Active Life 1.2 General Information
There are versions of Active Life 1.2 for today's most popular PC
environments:
Environment System Requirements
----------- -------------------
1. DOS DOS 2.0+, 512K PC-compatible
2. Windows DOS 3.0+, 512K PC-compatible,
Microsoft Windows 2.03, /286, /386, or 3.0
3. OS/2 Presentation Mgr OS/2 1.2+, 10MB HD, 3MB AT-compatible
If you experience immediate difficulty, despite having followed the
procedures described below, the most common reason is that your disks were
damaged in shipment. Occasionally, Postal Service screening causes
magnetic dislocation of program material. Common symptoms are jumbled
text in files or catastrophic errors when you try to run the programs.
Other means besides Postal Service handling can occasionally introduce
program corruption. These include BBS downloading, defective media, or
file damage from hardware or software problems in relation to your hard
disk. You can't assume you have an exact copy of Active Life 1.2. If your
copy has been damaged, it will not work properly, and must be replaced.
Committment to Excellence
1Soft Corporation is committed to providing you with the most effective
solution for planning, managing, and tracking your time. 1Soft Corporation
purchased TimeStar Systems the developer of TimeStar 2.0 and Active Life
1.0 in March 1990. The chief designer (since 1982) of these products
continues to lead the development effort.
Active Life 1.2 is the result of eight years of development. Here's a
brief history:
- Design and Prototyping 1982-1985
- TimeStar 1.0 for DOS released April 1986
- TimeStar 2.0 for Windows released March 1989
- TimeStar 2.0 for OS/2 Presentation Manager released May 1989
- Active Life 1.0 for DOS, Windows, and OS/2 PM October 1989
- Active Life 1.1 for DOS, Windows, and OS/2 PM March 1990
- Active Life 1.2 for DOS, Windows, and OS/2 PM July 1990
Future releases are under intense development. The next release is an
Active Life update slated for December 1990. In addition, a LAN/workgroup
edition named "1 Team" is slated for release in October 1990.
Users who register for Active Life 1.2 are granted a cross-license
for DOS, Windows and OS/2 versions of Active Life 1.2 automatically.
No additional license is required to change operating environments.
The same data files can be used across DOS, Windows, and OS/2
without modification.
Copying and Distribution Authorization
All Active Life distribution files are (C)Copyright 1990, 1Soft
Corporation. ALL RIGHTS RESERVED. UNAUTHORIZED use is a VIOLATION of U.S.
and INTERNATIONAL LAW.
You are authorized to make only exact copies of Active Life files.
Modifying the original content in any way at any time is strictly

content.
Only individuals licensed by 1Soft Corporation are authorized to use
Active Life files on a continuing basis. Continued active use without
registration is prohibited. No other parties have been authorized to sell
or grant Active Life licenses. Various shareware distributors have been
authorized to sell disks containing Active Life. They are selling disks

Installing Active Life
Installing Active Life on your computer hard drive is straight forward:
Step 1: Insert the Active Life diskette into the A: drive.
Step 2: If you are installing the Windows version of Active Life, type:
A:ALWIN and press ENTER.
If you are installing the OS/2, Presentation Manager version
of Active Life, type:
A:ALPM and press ENTER.
If you are installing the DOS version of Active Life, type:
A:ALDOS and press ENTER.
Step 3: For DOS users only!
If you are installing the DOS version of Active Life, you must
run the SETUP program which will prompt you for the type of
display and mouse, if any, you are using. To do this, type:
SETUP and press ENTER.
Answer the questions and your system will be set up properly.
(For more details, see the next section, Configuring Active Life
for DOS with Setup.)
Step 4: To start Active Life run:
AL
Configuring Active Life for DOS with Setup
You will be asked to select which type of display and mouse (if any) that
you are using. Choose among the following display adapters:
1. Monographics (Hercules compatible monochrome graphics)
2. CGA* (most laptop's and PS/2 models 25, 30)
3. EGA
4. VGA (PS/2 models 50+)
(* On a CGA, Active Life requires the high resolution mode (640x200). This
mode supports only 2 colors (eg. black and white). To run Active Life in
full color, you need a VGA or EGA display.)
To change your settings, simply run SETUP again at any time.
Choosing the correct display and mouse (or no mouse) is critical. If
Active Life is started with inaccurate settings it will not run. To make
corrections, simply run SETUP again.
When settings are correct and Active Life for DOS still does not run, it
may be due to a conflict with a resident program (.exe) or driver (.sys).
To pinpoint the problem, we suggest you temporarily modify your CONFIG.sys
and AUTOEXEC.bat files so no resident programs and drivers are included.
Re-boot your machine and try AL.bat. If AL runs OK with a clean system,
add each TSR or driver back, one at a time, rebooting between changes.
Call 1Soft technical support if you need any assistance.
How to Run Active Life 1.2 on a Lap Top
Active Life runs great on most laptop computers, provided you have enough
disk space. Here are the minimum DISK space requirements for installing
Active Life 1.2 on a single drive:
During Installation During Use (excluding AL.doc)
------------------- ----------
Windows: 500K 340K
DOS: 950K 720K (also exclude aux drivers)
OS/2: 360K 335K
A hard drive is NOT required to run Active Life/DOS or Active
Life/Windows. If you would like, you can use Active Life from a dual
floppy system. Just remember to include both your drives in setting the
PATH variable in DOS so that Active Life will know where to find its
files. For example: PATH=A:\;B:\
If you're running Active Life for OS/2, you will need a hard drive, simply
because OS/2 itself requires nearly 10MB of disk space.
Active Life for Windows can be run without a hard drive, although it will
not run as fast. Two diskette drives are recommended. But one would work
if large enough to accommodate Active Life (see requirements above) plus
the minimum required Windows files.
Active Life for DOS has more files than the other two versions, but since
it is entirely self-contained (doesn't require also having Windows or
OS/2), it can be run on a laptop machine without a hard drive if you have
at least (1) 720K drive or (2) 360K drives. During the installation, a
file called NOFILE.bat is created. It contains a list of all the files
required to run Active Life. After you have Active Life/DOS set up, copy
these files to diskette. You can then run Active Life/DOS from a single
720K or dual 360K diskette-based lap top with no hard drive.
Key Command Notation
A mouse is highly recommended; however all the capabilities of Active Life
are also available using only keyboard. The following is a brief
description of how to interpret the keystroke instructions in this guide.
ALT+T An instruction written like this means that you are to
hold down the Alt key, and press the T key.
SHIFT+T, V This instruction tells you to hold down the Shift key,
and press the T key. Release both keys, and then
press the V key.
Using the Windowing Interface
This section provides you with some general guidelines for operating in
the standard windowing interface used by Active Life. You need to be
familiar with these basic features and operating techniques in order to
function smoothly within Active Life. These guidelines are common to all
three Active Life environments -- DOS, Windows, and OS/2 Presentation
Manager.
If you are already familiar with how to use this type of windowing
interface (i.e. Microsoft Windows or OS/2 Presentation Manager), you can
turn to the next section, "Using Active Life."
Click
The term "click" means to quickly press and release the mouse button.
"Double-click" means to press and release the mouse button twice quickly.
Unless otherwise specified, use the LEFT mouse button.
Drag
The term "drag" means to hold down the mouse button while you slide the
mouse.
Focus
The term "focus" refers to the one active window on the screen. The one
to which keyboard and mouse commands will be directed. The active window
"has the focus."
Title Bars and Menus
The term "window" is defined as a rectangular area on the screen in which
your application, Active Life, may be viewed. The size and shape of the
window may be altered to your specifications using commands in the Control
menu, which will be described in the following paragraphs.
At the very top of the window is a bar containing the name of the
application running in that window, Active Life. This bar is called the
Title bar. The next bar across the top of the screen is called the Menu
bar. It lists the titles of each menu of commands. A menu is a listing
of commands which can be carried out at your direction.
Selecting
Before issuing commands for actions to be performed on a specific item,
that item must first be "selected". When you make a selection, your
choice will be accentuated, or highlighted, on the screen. For example, a
selected menu title or command will appear with a black or colored bar. A
selected command button in a dialog box will appear with a bold border.
Your selection will always be emphasized in some way and stand out from
the other available options.
Selecting a Menu
There are two methods for selecting a menu from the Menu Bar. The first
method is to press ALT, which will highlight the first menu on the Menu
Bar, then press the RIGHT or LEFT arrow keys until the menu title you want
is highlighted, then press ENTER. The full list of commands in that menu
will then be displayed.
The other method for selecting a menu is to press ALT and then underlined
letter in the title of the menu. For example, to select the Edit menu
press ALT and then E. (Do not press Enter when using this method.) Even
when a menu is displayed, another menu can be selected by pressing the
RIGHT or LEFT arrow keys.
Selecting a Menu Command
When the menu has appeared, the command at the top of the list will be
highlighted. Press the DOWN or UP arrow keys to highlight the other
commands in the menu. When you have highlighted the command you want,
press ENTER. That command will then be executed.
Another method for selecting a command is to press the underlined letter
in the command name while the menu is displayed. The command will then be
carried out. For example, to select the Copy command while the Edit menu
is displayed, press C. (Do not press Enter when using this method.)
Inactive Commands
Occasionally you may see one or more commands in a menu that are gray in
color. These commands are inactive and are not available for use at that
time. When it is appropriate to use them, these commands will become
active.
Exiting from a Menu
If you decide that you do not want to select a command from the menu on
the screen, you can exit from that menu without executing any commands by
pressing the key marked ESC. This will cancel the menu and return you to
the Active Life window.
Shortcut Commands
It is often possible to execute a command directly form the Active Life
window without pulling down a menu. When there is a shortcut alternative
available it will be listed in the menu after the command title. Note:
These shortcuts are for use in the Active Life window and cannot be used
while a menu is displayed.
The Control Menu
The Control menu is a menu common to all Windows applications. It
contains commands which allow you to change the size of the window you are
working in, move that window to a different place on the screen, and to
exit from, or close, the window.
The Control menu's title does not appear in the Menu Bar across the top of
the screen but is symbolized by a box containing a small bar, or dash, in
the upper left corner of the window. To display the Control menu, press
ALT then the SPACEBAR.
If you have a mouse you may move, size, minimize, and maximize a window
directly and will not need to use the Control menu. See the section titled
Mouse Window Control. With a mouse the only time you will need to use the
Control menu is for the Close and Restore commands explained below.
Size
To change the size of the window, display the Control menu, then press S.
Or, highlight the Size command in the Control menu and press ENTER. A
four-headed arrow will appear in the window.
Press one of the direction or arrow keys to select which border of the
window you wish to move in order to expand or contract the window. For
example, press the RIGHT arrow key to select the right border of the
window.
Once the border to be moved has been determined, use the arrow keys to
adjust that border.
When you are finished moving the border, press ENTER. The contents of the
window will be adjusted to fit within the new borders.
Move
To move the window to a different place on the screen, in the Control
menu, press M. (The keystrokes for this are: ALT, SPACEBAR, M.) Or you
may select the Move command in the Control menu and press ENTER. A four-
headed arrow will appear on the screen. Use the arrow keys to move the
window on the screen.
When you have moved the borders to the area on the screen that you want
the window to be displayed, press ENTER. The window will reappear within
the new borders.
Minimize
To temporarily remove a window from the screen so that you may view other
windows, you may shrink the window to an icon which will appear in the
bottom left corner of the screen. To do this, open the Control menu and
press N.
To return the window to the screen, press ALT+ESC until the desired icon
has the focus, then open the Control Menu, and select the Restore or
Maximize command.
Maximize
To expand the window to fill the entire screen, in the Control menu press
X. (The keystrokes for this are: ALT, SPACEBAR, X.) Or you may select
the Maximize command in the Control menu and press ENTER). The window
will expand to the full size of the screen.
Restore
If you have changed the size of the window or changed it to an icon, and
wish to return it to its previous size, Open the the Control menu and
press R. (The keystrokes for this are: ALT, SPACEBAR, R.) The window
will be restored to its previous size on the screen.
Close
To exit from the window and the application you were running, in the
Control menu press C. (The keystrokes for this are: ALT, SPACEBAR, C.)
Or you may select the Close command in the Control menu and press ENTER).
The shortcut is CTRL+F4 if you are using Windows 3.0, or ALT+F4 if you
have an earlier version of Windows.
Mouse Window Control
Move
To move a window to another location on the screen simply drag the
window's title bar or icon to the desired location and release the mouse
button.
Size
To change the size of a window, first point at the border that you want to
change. When the pointer changes to a two-headed arrow, drag it until the
window is the size that you want and then release the mouse button. Note:
if you drag a corner, you may adjust two sides at once.
Maximize
To expand a window to fill the entire screen, click on the upward pointing
triangle in the upper righthand corner of the window.
Minimize
To temporarily remove a window so that you may view other windows, click
on the single downward pointing triangle in the upper righthand corner of
the window. The window will shrink to an icon that will appear in the
lower lefthand corner of the screen.
Working With More Than One Window
Active Life contains a pop-up calendar and a Notebook application that run
in their own windows, apart from the Active Life window. Keystrokes and
commands entered are directed to the window that has the "focus." The
PageUp key, for example, scrolls a schedule when the main window has the
focus, but changes the month in the pop-up calendar when the calendar has
the focus.
You can tell at a glance which window has the focus, because it will be
the only one with a title bar appearing in the active title bar color.
The other windows will have title bars appearing in the inactive title bar
color.
If you are viewing the pop-up calendar in Active Life, press the TAB key
to switch the focus between the main window and the calendar window.
If you are running the Active Life Notebook, press ALT+TAB to switch the
focus between the main window and the Notebook application.
Working in Dialog Boxes
When additional information is needed to carry out a command, a "dialog
box" will appear on the screen to enable you to enter the required
information, or to select options or additional commands. The areas
within the dialog box that you will work with include text boxes, option
buttons, check boxes and command buttons.
To move from one area to another within the dialog box, press the TAB key.
Press SHIFT+TAB to move in the opposite direction. An alternate method of
moving to areas within a dialog box is to hold down the ALT key then press
the underlined letter in the area you wish to select.
You will always know where you are within a dialog box by the position of
the cursor. However, the cursor will take different forms depending on
the area of the dialog box it is in. In a text box, for example, it will
have the familiar appearance of a flashing, vertical line. But in an area
of the dialog box containing command buttons, the cursor will appear as a
gray outline around the command button title. In addition to a window
having the focus, the area identified by the cursor is also said to have
the "focus."
Certain areas of the dialog box may appear gray in color and you will be
unable to select the options they contain. These areas are inactive and
their options and commands are unavailable at that time. They will become
active when their use is appropriate.
When a dialog box is displayed on the screen, it may already contain some
information or have certain options highlighted. This information may be
the default settings of the application or it may be information you have
selected previously.
Text Boxes
A text box is an area in the dialog box where you can enter text. In an
Active Life text box, the cursor will appear as a blinking vertical line.
Text will appear to the left of the cursor as it is entered.
If there is already text in a text box, the entire line of text will be
highlighted when it is selected. The cursor will appear to the right of
the existing text.
Option Buttons
When an option button is selected, the button title is enclosed in a gray
box and the button itself is filled in with a black dot. The gray outline
box around the title is the cursor.
Use the arrow keys to select a different option button in an area of the
dialog box. The gray outline around the button title (the cursor) will
move to each button within that group. Only one option button in a group
of buttons may be activated at one time.
Check boxes
A check box is a small square box that needs to be marked with an X to be
selected. The cursor will appear as a vertical gray line to the right of
the check box you are working with.
To mark a check box with an X, press the SPACEBAR. An X will appear
inside the box indicating that it has been selected. The spacebar is a
toggle that will alternately mark a box with an X and erase it again. To
remove an X inside a check box, select the box and press the SPACEBAR
again.
You may select more than one check box if you wish. Use the direction
keys to move the cursor to the check boxes you wish to mark.
When you mark a check box or select an option button then move to a
different area within the dialog box, those choices will remain as
selected.
Command buttons
Command buttons will cause a command to be executed when that button is
selected. The title of the command is located inside of the button. When
that button is highlighted, it will have a thick, heavy border and there
will be a gray box (the cursor) surrounding the title inside the button.
After selecting a command button, press ENTER to have the command carried
out.
Getting Started with Active Life
You should be familiar with how to use the standard windowing interface.
If you are not, please read the previous section of this manual before
proceding.
Active Life contains many features which allow you to manipulate your
schedule in almost every way imaginable. Using commands in the Juggle
menu, you can change an item's position within a schedule, or you can move
an item from one day's schedule to another. From the View menu, you can
display several schedules at the same time with "Multiple Schedule
Windows" or "Week at a Glance". With commands found on the Select menu,
you can page through the schedules a day at a time or a week at a time, or
you can look at the schedule for a specific date.
Active Life also contains a notebook in which you can keep names, phone
numbers, dates and any other information you want for quick and easy
reference (select Notebook from the menu line). There is a built-in
auto-dial feature which will dial up any phone number in the notebook for
you (if you have a modem). There is also a pop-up calendar which you can
size and position anywhere that you want it on the screen (select Calendar
from the menu line).
With a little practice, you will soon be inserting, refining, moving and
deleting items like a pro and you will be delighted with the ease of use
and power of Active Life.
Using Active Life
Once you have Active Life installed, you will probably want to begin
entering your own items immediately. The following is a description of the
windows and dialog boxes you'll encounter, the choices you'll make and the
procedures you'll use when working with Active Life.
We'll start by looking at the information displayed at the top of the
window. The first bar of the window, the title bar, tells us what program
is currently running - Active Life. If you have made use of the Enter
Name command in the Options menu, your name will appear to the right of
the program title.
The second bar of the window is the menu bar which displays the titles of
the menus available for use. We will go through each menu in detail in
later chapters of the guide.
The next bar will inform us that we are currently looking at Schedules (as
opposed to the Activities List) and also displays the present time, day of
the week and date.
These three bars will always be present no matter what schedules the rest
of the screen is showing. The third bar will also report the number of
items in the Activities List when the Activities List is displayed.
The fourth line of information, the banner line, displays a convenient
summary of the schedule shown in the window. It states the day and date
of the schedule, the number of items in that day's schedule, the amount of
time taken up by the items in the schedule, and the amount of time left
unscheduled in that day (open or free time).
If the schedule being viewed is the one for the present date, an asterisk
(*) will appear after the date in the banner line. This indicates that
today's schedule is currently being displayed.
If the schedule being viewed is not the schedule for the present date, a
number will appear after the date in the banner line preceded by a plus
(+) or a minus (-). A number preceded with a plus indicates that the
schedule being displayed is that number of days in advance, or in the
future, of the present date. A number preceded by a minus indicates that
the schedule shown is that number of days behind, or in the past from, the
present date.
Banner information will change as activities are added to, deleted from or
modified in that schedule or as schedules for different days are selected.
If any items are not marked as completed on a past date's schedule, the
number of undone items will also be reported in the banner line.
Selecting Schedules
Active Life gives you a large number of ways to move between schedules.
A Day at a Time
To select the schedule for a date one day earlier or later than the one
being displayed:
Press the grey PLUS (+) key on the numeric key pad and the
schedules will advance one day.
Press the MINUS (-) key on the numeric key pad and the schedules
will roll back one day.
Click on the right-facing arrow at the far right end of the
horizontal scroll bar at the bottom of the schedule screen, and
the schedules will advance one day.
Click on the left-facing arrow at the far left end of the
horizontal scroll bar at the bottom of the schedule screen, and
the schedules will roll back one day.
A Week at a Time
To select the schedule for a date one week earlier or later than the one
being displayed:
Click in the gray area on the right half of the horizontal scroll
bar at the bottom of the schedule screen, and the schedules will
advance one week.
Click in the gray area on the left half of the horizontal scroll
bar at the bottom of the schedule screen, and the schedules will
roll back one week.
A Month at a Time
To select the schedule which is one month earlier or later than the one
being displayed:
Click on the up-facing arrow at the top end of the vertical scroll
bar an the right side of the pop-up calendar, and the calendar will
advance one month. Then, click on the desired date in the calendar
and that schedule will be displayed.
Click on the down-facing arrow at the bottom of the vertical scroll
bar at the right side of the pop-up calendar, and the calendar will
roll back one month. Then, click on the desired date in the calendar
and that schedule will be displayed.
A Year at a Time
To select the schedule for a date one year earlier or later than the one
being displayed:
Click in the gray area on the top half of the vertical scroll bar at
the right side of the pop-up calendar, and the calendar will advance
one year. Then, click on the desired date in the calendar and that
schedule will be displayed.
Click in the gray area on the bottom half of the vertical scroll bar

that schedule will be displayed.
Decades at a Time
To select the schedule for a date years and even decades earlier or later
than the one being displayed:
Locate the scroll box (the small white square in the gray area of the
scroll bar), in the vertical scroll bar at the right side of the
calendar. With a mouse, drag the scroll box down or up within the
gray area. The gray area represents the full range of the Active
Life schedules (from April 1, 1986 through December 31, 2068), and
dates on the calendar will move forward or backward proportionally
through the date range.
Use this method to get close to the desired date, then use the methods
described above to close in on the exact date desired. Then, click on the
desired date in the calendar and that schedule will be displayed.
Returning to Today's Schedule
No matter how far you go ahead or back in the schedules, you can always
return to today's schedule by simply pressing the HOME key.
Inserting Items Into Your Schedule
Select the date on which you wish to schedule your desired item, then
double-click the mouse on any open space in the schedule screen (not on a
existing item). (You can also press the INSERT key, or select the Insert
command in the Edit menu and press ENTER). A dialog box will be displayed
which will guide you in entering the pertinent information about your item
quickly.
If you were to press ENTER, without typing any information into the dialog
box, an untitled item would be entered in your schedule for that day at
the earliest free space with a duration of 10 minutes.
Title
The name or description of your item can be up to 80 characters long.
What you enter in this box will be displayed in your schedule so type in
whatever you would ordinarily write in any date book or appointment
calendar.
When you have entered the title of your item to your satisfaction, press
the TAB key. This will advance the cursor to the next text box.
Also, the EXEC and AUTOEXEC keywords, if used, (for Windows 3.0+ and OS/2
Presentation Manager users only) are typed in the title box.
Duration
Here is where you enter the amount of time you think a task will take. If
you are unsure of how much time your item will take up, make a reasonable
estimate.
You may enter complete times like "2:00" for two hours or "1:45" for 1
hour and 45 minutes, or you make simply enter digits. Numbers 1 through 4
are interpreted as hours, 5 through 99 are interpreted as minutes while
entering 100 through 2400 will be assumed to be hours and minutes.
Therefore, 3 will appear in the text box as "3:00", 23 will appear as
":23" and 93 will be interpreted as 93 minutes, which is 1 hour and 33
minutes. You may enter durations of up to 24 hours.
To flag the item as a note, either type "note" or the digit "0" (zero) in
the Duration box. When the item is inserted into the schedule, the word
"note" will appear on the right side of the description. If you choose to
make the item an unscheduled item (as described in the "Scheduled /
Unscheduled Items" section below), then the item will appear at the top of
the day's schedule with the word "note" on the left, where the begin time
would ordinarily be.
Date
This is the date on which your item is to take place. The date of the
schedule which you selected when you called up the definition (insert)
dialog box, will automatically appear in this box. If you decide that
you'd like your item to be scheduled on another day, enter that date here.
The date may be entered as "month/day/year" with slashes separating the
month, day and year or you may use hyphens, periods or blanks as
separators. Examples:
6-23-90
6/23/90
6 23 90
You need use only two digits to specify the year. Specifying values
between "90" and the "99" are assumed to be years between 1990 and 1999.
Specifying values from "00" to "68" are assumed to be years between 2000
and 2068.
If you omit the year, (e.g. 6/23) the year will be assumed to be the next
occurrence of such date between the current date and the end of next year.
You may alternatively enter the name of a weekday. The date of the
closest future weekday will be assumed. You have the option of typing the
entire name of the day, such as "Monday", "Thursday", or "Saturday", or
typing in an abbreviation , like "Mon", "Th", "F", or "SA".
Note: Active Life for Windows and Active Life for OS/2 support
world-wide date and time formats. For example:
14:00 dd/mm/yy Australia, United Kingdom, Belgium, Brazil
14:00 yy-mm-dd Austria, Candada, Portugal
15.00 dd-mm-yy Denmark
15.00 dd.mm.yy Finland
14:00 dd.mm.yy France, Germany, Norway
14:00 dd/mm/yy Italy, Netherlands, Iceland, Spain, New Zealand
2:00 dd/mm/yy Mexico
2:00 yy.mm.dd South Korea
15.00 yy-mm-dd Sweden
16,00 dd.mm.yy Switzerland
2:00 mm/dd/yy United States, Taiwan
If you're running Windows or OS/2, use the systems's Control Panel to
set your country format.
Scheduled / Unscheduled Items
The "Scheduled" box gives you the option of having your item appear on
your schedule with a begin time, or you may elect to have it appear
without a time associated with it, thereby making it an "unscheduled"
item. Designating your item or items as unscheduled is a convenient way
to post notes or comments on your schedule.
When a new item is inserted, the default setting is that it is a
"scheduled" item. To designate this item as "unscheduled", click the
mouse on the "Scheduled" check box. To replace the X, and make this a
"scheduled" item, simply click the scheduled check box again.)
Begin Time and Floating/Fixed
When the definition dialog box first appears on the screen, the "Begin
time" text box is empty and the button labeled "Floating" is selected.
If you leave the "Begin time" box empty, Active Life will automatically
insert your item into the schedule at the earliest open time, taking into
account the length of time of the item and of any other items already
scheduled.
If you chose to designate a time you would like your item to begin and
choose the "floating" option, Active Life will insert your item into that
time slot if there is enough time available. However, if there is a
conflict with any other scheduled items, your item will be inserted at the
earliest time available following the time you designated in the "Begin
time" box, while keeping it within the "bounds" you specify (see below).
The term "floating" means your item can take place over a range of time
during your day. By entering a time into the "Begin time" box, you are
informing the program of the time you prefer it to take place.
Most likely, you will want to schedule your item for a specific, or fixed
time. To do this, enter the time you wish in the "Begin time" box. As
the begin time is entered, the "Fixed / Floating" selection button
automatically switches to fixed.
Times may be entered as "3:00" for 3 o'clock pm, "9:45" for 9:45 am or
"6:3" for 6:30pm. If no "a" (am) or "p" (pm) is typed after your time, it
will automatically appear between 8:00am and 7:59pm. Typing "9:30" into
the text box will appear as "9:30a" and "6:20" will appear as "6:20p".
You may also enter numerals only, leaving out the colon completely.
Typing "4" will appear as "4:00p" and "912" will appear as "9:12a".
Military time, or the 24 hour time format is also supported, e.g. "5:00"
for 5am and "17:08" for 5:08pm. Multinational time formats are recognized
as selected via the Control Panel
After you type in the time at which you would like your item to begin, you
may select a fixed or floating time. By virtue of the fact that you
entered a begin time, the "Fixed" button is selected. Click on the
"Floating" button (or use the DOWN arrow key to select the button labeled
"Floating") if you wanted a floating begin time. (Click on "Fixed," or
use the UP arrow key to select the "Fixed" button again.) Your fixed-time
item wil appear on the schedule at exactly the time you designated. When
you select a floating time, the begin time is "optional." When you select
a fixed time, the begin time is "required."
If there is a conflict with another scheduled item, the time of your most
recently added item will appear on your schedule in a lighter shade (or in
red if running Active Life for OS/2 PM). This will alert you to the
conflict and you can make the necessary adjustments.
When you put a time in the Begin time box and select the Fixed option,
Active Life will put the item into the schedule at that exact time,
regardless of what other items may be scheduled in the same time slot.
When you put in a begin time and select the Floating option, the item will
be put into the schedule as close to the specified time as possible while
avoiding a conflict with any other scheduled item. Active Life will not
allow you to choose the Fixed option and leave the Begin time box empty.
In that case, Active Life will choose the Floating option automatically.
Active Life is a dynamic scheduler and will do much of the scheduling work
for you. To use the scheduling power of Active Life, you will want to
choose the Floating option and omit the begin time for those tasks which
have a flexible start time. This tells Active Life to find room in the
schedule for each item which will not conflict with other scheduled items.
Only if an activity must begin at a specific time, such as a lunch date, a
meeting or an event, should you select a fixed time.
Bounds
If you chose to make your item floating (the "Floating" button is
selected), Active Life allows you to select a time range in which you
would like to have it scheduled. For example, if you need to make a phone
call to a colleague who will only be in his office between 9:00 and 11:30
am tomorrow, you can give the program this information in the text boxes
labeled "Bounds".
By entering a time in the "Earliest" and "Latest" boxes, you tell Active
Life to insert the item into the day's schedule between those two times
only. Generally, Active Life will try to schedule the item between its
begin time and the latest time in the Bounds area.
You may enter whatever times you wish or you may accept the default
values. Follow the same guidelines for entering time values as described
for the "Begin Time" text box.
If an item is designated as "scheduled" and the "Fixed" button is
selected, the Bounds boxes will be seen in gray (or red for OS/2 PM), and
will be inactive.
Alarms
Click on the Alarm check box (or press ALT+A, or use the TAB key to move
the cursor to the check box titled "Alarm" and press SPACEBAR). This will
place an X in the check box, to show that the alarm is now on and will
also bring up the Alarm dialog box.
In the Alarm dialog box, you have the opportunity to set the alarm to go
off either before or after an item is scheduled to begin, or before or
after an item is scheduled to end. You can also indicate the amount of
time before or after the time of your chosen item that you would like the
alarm to go off.
The cursor will first be positioned in a text box titled "minutes". The
default setting of this box is "0". Keeping a zero in this box will set
the alarm to go off exactly at the begin or end time of your item, no
matter whether the "Before" or "After" option button is selected.
However, you may enter in any number up to 99 in this box.
You may click on either the "Before" or the "After" button to select one
of them (or use TAB and the UP and DOWN arrow keys to select one).
Keeping the "Before" button selected will set the alarm to go off before
the item begin time (or end time, if you select that option). Activating
the "After" button will set the alarm to go off after your item is
scheduled to begin or end.
The "begin time" box will be marked with an "X", telling the alarm to go
off before (or after) your item is scheduled to begin. Click on the check
box to remove the "X". Click a second time to replace it. Click on the
"end time" check box to put an "X" there, and click a second time to
remove the "X". (You can also use the TAB key to move the cursor, then
use the UP and DOWN arrow keys to select a check box, then press the
SPACEBAR to mark the box with an "X", and press again to remove the "X".
You may elect to have both the "begin time" and "end time" boxes marked so
that the alarm will go off twice, both before the item begins and before
the item ends (or after, if "after" is selected).
When the alarm sounds, a message box will appear on the screen alerting
you to the starting or ending time of the item. The alarm will chime
every 60 seconds until you acknowledge it. You will be asked if you would
like the alarm repeated, and if so, when.
Clicking on "OK", or pressing ENTER while "OK" is selected will set the
alarm with the information you have given it and bring you back to the
main dialog box. Click on "OK." The item will appear on your schedule
with "-a" after it. This indicates that the item has an alarm set.
In the Alarm dialog box pressing ESC will cause the changes just entered
to be disregarded, however, the alarm will still be set. Pressing ENTER
while "Cancel" is selected will have the same effect.
To cancel the alarm, you must delete the "X" from the check box to the
left of the "Alarm" command button in the main dialog box. Do this either
by clicking on the check box or by putting the cursor next to the check
box with the TAB key, then pressing the SPACEBAR)
Recurring Items
If you have an item that occurs on a recurring basis, it is not necessary
to go to each date to insert the item. While working in the definition
dialog box, simply click on the "Recurring" command button (or press
ALT+R, or press TAB until the Recurring button is selected and press
Enter). This will bring up another dialog box in which you may designate
how often and on which days you'd like the item to appear on your
schedule.
A recurring item will appear on your schedule with a "-r" after it to
indicate that it is recurring.
The Dialog Box for Recurring Items
You have many options in scheduling your recurring item. When the
"Recurring" dialog box first comes to the screen, the "Daily" option
button is selected.
Click on, or press TAB to move from the "Daily" button to the text box
titled "Starting". The date in this box will automatically be the date of
the schedule you are presently working with. You can change this date to
whatever date you wish, entering it as "month/date/year".
Click on, press TAB again to move to the text box titled "Ending". This
text box will be blank, and if left blank will cause your item to be
inserted into every daily schedule indefinitely. You may type in the date
of the last day that you would like your item to take place. Click on
"OK," or press TAB to select the "OK" command button and press ENTER. The
"Recurring" dialog box will disappear and the definition dialog box will
return to the screen.
Every ___ Days
Your item may not need to take place daily but every two or three days,
for example. When in the "Recurring" dialog box, press the DOWN or RIGHT
arrow key to select the button labeled "Every ___ Days". When this button
has been selected, the empty box in the button label will contain the
default setting of 2.
You may chose to keep this setting or you may enter any number you wish up
to 99. Press TAB to bring the cursor to the text box and type in the
numerals.
Click on, or press TAB to move the cursor to the "Starting" and "Ending"
text boxes, enter the dates you want and click on "OK," or press ENTER
when you are finished. Your item is now designated to be scheduled at
every interval of days that you indicated.
Always remember that leaving the "Ending" text box blank will cause your
item to be scheduled into the future indefinitely.
Weekly Activities
To schedule an item that you would like to take place weekly, bring the
"Recurring" dialog box to the screen. Here you have the opportunity to
check off the day or days of the week you would like your item to be
scheduled on.
Click on the "Weekly" button, then click on the check box for each day on
which you want the item to be scheduled.
If you are not using a mouse, press the DOWN arrow key twice to select the
button labeled "Weekly", then press TAB and the cursor will be moved to a
series of seven blank check boxes labeled for the days of the week as "M"
for Monday, "T" for Tuesday, "W" for Wednesday, "H" for Thursday, "F" for
Friday, "SA" for Saturday and "Su" for Sunday.
The cursor will appear as a gray vertical line to the right of the check
box labeled "M". Press the space bar to fill in this box with an "X."
(The space bar is a toggle which will alternately mark a check box with an
"X" or erase it.) Press the RIGHT arrow key to move the cursor along the
row and check off the boxes you need. Press the LEFT arrow key to move
the cursor to the left.
You are not limited to having your item scheduled only once a week. You
may check off as many boxes as you like up to all seven (in that case,
selecting "Daily" instead of "Weekly" on the occurrence list would be much
easier).
You may also choose to leave all the day-of-the-week check boxes blank and
tab directly to the "Starting" text box. This will cause your item to be
scheduled once a week on the week-day that your "Starting" date falls on.
For example, if you do not mark any day-of-the-week check boxes and your
"Starting" date is 1/15/90, which falls on a Monday, then your item will
be scheduled each week on Monday.
Click on, or press TAB to move the cursor to the "Starting" and "Ending"
text boxes, fill in the dates you wish and click on "OK," or press ENTER.
Your item is now set to be scheduled every week on the days you indicated.
Every ___ weeks
You may want your item to be scheduled at an interval of every two or more
weeks. Click on, or use the DOWN arrow key to select the button labeled
"Every ___ Weeks" on the occurrence list. The default setting in the box
in the button label is 2.
Click, or press TAB to bring the cursor into the number-of-weeks text box
and type in any number you wish up to 99.
Entering the number "1" in this text box will cause the button selection
to change automatically from "Every 1 Weeks" to "Weekly" when you tab to
the next text box.
Click on each check box for the days of the week you want, or press TAB
to move the cursor to the day-of-the-week check boxes, then use RIGHT
arrow key to move the cursor along the list of days. Use the SPACEBAR to
select and de-select each check box. Type in the information you wish and
click on "OK," or press ENTER. Your item will be scheduled on the days of
the week you indicated at the weekly interval you specified.
As stated earlier, if you chose to leave all of the day-of-the-week boxes
unchecked, your item will be scheduled on the day of the week that the
"Starting" date falls on.
Monthly
You may want your item to be scheduled once, several or many times each
month. In the "Recurring" dialog box, click on, or press the DOWN arrow
key to select the button labeled "Monthly" on the occurrence list.
When using a mouse, simply click on "Cardinal Month Days" or "Ordinal
Month Days", then click on the check boxes for each of the desired days.
Without a mouse, press TAB to select "Cardinal Month Days". Press TAB and
the cursor will move down to day one in the calendar consisting of blank
check boxes next to each date. The cursor is now a dotted gray outline
around the check box marked "1".
Press the RIGHT arrow key to advance the cursor one date at a time. Press
the LEFT arrow key to move the cursor back one date at a time. Holding
the arrow keys down will cause the cursor to move quickly past the date
check boxes. Use the space bar to fill in a box with an "X."
Check off the date boxes you wish in the calendar then press TAB to move
the cursor to the "Starting" and "Ending" text boxes. Fill in the dates
and press ENTER. Your item is now set to be scheduled monthly on the
dates you specified. For example, when checking boxes in the calendar you
marked the boxes labeled "5" and "26", your item will be scheduled on the
5th and 26th of each month, no matter what day of the week they fall on.
You may want to schedule your item to take place on a certain day each
month; for example, the last Friday or the second Tuesday of every month.
This is possible by selecting the "Monthly" button on the occurrence list
in the "Recurring" dialog box, pressing TAB which selects the button
labeled "Cardinal Month Days" and pressing any one of the arrow keys to
select the button marked "Ordinal Month Days."
The calendar for the "Ordinal Month Days" is different from that for the
"Cardinal Month Days". Instead of check boxes labeled with numerals for
the dates, the "Ordinal Month Days" calendar has rows of check boxes
labeled as "1st", "2nd", "3rd", "4th" and "last", and the columns are
arranged as "M" for Monday, "T" for Tuesday, "W" for Wednesday, "H" for
Thursday, "F" for Friday, "SA" for Saturday and "Su" for Sunday.
You can move around this calendar and check the boxes in the same way as
you can in the "Cardinal Month Days" calendar. Press the RIGHT arrow key
to advance the cursor (which appears as a dotted gray box around each
label) to the next weekday and press the LEFT arrow key to move the cursor
back one weekday. Press the space bar to mark an "X" in each box you want
to check off. If you are using a mouse, simply click on the desired
boxes.
When you have marked the check box(es) to your satisfaction, move the
cursor to the "Starting" and "Ending" text boxes. Fill in the dates and
click on "OK," or press ENTER. Your item will be scheduled monthly on the
day(s) you specified regardless of the date.
When working in the "Cardinal Month Days", it is not necessary to mark
any of the check boxes. You may leave them blank if you wish and tab
directly to the "Starting" and "Ending" text boxes. This will set your
item to be scheduled each month on the same day of the month as the
"Starting" date.
Every ___ months
You may wish to have your item scheduled at an interval of every two or
more months. In the "Recurring" dialog box, click on, or press the DOWN
arrow key until the button marked "Every ___ Months..." is selected. The
default setting is 2.
Then click in, or press TAB to move the cursor inside the text box to the
left of the word "Months..." in the button label and type in the number
you wish up to 99.
Click on, or press TAB to select the button labeled "Cardinal Month Days"
and press any arrow key to select the button labeled "Ordinal Month Days".
Pressing the arrow key will switch the focus back and forth between these
two buttons. Make your selection and press TAB to move the cursor down to
the first check box of the calendar.
The cursor appears as a dotted gray border around the check box label.
Press the RIGHT arrow key to move the cursor ahead one check box at a time
or press the LEFT arrow key to move the cursor back one check box at a
time. Press the SPACEBAR to mark any of the check boxes you chose with an
"X." Pressing the SPACEBAR will also erase an "X" in the selected check
box. Or you may simply chose to leave all of the check boxes blank.
Click on, or press TAB to move the cursor to the "Starting" and "Ending"
text boxes and type in the dates you wish. Press ENTER and your item is
now set to be scheduled on the days or dates you indicated at the monthly
interval you specified.
Annually
You may designate your item to be scheduled once a year by selecting the
button labeled "Annually" in the occurrence list at the left side of the
"Recurring" dialog box. Click on, or press the DOWN arrow key to select
the option button labeled "Annually".
Click on, or press TAB to move the cursor to the "Starting" and "Ending"
text boxes. Fill in the dates of your choosing and click on "OK," or
press ENTER. Your item is now set to be scheduled each year on the date
entered in the "Starting" text box.
Every ___ years
You may want your item to be scheduled every two or more years. In the
"Recurring" dialog box, click on, or press the DOWN arrow key to select
the last button on the list labeled "Every ___ Years". The default
setting for this selection is 2.
Click in, or press TAB to move the cursor to the text box to the left of
the word "Years" in the button label. If you do not want the default
setting of 2, type in the number you want up to 9.
Entering the number "1" in this box will cause the selection to change
automatically from "Every 2 Years" to "Annually" when you tab to the
next text box.
Click in, or press TAB to move the cursor to the "Starting" and "Ending"
text boxes and type in the dates you wish. Click on "OK," or press ENTER
and your item will be scheduled on the date entered in the "Starting" text
box at the yearly interval you specified.
Once you have finished your session in the "Recurring" dialog box, click
on "OK," or TAB over to the OK button and press ENTER. This will return
you to the definition dialog box. Notice that the "Date" button no longer
contains a date but is marked "Recur'ng". On your schedule the item will
be marked "-r" to indicate that it is a recurring item.
Note: While working in the "Recurring" dialog box, you may decide that you
don't want your item to be recurring. Press ESCAPE (or TAB to the
"Cancel" button and press ENTER).
Changing Recurring Items to Non-Recurring
Once a recurring item has been set up, it can easily be changed into a
single-occurrence item. To do this, simply click on the recurring check
box, (just to the left of the Recurring button) to remove the "X" (or use
the TAB key to put the cursor on the right side of the check box, and
press the SPACEBAR). Each time you click on the check box or press
SPACEBAR, the recurring status of the item switches, from recurring to
non-recurring and back again. An "X" in the check box indicates that the
item is recurring, while an empty check box indicates that the item is a
single-occurrence item.
When you change the status of an item to non-recurring this way, Active
Life deletes all occurrences of the item with the exception of the one
occurrence that was selected (highlighted) when the definition box was
called up. That one occurrence of the item remains in the schedule.
Deleting All Occurrences of a Recurring Item
There are two methods you can use to remove all occurrences of a recurring
item. The first is to highlight any occurrence of a recurring item on any
schedule, then select "Delete All Occurrences" from the Edit menu.
The second method is to first choose the "Alphabetical Items List" in the
View menu (ALT+V, A), highlight the recurring item on the list, and press
the DELETE key.
Making Changes to Recurring Items
With any standard instance of the recurring item selected, press ENTER, or
press ALT+E, R, or choose "Refine Selected Item" in the Edit menu. If the
item specifications you wish to change are shown in the current dialog box
then simply make the desired modifications, click on "OK," or TAB over to
"OK" and press ENTER. To change the frequency or days that an item occurs
press ALT+R to bring up the "Recurring" dialog box. Make the desired
modifications and press ENTER twice.
Exceptions to Recurring Items
Perhaps a meeting which is normally scheduled to take place on the first
Monday of every month will be moved to the following Tuesday because of a
holiday on that certain Monday. Or perhaps a lunch date every Tuesday at
noon must be changed to one o'clock on a certain instance because of a
scheduling conflict. Simply select any standard instance of the recurring
item on any schedule day and bring up the definition dialog box by
pressing ENTER. You may also choose "Refine Selected Item" in the Edit
menu, or with a mouse, simply double click on the item.
Now, click on the Next button or press ALT+N to advance the date shown
above the Next button to the date of the next occurrence of the item.
Similarly, click on the Prior button or press ALT+P to display the date of
the previous occurrence of the item. When the date of the item occurrence
that you wish to modify is showing, you may...
Press ALT+C -- To Cancel (delete) this occurrence
of the item.
or
Press ALT+X -- To indicate that this occurrence of the
item is different in some way, then...
Make the desired changes in the upper portion of the definition dialog box
and press ENTER (if OK is selected) or press ALT+O (for OK). The schedule
for the date of the modified occurrence will appear on the screen. To the
right of the item title will be an "-rx" to indicate that this is an
exception to a standard recurring item.
Note: If you would like the modifications entered to become the new
standard for the recurring item press ALT+S (for Standard) while still in
the definition dialog box.
Changing Information
If you wish to make changes to any of the information for an existing
item, first double-click on the item description line on the schedule
screen (or highlight the item and press ENTER). Then, click on the
appropriate box (or use TAB or the ALT+(the underlined letter) to get to
the appropriate box) and enter the changes. To ignore any changes and
return the item to the schedule without any of the changes taking effect,
click on "Cancel" (or press ESCAPE, or TAB to the command button titled
"Cancel" and press ENTER).
Deleting Items
Click once on the item in the schedule (or use the arrow keys) to select
it, then press the DELETE key (or press ALT+E, D). A message will appear,
asking you to confirm the delete command. Click on "Yes" (or use the TAB
key to select "Yes" then press ENTER) and the item will be removed from
the schedule. If you click on "No" (or press ENTER with "No" selected)
the item will not be affected and will remain in the schedule.
OK
Clicking on "OK" (or pressing ENTER when the "OK" command button is
selected) will close the dialog box and add the item to your schedule, or
apply any chenges to an existing item.
Toggling Between Two Views
At the far right end of the Schedules line (just underneath the Menu
Titles line) is a maximize button (a small white square with an upward
pointed triangle in it). Clicking on this button will cause Active Life
to switch to the view mode that was in effect immediately before the
current view mode. By clicking again, Active Life will swap back to the
present view mode. If there is no previous view mode, the Alphabetical
Items List will be selected automatically.
Using this feature, you can switch back and forth from single window to
Week at a Glance or Multiple Windows views and back again easily.
Juggling Items
Once an item is inserted into your schedule, you may move it to a
different position within that schedule or move it to the schedule of a
different day.
Using a mouse, click to select the item you wish to move, then simply drag
the item up or down within the schedule. When you move a "floating" item
up or down on the schedule, the begin time of the item will adjust
automatically. Even if you have designated an item to take place at a
fixed time, it is possible to move that item up and down on the schedule.
The time you specified remains the same on the entry.
Note: If you move an item to a spot where it conflicts with another item
or goes outside of the time bounds you designated, the time will appear
lighter (or red in OS/2 PM), warning you of the conflict.
To move a selected item to another schedule, simply click with the right
mouse button on the desired target date in the calander window. This is a
very efficient way to reschedule items that have not been marked as
completed.
While viewing schedules in multiple windows, click to select the item,
then drag it to the desired schedule window.
When Active Life is first run on a new day, two windows may automatically
appear on the screen: the leftmost schedule containing items that have not
been marked as completed and the rightmost schedule for the present day.
This will call your attention to the uncompleted items on the past day so
that you may reschedule them if necessary or mark them completed. Having
two schedules displayed makes it easy to move items over to the next day
by dragging them with a mouse. You can also use the Carry Over Undone
Items command in the Juggle menu.
Headlining an Item
For emphasis, you may wish to headline certain items on your schedule. A
headlined item is seen in the schedule as underlined. To headline the
currently selected item simply press F3. Press F3 again to remove the
headline (underline). Alternatively, you may select "Headline" in the
Edit menu.
Schedule Portability
You can have Active Life print single page reports that list your schedule
for the present day and beyond; plus a 3 month calendar. It will also
list all headlined (underlined) events for up to 90 days into the future.
This allows you to see openings for appointments when away from your
computer or desk.
Automatic Data Saving and Making Backups
To minimize data loss from unexpected natural disasters such as power
interruptions, Active Life 1.1 saves any changes you have made to your
schedules every 60 seconds. Should a power interruption occur, you would
lose only the changes you made in the last one minute.
As an added precaution, Active Life maintains a backup file (TIMEDATA.BAK)
which contains your just previously saved scheduling data. Notebook files
are NOT auto-saved so be sure to save your .NBK files periodically.
Schedule Archiving
A schedule will be "archived" when all events are marked as completed.
Completed schedules are stored in a file named according to the month and
year. For example: "AL-Jan90.Log". These files are ASCII format and may
be displayed or printed using the TYPE or PRINT commands of DOS, Windows
NotePad, or other utility applications.
There are few things more important than your data. Especially the
scheduling data you rely on to plan your future and to track your
accomplishments. On a regular basis make backups of your Active Life data
file TIMEDATA.PAK as well as your notebook files (.NBK) and archived
schedules (.LOG). These backups should be made on reliable media and
stored in a safe place.
Automatic Launching of Applications
The following two commands are available only to users running Windows
3.0+ or OS/2 Presentation Manager.
There may be times when you want to run a program or application without
having to manually initiate it. Active Life has the capability to load
and run a program (or executable file) at the precise time you choose;
even if you are not present. Active Life will even pass parameters to the
program. This feature is activated by either of the two keywords, EXEC or
AUTOEXEC when either of them, but not both, is included in the item title.
If you wish to manually initiate an EXEC or AUTOEXEC item earlier in the
day for which it was scheduled, simply select the item and issue the
Start Item command. See details in the section on the Edit menu.
EXEC
When the keyword "EXEC" is used in an item title, and the scheduled begin
time for that item is reached, Active Life will display a dialog box which
has the current time and the message, "Ready to EXEC (program-name)." At
that time, you may choose the "yes" option to run the program, or choose
the "no" option to cancel the process. If you choose "yes," Active Life
will load and run the program named after the EXEC keyword. Active Life
will also automatically mark that item as completed in the schedule.
AUTOEXEC
When the keyword "AUTOEXEC" is used in an item title, and the scheduled
begin time for that tiem is reached, Active Life automatically loads and
runs the program, and marks the item as completed in the schedule, without
waiting for you to reply to a prompt.
Both Windows and non-Windows programs, plus batch and command files may be
run using these commands. If the program is a Windows application, the
program window will appear in front of any other active windows and will
have the focus. If it is a non-Windows program, the system will
automatically switch over to the DOS environment to run it. When the
program ends, the system will switch back into the Windows environment.
Programs and executable files must end in either, .EXE, .BAT, or .COM.
For programs and executable files with names ending with .BAT or .COM, the
.BAT or .COM suffix must be included with the name, otherwise the system
will not be able to locate the program or file. For programs with names
ending with .EXE, you do not have to include the .EXE when specifying the
program name, however .EXE may be included.
Also, the PATH statement in the AUTOEXEC.BAT file must include the
directory in which the program or file is to be found, unless you specify
the path explicitely (e.g. EXEC c:\mydir\backup.bat).
The format for both EXEC and AUTOEXEC is:
Optional text Keyword Program-Name Parameters
The optional text is any description you care to put in the item Title
line in the definition dialog box.
The keyword is either EXEC or AUTOEXEC.
The Program-Name is the name of the program or executable file you want
Active Life to load and run.
Parameters are any pieces of information that the program needs to perform
properly.
Example Item 1:
Backup manuscript EXEC MYBACKUP.BAT B:
In this example, the optional text is a brief description of the function
you want to accomplish, which is to backup onto diskette the manuscript
you have been working on. Then, you chose the keyword EXEC so that Active
Life would prompt you before it loads and runs the file. This will give
you time to put a blank diskette into the drive. MYBACKUP.BAT is a batch
file you created to make backup copies of the manuscript. You wrote the
batch file so that it would copy onto any disk drive you specify. Here,
you have specified the parameter, "B:", indicating that you want to use
drive B: this time.
Example Item 2:
AUTOEXEC NOTEPAD
In this example, there is no descriptive text. You chose the keyword
AUTOEXEC this time because this is a high priority item and the program
must run at the specified time. Notepad is the name of the program you
want to run, and it requires no parameters.
The keywords may be typed in upper case, lower case or mixed cases.
Everything that follows the keyword is treated as a program name or
parameter. The keyword, program name and all parameters must be separated
from each other by at least one space.
The optional text, keywords, program names and parameters are all typed
into the Title line in the definition (insert) dialog box used to create
the item, and they will be displayed on the schedule in the normal
fashion.

the "OK" command button and press ENTER. Your item will then be inserted
into the schedule.
To learn more about inserting new items and the definition dialog box,
read the section of documentation entitled "Using Active Life."
Edit: Refine Item
The Refine Selected Item command will allow you to change previously
entered information for that item. In the Edit menu press R (or select

uncompleted. All items must be marked as completed on a past schedule in
order for that day's schedule contents to be archived.
Edit: Fix Item Begin Time
The Fix Item Begin Time command will change the selected item's Begin time
from "Floating" to "Fixed". This means that the time shown on the
schedule for that item to begin will remain the same, or fixed, as the
schedule is modified. In the Edit menu, press F (or select "Fix Item
Begin Time" and press ENTER). A shortcut to this command is to press F2
from the schedule window.
Using this command on an item that has been previously designated as
"Fixed" will change that item's status to "Floating". The begin time of
an item defined as floating may change as items are added to, deleted
from, marked as completed or modified in the schedule.
Use of this command can save you time and extra key strokes by allowing
you to change an item's begin time without bringing the definition dialog
box to the screen and making the appropriate selections there.
Edit: Headline Item

Active Life can display the elapsed time of an item in progress.
The Start Item command will start recording the elapsed time associated with the
selected item. Active Life will then display the elapsed time along with the duration
on the schedule line. It will look like this: (:04/:30). The first number is
the actual elapsed time, the second is the originally planned duration.
When the item is marked as completed, the total elapsed time will be saved and
archived along with the item.

which days of the week you would like to appear, use the "Define Week at a
Glance" command.
View: Multiple Windows
The Multiple Windows command allows you to designate the number of
schedule windows you would like to view on the screen at one time. Unlike
Week at a Glance, which displays the schedules for contiguous days,
Multiple Windows allows you to display schedules for widely separated
dates and to manipulate them independently from one another. After
bringing up the View menu, you can either press M to choose the currently
selected (see the check mark) number of multiple windows, or type the
digit representing the number of windows you would like displayed.
Multiple Windows will display between two and seven windows at once.
Having

Notebook window. (For more information on the Control menu, see the
portion of this guide entitled "Using the Windowing Interface".)
Each time you activate the Notebook, the first page of the notebook
entitled "FIRST.NBK" is displayed automatically. This is considered to be
your primary notebook, the one you will most often want to view. Also,
for each Notebook session, Active Life remembers the size and screen
position of the Notebook window from your previous session and will return
the Notebook window to its previous dimension and location.
The menu titles that you will see in the menu bar of the Notebook window
are File, Edit, Add, Search and AutoDial. If you are using the DOS
version of Active Life, the Exit command will also be displayed in the
menu bar. The commands in each menu are described below.
Below the menu bar is an area labeled "Notebook Page Titles." The titles
for each page of the currently selected notebook are displayed
alphabetically in this area. To select a different page in the current
notebook, move the highlight up and down using the PAGE UP and PAGE DOWN

box will disappear as soon as you type the first character.
You may also select a notebook title in the list box. Press TAB, then

notebook pages, view specific notebook pages, and to delete, copy and move
the information on the notebook pages. To pull down the Edit menu, press

location. To do this, move the cursor to the left of the character you
wish to select, press SHIFT+RIGHT arrow. That character will be selected.
Pressing SHIFT+DOWN arrow will select the entire line.
To select a word all at once instead of selecting it character by
character, hold down the SHIFT+CTRL+RIGHT arrow. To select an entire

you wish to manipulate using these techniques, you may use the Cut and
Copy commands.
To remove the selecting from the characters, press any one of the
direction keys without pressing SHIFT and all the selecting will
disappear. At least one character must be selected or the Cut and Copy
commands in the Edit menu will be inactive.

notebook page inside. Type the new name you wish to give the page in the
text box, select the "OK" command button and press ENTER. You may have
two or more notebook pages with the same name.
Notebook Edit: Prior Page

page, and counts the number of whole words and the number of keystroke
characters on the page. All keystroke characters are counted, including
numeric characters, punctuation marks and blank spaces. Number groups,
such as phone numbers, are counted as a single word. Each notebook page
can hold up to 2048 characters.
Notebook Edit: Delete Page
The Delete Page command will remove an entire notebook page from the
notebook. In the notebook Edit menu, press D (or select "Delete Page" and

Notebook Edit: Cut
The Cut command removes the selected text from the notebook page.
However, the deleted text is placed in a temporary holding area known as
the Windows clipboard, and you can insert it back into your notebook page
using the Undo command, or you can move the text to another area of the
page or to another page of the notebook with the Paste command.
In the notebook Edit menu, select "Cut" and press ENTER. A shortcut to
this command is to press SHIFT+DELETE while in the notebook window.
Note: There must be selected text on the notebook page in order for the

Notebook Edit: Copy
The Copy command does not remove the selected text from the notebook page,
but simply copies it to the Windows clipboard so that, using the Paste
command, you may duplicate the selected text in another area of the
notebook page or on a different notebook page. In the notebook Edit menu,
select "Copy" and press ENTER. A shortcut to this command is to press
CTRL+INSERT while in the notebook window.

the notebook Edit menu, select "Paste" and press ENTER. A shortcut to
this command is to press SHIFT+INSERT while in the notebook window.
The Cut and Copy commands of the Active Life Notebook, or other Windows
applications can be used to place text on the clipboard. Using the Paste
command inserts the stored text at a position on the page to the right of
the cursor.
Notebook Edit: Undo
The Undo command cancels the last editing command performed and restores
the notebook page to the state prior to the last completed command. In
the notebook Edit menu, select "Undo" and press ENTER. A shortcut to this
command is to press ALT+BACKSPACE while in the notebook window.
If text was Cut from the notebook page, it will be returned to the same
position with the Undo command. If text was Pasted to a notebook page,
the Undo command will remove it. Using the Undo command again will return
the Pasted text back to its former position. While employing the Undo
command, the selected text will remain on the clipboard. However, only
one selection can be on the clipboard at any one time. Each new Cut or
Copy operation replaces the previous selection stored in the clipboard.
Examples: Cut, Copy and Paste
To Move Text
Select the text you wish to move. Use the Cut command in the Edit menu to
remove the text from its present position. It will temporarily be placed
in the clipboard. Then move the cursor to the point on the notebook page
that you would like the text inserted and select the Paste command in the
Edit menu. The selected text will be inserted to the right of the cursor.
If the new position is not correct, use the Undo command in the Edit menu
to remove the text.
To Copy Text
First select the text that you would like reproduced, then select the Copy

notebook page that is currently being displayed contains a phone number,
that number will appear in the text box. You may make changes to the

Life (April, 1986 through December, 2068). Also, you can easily move
selected items to any schedule date within the range.
To view the calendar, press ALT+C, O, or click on Calendar in the main
schedules menu bar, then select Open. The first time the calendar is
used, it will appear in the upper right corner of the screen and the date
of the currently selected schedule will be highlighted. The title bar of
the Calendar window will be colored to indicate that this window currently
has the focus (i.e. commands and keystrokes will be directed to this
window).
To change the focus from the calendar window to the Active Life window,
and back again, press TAB.
The calendar window has its own Control menu (press ALT+SPACEBAR when the
calendar has the focus). Use the Size command to change the size of the
calendar and the Move command to move the calendar to different places on
the screen. For more information on the Control menu, see the section of
this guide entitled "Using the Windowing Interface."
When operating in a DOS or Windows environment, Active Life remembers the
size and location of the calendar each time it is closed or Active Life is
exited, so the next time it is opened or Active Life is restarted, the
calendar will appear in the same size and position as before.

must have the focus. Use the TAB key to switch the focus between the
calendar and the main schedules window.

previous day, and press the gray plus (+) key to select one day ahead of
the currently selected day. As days are selected, the schedules in the
Active Life Window will change to display the schedule of the selected
calendar date. Notice that the dates prior to the present day are crossed

square box in the scroll bar).
To view the calendar for the same month one year ahead, press PAGE DOWN,
or click in the gray scroll bar area between the scroll box and the DOWN
arrow at the bottom of the calendar scroll bar.
You can also leap many years forward or backward easily by dragging the
calendar scroll box up or down within the scroll bar. The scroll bar
represents the entire range of Active Life, from April 1, 1986 through
December 31, 2068 (about 82 years). You can jump to the middle of the
calendar range, using a mouse, by dragging the scroll box to the middle of
the gray area in the calendar scroll bar.
With the calendar in "standard" viewing mode ("color utilization" is not
selected), you can easily toggle between the schedules for two dates,
using the calendar and mouse. Click on a date in the calendar with the
left mouse button to display the schedule for that date. If you click
again on that same date on the calendar, the displayed schedule will
switch back to the previously displayed schedule.
To close the calendar window, select the Close command in the control
menu. The calendar will be removed from the screen and the Active Life
window will again be the selected window.
To move an item to another schedule using the mouse, simply select the
item to be moved, then find the day on the calendar to which you want the
item moved, then click on a calendar date with the right mouse button.
This will move the item to that date.
Color Utilization
Note: The Color Utilization feature of the calendar is available only to
users of the DOS and Windows versions of Active Life. Users of the OS/2
version of Active Life will find only the Open and Close options in the
pull-down calendar menu.
Active Life gives you the capability to tell, at a glance, how full each
of your daily schedules is within an entire month. To take advantage of
this feature, call up the calendar and select Color Utilization from the
Calendar menu. Notice on the calendar that each day in the month has a
background color. That color tells you how fully the day is scheduled.
The colors range from green to yellow to red. Green indicates that the
day is nearly empty ( 0% full), yellow indicates a day which is about 50%
full and red means 100% full. Days in the past which have been archived
and current or future days which have no items or items whose total
duration is zero are seen in gray.
The Timer
The timer feature is available only to users of the DOS and Windows
versions of Active Life. With it, you can easily time phone calls,

value with the elapsed time (e.g. the cost of a telephone call or the
charge for a consultation.)
To activate the timer, click on Timer in the main schedules menu bar, or
press ALT+T (when the main window has the focus). When the Timer window

zero, click on the Reset button, or press ALT+E. If this is done
accidentally, simply Reset again and the time and value figures are
recalled.
Rate
To set a rate, first click inside the rate box, or press ALT+R. Then
using the DELETE and BACKSPACE keys, remove any old rate information, then
type in the current rate. Up to six digits can be used, plus a decimal
point (period) to separate dollars from cents.
When the rate value is correct, click on, or press the TAB key to move the
cursor over to the Minute/Hour option buttons. Use the UP and DOWN arrow
keys to select either the /Minute (per minute) or the /Hour (per hour)
option. Or you can press ALT+M to select /Minute or ALT+H to select
/Hour.
Changing the Focus To and From the Timer
The simplest way to move the focus from one window to another is to click
with a mouse anywhere inside the desired window.

window, press ALT+T.
To change the focus from the timer window to the Active Life window, pull

version at a reduced price. Upgrades offer major enhancements, while
updates offer incremental improvements of the current version. Updates
are free to registered users.
Options: Enter User ID
When you receive your user ID from 1Soft in response to your registration
order, select the Enter User ID command. In the Options menu press I.
Type your user ID into the text box that appears, TAB to the "OK" command
button and press ENTER. The word "VALID" should appear.
If "VALID" does not appear, check the name that appears in the window's

may correct it using the Enter Name command in the Options menu.
