The following hardware and software must be installed and running prior to using the
IBM OS/2 Internet Mail Client Support
for Lotus Notes:
Hardware:
any Intel-compatible machine supported by OS/2 Warp v3.0 or higher
7 MB free disk space on the drive where Lotus Notes is installed
Software:
OS/2 Warp v3.0 or higher
TCP/IP version 1.2 or later
Notes r4.1 or later
Internet Mail Client Support also requires that you have an Internet account and a network connection to the Internet. It does not connect automatically since there are many different configurations you may be using (such as dial-up or direct-link).

Mary Mathieu-
During the installation of
IBM OS/2 Internet Mail Client Support
for Lotus Notes, the following steps occur:
1) The install script
unpacks and places the following items into the directory where your other Notes databases reside. This directory is typically the \NOTES\DATA directory.
a) Install utilities (used by the install script during installation)
b) INTERNET.NTF database (the "Internet Outgoing Mail" template)
c) TKTAB.NSF database (a new form and view for your Personal Address Book)
2) The install script unpacks and places the Internet Mail Client Support code in the Notes directory where the Notes program is installed. Since it is tightly integrated with Notes, this ensures the two products communicate with each other correctly.
3) A new location record called "Internet Mail" is created. It appears in the "Service Provider Details" view of your Personal Address Book.
4) A configuration document is launched for you to enter the necessary setup information for the "Internet Mail" location. Click here for details on what you will be asked to provide:
Database 'Internet Mail Help', View 'a. Index', Document '3. Configuring the Notes client connection to Internet Mail (POP3)'
5) An entry is written into your NOTES.INI file to setup an "extension manager module". This entry enables Notes to talk to the
Internet Mail Client Support
6) The "Internet Outgoing Mail" and "Internet Mail" databases are added to your Notes desktop and opened.

Database 'Internet Mail Help and Install', View 'a. Index', Document 'Installing Lotus Notes Internet Mail Support'
is built around the concept of "Locations" introduced in Notes r4.0. Simply put,
Double Click to activate !!
a location is a document in your Personal Address Book
that tells Notes what kind of communications you use when you work with Notes in a particular place. (To learn in detail about Locations, click on help for Notes.) You can change the active Location (and thus the configuration Notes will use) by doing one of the following:
Choose File - Mobile - Choose Current Location.
Click the location indicator on the status bar.
Double Clic
ivate !!

You can also have Notes ask for your current location each time you start Notes. To do so, choose File - Tools - User Preferences, select "Prompt for location," and click OK.
Location Document Attributes
For the purposes of configuring the
Internet Mail Client Support
, the key attributes of a Location document to understand are:
Location type:
this allows you to determine what kind of connection you have to
Notes
servers. Choices include (there are also combinations of these):
Local Area Network: connection over a LAN to Notes servers
Dialup Modem: connection to Notes servers using your modem
No connection: you do not connect to Notes servers; this client is stand-alone or disconnected
Ports to use:
Enabled for any Location type other than "No connection", this determines what protocol(s) you will use when you connect to Notes servers.
Mail file location:
Enabled for any Location type other than "No connection", this determines if your mail database will be kept on your local machine or on a Notes server. When "No connection" is selected, this is automatically set to "Local".
Mail file:
This is the name of the Notes database that will be used to store your mail.
Necessary Location Document Settings
To have a Location document that can be used for the
Internet Mail Client Support
, you must have the following settings. These should be set up correctly during the install procedure automatically:
Location Type:
The default is "No Connection".
This means you will only use the Notes client to connect to the Internet. If you need to also connect to Notes servers (for discussion or document databases, etc.), you need to choose one of the other choices to indicate how you would connect to those servers.
Ports to use:
If you need to connect to Notes servers, choose the protocol here you want to use.

Internet Mail Client Support
Additional Attributes
When you install the
Internet Mail Client Support
, it adds a new Location called "Internet Mail" to your personal address book. In addition to having the normal settings of a standard Location, it also has additional fields that specify how to connect to the Internet. These fields can be viewed and changed by looking at a new view, "Service Provider Details", that was also added during the install procedure.
Enabling the
Internet Mail Client Support
The
Internet Mail Client Support
product can be turned on and off by changing the active "Location" that Notes is using. If you want to connect to the Internet, choose the "Internet Mail" Location (or another Location record you set up following the instructions above). If you want to work completely offline, choose the "Island" Location (or another Location like it).

Special Considerations when Composing Notes
The Internet Mail Client Support allows you to send and receive attachments. These attachments will be converted into MIME, the standard used for mail on the Internet. While you will find that most mail products can correctly receive MIME mail, there are still a few older or proprietary mail products which cannot. You should only send text notes to these mail systems. Imbedded graphics or attached files will appear incomprehensible when received by such a mailer.
While you can create doclinks in your notes, doclinks would be meaningless when delivered to the Internet. Thus, doclinks are discarded before your mail is delivered to the Internet.
Notes provides many text formatting capabilities in rich text fields, such as different colors and fonts. On the Internet today, there is no thorough standard for transmitting these types of text characteristics. Thus, font and color formatting options are discarded before your mail is delivered to the Internet.

Here is a list of error messages and suggested actions to correct them:
'You have new mail from pop.server.com', but no unread mail items appear in my Internet Mail view.
This occurs if your Inbasket Refresh Interval (under Advance Mail options on the Service Provider Details view) has expired, new mail is downloaded, but you have the Internet Mail database already open. Just press F9 to refresh the view, and the new mail items will appear.
Error getting a note from xxxx rc=(7,0) Timeout
This condition happens when the network is congested and it may help to increase the TCP/IP timeout value in the "Service Provider Details" of your location. Open your Personal Address Book, and switch to the "Service Provider Details" view. Edit the location which you are using to connect to the Internet. The TCP/IP timeout value can be found in the "Advanced-General" section.
Unable to logon to pop server. Connection refused.
Typically this means that one of the settings you configured in the "Service Provider Details" of your location is incorrect. Open your Personal Address Book, and switch to the "Service Provider Details" view. Edit the location which you are using to connect to the Internet. Under the "Advanced-General" section, check the value for POP port and make sure it matches the POP port used by your mail server.
Unable to send a note: (6, 10013) Pipe error ((TCP10013) Permission Denied) The action will be retried.
This usually means that the entry specified in the "SMTP server" field of your location is incorrect. You can find this value under "Mail Configuration" in the Location document under the "Service Provider Details" view in your personal address book.
Unable to send a note: (9,0) Protocol error (- ERR Unknown command: "XTND".) The action will be retried.
Typically this means that your "Outgoing Mail Configuration" is set to "POP Send Using Eudora Extension", and that your service provider does not support this. Try switching the "Outgoing Mail Configuration" in your Location document to "SMTP". Do this by opening your Personal Address Book to the "Service Provider Details" view, and editing your location. Under the "Mail Configuration" section, change the value of "Outgoing Mail Configuration".
No body field exists
If you receive this message when forwarding a mail item, it means that your Internet Mail database has been given the same name as your Internet Outgoing Mail database. For example, if you name the Internet Mail database INTERNET.NSF and the Internet Outgoing Mail database INTERNET.BOX, then you will receive this error. We have reported this error to Lotus, but in the meantime, just create a new copy of your Internet Mail database, and give it a different name (ex. POPMAIL.NSF). Then delete the INTERNET.NSF database, and update the location document in your Personal Address Book to point to the new database (remember to edit the document from the Locations view).
Unable to find path to server
If you are attempting to create a memo and receive this message, it means you had your Office mail database selected when you issued the Create->Memo request. Simply select the Internet Outgoing Mail database or the Internet Mail database before selecting the Create->Memo menu item, and you will then be able to create a memo.

Mary Mathieu-
If you use Notes in a mixed environment where you may receive mail from multiple sources (one or more Internet services, Notes servers, etc.), you may want to have your mail from each of these sources go into the same mail file.
There are two scenarios where this might apply:
You use more than one Internet account (for example, "Internet Mail 1" and "Internet Mail 2").
You use Notes servers for inter-office mail as well as an Internet account.
Headline
Mary Mathieu-
Configuring for more than one Internet account
When using Notes for more than one Internet mail account, each separate account will have its own unique "location" document. You can direct all of your incoming mail into the same "Mail File" by modifying these location documents to reference the same "Mail File". Follow these steps:
Open your Personal Address Book.
Select the Locations view.
Open the location you want to change, for example, "Internet Mail 2".
Type the
Mail File
information from "Internet Mail 1" into the
Mail File
field for "Internet Mail 2." This tells Internet Mail Client Support to put mail from "Internet Mail 1" and "Internet Mail 2" into the same database. For example, "Internet Mail 1" has "INTERNET.NSF" for the
Mail File
field. Place the value "INTERNET.NSF" into the
Mail File
field for "Internet Mail 2".
Configuring for Inter-office mail and an Internet account
When using Notes for inter-office mail, most users have their mail file stored on a Notes server. However, in order to use Internet Mail Client Support you must store your mail file locally, that is, on your personal workstation. To share a common mail file between your inter-office mail and your Internet mail, you must replicate your inter-office mail into a local mail file and direct your Internet mail into the same mail file. Follow these steps:
Click on the icon for your inter-office mail database.
Select File -> Replication -> New Replica...
On the "New Replica" panel:
a) Select "Immediately".
b) Click on OK.
A new icon will temporarily be placed on your Workspace. After the replication, the icon will disappear and you will access all your mail from the original icon you used for inter-office mail.
4. Open your Personal Address Book.
5. Select the "Locations" view.
6. Edit the "Internet Mail" document.
7. Set the "Location Type" to "Local Area Network", even if you will be connecting to your Internet provider using a modem.
8. Set the "Mail File Location" to "Local".
This is criticial.
9. Type the mail file name of your local mail replica in the
Mail file:
field. This tells Internet Mail Client Support to put mail from the internet into the same database as the mail from the Notes server. You can find the mail file name of your local replica by selecting your mail icon and choosing the Edit->Properties menu options. This will display some information about your mail database, including the "filename".
10. For the replication settings, set "Schedule" to "enabled" and set the other replication settings to suit your needs.
Replicating back to your Notes server will also send back any new or changed Internet mail. You will now have a copy of that mail on your Notes server as well as your Notes client.
IMPORTANT: Be sure to select the appropriate location (Office or Internet Mail) before composing a memo. Otherwise, your mail will be incorrectly routed and likely not reach its intended recipient.

Mail Configuration
POP User ID:
The POP user ID with which you send and receive mail. If you are using Advantis as your service provider, this is your dialin userid.
ServerType
POP Password:
The password associated with your POP user ID. If you are using Advantis as your service provider, this is your dialin password.
POP Server:
The name of your POP mail server. If you are using Advantis as your service provider, this is either pop01.ny.us.ibm.net or pop03.ny.us.ibm.net.
"Reply-to" Address:
Your reply-to address assigned by your POP administrator or service provider. If you are using Advantis as your service provider, the reply-to address is "popuserid"@ibm.net where "popuserid" is your POP UserID.
Outgoing Mail Configuration:
Newer POP mail servers support sending as well as receiving mail. Older POP servers only support receiving mail. If your POP server supports sending mail, select the appropriate keyword (for example, POP Send with Eudora Extension). If not, your administrator or service provider should provide you with an SMTP server name which you will use to deliver your email. In this case, select "SMTP" for "Outgoing Mail Configuration". For Advantis, this value should be "SMTP".
ServerType
PopOutMailCfg
0S0E
SMTP Server:
The name of the SMTP server used for outgoing mail. Your administrator or service provider should provide you with an SMTP server name. For Advantis, the SMTP server may be set to either smtp-gw01.ny.us.ibm.net or smtp-gw01.ca.us.ibm.net.
Advanced - General
TCP/IP Timeout:
This is the length of time communications waits for a response from the POP server. If you are experiencing frequent timeout errors (such as those that might occur over a slow modem connection), this options allows you to adjust the wait time.
POP Port:
This is the TCP/IP port used to communicate with the POP server. The default value is 110. This should only be changed upon instruction from your POP service provider.
Socks Server:
Some networks have a "firewall" to limit access into and out of your network for security reasons. If your network has a firewall and if your POP server is outside of your network, you may need to use a socks server to access your POP server. Your network administrator should provide to you the name of your socks server and its associated port.
Socks Port:
The number of the Socks port associated with your Socks server. The industry standard default Socks port is 1080. A Socks port is only required if you have entered a Socks server.
Trace Logging Level:
In general, set "Trace Logging" to "Error Messages Only". If you are experiencing problems, change the "Trace Logging" option to "Error and Warning Messages". This may provide information to help you resolve your problem. The other levels ("All Messages" and "Complete Program Flow") are useful to support personnel. We recommend you use these levels only at the request of support personnel.
Advanced - Mail
Inbasket Refresh Interval:
Indicates how often new mail is retrieved from the POP server.
Text Encoding:
The default value for "Text Encoding" is "No encoding (8-bit ASCII)". At one point in time, many mail gateways did not correctly handle 8-bit ASCII text. However, today most gateways do handle this correctly. If you experience a problem with the fidelity of the text you send to people, try changing to "Quoted Printable". All mail gateways will correctly distribute mail with this type of text encoding, and most popular e-mail software will correctly handle the decoding for you. If you need to distribute text with double-byte characters such as Japanese, Chinese, or Taiwanese, and have trouble with the "no encoding" choice, try using "Base 64" as an alternative. However, for "Base 64" to work, you must be sending mail to a recipient with e-mail software that can handle the "Base 64" decoding. Any MIME-capable e-mail software should be able to decode "Base 64".
Send Mode:
Queueing your outgoing mail allows you to manage the time you spend connected to your service provider. This is a benefit if your service provider charges you based on time connected. If you choose to use the "Queue outgoing mail" option, mail is held in the Internet Outbox until you choose to send it.
To send the queued mail:
1) Connect to your service provider.
2) Open the Internet Outbox
3) Press the Deliver Mail button
Disconnect from your service provider when you are complete.
Send Retry Period:
The length of time Notes will attempt to resend undeliverable mail you have created.
Outgoing Mail Word Wrap:
Maximum number of characters per line in an outgoing note.
Send inline images:
Determines whether graphics which are imbedded in a note (as opposed to attached to the note) are included when the note is sent to the Internet.
Display text attachments in note body:
Determines whether text "parts" received are incorporated into the main text of the note or kept as separate attachments.
Retrieve new incoming mail when sending:
When outgoing mail is being sent, you may choose to also have Notes check for new incoming mail on the POP server. If new mail is found, it is retrieved and delivered to your local mail file.
Use APOP for authentication:
Use APOP for authentication if the POP server supports it.

Mary Mathieu-
Internet Mail Client Support is an add-on product to a standard Notes client. With Internet Mail Client Support, you can send and receive mail through the Internet. To do this,
Internet Mail Client Support
connects to your Internet mail server using the
Post Office Protocol version 3 (
POP3) standard.
POP3 is the standard protocol supported by most internet mail servers.
The job of
Internet Mail Client Support
is to:
1. check the POP server for new mail,
download the new mail to your local mail file,
3. retrieve mail from your "Internet Outgoing Mail" and send it to the recipients.
Internet Mail Client Support
relies on the "Local Mail" facilities provided by Notes to store and maintain all of your mail. When Internet Mail Client Support is installed, a mail database and an "Internet Outgoing Mail" database are created. The mail database stores the mail you receive from the Internet server. This mail is stored in a format Notes can display. The "Internet Outgoing Mail" database stores the mail you want to send to the Internet. The outgoing mail is put in a format suitable for the Internet: Multipurpose Internet Mail Extensions (MIME) format.
With Internet Mail Client Support, you use the same Notes interface you are familiar with. You create new notes, read mail, delete mail items, and file them through normal Notes buttons and menus. If you create mail while you are not connected to the Internet, that mail will be stored and transmitted the next time you connect.

A program called UM2NOTES is provided to convert your existing Ultimail mail store into a Notes mail database.
Headline
Arnaud Mathieu-
How does it work?
UM2NOTES will try to locate your Ultimail directory and present it in a dialog box. (Hacker note: It does this by looking in the TCPOS2.INI file under the "MAIL" keyword).
If a directory doesn't appear in the dialog box, you will have to type in this value. Hint: your Ultimail mail directory looks something like this: "d:\umail\mailstore\userid".
Once the mail directory value is correctly set, press the Migrate button.
You will see status updates as the migration progresses. When the migration is done, you will see a "Migration successful!" message appear.
UM2NOTES creates a Notes Mail database file called Ultimail.nsf. To open this database in Lotus Notes, use the File->Database->Open... menu option to add the Ultimail.nsf database to your Notes workspace.
Now your Ultimail folders are converted to Notes folders containing mail memos.
Basic
Arnaud Mathieu-
Programmer's notes:
UM2NOTES is a extremely resilient program. If it encounters errors while migrating mail from Ultimail to Notes, it will flag the error and continue with the migration. Errors are logged to a file named UM2NOTES.LOG.
If at any point during the migration a failure occurs, a message will appear with the error number and the error message. It is important to also note the current status message on the UM2NOTES window for problem determination purposes.
Click on the following button to start the migration process:

When Lotus Notes has been installed on a shared network disk (typically a "node install"), installing the Internet Mail Support requires two steps:
Step 1: The administrator needs to copy the "node files" for Internet Mail Support to the shared drive:
The node files for Internet Mail Support need to be in the Notes directory so that users can access them through the network. The "Unpack" button located at the bottom of this document will unpack the node files to a local directory (data directory\NODEINST). Once unpacked successfully, the administrator should copy the node files (the entire content of the subdirectory NODEINST) to the Notes Directory located on the shared drive. Afterwards, the NODEINST directory and its contents may be deleted.
Warning:
If the product has been previously installed, make sure that nobody is currently using Lotus Notes. This would cause some files to be locked and thus you would not be able to overwrite them. It is very important that every file located in the NODEINST subdirectory be copied to the Notes directory on the network drive.
Step 2: The user installs the Internet Mail Support using the normal install document:
Database 'Internet Mail Help and Install', View 'Installation', Document 'Installing IBM OS/2 Internet Mail Client Support on a workstation'
WLK4B
Our install will detect that the user is using Notes from a shared drive and install only the data files on his workstation.
Administrators: To proceed with step one, press the "Unpack" button.
