Welcome to Expert Evals 2.0! Software Solutions is sure that
you will find this program so useful you will wonder how you
were able to do without it! This online documentation will
provide you detailed information on using all of the features
of Expert Evals.
Conventions used throughout this documentation:

(+) Means this feature is only available on the registered
version.
ESC Means hit the Escape key. This usually backs you up
one menu level or cancel the last command.
LICENSING AND WARRANTY INFORMATION
----------------------------------
Read the file LICENSE.DOC for complete licensing and
warranty information.
UPDATES AND NEW FEATURES OF VERSION 2.0
---------------------------------------
This new version 2.0 has mnay added features and some
revisions that will be apparent right from the start. The
menu structure in this version has been completely changed.
Whereas previously, many functions were accessed via a
function key, all functions are now accessable through the
menu. Added in this version:
- Added 'Tools' menu. Now users can pack the database,
change data drives, etc. through the tools menu.
- Added password protection for each individual eval.
Prevents prying eyes from reading what they should not
read. Passwords are stored in encrypted form and before
any processing can be done with the protected eval the
correct password must be entered. (+)
- Added auto-update feature. System will automatically
detect an older data file and update it to the new 2.0
specs.
- Plugged in default settings for printer margins. Many
users did not set the margins and the eval would not print.
- Added tagging feature to allow multiple evals to be
printed.
- Enhanced the printing routine to allow the user to print
a single eval or all 'selected' evals.
- Added the ability to print a double spaced rough for the
back of the eval.
- Fixed a bug in the spell checker (+) that would
inadvertantly close the main database file after the
document was spell check the first time.
USING THE EXPERT EVALS MAIN MENU
--------------------------------
Version 2.0 comes with a new menu interface. Upon loading
the program, you will be presented with the demo version
welcome screen. This screen will not appear on the
registered version. Press any key to jump to the main
menu. If you have not added any evals into the program,
you will see a mostly blank screen with a grey bar at the
bottom of the screen. Menu selections are made by pressing
the red letter of the desired menu item. Each of these
items will be discussed in detail.
Add New
-------
Use this selection when you wish to add a blank eval form
to the database and begin entering data. Expert Evals will
create a new record and you will begin entering data. You
do not have to enter all of the information at once. You
may save the information and finish your work later.
Edit
----
You may edit the currently highlighted eval by pressing
enter or selecting the Edit menu item. Provided the eval
is not password protected, you will be placed in the
editing mode.
Copy
----
You may copy the currently highlighted eval by selecting
Copy. This is particularly handing when preparing two
evals for one person or preparing similar evals on two
people. The current eval will be duplicated and you will
be placed in the editing mode to make changes.
Print
-----
Select the Print menu item when you wish to print an eval
or a group of tagged evals. You will be presented with the
printer status window:

A description of each of the Printer Status Window prompts:
Evals to print: This will indicate the total number of
tagged evals (or 1 if none are tagged)
This does not take into account any of
the evals which are tagged and may be
password protected.
Now printing: The name of the member for the eval
which is currently being sent to the
printer.
Line Spacing: Enter the line spacing (1 for single
spaced or 2 for double spaced). This
will affect all evals printed during
this session. You may enter any number
from 1 to 9.
Destination: Indicates the name of the printer being
used. If this is not correct, you must
select the correct printer from Setup
menu item under the Tools menu.
Before printing will commence, you will be asked a few
questions about the print job at hand:
A - All selected or C - Current only
If you have tagged a group of evals, you may elect to print
the entire group or just the current eval only. This will
not appear if you have not tagged any evals.
Eval is password protected!
You will be prompted to enter the password for a protected
eval before printing can take place. Keep in mind though,
that each eval can have it's own password and printing WILL
NOT TAKE PLACE without the correct password!
Enter line spacing (2 = double space)
You may elect to print a multi-spaced rough (double spaced
or triple spaced) for proofreading purposes. Enter any
number between 1 and 9 to indicate the desired line spacing.
Enter a one for single spaced (normal) printing.
Please select: 1 - Front & Back, 2 - Back only
Use this feature if you wish to print only the back side of
the eval or if you wish to print the front and back. During
the printing process, you will be prompted to insert the
back side of the eval. Keep this in mind when printing a
tagged group of evals. Each eval is printed front then
back.
Print for OCR Form? (Y/N)
If you are using the OCR form set, select Yes. Laser
printer is not supported for the OCR form set. You may
however, print the OCR front on an OCR printer (Primages 90
or Diablo 630) and print the back on the Laser printer. Or,
you can just print the entire OCR form set on the OCR
printer. These options are entirely up to the user.
Delete/Undelete
---------------
The occassion may arise that an eval is no longer needed.
Pressing the Delete menu item will 'mark' the currently
highlighted eval for deletion. Please note that evals are
only marked for deletion. When an eval is marked for
deletion, this menu item changes to Undelete. Pressing
Delete/Undelete toggles between the two. A deleted eval
will have an asterisk '*' next to the member's name. Note
that you cannot edit or print an eval that is marked for
deletion.
Tools
-----
The tools menu has extended features that may not get alot
of use but nonetheless are very important.
User's Manual
-------------
This feature will run the Online User's Manual. The
User's Manual may only be run while at the Tools Menu.
Chg Drive
---------
Use the Chg Drive feature when you would like to store
the eval database on drive other than the default
drive. If the drive is a floppy disk, ensure that a
disk is in the drive BEFORE selecting this option. If
no eval dababase is present on the drive, a blank file
will be created automatically. If one does exist, it
will be checked to ensure that it is a Version 2.0
database.
Pack
----
When evals are no longer needed, they are marked as
deleted using the Delete menu item from the main menu.
This does not permanently remove them from the
database. Select Pack when you wish to PERMANENTLY
remove ALL evals marked for deletion. After packing,
evals that were marked for deletion may not be
recovered.
Setup
-----
Selecting Setup will present the user with a default
settings screen where you may enter information like the
Reporting Senior's name, title, etc., select a default
printer, and setup the printer's margins. See the section
on Printer Setup for more details about the printer
definitions.
Copy dbf
--------
Use this feature when you would like to transfer your
database from the default drive to another drive.
Handy for moving all your evals from the hard disk to
a floppy disk. CAUTION: If a database already exists
on the destination drive, it will be overwritten.
Password (+)
------------
Available only on the registered version of Expert
Evals, you may assign a password to a single eval.
The password is encrypted and then written to the eval
file. All menu items that deal directly with an eval
record will check this password. You may not
Delete/Undelete, Copy, Edit or Print a password
protected eval without entering the correct password
first.
ESC
---
Press the Escape key to return to the Main Menu.
EDITING THE ENLISTED EVALUATION
-------------------------------
When you are editing the eval form itself, several things
become active. First, the Error Correcting Help System.
This system checks each block of the front of the eval for
format errors. If you enter an unacceptable entry, the
help system will present a Help Box, providing information
on the error and the correct entries for that block. You
may press the Escape key to close the Help Box. The
information contained in the Help System is based on
BUPERSINST 1616.9A dated 24 August 1992. You may activate
the help system at any time by pressing the F1 key.
Some particulars in editing the front of the Eval:
Branch: Enter N for USN or R for USNR
Status: Enter one of the following codes:
A - Active
I - Inactive
T - TEMAC
D - ACDUTRA
Occassion: Enter P for Periodic, T for Transfer, or O
for Other.
Other: If Occassion is Other, enter one of the
following: ADVancement, SEParation, or SPECial
Type of Report: R - Regular or C - Concurrent
Adv Recomm: Enter one of the following advancement
recommendations: R - Recommended
P - Progress toward
N - Not recommended
Grading blocks: In any of the grading blocks, enter
the numerical column that coincides with the grading
given. For example if the grading for Military
Bearing is 3.8, enter 3.8 in the Military Bearing
block. For any aspect that is graded as Not Observed
(NOB), enter 0.0.
Ranking: If the member is being ranked, enter the
ranking number here. If not, leave this block blank.
Summary: Each summary block corresponds to a
numerical column on the evaluation form. From left to
right, they are:
4.0 3.8 3.6 3.4 3.2 3.0 2.8 2.6 2.0 1.0
See BUPERSINST 1616.9A for details on how to complete
these blocks.
After you have entered all of the data for Blocks 1 through
43, you will be presented with a new screen. You will now
enter block 47 (Concurrent reports) and Blocks 48 through
55.
Block 50 (Name): Expert Evals will attempt to fill this
block in for you from the data entered in block one. This
should be the member's LASTNAME, First and Middle initials
only. You may need to edit this information in case it is
not exactly correct.
Blocks 51, 52 and 53 are filled in by Expert Evals.
SPECIAL EDITING FEATURES OF BLOCKS 54 - 56:
-------------------------------------------
Blocks 54 through 56 are editing using the built in
mini-editor of Expert Evals. The keystrokes are much like
Wordstar(tm), utilizing the Control key and one of the
following keys (the ^ means hold the Control key and press
the key that follows):
^Y - Delete the current line
^T - Delete the word the cursor is on or the word to the
right of the cursor
^U - Undelete previously deleted lines or words. This
feature may also move lines between blocks 54, 55
and 56!
^Home - Move to the very beginning of the current block
^End - Move to the very end of the current block
^LeftArrow - Move to the left one word at a time
^RightArrow - Move to the right one word at a time
PageUp - Move up a 'page' at a time. A 'page' is
equivelant to the number of lines which are visible in
the current block
PageDown - Move down a page at a time.
F10 - Save the current block and go on to the next
Ins - Pressing the Insert key toggles insert mode on and
off. When on, Ins will appear on the line at the bottom
of the current block.
ESC - Pressing the Escape key abandons the changes and
returns to the main menu.
The following keys are only available while editing
Block 56:
F5 - Search and Replace text. You may wish to replace
all occurances of a certain word or phrase. Pressing F5
will prompt you for the text to find. Enter the desired
text and press return. You will then be prompted for
the new text. After you enter return, Expert Evals will
perform the search and replace and return to editing
mode.
F6 - Check the current block for spelling errors.
(+) Available only on registered versions!
F7 - Turn underline on or off. When this key is
pressed, a small dot will appear on the screen. Do not
delete this dot. This is a marker for Expert Evals to
know when to turn on/off the underlining while printing.
F8 - Turn bold on or off. Again, a small dot will
appear when this key is pressed.
A note about Underline and Bold markers. When you
wish to underline or bold a section of text, ensure
the Insert key is on, move to the desired location
to START the underline or bold and press F7 or F8.
Then, move to the point where underline or bold
should stop, and press the F7 or F8 key again. If
you wish to remove the markers, be sure to remove
both the beginning and ending marker! If you only
remove one, you will ge very strange results.
PRINTER SETUP AND DEFAULT MARGINS
---------------------------------
Expert Evals comes setup with three printer definitions
built in to the printer library. These three definitions
represent the bulk of printers in use today. Almost every
printer will have an emulation mode for one of these
printers. If not, you may add your own printer definition
or edit the current setup. During the Setup process, you
will be presented with a printer selection window:

You may select one of the listed printers by highlighting
it using the up/down arrow keys and pressing return or S.
You may edit the printer definition file by press E - edit.
You will be presented with a screen of numbers and codes.
At the bottom of the screen, you will enter the values for
each function listed. Refer to you printer manual for
details on what you should enter in these blocks.
Likewise, you may A - Add a new printer definition to the
database. Follow the above steps for Editing a printer
definition.
After you have selected your default printer definition,
you will enter values for top, left and right margins for
your printer. This is where trial and error comes into
play. You will need to enter a set of numbers, print the
eval, and make adjusts as necessary to get just the right
numbers. For the default three printers, these numbers are
filled in for you. You may need to make adjustmants to
gain perfection.
WARRANTIES AND DISCLAIMERS
--------------------------
Although every effort has been taken to make Expert Evals
as complete as possible, the user should bear in mind that
BUPERSINST 1616.9A should be used as the source for
information on completing the Enlisted Evaluation form.
Expert Evals is only a tool to completing a task, it in no
way is intended as a replacement for mandating directives.
Expert Evals is only garuanteed to take up space on your
computer. There is no other gaurantee, written or implied,
as to the usefulness or efficiency of this software. If
you decide you do not like it, you do not have to use it.
Read the file LICENSE.DOC for detailed information on
liabilities and warranties before using Expert Evals.
