- Use File Transfer to create and send File Transfer items (a message and
- optionally accompanying files) to other people.
-
- File Transfer is useful for sending messages or data when a two-way dialogue is
- not required. For example, you could use File Transfer to send a file
- containing a draft document with a message asking for comments and suggesting a
- later P2P call when these could be discussed.
-
- If you and the recipients have Call Manager active, you can use File Transfer
- even when they are away from their workstations or busy with other calls. You
- do not need to make a P2P call to use File Transfer.
-
- The File Transfer window contains:

- o The status area showing:

- - The number of File Transfer items received since you last used File
- Transfer
- - The number of File Transfer items not yet read

- o The Incoming File Transfer log:

- Selecting Create displays the File Transfer Send window, where you specify

- Use the Resend push button to resend the selected File Transfer item or items
- from the Outgoing File Transfer log to the original recipients.

- Use Resend to resend items either that the recipient has failed to receive, for
- example due to a communication problem, or that they have received but deleted
- by mistake.

- The button is grayed if no outgoing item is selected, or if the item was sent
- to call participants during a call. Items can be resent only if they were
- originally sent outside a call. In addition, if you select multiple items
- including at least one that was originally sent to participants in an active
- call, the resend button is unavailable.

- Use the Read push button to read the selected File Transfer item or items from
- the Incoming File Transfer log.

- used to store incoming File Transfer items.

- 1. Type a drive and directory name in the File Transfer directory field. The
- drive can be on your system or on a LAN-connected drive for which you have
- write access. For example:

- D:\MYMAIL

- 2. Type the maximum size in KB (where KB equals 1000 bytes) in the Maximum
- file transfer disk size field. The default is 2000KB but you should specify
- a larger number if you are expecting to receive File Transfer items
- representing a large volume of data before you have the opportunity to read
- them.

- Notes:
-
- o If the File Transfer directory that you specify does not already exist, a new
- directory of the specified name is created.
- o A size which is less than that needed to hold the currently stored items is
- not accepted.

- Use this window to view the contents of selected File Transfer items. You can
- optionally save or print the message text and save attached files.

- Continue
- To read the next selected item (and optionally delete the currently selected

- If you have selected Delete on read in the Options menu, selecting Continue in
- this window causes the currently selected items to be deleted when the window
- is closed. The selected items are deleted only if you select Continue for every
- selected item. If you select Cancel for any of the selected items, none of the
- items is deleted.

- If Delete on read is not selected, selecting Continue in this window causes the
- currently selected items to be left in the incoming file transfer log.

- Use this window to create a new File Transfer item (message and file) and send
- it to one or more people.

- 1. Type a title for the file transfer item in the Title field

- 2. Select the To push button to display the File Transfer - To window (in
- which you can select the people to whom the file is to be sent)

- 3. Select the Attach push button to display the File Transfer - Attach window
- (in which you can select files to send).
-
- 4. Select the Compress files check box to compress the files for transmission.

- 5. Enter a message in the Text area. You can move the cursor and insert and
- delete text. Enter creates a new line.

- 6. Select the Send push button to send the File Transfer item and then select
- the Close push button. (To exit without sending the item, select Close
- without selecting Send.)

- o The date and time are set on entry to the window.

- Use this window to save the text from the File Transfer item identified in the
- title bar.

- 1. Select the down arrow to the right of the Drive list to display the drives
- on your system.

- 2. Select a drive from the drive list.

- 3. Select a directory from the Directory list.
-
- 4. Select a file name from the File list or type a file name in the Save Text
- filename field.
-
- 5. Select the Save text push button to save the text, or the Cancel to exit
- without saving.

- Notes:
-
- o Select the Append check box to append the text to the contents of an existing
- file.
- o The title, date, time, from name, and attachment list are saved with the
- text.

- Use this window to select the people to whom you want to send a File Transfer
- item.
-
- The status area at the top of the window confirms which people have been
- selected.
-
- You can specify that items are sent to:
-
- o Any (or all) of the last ten people called
-
- o Members of current calls
-
- o Members of the chosen address book.
-
- Select the scroll button at the right-hand side of the field below the status
- area. A list is displayed containing the names of all your registered address
- books (including the Sample address book), and the choices Last people and
- Current calls.
-
- To send a file transfer item to members of an address book, select the name of
- the address book from the list. A list of the members of that address book is
- displayed in the field below, from which you can select the required people.
-
- To send a file transfer item to some (or all) of the last 10 people called,
- select Last people from the list. A list is displayed in the field below,
- containing the names of the last 10 people called, from which you can select
- the required people.
-
- To send a file transfer item to all members of a current call, select Current
- calls A list of current calls is displayed in the field below, from which you
- can select the required call.

- When you have selected the required people (or call), select the To push button
- to return to the File Transfer - Send window. (The field to the right of the To
- push button in the File Transfer - Send window now contains the list of people
- selected in the File Transfer - To window.)

- Use this window to save the attached files from the File Transfer item
- identified in the title bar.

- The name of the first attached file is displayed. For each attached file:

- 1. Select the down arrow to the right of the Drive list to display the drives
- on your system.

- 2. Select a drive from the drive list.

- 3. Select a directory from the Directory list.
-
- 4. Select a file name from the File list or type a file name in the Save
- attach filename field.

- o Save attach push button to save the file and to process further attached
- files

- o Continue push button not to save the file but to process further attached
