It consists of a main database file called SimpleContact and two satellite files called Index and QuickFind. <blockquote>Features:</blockquote> <blockquote> <ul> <li> multiple views</li> <li> automatic phone dialing through modem</li> <li> preset and user defined fields for easy setup and customization</li> <li> multiple sort and search capability</li> <li> record categorization and classification</li> <li> import and export functions</li> <li> prints envelopes and popular label sizes</li> <li> prints postal bar codes</li> <li> prints fax cover sheets and letters with custom logo</li> <li> network and multi-user capability</li> <li> password protection</li> </ul> </blockquote> <a NAME="System Requirements"></a>System Requirements FileMaker Pro 4.0 running on a Mac or Windows PC, a modem if you want automatic phone dialing, and a printer if you want to print contact information, envelopes, labels, fax cover, and letters. These instructions apply to SimpleContact running on a Mac. <a NAME="Installation"></a>Installation Download and expand the SimpleContact folder containing the SimpleContact files. If you want to print postal bar codes, open the folder marked "Postal Uzi PS1 & TT" and drag the font labeled "Postal Uzi (TT)" to your fonts folder in your system folder and restart. This font carries a separate shareware fee payable to the developer of the font. See the Readme in the Postal Uzi folder for instructions. Windows users will have to find a Windows Postnet barcode font and contact me for instructions. <a NAME="Use"></a>Use <blockquote><a NAME="Launching"></a>Launching Double click on the SimpleContact file or any of the two satellite files to launch. <a NAME="Startup Window"></a>Startup Window When you launch SimpleContact, it will open into one of three windows. You can choose the default window by going to Script-Set Startup Window (Go to the Script menu and release on Set Startup Window). <a NAME="Buttons"></a>Buttons Main function buttons are located to the right of the window. These buttons are gray and are labeled according to function. Secondary function buttons are located within the layout and are colored to match the layout. They will either stand out from the layout or appear depressed depending on whether they have been pushed or not. <a NAME="Fields"></a>Fields Fields appear in light yellow and are labeled according to definition either on the left or top. Data is entered by typing, pasting, dragging and dropping, or selecting from a pop-up list. Most pop-up lists can be edited by selecting "Edit" from the list. The "E-mail", "URL" and "Floater(x)" fields have definable labels. By clicking on the labels you can choose from a list of other values. For example, you might want to have additional phone fields or two E-mail fields. <a NAME="Windows and Views"></a>Windows and Views The three primary windows are Main, Index, and QuickFind. Multiple secondary windows and views exist within the primary windows. Clicking the appropriate main and secondary function buttons will take you between windows or views. Clicking on the name and company fields in Index or QuickFind will take you back to Main. A memory feature brings back the last view within a window when you change windows. <blockquote><a NAME="Main"></a>Main This is your primary window and the database storehouse for SimpleContact. New entries and changes to old entries are made in this window, as well as most searches, sorts, deletions, and other operations. <a NAME="Index"></a>Index This window allows you to view the database as an index according to Name, Company, or Category, either alphabetically or by assigned category or class. When necessary, a scroll bar will appear to allow you to view all of the information. <a NAME="QuickFind"></a>QuickFind This window allows for quick searches. The small size of the window permits it to be placed out of the way on the monitor screen for quick access. Searches can be done according to last name or company name by clicking on the appropriate button. In the field to the left of the buttons enter the exact last name or company name, or select a value from the pop-up menu. If there is a match, the information will be displayed. If there is more than one match, a scroll bar will appear. To go to the Main window, click on a name or company. To dial a phone number click on a phone number. </blockquote> <a NAME="Automatic Phone Dialing"></a>Automatic Phone Dialing SimpleContact can use your modem to dial a phone number automatically for you. To enable this feature select Script-Set AutoDial and click the enable button in the message box. Enter your local area code and dialing prefix, if any, in the message box that appears next. It is recommended that you enter phone numbers with their full long distance prefix and area code, e.g. 1-212-123-4567. If you entered your local area code in the AutoDial setup, SimpleContact will not dial the area codes of numbers within your area code even though the area codes appear in the phone fields. When AutoDial is enabled, clicking on most phone fields, or the phone buttons in the Main window, will result in the modem trying to dial the number for you. Once the number has been dialed, you can pick up the phone receiver, click the Hangup button on the modem dialog box, and wait for completion of the call. If the modem does not dial correctly, go to Edit-Preferences-Application and check that the modem initialization string is correct. <a NAME="Automatic E-mail and WWW"></a>Automatic E-mail and WWW In the Main window, if you click on the connect buttons next to the E-mail and URL fields the program will try to activate your e-mail program, go to a www location, or dial a phone number depending on what the label says. If the label says "E-mail", the program will pull up your e-mail program. If it says "URL" or "Internet", it will activate your browser. If it starts with the word "Phone", it will dial the phone number. Check your Internet Config preferences to make sure you have the browser and e-mail program of your choice selected. <a NAME="Fax Cover Letter"></a>Fax Cover Letter The Fax cover letter can be accessed by going to Script-Fax. Alternatively, if you click on a phone number labelled "Fax", the cover letter will be pulled up automatically. In the upper left of this letter there is a container field that can be used to store a picture or logo to be printed with the cover letter. SimpleContact comes preloaded with a picture of a globe in this field. You can change this picture by pasting into the field or by clicking on the field and selecting Script-Import Picture. The imported picture will be scaled automatically to fit the dimensions of the field. <a NAME="Quick Letter"></a>Quick Letter You can pull up a quick letter by going to Script-Letter. SimpleContact will automatically fill in fields that apply. <a NAME="Printing"></a>Printing In general, clicking the Print button will print the view you see on the screen. Clicking the Print Addr button will print an envelope or label depending on the settings in the Mailing window. <blockquote><a NAME="Mailing Address Setup"></a>Mailing Address Setup In the Mailing window, the Mailing Address Setup section prepares SimpleContact for envelope or label printing. The Print Medium selection determines whether an envelope or label will be printed. The return address is shown in the Return Address field and the delivery address in the Delivery Address field. Each record can have its own return address, or, one of two pre-loaded return addresses. The pre-loaded addresses are selected by clicking on Address "1" or "2". You can change the pre-loaded addresses by clicking on "Setup". Each record can also have its own delivery address, or, the delivery address can be Address 1 or Address 2 by clicking on "Address 1" or "Address 2". The Mail Message field permits the inclusion of a message, usually in the lower left corner of the envelope. <a NAME="Barcodes"></a>Barcodes The Copy from Address button to the right of the Barcode Zip field will attempt to read and copy the zip code information from the Delivery Address field. After copying the barcode information verify that it is correct and add any additional codes that you may require. For example, delivery point barcodes are created by appending two digits to the zip code. These two digits are normally the last two digits of the street address, post office box, rural route number, or highway contract route number. Check with your post office for specifics. Once the barcode zip is set, click the Calculate Barcode button to calculate the actual barcodes you will see on your envelope or label. If the Postal UZI (TT) font (mentioned under <a href="#Installation">Installation</a> instructions) is behaving correctly, you will see barcodes in the Barcode field. <a NAME="Page Setup"></a>Page Setup In order to print properly, Page Setup must be set correctly for the print medium used. The program will remind you to check this setting when it "thinks" that it needs to be changed. However, since the program is not that intelligent, don't depend on this feature to work correctly all the time.</blockquote> <a NAME="Network Sharing"></a>Network Sharing The program can be used concurrently by two or more users on a network. To enable this feature, go to Script-Set Sharing in the Main window and click the Multi-User button. Your serial number will determine whether this feature is active. <a NAME="Password Protection"></a>Password Protection Simple password protection can be enabled by going to Script-Set Password. If a password field is left blank, protection for that level is disabled. <a NAME="Upgrading"></a>Upgrading Upgrading involves transferring data from the old version to the new one. To transfer data, go to the main window in the new version and launch the script "Import Records" from the script pull-down menu. Select the SimpleContact file from the old version and click the "Open" button. A window called "Import Field Mapping" will open. In the upper right of this window change the View By to "Matching Names" and click the "Import" button. Click "OK" in any future dialog boxes.</blockquote> <a NAME="Registration"></a>Registration The registration fee is US $10 for a single user and US $100 for a multiple user site license. To register, send a check or money order in US funds to: Virgilio de Carvalho, 98 Piermont Avenue, South Nyack, NY, 10960, USA. Include your e-mail address so that registration information can be sent to you electronically. Registering will activate SimpleContact beyond the 30-day trial.
