who are intimidated by the $150-$200 program that requires
digging out the manual every time they want to perform a simple
function, thus turning what should be a 2 minute job into an hour's
workout.
PhoneBook was designed to do only one job, and to do it simple
enough and be user friendly enough to be used without having to
have the manual out cluttering up the desk.
Whether you are a computer science major or a computer illiterate,
you will find that the program is straight forward and easy to use.
To run PhoneBook, simply type pb at the DOS prompt.

EQUIPMENT REQUIREMENTS
======================
PhoneBook can be run with the following equipment:
- IBM PC, XT, AT, PS/2, or 100% compatible system
- At least 64K RAM
- 80 column monochrome or color monitor
- One of the following:
* A single floppy disk drive
* Two floppy disks drives
* A hard disk drive
- A printer is optional.

THE MAIN SCREEN
===============
The main screen is basically divided into four sections. The top
line simply shows the program name, the main menu selections, and
the name of the current file. The first time PhoneBook is run the
current file will be named NONAME.PBD. Refer to Saving Files for
information on creating the filename of your choice. An asterisk
to the left of the filename indicates that you have made a change
to the file and that what is stored in the database is now
different than what is stored on disk.

The next section down is the heading section, which divides the
screen into 'fields'. One field name will always be highlighted.
This is the field that PhoneBook uses when sorting or re-sorting
the data base. The first time you run PhoneBook, or any time you
choose to create a new file, the 'Last Name' field will be
highlighted. Refer to the section on sorting the database for
information on changing the sort field.
The main body of the PhoneBook screen comes next. This section
contains a sorted listing of all entries in the data base. You
will notice that each field appears to be smaller than those used
in the input template (Refer to Adding a Record). This is done to
conserve space on the screen and so that the user can rapidly
scroll down the screen without having to also scroll sideways to
find a particular item.
The final section is located on the bottom line of your monitor.
This line is used for the display of the short cut keys for
commonly used commands, as well for the display of helpful messages
you'll see when using the pop down menus. This line is also
referred to as the message line.

ADDING RECORDS
==============
Adding records to the current file is easy, simply press F5. This
will open a window displaying a data entry form, or template. As
with most PhoneBook functions, should you change your mind about
adding the record, simply press Esc to return to the main screen.
The template contains space for all of the fields displayed on the
main screen plus the comments field. The comments field is only
displayed in the Add record, Edit, and View modes. You'll notice
that each field has room for many more characters than are
displayed on the main screen. This feature allows you to more
quickly scroll through the database with out having to scroll the
screen from side to side. The maximum number of characters
available for each field is shown below:

As with most PhoneBook functions, a quick glance at the message
line ( the bottom line on your monitor ) will tell you the keys
that are active in the current mode.
To move from one field to another use the Enter key, the up and
down arrow keys, or the Home and End keys. Enter whatever data is
required in the fields or leave any or all of them blank if
desired. To save the record the Ctrl-Enter key combination must
be pressed. Pressing Esc will simply return you to the main screen
with no changes made to the database.
Each time a record is added the template window will clear itself
and reopen for you to add another record. When you've added all
the records you care to, simply press Esc to return to the main
screen.
As records are added, only the information stored in the computer's
memory is changed, not the information stored on disk. Any time
a change is made to the current file, an asterisk (*) will be
placed just to the left of the file name on the top line of the
menu. If the file has changed, PhoneBook will alert you if you
try to load another file or exit the program.
You can add as many records as you like until your computer's
memory is full. In the unlikely event that you use up all of your
computer's memory, PhoneBook will alert you with a message of
"Insufficient Memory".
Duplicating a Single Record
---------------------------
A record duplicating function is also available through the use of
the Alt-R key combination. This function is only active if there
is one and only one record in the database. Its purpose is to
allow you to rapidly duplicate a single record. This is useful if
you wish to print return address mailing labels. Simply enter the
record you wish to duplicate, press Alt-R, specify the number of
copies you want, and press Enter.
To use the function, start with a blank database by selecting New
from the File Menu ( Alt-F,N ), press F5 to add a record, enter the
appropriate data and press Ctrl-Enter when done. You now have a
single record in the database. To duplicate the record, use the
Alt-R key combination. A window will open asking you to specify
the number of copies you want. Pressing Esc at this point will
cancel the function and return you to the main screen.
The number you enter will be the total number of records in the
database. For example, assume you wish to print a number of
mailing labels with your name and address, and you have blank
mailing labels with 36 labels per page. You would like two pages
full of labels. When asked for the number of copies, enter 72 and
press Enter. Your database now contains 72 identical records of
your name and address.

DELETING RECORDS
================
To delete a single record, press F6. The top record presently
displayed will be highlighted. A quick glance at the message line
tells you, among other things, that if you change your mind you
simply press Esc. Use the up and down arrow keys to highlight the
record you want to delete and press Enter. A confirmation window
will open. Press 'Y' to delete the record or 'N' if you change
your mind. Once the record is deleted, or if you cancel, you are
returned to the main screen.
Please be aware that there is not an undelete function. Once you
delete a record it is removed from the database as well as the
computer's memory. Of course if the record was from a file
currently stored on disk, it could be recovered as long as you
don't overwrite the file.
Quick Delete
------------
A 'quick delete' function is also available for deleting several
records rapidly. The Ctrl Q key combination will delete the record
currently at the top of the screen with no confirmation window, and
no record highlighting. Holding this key combination down will
continue to delete records until the database is empty or until you
release the keys.

EDITING EXISTING RECORDS
========================
Press F7 when you wish to change a record that is currently stored
in the database. The top record presently displayed will be
highlighted. A quick glance at the message line tells you, among
other things, that if you change your mind you simply press Esc.
Use the up and down arrow keys to highlight the record you want to
edit and press Enter.
Editing records stored in PhoneBook is done in much the same manner
as discussed above in Adding Records. The template window will open
with each field of the selected record displayed. Make any changes
you wish in the same manner used when adding a record. To save
your changes, press Ctrl-Enter. If you press Esc, the database
will not be changed no matter what changes you may have made to the
template.

VIEWING RECORDS IN TEMPLATE FORMAT
==================================
This function provides a handy way to quickly scroll through all
of the records currently stored in the database and to view all of

the fields. To activate it, press F8. A template window will open
which is very similar to the template windows used when adding or
editing records. Once again refer to the message line to see which
keys are active. Pressing the Home key will cause the first record
in the data base to be displayed in the template, the End key will
display the last record. The up and down arrow keys are used to
scroll through the list one record at a time. No changes can be
made to the database while in this mode. Press Esc to return to
the main screen.

POP DOWN MENUS - GENERAL
========================
For specific information on uses of functions in the pop down menus
refer to the section covering that function.
There are three pop down menus: the File Menu, the Print Menu, and
the Sort Menu. The menus are accessed by pressing the Alt key
along with the first letter of the menu name. For example, the
File Menu is opened by pressing the Alt-F key combination.
If you have not already done so, open the File Menu by pressing
Alt-F. The menu is now displayed with the top item highlighted.
The arrow keys can now be used to select a different item within
the displayed menu using the 'up' and 'down' arrows, or to select
a different menu using the 'right' and 'left' arrows. Pressing
'Esc' at this point will close the menu with no action taken and
return you to the main screen.
Re-open any pop down menu by pressing Alt-F, Alt-P, or Alt-S.
Notice that as you press the 'up' or 'down' arrow keys the message
line changes to remind you of the use of the selected item.
Notice that some of the items in the menus have short cut key
combinations listed in the right margin of the menu. These
functions can be accessed directly from the main screen or from
within any pop down menu without having to open a menu. The
following lists the functions having short cut keys:

If a short cut key is pressed, the pop down menu item associated
with it, if any, will be bypassed. For example, pressing F2 will
save the current file without opening the File menu.

Some menu items have 3 periods after their name. This indicates
that selection of this item will open another window for other
input by the user.
To execute a pop down menu function from within the menu, highlight
the function with the arrow keys and press enter, or press the
highlighted letter in the menu name.
The pop down menus can also be accessed by pressing F9 to highlight
only the menu name. Select the desired menu name using the left
and right arrow keys. Open the menu by pressing the down arrow key
or the Enter key.
File Menu Items
---------------
Save: Select 'Save...' from the File Menu (Alt-F,S) or press F2.
When selected this will save the file currently loaded into the
database to the directory specified in the output directory. All
files are automatically saved with the .PBD extension. The function
is also activated whenever PhoneBook prompts you to save a file and
you select the 'yes' option.
Load: Select 'Load...' from the File Menu (Alt-F,L) or press F3.
When selected, a listing of all files in the selected output
directory with the .PBD extension will appear. Use the up and down
arrow keys to highlight the file you wish to load, and press Enter,
or Esc if you wish to cancel. If the current file has changed
(noted by an asterisk, *, next to the filename) you will be given
the option of saving the current file before loading the new file,
or loading the new file without saving the current file.
Merge: Select 'Merge...' from the File Menu (Alt-F,M)
Merge is useful if you have two separate files and want to combine
them into a single file. When selected, a listing of all files in
the selected output directory with the .PBD extension will appear.
Use the up and down arrow keys to highlight the file you wish to
merge with the current file and press Enter, or Esc if you wish to
cancel. The entire contents of the selected file will be merged
with the contents of the current file. Duplicate records are not
omitted.
The order in which the individual records are sorted will be that
of the original file, not the file selected from the Merge File
window. Refer to the section on Sorting for more information on
how to change the sort field.

If there is insufficient memory, the merge will not be permitted
and the appropriate message will be displayed. Refer to Notices
and Error Messages for more information.
Save as...: Select 'Save as...' from the File Menu (Alt-F,A)
This function is used to save the current file under a different
name in the output directory. When selected, a window opens asking
for the new filename. Type in the name you wish to save this file
as and press Enter, or Esc to cancel. The contents of the original
file will not be changed but a new file under the name selected
will be created and will now be the current file.
The 'Save as' window will also open any time you wish to save a
file while NONAME.PBD is displayed as the current filename.
The name entered in the window must be a unique filename or an
overwrite warning will appear. For example, you wish to save the
current file under the name FILE.PBD but this file already exists
in the output directory. A window would open with the message:
"FILE.PBD already exists. Overwrite?". Choose 'Y' to overwrite
the old file, 'N' to type in a different name, or Esc to cancel.
New: Select 'New' from the File Menu (Alt-F,N)
Selecting new from the file menu removes the current file from
memory, and starts you off with a blank database. The name
displayed for the current file is changed to NONAME.PBD.
If another file is currently loaded and has been changed, you will
be asked whether or not you want to save the file or given the
option to cancel.
Output dir...: Select 'Output dir...' from the File Menu (Alt-F,O)
You may choose to store your files in any directory currently on
your hard or floppy disks. The directory specified is where
PhoneBook will look for files when loading, or merging. It is also
the directory where files will be saved.
When PhoneBook is run for the first time, the output directory will
be the directory in which pb.exe is located. Selecting this
function will open a window displaying the current path name in
which your files will be stored. Make changes to the path name and
press Enter to save the changes or Esc to cancel.
When you exit PhoneBook, a configuration file (PHONEBK.CFG) is
created in which the path name you have chosen is saved. The next
time PhoneBook is run, the output directory you specified is where
PhoneBook will look for your files. Refer to 'Quit' below for
additional information on the configuration file, PHONEBK.CFG.

Quit: Select 'Quit' from the File Menu (Alt-F,Q) or press Alt-X.
To exit PhoneBook simply press Alt-X or select Quit from the File
Menu. If the current file has been changed, you will be asked
whether or not you wish to save it, or given the option to cancel.
If the file has not changed PhoneBook will exit.
If the current file name is NONAME.PBD, you will be prompted for
a file name.
When PhoneBook exits the file PHONEBK.CFG is created if it doesn't
exist or over written if it does. The information stored here is
as follows:
1) The path name of the output directory you have chosen.
2) The name of the current file. The next time PhoneBook is run
the last file loaded will be displayed.
3) The name of your printer, if you have selected one.
Print Menu Items
----------------
General
-------
The information stored in PhoneBook may be printed in three ways:
1) List format: All fields, except the comment field, printed
across the page at 17 characters per inch.
2) Name and Number: The only fields printed are the name, area
code, and phone number.
3) Mailing Labels on pre-defined labels.
List: Select 'List..' from the Print Menu (Alt-P,L)
Selecting this function will print all fields stored in each record
with the exception of the comments field. The data will be printed
in compressed print (17 characters per inch) and will fit neatly
on a standard 8 1/2 by 11 sheet of paper.
Name & Number: Select 'Name & Number...' from the Print Menu
(Alt-P,N)
Selecting this function will print only the last name, first name,
area code, and phone number fields in the following format:

Print Options
-------------
If either of the above 2 options are chosen, a window will open for
you to more easily format your page. You will be given the
opportunity to:
1) Input a title, which will be centered along the top of the page.
2) Specify the number of lines to be used for the top and bottom
margins.
3) Specify the print quality. 'D' to print in draft, or 'C' to
print in correspondence (letter quality).
4) If you do not have continuous feed paper you may have your
printer pause between pages. If you select 'Y' for this option,
you will be prompted for a new page as each page is printed.
If any of the above is incorrectly entered you will be notified by
an error message so that you may correctly input the required item
before printing. Refer to the section on Error Messages later in
this manual.
Mailing Labels: Activated by selecting 'Mailing Labels...' from
the Print Menu (Alt-P,M)
PhoneBook gives you the option of printing mailing labels on
several pre-defined forms. Your labels are printed in 10
characters per inch (pica), unless compressed print (17 characters
per inch) is required to fit a specific record on the label.
PhoneBook will automatically check each record for fit and then
select compressed or pica as required for each record. The
information printed for each label will be centered on the label.
The information is printed in the following format:
First Name Last Name
Street
City, St Zip
PhoneBook will always print your labels with at least a 2 space
left margin on each label. The table below lists various aspects
of each label type PhoneBook recognizes as well as information on
the maximum characters allowed PER LINE before compressed printing
is selected. For example, if you are using 3 column dot matrix
labels, your labels will print in pica as long as the information
on any single line does not exceed 21 characters.
When you select this option, PhoneBook looks for the file PBLBL.DEF
for the names and definitions of various labels. A window is then
opened for you to select the type of label you are using.
Use the up and down arrow keys to highlight the desired label and
press Enter to confirm, or Esc to cancel. The definition for the
selected label will then be loaded, and after you confirm that your

printer is ready, your labels will print. The table below lists
the label definitions used when you select one of the pre-defined
label formats.

The above definitions work well for the following labels:
1 Col 3 1/2 x 15/16: Avery 4010 or 4145
2 Col 4 x 1 7/16: Avery 4011 or 4146
2 Column: Avery 4143
3 Column: Avery 4144
Laser (2): Avery 5163
Laser (3): Avery 5160
There are some times that all information simply will not fit on
the selected label. This will only occur if the first and last
name fields combined will exceed the length of the label. In this
case, rather than truncate a portion of the first name, the first
name will be dropped from the label. This is applicable only to
3 column label formats.
If you have a dot matrix printer, your printer must be set up to
print in the first printable space on the left hand side of an
8 1/2 x 11 sheet (at the left edge of the page). One way to see
if your dot matrix printer is set up correctly for printing labels
is to print this document, PBMANUAL.DOC, using the DOS command
COPY PBMANUAL.DOC PRN. Since this file is formatted to print with
a 1" margin using pica, your left margin should be 1".
If you have a printer that emulates the HP LaserJet, PhoneBook will
automatically take into account the margins used for laser labels
and no special printer setup is required.
Notes: Before printing labels, it is wise to first print to
standard paper. Once you are sure the results are what you
expected, load up your favorite labels.
The file PBLBL.DEF must be kept in the same directory as
PB.EXE.
Labels are always printed in letter quality.

Select Printer: Activated by selecting 'Select Printer...' from
the Print Menu (Alt-P,S)
In order to print the records stored by PhoneBook, you must first
select a printer. Printer definitions for various printers are
stored in the file PBPRINT.DEF. Use the arrow keys to highlight
the name of your printer and press Enter to select a printer or Esc
to cancel. There is no need to select a printer again as the name
of your printer will be saved when you exit PhoneBook.
If the name of your printer is not listed, check your printer
manual to see which printers it emulates and use that name for your
selected printer.
The file PBPRINT.DEF must be kept in the same directory as PB.EXE.
Sort Menu Items
---------------
General
-------
PhoneBook allows you to sort the records in your database on 6
different fields. The current sort field is highlighted in the
main screen. When you exit PhoneBook, the sort field is saved with
the database. You may change the sort field at any time. If you
change the sort field but make no other changes to the database,
an asterisk will be placed to the left of the name of the current
file.
When sorting on any field other than the name field, PhoneBook will
also keep the records sorted based on the information in the last
name field.
Name: Select 'Name' from the Sort Menu (Alt-S,N)
If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the Last Name
field.
Street: Select 'Street' from the Sort Menu (Alt-S,S)
If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the Street field.
City: Select 'City' from the Sort Menu (Alt-S,C)
If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the City field.
State: Select 'State' from the Sort Menu (Alt-S,T)
If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the State field.

If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the Zip field.
Area Code: Select 'Area Code' from the Sort Menu (Alt-S,A)
If this option is selected, PhoneBook will sort the database in
alphabetical order based on the information in the Area Code field.

BROWSING YOUR FILES
===================
Browsing through the records stored in your PhoneBook files is
simple. The following keys are the active anytime the main screen
is displayed:
KEY FUNCTION
Home: The first record in the database is
moved to the top of the screen.
End: The database is repositioned to show the
last record.
Page Up: Moves toward the beginning of the
database one 'screenfull' of records
at a time.
Page Down: Moves toward the end of the database one
'screenfull' of records at a time.
Up Arrow: Moves toward the beginning of the
database one record at a time.
Down Arrow: Moves toward the end of the database one
record at a time.
Pressing any other key will display at the top of the screen the
first record whose sort field begins with the selected letter (or
number). For example, to move to the first record in the list that
begins with the letter 'P', press P.

NOTICES AND ERROR MESSAGES
==========================
PhoneBook will notify you of problems if they occur. Messages are
placed on the screen in the form of windows with the nature of the
error displayed in text. If you have a color monitor, the messages
of a non-critical nature are presented with a green background.
Error messages of more critical nature are presented with a red
background. The following is a list of notices and error messages
you might find while using PhoneBook.
NOTICE CAUSE
Insufficient memory Your computer does not have enough
RAM to proceed with the selected
operation.
Empty list You have tried to delete, edit, view
or print records when there are no
records stored.
No files found You have tried to load or merge a
file and no files with the .PBD
extension exist in the selected
output directory.
You have not selected a You have tried to print a file, but
printer have not yet selected a printer.
ERROR MESSAGE CAUSE
Insufficient disk space You have tried to save a file to a
disk that does not have enough free
space to hold the file. If this
error occurs you should select a
different output directory on a
drive with sufficient disk space and
try saving the file again.
Invalid file format You have selected a file that was
not saved in PhoneBook's format.
If this error occurs, you should
either delete the file or rename it
so that its extension is not .PBD.
Invalid drive or directory The path name you selected using
'Output dir...' in the File Menu
is not a valid path name. You
should check and correct the path
name and try again. This message
will also occur the number of
entries allowed by DOS in the root
directory is exceeded.
Invalid filename You have tried to save a file using
a name with characters unacceptable
to DOS. Refer to your DOS manual
for acceptable file names.

ERROR MESSAGE CAUSE
PBPRINT.DEF not found PhoneBook could not find the file
PBPRINT.DEF in the directory of
pb.exe.
Invalid data You have tried to format a page for
printing or have tried to define a
label with invalid data. Re-enter
the data correctly.
The following messages will indicate the letter of the disk drive

new products. If you find this program useful and find that you
are using PhoneBook and continue to use PhoneBook, please register
using the form on page 2 of this manual. The $15.00 registration
fee will license one copy for use on any one computer at any one
time.
You are encouraged to pass a copy of PhoneBook along to your
friends for evaluation, as long as you include all files that came
in the original package. Please encourage them to register their
copy if they find that they can use it. All registered users will
receive a copy of the PhoneBook without the registration screens
as well as notices of any program updates.
