Custom Design Software - Online Help
Version 2.0 of Address Manager includes the ability to keep notes on the
records in the database. This feature will only work if Address Manager is
installed on a HPFS formatted hard drive.
Double click on one of the following topics to get help for that proceedure:

ΓòÉΓòÉΓòÉ 2. Adding New Address ΓòÉΓòÉΓòÉ
To add a new address click on the "Clear" button. This clears the fields on the
form. Enter the Last Name field first and proceed with entries in the other
fields. You can move from field to field by typing the <TAB> key.
When you've filled in all the fields you want to, click on the "Add" button.
The new record will be added to the database.
Note: You may not see the new record you've added because you may be working
with a different alpha index. To see the new record click on the alpha button
that represents the first character of the Last Name field you entered and the
record will be displayed.

ΓòÉΓòÉΓòÉ 3. Deleting an Address ΓòÉΓòÉΓòÉ
To Delete an Address click on the "Delete" button when the address you want
deleted is displayed.
You will be given an option to cancel the delete should you make a mistake.

ΓòÉΓòÉΓòÉ 4. Updating an Address ΓòÉΓòÉΓòÉ
If you want to make any changes to an existing address such as adding a new
phone number or changing an address, click on the field you want to change and
type in the new information. When the record has been changed to your
satisfaction click on the "Update" button and the new information will be
saved.
Note: It is advised that you not change the contents in the Last Name field
when doing an update since the data is indexed on the Last Name. If the Last
Name must be changed, the record should be deleted and a new record added.

ΓòÉΓòÉΓòÉ 5. "Clip"ping an Address ΓòÉΓòÉΓòÉ
If you want to enter an address from Address Manager into a document you are
editing you can copy the address to OS/2's Clipboard and paste the address into
your document.
Bring up the address you want and when it is displayed click on the "Clip"
button. This copies the address to the OS/2 Clipboard in the format:
First Name Last Name
Address1
Address2
City, State
Zip
In the document you are editing invoke a Paste and the address will be pasted
into the document where your cursor is located.
Note: If "First Name" was blank, because you used the "Last Name" field for a
company name for example, the pasted address will still be formatted properly.
If "Address2" was not filled in then the line is ignored and City, State is
pasted as expected.

ΓòÉΓòÉΓòÉ 6. Selecting an Address ΓòÉΓòÉΓòÉ
Selecting an Address is a two step process. First click on one of the alpha
buttons that correspond to the first character of the Last Name you wish to
find. The list box on the bottom left of the window will display all the Last
Names that start with that letter if any exist. Double click on the Last Name
you wish to see displayed.
You can scroll the names in the list box with the vertical scroll bar.

Creating a New Note
On the bottom of the window is a button called "Notes". This button is greyed
out when no names are displayed in the "Select Name" list box. When you select
a name to look at, the button is no longer greyed out. Click on the "Notes"
button to create a note for the name that is being displayed.
Another window opens allowing you to type in the note. You can save the note
you've typed by clicking on the "Save" button or you can close this window and
not save the note by clicking on the "Discard" button. You can click on both
buttons. The former to save a note you've entered and the latter to close the
window.
Notes are saved in files whose names are composed of the information found in
the Last Name field with a .NOT extention. Because these file names can be
longer than eight characters, notes can only be used on systems that are
running under the HPFS file system. Only one note can be created for any
specific Last Name in the database. If you try to create a new note when one
already exists, you will be told that a note already exists. Use the List Notes
option to add to existing notes.
List Notes
On the menu bar you'll see the option to "List Notes". Clicking on this will
open up a Container view of all the notes you've previously created. Double
Clicking on a note's icon will open the note using OS/2's System Editor. Here
you can view notes or add additional information into a note. When you make any
changes to a note you need to save the note. Save the note as a "Plain Text"
document.
