EasyCENSUS - copyright (c) 1988 Robert L. Mosher
Version 2.00 Changes
====================
Version 2.00 of EasyCENSUS is an intermediate release
prior to a complete reworking of the screen formats. The
Update Module uses the new screen format and replaces the
Data Entry and Update Modules of earlier releases. The
new screen format includes a central data entry area with
expanded field sizes and titles, an upper area showing
"ditto" or automatic repeat fields, and a lower area
showing upcoming data entries in edit mode, or prior
entries in data entry mode. I plan to revise the reports
module (including extract & ASCII file create) to use the
same concept in screen displays.
Significant capabilities included in the Update Module
that did not exist in earlier releases include:
"Ditto" or repeat fields - instead of an automatic
repeat of fields from the prior record via a CR,
release 2.00 provides "ditto" values for commonly
repeated fields. This may be used during data entry or
editing by entering a ' or " in a field. This
automatically sets the field to the ditto value. Of
obvious use during data entry due to the high number of
repeated values, but also useful during editing if you
have to make a lot of identical changes. During data
Entry Mode, the ditto values are automatically reset to
the prior record values; in Edit Mode they are set to
the first record retrieved and may be changed at any
time to the current record by entering a Cntl-D. In
addition, in data Entry Mode, EasyCENSUS accepts quotes
(' or ") in lieu of a CR on all fields except Firstname
and age. This allows for easy entry of duplicate or
blank fields. Also, the PgDn key when pressed in data
Entry Mode when the cursor is on any field past the Age
field will initiate a special duplication function
where the remaining fields are duplicated from the
prior record, written to disk and the first seven (7)
fields of the next record are dittoed from the current
record. The program remains in data Entry Mode with
the cursor sitting on the Firstname field. This speeds
up data entry of households as the first seven fields
repeat for family members and for children the later
fields are often duplicates of the prior child.
Comment records -- these follow the same comma
separated format, but contain the value "CMT" in the
County field. The next few fields contain whatever the
user desires, but the suggested format is Name,
Address, Date, and Remarks (2 lines). The intent is to
allow the person creating the file to add information
directly in the file of who did the data entry, when it
was done, and any special information that may be of
interest to later users. An example would be to
indicate if more than one person enters data, or if the
film used was particularly hard to read and thus liable
to increased inaccuracies. However, this may be
inserted at any point and could also be used to point
out other problems encountered during data entry.
Search capability now includes any desired fields,
while prior releases of EasyCENSUS only provided the
ability to search for Page Number and Dwelling Number.
The file SAMPLE.DAT contains a sample data base of
about 1000 records from the beginning of the 1850
Whitside County, IL census. To use this file, first
you must change your defaults so that the census data
file is SAMPLE.DAT. SAMPLE.KEY is a sample index for
the SAMPLE file created by using SideKick (Borland) to
edit and sort the index file created by EasyCENSUS.
FUTURE PLANS
============
The change in screen displays in the Update Module has
made what seems to me to be a significant improvement
in EasyCENSUS. I plan to extend this concept into the
report modules as indicated above. I also plan to
extend the color control capability to all modules and
include the color settings in the .OPT file. I am
considering some minor format changes to reduce the
size of the file. This includes elimination of the
year and state from each record and inclusion in a
comment record at the beginning of the file. These
changes will be implemented in Version 2.05, BUT don't
let that stop you from getting started. If you have
handy access to an 1850 or 1860 census, go ahead and
get started on data entry. There is a lot to do on
even a smaller county, but if you don't start you will
never finish. I will include a conversion option with
Version 2.05 to convert any data entered in the current
format so your effort will not be in vain.
