- INTRODUCTION
- =====
- The Todo File helps you organize your activities: Who do you have to call? What do you have to
- do? Where do you have to go? You can record just about anything in the askSam Todo File.
- You can use this Todo File as it is, or you can modify it. Change the structure of the file,
- modify the pre-defined reports, or create new reports. With askSam you are free to work the
- way you choose.
- ===== INSTRUCTIONS =====
- To Modify the Todo Form
- (optional)
- The Todo File contains a predefined form for your activities. You can modify this form to suit
- your special needs:
- 1. Choose EDIT -> ENTRY FORM. You can add, delete, or reposition fields in the Entry Form.
- 2. Choose EDIT -> ENTRY FORM and select the YES button to save the modified Entry Form.
- Note: If you Delete or Change the names of existing fields, you may have to edit the pre-defined
- reports.

- The following is a list of fields in the Entry Form we prepared, and an example of how they
- could be filled out:

- Note: We've replaced the normal opening and closing brackets with ( and ) so that this example
- does not show up in any reports you create.
- To Enter an Item in Your Todo List
- 1. Double Click on the "Add" Hypertext Link (or press F5). A new document containing your
- Todo Form will appear. Your cursor automatically jumps to the Deadline field (where the
- current date is inserted). Enter the date when you want this item to appear in your Todo List.
- 2. Press ENTER, TAB, or the DOWN ARROW Key to move the cursor to the next field and
- enter the appropriate information. Once you've completed your Todo item:
- 3. Choose DOCUMENT -> ADD W/ENTRY FORM (or press F5) to save and add another item
- to your Todo List
- or Save your data by choosing FILE -> SAVE or pressing CTRL+S.
- To Search your Todo File for Today's Items
- 1. Choose the "Search for Today's Items" Hypertext Link.
- Each item with today's date (or a
- date prior to today's) is displayed.
- 2. To edit these items, click in the work area or press F6. Make the necessary changes. When
- an item is completed, remove the word NO from the DONE field and press CTRL+D to stamp
- the current date into the DONE field (this gives you a record of when the item was completed).
- To search for an Item in the Todo File
- You can search for any item in your Todo File:
- Choose the ACTIONS menu and select the appropriate search function
- Search from the Command Line. Press the ESC Key to access the Command Line. Type the
- word or words you wish to locate, and then press ENTER.
- To create a Todo List
- (Reports in the Todo List File)
- The Todo File contains pre-defined reports which create Todo Lists organized in various ways.
- New reports can be created or these reports can be modified to better fit the way you wish to
- manage your tasks.
- After entering items into you Todo File, you can run a report by choosing TOOLS -> RUN
- REPORT and selecting the appropriate report.
- The Category Todo List creates a Todo List containing items with today's date (or a date prior
- to today's). These items are grouped by category and sorted by priority.
- The Priority Todo List creates a Todo List containing items with today's date (or a date prior to
- today's). These items are
- sorted by priority.
- The Priority Todo List with Notes creates a Todo List similar to the one above, but it includes
- the notes in your Todo List.
- The Big Picture Report creates a Todo List containing all the incomplete items (items which
- contain the word "NO" in the Done field) in your Todo File. This list is grouped by date and
- sorted by priority.
- ToDo File
- The Next 7 Days List creates a Todo List containing items for today's date (or a date prior to
- today's) and items for the next 7 days. These items are grouped by date and sorted by priority.
- The Search for Today's Items report displays each item with today's date (or a date prior to
- today's).
- Note: If you delete or rename fields in the Entry Form, you may have to modify some of these
- reports.
- If a Report opens a second window, you can return to your original File by:
- - Double Clicking on any line in the Report (you return to the Document containing the
- information you clicked on).
- - Closing the window containing the Report output. (Choose FILE
- -> CLOSE or press CTRL+F4.)
- - Pressing CTRL+TAB to switch back to the previous window.
- Removing Items from the Todo File
- To mark an item in the Todo File as completed, remove the word NO from the Done field. Once
- you've done this, the item will no longer be included in any of your Todo Lists. It will, however,
- still remain in your Todo File.
- To keep my Todo File as small as possible, I regularly delete the completed items. Before I
- delete them, I transfer them to a Done File. This keeps my Todo File small and still gives me an
- archive of my completed activities. The steps involved in this process are:
- 1. Export from your Todo File items that do not contain NO in the the Done field. Choose the
- "askSam for DOS" format when exporting.
- 2. Open your Done File and import the file you just exported from the Todo File.
- 3. Return to your Todo File and choose DOCUMENT -> DELETE SELECTION to delete all
- items that do not contain NO in the Done field.
- Note: After deleting multiple documents or making extensive edits, it is a good idea to pack
- your file. Packing compresses and optimizes your data. It will make your searches and reports
- run faster.
- To Delete this Document
- If you wish to delete this Document from your File (including the Hypertext Menu at the top of
- the Document), choose DOCUMENT -> DELETE while this Document is displayed. After
- deleting a Document you should PACK your file (choose FILE -> PACK).
