This file contains documentation for VoiceType macros I created for Lotus Notes
mail 4.1. There is a complete listing of all macros and their purpose including
tips for creating and enhancing macros.

1. Easy installation of NOTES.SPM
To install NOTES.SPM run the INSTALL.CMD. Then open the properties of the
Lotus Notes icon and select the first Speech page. Click on 'Restore' and
select the file X:\vt\spch_ro\langs\en_us\macros\notes.spm (where X:\ is
the drive where VoiceType is installed). After that the macros are available
for immediate use.

2. The file NOTES.SPM
This file contains all application specific macros for Lotus Notes. I created
that file by using the backup feature of the speech tab in the properties
notebook for Lotus Notes. If you want to use these macros you have to restore
the macros.
2.1 How to restore the macros
Click with the right mouse-button on the Lotus Notes Icon and select properties.
In the properties notebook, open the first page of the speech tab. Click on
restore and select the source path of the NOTES.SPM file. After restoring the
macros you can use these macro commands for navigating notes with your voice.
However, some macros may need modifications in order to work correctly
(especially 'Password' and 'Type in my Password').
2.2 Defining macros as default
If you want to use the macros contained in NOTES.SPM as the default macros every
time you start Notes, copy the file NOTES.SPM in the directory
X:\vt\spch_ro\langs\en_us\macros where X:\ indicates the drive where you
installed your VoiceType. After restoring the macros from this location they
will be available everytime you use Notes. Even if you deleted one or more of
these macros, they will be restored and you can use them the next time you are
starting Notes.
3. Listing of Macros
In this section of the document you can have a look at all the macros I created
for Lotus Notes. Most of them are stored in NOTES.SPM but due to missing
functions in the macro editor for applications there are some global word macros
you have to build on your own if you want to use them (see 2.2).
3.1 Macros in NOTES.SPM
The following macros are available if you restore NOTES.SPM to your computer:

NOTES:
(1) The Properties Notebooks used in Lotus Notes cannot be used by keystrokes or
spoken commands. E.g. you cannot close such a notebook by pressing
[ALT [F4]]. In order to navigate Notes completely hands-free I created
macros for the properties with no action. By this notebooks are not opened
which I cannot close by voice navigation.
(2) In order to create macros that are independent of the User's name, I
modified the properties of two Lotus Notes Databases: I put a "1 " in front
of the "Incoming Mail" Database and a "2 " in front of the "Address Book".
By this the macros for opening these databases work with all names. If you
don't want to make these changes to your databases, change the respective
macros by replacing the numbers by the first letter of the database's name.
3.2 Global Word Macros (not in NOTES.SPM!)
A nice little macro in NOTES.SPM is "Reply to this Memo". But you can create a
better one for yourself! Your macro will start quick dictation automatically and
you will not have to say "begin dictation". In order to create this macro, do
the following steps:
1. Open the Properties of the Voice Manager.
2. Select the Controls Tab
3. Select "Global Words" in the pull-down list
4. Click on "Create"
5. Fill in: Name: Reply to this memo
Description: Reply to a Lotus Notes memo
6. Select "Capture Keystrokes" on "Possible Actions" and click on "ADD"
7. Click on "Start" and press first "Alt" + "c" (together) and then "r", then
click on "Ok"
8. Select "Bring up Quick Dictation" on "Possible Actions" and click on "ADD"
9. Press "OK" and close the Voice Manager Properties.
This macro is a global word, it can be activated whenever VoiceType is active,
but keep in mind, that it will only work properly when Lotus Notes is the active
application!!!
