TITLE IBM ADDRESS BOOK SYNCHRONIZATION/2 VERSION 1
ABSTRACT IBM Address Book Synchronization/2 provides one-way,
host-to-LAN address book synchronization from CallUp (TM) Version 1
Release 3 and custom address books for enterprises using Lotus Notes
(1) and cc:Mail (1) LAN mail environments. This SAA (TM) OS/2 (R)
32-bit program provides LAN-based users of OS/2 2.0 and 2.1 the
host-to-LAN address book synchronization required to exchange mail
across the enterprise, including synchronization for the IBM Mail LAN
Gateway/2 Release 2.
For CallUp OfficeVision/VM (TM) (OV/VM) users, the host-to-LAN
address book synchronization can be automatic, allowing the
administrator to specify the frequency of CallUp extracts, transfers
to the LAN, and apply changes to the cc:Mail, Lotus Notes or IBM Mail
LAN Gateway/2 address book.
Address Book Synchronization/2 supports user-written custom
address books by allowing administrators to develop VM host custom
address book extract programs. Address Book Synchronization/2 is
designed to automate much of the manual extract and transfer
activity.
The graphical user interface of Address Book Synchronization/2
allows administrators to:
o Select VM host and LAN address books
o Specify the address book field mapping relationships
o Specify the frequency for automatic synchronization.
Additional administrative functions include viewing logged
messages and starting or stopping synchronization.
IBM intends to provide IBM Address Book Synchronization/2,
support for OfficeVision/MVS (TM) (OV/MVS) Enterprise Address Book
(EAB) and AS/400 (R) System Directory for OfficeVision/400 (TM).
This will allow host-to-LAN address book synchronization between the
host and Lotus Notes, cc:Mail and IBM Mail LAN Gateway/2.
IBM plans to refresh IBM Address Book Synchronization/2
Version 1 during fourth quarter 1993, to provide a LAN
Synchronization Utility to assist in the resolution of duplicate
names for the LAN address books being synchronized.

OVERVIEW DESCRIPTION
Address Book Synchronization/2 consists of the following
programs:
o Installation
o Configuration
o Control
o Extract
o File Transfer
o Apply (Update).
The Installation and Configuration programs allow the
administrator to install and configure Address Book Synchronization/2
through the graphical user interface.
The Control program fully automates synchronization. It calls
the host Extract program to generate the Extract file. The File
Transfer program transfers the Extract file to the OS/2 workstation
and the Apply program updates the cc:Mail or Lotus Notes address
books and creates the IBM Mail LAN Gateway/2 update file.
Address Book Synchronization/2 provides the ability to run the
Extract, the File Transfer and the Apply programs separately or
together.
Address Book Synchronization/2 supports customer-written
Extract programs that generate the Extract file. Functional
specifications for developing the Extract program, the Extract file
format and sample extract code are provided.
IMPROVED WORKER PRODUCTIVITY
The administrator can synchronize host-to-LAN address books to
exchange mail between host and LAN users.
o End-user Transition
IBM Address Book Synchronization/2 provides the enterprise
with interoperability between host and LAN environments and
provides the option to selectively move departments or project
groups.
o End-user Coexistence/Enterprise Communication
As new host-to-LAN mail users are added, they can exchange
mail with existing OV/VM host and cc:Mail and Lotus Notes users.
ENTERPRISE MAIL EXCHANGE
IBM Address Book Synchronization/2 provides the capability for an
enterprise to expand its mail exchange by utilizing existing host
CallUp or custom address books to perform one-way address book
synchronization to cc:Mail, Lotus Notes or IBM Mail LAN Gateway/2
address books. This growth opportunity provides the following:
o Supports orderly transition to the LAN environment
o Allows customers to select the "rightsizing"
coexistence/migration option that meets their enterprise
requirements
o Enables customers to invest in the LAN opportunity while
preserving their investment in OV/VM
o Promotes the industry shift to LAN networks by enhancing OV/VM
interoperability.
SYSTEM APPLICATION ARCHITECTURE (SAA)
Address Book Synchronization/2 is an SAA-compliant application and
uses the following SAA common programming interfaces (CPI):
o C programming language
o Presentation Interface CPI. The OS/2 client of Address Book
Synchronization/2 complies with the Common User Access (TM) 1991
Application Model graphical user interface.
PRODUCT POSITIONING
There has been explosive growth in the number of LAN-based systems.
This trend demands that LAN-based applications have connectivity to
existing host systems. IBM Address Book Synchronization/2 supports
this growth by providing the ability for host-to-LAN address book
synchronization for the VM enterprise, with an operational CallUp or
custom address book and a need to exchange mail between host and LAN.
This synchronization product is a part of IBM's connectivity suite of
products (Time and Place Connectivity/2, and LAN Mail Gateway/2),
which enhances the enterprise opportunity to exploit LAN-based
systems by providing interoperability between the OV/VM and LAN
users.
Administration resources required by an enterprise to manage
both host and LAN address books can be reduced by using Address Book
Synchronization/2.
For example:
o In CallUp OV/VM environments, host-to-LAN address book
synchronization can be automated according to administrator
specifications. In addition to full automation, the
administrator may control the synchronization steps individually
or at intervals suited to the needs of the enterprise.
o In VM custom address book environments, host-to-LAN address book
synchronization can be automated; the administrator can provide a
user extract program to generate an Extract file and use the
Transfer program provided, or a user-written program to transfer
the Extract file to the LAN. Once the Extract file is received
at the LAN, the Apply program synchronizes the cc:Mail, Lotus
Notes or IBM Mail LAN Gateway/2 address books.

MACHINE REQUIREMENTS:
Workstation
o Recommended Configuration: PS/2 (R) Model 90 or 95 (or compatible
system with a 33MHz processor or faster) and 16MB memory
supported by OS/2 2.0 or 2.1
o 2.2MB of hard disk and sufficient memory for IBM Address Book
Synchronization/2 program files and operation
o VGA or higher resolution display and adapter supported by
OS/2 2.0 or 2.1
o 3.5-inch diskette drive
o Mouse.
Host
The administrator requires a host user ID set aside
specifically for Address Book Synchronization/2 (referred to as a
dedicated host user ID) with:
o At least 9MB of virtual memory
o At least 900,000 bytes of disk space for program files
o Additional A-disk space equal to at least 10% of the size of all
host directories to be synchronized plus two times the largest
host directory.
The Address Book Synchronization/2 Extract program operates in
any hardware environment supported by the VM operating system.

o IND$FILE to support OS/2 Communication Manager send/receive
commands.

EXTERNAL INTERFACES: IBM Address Book Synchronization/2 uses no new
interfaces, only existing interfaces of the following products:
o IBM CallUp -- Address Book Synchronization/2 uses the CallUp
standard shadowing facility, which is documented in the IBM
CallUp Installation and Reference (SC66-0601)
o IBM XEDIT -- Address Book Synchronization/2 uses the standard
application call, which is documented in the VM/ESA Release 2.0
or 2.1 XEDIT Command Reference (SX24-5250).
PERFORMANCE CONSIDERATIONS: Performance of IBM Address Book
Synchronization/2 is affected by many factors. These include:
o Speed of the cc:Mail or Lotus Notes server
o Amount of RAM installed.

SECURITY, AUDITABILITY AND CONTROL
The announced program uses the security and auditability
features of OS/2. It also offers the following security features:
o APPC program level security between IBM Address Book
Synchronization/2 and the CallUp or custom address books is
managed by administrator control of the host userids and
passwords, ensuring that only authorized users have access to
address book data.
User management is responsible for evaluation, selection and
implementation of security features, administrative procedures, and
appropriate controls in application systems and communication
facilities.
