1. QUESTIONNAIRE DESIGN: No more than 50 questions can be in the
questionnaire and no fewer than four.
a. One survey question must be included in the questionnaire
which asks respondents to indicate their position within a
demographic group. The software can handle up to nine possible
answer responses to this question. Provisions should be made
for an "Other" selection and/or a "No opinion" or a "No answer"
choice in case the span of selections is not appropriate for
the respondent. This question can be any one from #3 to #50.
b. Another survey question also must be included in the
questionnaire which asks respondents to indicate their position
within a second demographic group. The software can handle up
to nine possible responses to this question. If the question
asked for age, for example, provisions should be made for a
selection which includes all ages above a certain limit. This
question can be any one from #3 to #50.
c. You can have up to eight more questions which ask for the
respondent's position within demographic groups. These
questions can be any question from #3 to #50.
d. During the installation of the software, the program will
ask for the "text" of the choices for the above questions. The
program will only accept up to five characters for each choice.
Be careful of what is entered when responding to this question
because the input is later used to format the reports' column
headings. Therefore use an abbreviation or acronym which is
equivalent to the text of the choice. To provide for a clean
looking report, the following suggestions should be noted:
(1) Use only capital letters for the "text."
(2) If the "text" of the choice is less than five
letters, precede the text entry by hitting the space bar
the number of times equal to the number of unused
characters. This technique will cause the text to be
right-justified on the report's column headings.
e. TIP: Design the questionnaire so that all demographic data
about the respondent is near the end. Respondents are more
likely to answer these personal questions after they are well
into the questionnaire and have established a routine of
answering the easy non-personal questions.
2. RESETTING THE SOFTWARE
a. To reset the software, select the last item from the main
menu.
b. However, when the software is reset, all files containing
data, reports, and answers to the six installation questions
are deleted. If you want to save these files for possible
later use, then first copy them to another disk before
executing the reset command.
c. The files which need to be copied are:
SURVEY.LST (contains input data from questionnaires)
INSTALL (contains answers to installation questions)
GROUP1 (analysis tables based on first demo group)
GROUP2 (analysis tables based on second demo group)
GROUP* (analysis tables based on third, fourth, etc.
demo groups, up to GROUP10)
d. When you are ready to use these files again, copy them back
to the working copy of Survware or to the SURVEY sub-directory.
3. OTHER TIPS
a. Entering survey data from questionnaires is rather boring
and time consuming when done alone. Users of this software
have reported that entering the data with the help of a person
who reads the questionnaire helps speed up the process. The
reader will call out answer responses in groups of four or five
using the phonetic alphabet to aid in letter recognition by the
keyboardist. For example, Alpha is used for A, Bravo for B,
Charlie for C, etc. Users have said that a 50-question
response can be entered in under 45 seconds when reading
response letters in groups of four.
b. Report tables can be dressed up and made more readable.
Many of the columns and rows may contain quite a few zeros.
When editing the tables to enter the text of their respective
questions, use the global search and replace command to find
all the zero values which have a blank space on each side, and
then replace each one with three blank spaces. This technique
precludes replacing the zero at the end of a number like 10 or
in the middle of a number like 104 with a blank. This same
technique can be used on the relative frequency table to find
all the 0.0% values which have a blank space on each side, and
then replace each one with six blank spaces.

c. When entering data, a counter at the bottom of the screen
keeps track of how many questionnaires have been entered.
Whenever you select to stop data input and when multiples of 25
questionnaires have been entered, the program will
automatically update the counter portion of the INSTALL file.
If power should go out on your computer between counter
updates, the counter will not be correct upon restart of the
program. No data from questionnaires entered will have been
lost though, except for the questionnaire you were attempting
to enter when power was lost. The program does not write the
data from a questionnaire to disk until confirmation of the
entire questionnaire has been made by you. After power is
restored, re-enter the questionnaire you were working on when
power was lost if you had not completed entering it and given
confirmation. To get an accurate count of how many
questionnaires have been entered, analyze the data by Group 1
or 2. A total count will be entered in the tables.
d. If you have installed Survware on a 360K floppy disk, it is
possible to free up some space be erasing the following two
files from the working copy:
