As for your import-export crashes, there must be something different between your setup and mine... perhaps something as simple as available disk space or memory or handles setting for the file sizes you are working with.

Here's the basic workaround I know of, reposted from 8/19:
Maybe there's an easier way, but this is the easiest way I've found so far:
1. Make GeoDex a Desk Accessory by moving the GeoDex application icon into the Desk Accessory folder in GeoManager. Doing this will keep GeoDex "on top" of GeoFile, which you launch next.
2. Create one field in a new GeoFile database and close the Create Fields box. Open your GeoDex file.
3. Assuming the Address Field in your GeoDex file looks something like this and doesn't include any other information...
John Smith
123 Any Street
Hometown, US 12345
... select all the text in the Address Field box and then select COPY.
4. Select Data Entry mode in GeoFile, then choose PASTE from the Edit menu. Resize the field box so you can see the entire pasted address. Make the field box "label size." In other words, don't make it bigger than it needs to be.
5. Select "new" record, go to the next record in your GeoDex file and repeat the process... until all your GeoDex records have a corresponding record in GeoDex.
6.Finally, go back to Design mode in GeoFile and go to FILE>Page Setup. Make the Single Record Size the size of the labels you want to print. Also, turn off Field Edges under the Attributes menu. Then, switch to Multi-Record mode and adjust the record template, if necessary, using the Pointer tool.
Switch to Data Entry mode (while still in Multi-Record mode) and you should see your records arranged label-style.
Do a test print.
The only part of this that's a little kludgy is manually copy/pasting GeoDex's Address Field into GeoFile fields. QuickCopy won't do it, and a test export of GeoDex Address Fields to .CSV and dBIV files proved to require far more editing in GeoWrite than it was worth. Copy/Paste was easier.

...I recently imported my own Album/CD/tape database, formerly in Multimate OnFile (a handy little 3x5 card emulator). I found (after using Paradox to change the Comma-Delimited format that OnFile exported to a DBF, since GeoFile couldn't recognize it...I guess it had a non-standard delimiting system, or something) that it imported, created fields named FIELD_X (where X if the field number), and was all done in seconds. Then, I went through the form, moving, renaming, and resizing the fields, copied information split into multiple fields into the new, larger ones (this was tedious with 336 records...), and deleted the now-unneeded secondary fields. Voila! Instant GeoFile database (after only about 3 hours work!).
...but, you may find, as I did, that the software you're using doesn't export a "standard" Comma Separated Value file, or that GeoFile will have problems with it. In my case, it appears that the file was getting saved with line breaks at column 80, instead of one line per record; GeoFile can't seem to work around this. Work from Level 4. After you've set up your multi-record page and while still in Design mode, select the multi-record outline. Click on one of the handles across the top of the outline, and drag the cursor down to make room for a header. Likewise, you can scroll to the bottom of the page and move the outline up to make room for a footer.
If you've made your single record size smaller in width than your page width, you can also click on the center right handle and move the outline in... don't worry, GeoFile won't let you make the outline smaller than your single-record size. If you make your overall multi-record outline smaller than your page size, you can click on the outline's center handle, and freely position the entire outline anywhere on the page.
You can now use any space around the outline for headers, footers, instructions, graphics, etc.
he key is to treat the multi-record outline like any other GEOS object in terms of moving and resizing. And don't worry -- no matter how small you make your multi-record outline, you won't lose any data... GeoFile will take care of arranging data internally, and print only as many records as will fit on a page, determined by the size you make the multi-record outline.
Here's a tip: When setting up a report layout, consider deleting the field labels from the actual record, and adding text labels outside the report region. This will allow you to produce a columnar report. GeoFile does not need field labels to keep track of things... they're a human convenience only! :-)
If you have any other questions on how to set this up, or how to use page layouts for report purposes, just ask.
As for the blank pages on printing, please tell us exactly what's happening... how many, when, etc.

Since I don't have 2.0 yet, this is a shot in the dark like everything else. Typically, when importing data, you need to
a.) Convert the data to a "delimited" ASCII file in your database program. (particularly, if the file format is not compatible with the one you're trying to import into)
b.) You usually need to set up a file structure, to import the data into. In other words, build it like the one you have, EXACTLY, and then import the data into it.
If this doesn't help, maybe your explanation of how you tried to import the information will help the people that have 2.0 help you troubleshoot your problem.

Set up PF to export all your records to DBASE III. GeoFile will then IMPORT the DBIII file created by PF with no problems. I have done it several times, and everything comes over fine.

I've used Q&A a lot, and Q&A exports to numerous database formats, including Dbase, which shoud import to GeoFile OK. My tips for exporting are, (in Q&A):
1. Make sure the date fields format in Q&A is changed to a standard dbase format (Q&A supports many more date formats than dbase, and some of them will not convert properly).
2. Change field names (if any) that have puntuation marks to ones without puntuation marks. Q&A supports lots of flexibility in field names that dbase doesn't. Spaces are no problem, they will be converted to underscores.

I ran into a completely different problem. When I imported a database tracking my album and tape collection, I found the CSV import wouldn't work (even when I renamed the file to *.CSV)...but GeoCalc would import it fine! Well, I dropped to DOS, imported the CSV file into Paradox, and then exported it as dBase IV; when I came back to GEOS, GeoFile imported the dBase IV file without a hitch! I have a book collection that I kept in QP SE that imported into Calc nicely. I then decided that it would be nice to have it in Geofile, but I never could find a way to directly import it into File. I finally had to go to the original file in Quattro, convert to Dbase, and then import into Geofile.
Am I missing something here? Note: Until Geofile, I had never seen a data base on screen.

Thanks Rog. Went via DBIII from M/S Works for (you'll forgive the expression) Windows and it went smooth as silk. I had forgotten about that option. As an aside I created a List View that is a multirecord view by doing a similar thing and going into Geocalc instead. It worked just fine.
I'm having a little trouble defining a label page size because of the required minimum 1/4" top & bottom page size.

Yep, this is a rather disheartening limitation of the first version of GeoFile.
The best workaround I've been able to come up with is to import the two databases into Calc. Then copy/paste one into the other spreadsheet. Then export and import to File--then recreate your layout.
The decision you have to make is whether redoing the layout (you can copy/paste from your old layout to some degree) is more work than keying in the data.

Steve I dont blame you for not understanding my message. I went back and read it and I had trouble understanding it myself.
I'll give it another try.
It happened with 2 records which had the same last name. As I was scrolling thru the data base backward and forward, the first name of one was transfered to the first name of the other. This resulted with 2 records having the same first and last names but different other info such as addresses, phone numbers, etc. as far as I could tell. At least I didnt notice any other changes that had come about.
Does that clarify it a bit?
I'm going to go back and see if I can recreate it and solidify the failure.

Has anyone had success importing Alpha4 ver. 1.1's dBase III+ files? I've got several databases there and I've tried the dBase III and the dBase IV GeoFile importers. The dBase IV importer gave a "Critical Error - General Failure: R to Retry, A to Abort" message. The dBase III importer appeared to work.
However, once I leave the imported file, do something else, and come back to GeoFile, I get the same message again. If I drop to DOS, press the reset button, then come back to GeoFile, everything works until I open an imported file. Once I leave it again, the error messages start allover.
BTW, it happens with GeoFiles imported from a dBase format, but not with files imported with the Lotus 123 ver. 1A format. As an experiment, I imported the Alpha4 dBase file into GeoCalc and then exported it as a dBase III file for GeoFile. Any file that used the dBase importers or exporters would cause the "Critical... " message again.
The file I exported from Alpha4 as a Lotus 123 ver. 1A spreadsheet into GeoCalc works fine and so far hasn't caused any problems. However, all 1,666 records need to be "cleaned up."
Is there something wrong with the dBase importer and exporter, or am I doing something wrong?

Try running Preferences, GEOS and raise the Max File Size and the Page Size to 4096 each. and raise the number of handles to 3000. That should clear up the error messages.

Not sure what you are doing, therefore the solution is not apparent. You might try the templates and examine them for the way things are done.

Actually, the manual is in error here. The limit per field is 512 chars. You can have more than one field (with different fieldnames) per database.

In an attempt to isolate my problem I've gone to floppy booting and the /nomem command line option. Aside from slowing my machine to a crawl, the infamous KR-09 failures when attempting to print even 1 record remain. Curiously, when I print on may Panasonic KX-P1124 in high reolution mode things seem to work OK. The failures consistantly occur in low resolution modes. Should we suspect the fault somehow lies in the printer driver. I've always used my printer in "epson" mode. I'm going to try a retest of the same scenerio in "ibm" mode using the approproate driver. I'll post the results once I've completed the test. Help on fixing and/or confirming this problem from any and all sources would be appreciated.

How does the delete all marked option work in GeoFile. The option falls under the edit menu. I tried "selecting all" that didn't work either. I'd like to use this function because I hate to go through and delete the records I want to get rid of one by one. It would be much easier to get rid of them by marking them first then doing a batch delete.

I guess I have to answer my own question. I have since discovered thatWorks can convert a DB from a WDB format to a Coma delineated file and you can give it a CSV suffix which Geofile will convert right off. Then you have to change the file names. The process is not intuitive. I'm not sure of exactly what I did but I did get it to function. Now I have to learn how to use Geofile properly. I think I may have come across a bug in the file program. Occasionally it will change file content Two to the file content Two of the previous record when file content Three is the same as file content Three of the previous record.
It is not my imagination. It happened a number of times and even with different pairs of records.
In any event I sure could use some help. The manual is difficult to understand and the teminology is unfamiliar to me. It would be very useful to have a form of popup help menu, very concise, operated by the right hand button to explain the different little icon buttons that one finds around the periphery of the menus.
I hope that this message is noticed by some Geofolks who are more familiar with the problems that I have encountered that are willing to respond.----------Help-------

Two general things you can try is to go into PREFERENCES>GEOS and raise your handles to 3000; you can also raise your swap file size (do not touch page size) to 4096. One or both of these things usually clears these errant error messages.

It's not good enough to simply "make sure it is narrower than the TRUE paper size...". You need to do the same math on the width that you do on the height. (If you did and it still didn't work out, then methinks you changed single-record page size, not record size.)
For instance, if your labels are going to be 3-1/2" wide, you need to make the single record size 3-1/2" wide. This means you need to shorten the field boxes manually. Probably the best way to do this is to go into GeoDraw and make yourselfa temporary template to size... let's say 3/4" x 3-1/2" if that's the size... and paste it into GeoFile to help you size the fields lengthwise.
Some tips for labels:
1. Set up at least two layouts. The first layout is your primary database layout, complete with field labels. It doesn't matter what size the field boxes are here; you can leave them defaulted.
2. On the second layout, just port over your fields. Then, delete the field labels, unless you need them for some reason (if you do, you have to take them into account when figuring if you can have a double row of labels on the page.... may not work).
Next, resize the field boxes to your label "template," set single record size and switch to multi-record layout. Now, you should see a double column of labels.
Note that there's two parts to the multi-record "template." The thicker lines outline the actual "single records," the thinner lines outside this area are the multi-record template boundaries. These boundaries can be moved inward to make room for text or art graphics.
Here's yet another tip for spacing lines on a label: after you've got the field boxes the correct size, select them all and use Align/Distribute to close up the space between them.
I have tried all this... it does work.

Do you realize the work that is involved as cmpared to the ease with which you can do it with other Data Base Managers?
The object is not just to figure out a complex way to do something with Geofile, the object is to do it in a User Friendly Manner with all the WYSIWYG qualities that we all have become accustomed to with Geoworks Pro.
In the method you describe the field size alterations require manually changing all the field sizes and even when you do all this work the page will only accomodate a relatively small number of "Multi-Record" displays in contrast to the tight and compact "Calc" spreadsheet display of multiple records.
Obviously I must be missing some important points, but I am willing to listen.

Today I had another odd thing happen to me. I was trying to use GeoFile to 09X

labels with different fonts, sizes, styles, etc, very easily.
I have had a very difficult time with it & when I finally solved some of the label page definitions, and Geoworks tried to print the labels it started creating all 176 labels and part way thru gave me a message that there were not enough "handles". I dutifuly changed the number of handles from 2500 to 3000 and I still got a message telling me that thee was an inadequacy of some kind. I mentioned this problem in this section before & I assumed at the time that I must have been at fault. Susan told me that "GEOPHITE" was working on the "problem of labels" but I havent heard anything new since.
Again, this is a very fundemental procedure, a small (176) mailing list, that is necessary in many different simple applications. If Geos20 is going to be so difficult to use in Geofile applications it becomes a serious drawback to many people who are used to using other packages very effortlessly.
I would strongly suggest that all concerned do their homework in correcting the shortcomings ASAP. Whether it be in clarifying the manual, (I looked in the index for a reference to mailing labels and found nothing and yet when I read every page carefully I did indeed find a number of references that should have been covered in the index) or in improving the design so that it functions properly. In this particular instance WYSIWYG has become WYUTSYNC, What You Used To See You Now Cant. As for getting the Works equivalent of a list view, the only way to do it is to export to Geocalc as far as I have figured out.
Sorry for the negative comments but I have spent a lot of time & money on this board to resolve some of these anomalies and all I have to show for it is this frustration.

1. Is there a template or something out there that can be sort of a "Browse" like in dBASE II (yes, that is two!)? Even in CP/M you could view and edit multiple records on the screen all at once and scroll horizontally and vertically to view the entire database kind of like on a spreadsheet without much monkey motion. I spent the afternoon very carefully laying out my fields for a mailing lable, 4" wide and 1.5" high.
I set the page size and record size at these figures, then went to the print options and set the paper size to this. Of course, as you already know, it told me that what I wanted to print would not fit on the paper.
So I set my record size and page sizes smaller; same message. I did everything else you can imagine except make the paper height larger. That had to stay at 1.5 for form feeds being right. Needless to say, the only way this would agree to print my info was to scale it down, which is not what I wanted. If I tell it not to scale it down, it first does a few uncalled for linefeeds (it also does this in the scaled down) and then prints (which doesn't fit on the lable because of the linefeeds) and then does an extra form feed before going to the next label.
What's up?

I've tried having from a few to no other aplications open, but whenever I put a note in the note field, I only ever get the last three characters. It doesn't matter if it is a new data base or adding fields to an existing data base.
That's about as specific as I can get. I've even tried it on different computers, but still the same probem.
So far I really like the data base (some short falls, but its only the first release), but this is rather annoying.

I have tried to import Lotus files, and found that it won't accept the data if there are column headings. Without the headings, the data becomes worthless to me, and requires more work than they are worth. It wouldn't be quite so bad, if I could set up a form and then import the raw data w/o having the headings. It would be even better if GeoFile could link to these files w/o actually having to import the data. Hopefully someone is creating a real full-featured database for GeoWorks.
I think GeoWorks missed the mark on GeoFile/Calc if they truly intended it for someone who brings work home with them. The constant importing is ridiculous, especially in GeoFile where you can't set up a nice format on data that is constantly updated from other programs. I also find I need more relational power, but I accept this package for what it is and don't expect that here. Enhancement in importing/accessing is my greatest need. I would use it if it didn't require so much extra work.

In calc, the formula =SUM(A1:A10) works even if cell A1 is the ONLY one in that range that contains a value.
In GeoFile, I removed the =, and tried it, as well as SUM(amount, amount_2, amount_3, and so on).
The expression works if ALL of the fields have a value but not if just ONE or SOME of the fields contain a value.
This is for a SUBTOTAL field in an invoice, and I do not want to enter 0.00 in the amount fields that aren't used, I want them to remain completely blank!
I give up!!!??? Anyone with an answer to this"seemingly" simple operation?? Thanx! (:-{D)

Problem: What should be printing here? The book shows whole lines of text. I'm only getting the last 3 characters showing here.

Craig, I've only had this happen once, when just the last three characters of a note appeared in the DB. I've not been able to duplicate it. And, I don't know how I made the notes reappear, but they did. If you can provide more detail about how you can get it to reliably reoccur, we'll be sure to send along the info.

I just opened a new GeoFile, created four fields, three were set to number types and the fourth was set to caculated using the expression
field_1+field_2+field_3
My database caculates field_4 even when some of the first three fields are left blank.
Not sure why you are having that problem. Of course there is the limitation, discussed in the manual, that you must edit atleast one of the fields to force recalculation in each record.
When it doesn't work, what shows up in the calculated field? Nothing? If you get a #TYPE# error, then one of the fields is not a number field.

Actually, the computed field is a sum of computed fields in currency format. As follows:
QTY field: Integer/General # format
EACH field: Real Number/Currency # format
(the product of these two equals the next fiield)
AMOUNT field: Computed/Currency # format
I have five (or more to be added) of the above.
The SUB field will be the SUM of all of the AMOUNT fields (amount+amount_1+amount_3....)
I do get #TYPE# in the sub field, although I have doublechecked that EVERY amount field is a number field. BUT!!!!!!
What I think I missed is that the blank (unused) AMOUNT fields have the error message "Can't display as a number" in them. So I think I need to redo the expression in the AMOUNT fields. It is currently:
PRODUCT(QTY,EACH)
Apparantly I need to create a CHAR(223) in the unused amount fields to make them remain blank without a "Can't display..." error message. I'll try an IF statement.

Need some help from you Merge whizzes. Have date fields in GeoFile that convert from 1-1-93 into January 1, 1993 when I tab or return out of the field. That is the way I want it. However, when I merge into a GeoWrite document, it prints serial dates instead of the long date. The GeoFile fields have no special formatting--just a Date field.
Also having problems with numbers and currency. Created a number format which forces six places behind the decimal (80 becomes 80.000000) for fields in GeoFile. When the numbers are merged all trailing zeros are gone. 80.000000 becomes 80. Likewise, 80.010000 becomes 80.01. Similar problem with currency. $250.00 in currency field in GeoFile becomes 250 in the merge.
Probably something simple that I haven't found, but it's driving me nuts!! Any ideas??

I haven't tried the specific situations you describe, but I ran into a similar problem when I tried to merge from computed cells in GeoCalc which contained concatenated text from other cells. I'll study the situation further and post my findings here.
Just out of curiosity, what do you get if you paste your clipboard into the Text File Editor? Do you get the correct formats there?

How do you sum the values in a single field? I have almost 200 values that I want to sum for a total. Also, how do you get it to print the value at the end of the column? My db looks like this:

I didn't have a *CLUE* before you pointed me in the right direction <g>.
The taxable/non-taxable cut is more accurate for me, because it really doesn't matter where the client lives, it's how the sale is transacted that determines taxability--whether it's in-person or by-mail. I have clients who live in MD and VA, but who come to DC to my studio--they also are charged sales tax.

Help! In GeoFile I was adding information to a current data base when I saved it, or something, and I got the system error code KR-09. I exited cleanly, supposedly, by pressing "E", rebooted, told GEOS to reset, and when I brought the file up it was wiped of all info. I had made a backup, copied the backup, started working with it, and the same thing happened when I wanted to either save or close the data base. I kept trying to get it back, and one time I got the message Error in File Read. I exited again ran a chkdsk but there were no errors. I brought up a few other data bases I created and even the templates and they all seem to function fine. Also, ]Z

That's very interesting. Mine does not have that beta info, it simply says Version 2.0. I got out an old set of beta disks at random and looked at that ini and it has yet another message on it. What I would suggest you do is send E-mail to GW Service and copy that info into it with your name, address, etc. and see if they know if you did receive an improper set of disks. I'm having a heck of a time creating a formula for a calculated field in GeoFile--I dunno, maybe it can't be done.
I have "Fee" (Fieldname: aaa)
"Expenses" (Fieldname: bbb)
"Sales Tax" (Fieldname: ccc)
"Deposit" (Fieldname: ddd)
"Total" (Fieldname: eee)
"Add'l Payments" (Fieldname: fff)
"Balance Due" (Fieldname: ggg)
Basically, aaa+bbb+ccc=ddd AND ddd-eee-fff=ggg
No problem with the basic formulae etc. My problem is with sales tax (ccc). Initially, the formula for sales tax was "(aaa+bbb)*.06"--no problem...6% sales tax. However, with out of state sales, I don't charge sales tax and I wanted to reflect that. This is the formula I'm having trouble creating: IF ZIP_CODE IS EQUAL TO OR GREATER THAN 20000 OR IS EQUAL TO OR LESS THAN 20599, CCC=(AAA+BBB) TIMES .06; IF ZIP_CODE IS LESS THAN 20000 OR GREATER THAN 20599, CCC=0.
Is there any way that I can do that. The way that I had it set up, Geofile had a problem with the *2* conditionals. Help! Thanks much.
I haven't literally tried this. The only glitch I can think of is that you might need to rename your fields, so that zip_code comes before aaa alphabetically.

Nope--didn't work.
At first I got the familiar "The parser couldn't make sense of this expression. Error Code FF-27" which is the message I was getting before. Then I changed your ">=" and "<=" to > and <

(Can't key them correctly here) and the expression was accepted; however, it adds 6% to all regardless of zip code value--???; and my overall totals are off (the next calculated field). For example $80 +$20 + $6 (sales tax) equals $104.80.
Since the overall total field expression hasn't been changed, the problem must be with the sales tax field.
Should there be a "non-equivalence" somewhere in the expression, maybe?
(This is like going back to school <g>).

I have been trying to figure out how to calculate the number of days between two dates w/G-File. Did I mention I wanted to use the results in a logical statement on a billing form. In English it would be something like. "If days between check-in and check-out are less than 5 use the daily rate , if greater than 5 use the weekly rate." I'm going to assume you have two date fields--in date format--and they are named CHECK_IN and CHECK_OUT.
CHECK_OUT<minus>CHECK_IN yeilds the number of days.
The IF statement compares the number of days to the value 5. If it's equal to or greater than 5, then the number of days is multiplied by the daily rate.
If the number is anything else, then it's multiplied by the weekly rate.
Does that help?
If your dates include the time of day, then you may need to use the ROUND or TRUNC function to convert the result of subtracting the dates into a whole number.

The same thing happens to my field notes in GeoFile. I haven't found any way to work around it. Only a couple characters are visible in the Field Organizer dialog box.

locate some parts. I was marking and only showing the marked records. The problem came when I entered data that didn't work for the search, and a message was returned that had something to do with needing a true response. After this my cursor turned into an hour glass, and no matter what I did in GeoFile it stayed that way. Everything functioned okay, and if I switched to something else it returned to the arrow. The only way to correct it was to close GeoFile and reopen it. I tried it three or four times, and still the same result.

I haven't been able to reproduce your problem importing and exporting dBase3 formats with GeoFile--nor with using the exported files in other software.
Can you give us any more specific information? Does it happen with all files? Every time? Do you have a specific type of data in the files? Have you raised the number of handles in Preferences, GEOS to 3000? Anything else you can think of to tell us about your system?

The method for creating a multi-record layout for printing labels is covered pretty comprehensively on pages 19.48 through 19.54 in Book Two of the documentation.
It's a lot to try to re-key here in the message boards, so I'm not sure where to start. I'd like to help. Are there some specific stopping places that you run into in the instructions? Some specific questions we can try to answer for you about the process?
The "formulas" are missing on page 19.50 (a flaw in the manual, egads!), but it's not too hard to estimate the needed sizes and fine tune them by trial and error.

I assume you have a field that contains the date of their first payment.
All you should need to do is to Mark Records based on that field.
If the field is named DateFirstPaid and contains a date in a string format like "Jan 20, 1993" or "1/20/93", and you want all the records for just the 3rd of any month, then you could use Mark by Formula with a formula something like this:
DAY(DATEVALUE(DateFirstPaid))=3
If the field is already a date field, then your formula would be:
DAY(DateFirstPaid)=3
The records where the first payment was on the third of any month will be marked. Then choose Show Only Marked to display or print only those records.
Is that what you're after?

they let me see what I'm doing. Also, I'd like to request an auto-sort feature, based on some sort of user-defined index field...or, the abilty to INSERT records, instead of APPENDING them. That way, if I need to (say) add a branch to the list of bank branches I keep up for my department, I can just type it at the right place in the list, instead of willy-nilly being forced to the end, and having to sort manually to get it in the right place, and THEN have to wait for a complete page redraw (pretty slow with 150 records on a page) to get the right page!Subj: Sort problems

I've been trying to sort a large 4.5meg file with 11,500 records and having trouble. I have been using an advanced sort on 3 fields and after about 7 hours of work I get a "low on resource handles" error message. I have my geos preferences set at page size 4096, max file size 4608 and # handle 3400. I have a gateway 16mhz 386sx with 4 megs of ram. I have 629k of lower memory available and 2.9 megs of available EMS memory. Any suggestions on how to get things going, when I try to increase the number of handles, it won't go higher than 3500.

In addition to setting the FIELD TYPE as a real number, you need to use the FIELD NUMBER FORMAT option, and set it to CURRENCY. You can also create your own custom formats in this menu, if desired. It is located under the PROPERTIES menu.
Also, whenever changing FIELD TYPE (or anything) in the EDIT A FIELD organizer, be sure to hit APPLY to save the changes.

I am having trouble with the use of computed fields that contain no values.
Here's the scenario:
The file is an invoice which consists of the following fields:
QTY (integer)
EACH (real number, fixed format)
AMOUNT (computed, fixed format) the expression is PRODUCT(QTY,EACH)
The invoice contains the above three fields 12 times, ie: line 2 is (QTY_2, EACH_2, AMOUNT_2) line 3 is (QTY_3, EACH_3, AMOUNT_3) and so on.
If ALL of these fields contain values, then all is well and they are totaled up in SUBTOTAL [SUM(AMOUNT:AMOUNT_12)] just fine.
If ANY of these fields contain NO input, then I get the error #COUNT# in the computed AMOUNT_xx field, as well as in the SUBTOTAL field.
What I need to know is if there is a formula (some type of IF statement?) to enter into the computed AMOUNT_xx fields, so that they will remain blank if there s no input to the computed fields. (I don't want to enter zeros). As much as I would LIKE all of my invoices to be full pages, it just isn't always so.

That's a misprint in the manual about character 223.
I don't think there's any such thing as a "blank" character. There is the space character (32) and the non-breaking space (202).. but a true "blank" is the absence of any character.
With strings, you can signify a null string with "" (two double quotes).

I attempted to use the Timesheet formula, and have been doing "very poorly" with it. I'm not familiar with this stuff, formulas and the like. I mean, I am having trouble getting the thing to display simple times. Dates I seem to have gotten correctly. I am apparently confused on the number of "TIME" commands(Time, TimeValue, Now, Day, Hour, Minute, ETC...).
As for the amounts of time I want to calculate, I don't see any need for 33 hours or anything close to it, although I do work past midnight sometimes, and the day-change may be a problem.

This file (CONGFAX.EXE, Congressional Phone and Fax) consists of three layouts: Introduction, Report 1 and Casual. You'll find the records in both Report 1, which is in a traditional column layout and in Casual, which is in a larger graphics layout.
To view the 536 records it contains, choose LAYOUT>Switch Layout while in Data Entry mode and choose Report 1 or Casual.
If you're using Levels 1-3, you will see records one at a time. If you're using Level 4, you can switch to multi-record mode and view a page of records at a time.
Designing Tip: It's a good idea to always include some kind of road map to your database... even if it's just a tip to "Switch Layouts" in the database's Introduction.
But 103rd Congress is an excellent showcase for GeoFile, superbly designed and making good use of GeoFile's Layout feature. Should give the rest of us ideas for other databases.
I, for one, was impressed with this file. Good show, JamesPelt!

How come when I dvance through my database I get garbage at the bottom of each field (after rolling through about 3 or 4 records)? It looks like the bottom edges of the letters from the previous record remain in each field. Blech.
Also, I noticed that one must convert dBase III/IV MEMO fields to standard charecter fields (big enough to hold your biggest entry in that field) before importing the dBase file into geoFile or you will only get the first 10 charecters.
And how come I gotta use that HUGE record control panel instead of a nice tool bar I could stick at the top?!

I REALLY hate the "Tape Recorder" controls, at least as the only way to get around in GeoFile. I'd MUCH rather have the ability to PAGE forward and back, at least in a multi-record layout...which I use a lot of, because
GeoWrite documents are also fine. What happened? What do I do? And where the hell is the documentation on all these error codes? They all have numbers but I looked through both manuals, and Troubleshooting, and couldn't find one. Not even a mention of the word error in the index.
I love GEO but it has a lot of troubles with 2.0. Will all us loyal customers receive the DEBUGGED release when you fix all the errors we are reporting? I expect so.

It sounds to me like the file was corrupted before it was backed up. It could have taken a hit from just about everything. I would use Salvage or the text reader to try to extract the data and put it back in another file.
The listing of error codes is available in the library. It was not finished in time for the Troubleshooting Guide.

I've used an imported .CSV (comma separated values) file to create a GEOFile database definition.
Now, I have prepared a nice layout of the database and would like to use an "Empty" version as a template document.
How can I get rid of the current contents (there are 240 some records) so I can have an empty database to save as a template?
Hope there's another way than deleting records one by one?
Also, when defining a database, should'nt the boxed fields length adjust to the length specified in the definition (Edit Field)? In my opinion, that would be an improvement...
Also, I find that the field headers are "Groupable" while I cannot "Group" the field boxes. What is the reason?

As I said, I am beginning to make do and enjoying not having to leave GeoWorks as much. Even with some of the extra hassle (PeachTree[.wk1]>QuattroPro[dBase]>Ensemble2.0)it beats working native in PeachTree. I don't know if I would want that company programming for GEOS or not. Since my boss seems inclined to stick with it, I guess a GEOS version should be an improvement.

I'm afraid there's no way to perform calculations across records in this incarnation of GeoFile.
To accomplish what you're after, you could export the data and import it into GeoCalc, where each record would be a row and you could add up the values in a column.

You can do this to some degree by using Mark by Formula in File. In Calc, if you select a range of cells before using the Find feature, the Find will be limited to the selected range.

You can accomplish some of these things using Mark by formula, also. For example, if you want just the records in which he data in a field named SHOES begins with the letter "w", then use the formula
LEFT(SHOES,1)="w"
if you want it to be case insensitive, then
UPPER(LEFT(SHOES,1))="W"

Actually, what I said was that the database was not in any order that GeoFile could sort to. (i.e., Class types: BB, DN, BCH, CA, CW, CL, DW, DD, FF, PC)
I do, however, think I may have come up with an easier solution. What I did was add an Alpha-numeric sort field. Kind of like Basic line numbering. When I want to add a record I just number it appropriately, then sort the database on the sort field.
Another needed feature in GeoFile is the abilty to have more than one database within a file, and also to be able to link multiple databases with specified fields. I need to add some unique information to the database that only requires a few records. If I create new unique fields in the database for these records then I will have 600+ records with these fields empty (an awful big waste of space). What I want is for the new information to be displayed in a separate layout similar to the first, but without displaying any of the original fields (or records). I think what I will have to do is add the new information into the original database (the fields are similar), then filter the records by marking and displaying the ones I want. It's not quite what I wanted, but for the moment it's all I can think of.

in the Customer files / geofile area there are some recent files that demonstrate a couple methods for setting up fields to determine the amount of time that elapses between a start and stop, or to compute the number of days between a start and stop date.
It can get real complex if you want to NOT count the weekend hours and days, and NOT count the hours between 5PM one day and 8 am the next morning, although it could be done. The weekend thing would be tough to have a logical statement that would somehow check if the date was a weekend day. Maybe it could be done, but not sure.
in future posts of questions, please try to limit the number of questions, so people will not be put off by the sheer complexity of your situation. If you can break it down into smaller, easier to answer questions, the asy questions will get quicker responses, I bet!
I am leaving home for a couple weeks, and may not have access to phone... otherwise, I'd try to get more details from you in e-mail and see if I could offer some suggestions.
I am working with very simple small GEOFile projects initially, as I try to learn this .... you are quite ambitious in your project!! But others have done similar things.
Maybe you could download some of the GEOFile things in the customer files, and get some exposure to what others have successfully done, and maybe borrow some ideas from their work.
Sorry, I cannot give any real solutions right now, but if I have access to phone between now and end of july, will check on your posts in this area!

I've been having trouble with KR-16 low on conventional (low)memory messages and KR-9 low on resource handle messages when trying to do an advanced sort on a 11,500 record file. When I run the sort, my computer does about 6 hours of reading from the hard drive, then I get the error message. I have been having repeated low on system resource handles messages, but then added the share.exe line with f:12288 to my autoexe.bat file. When I ran the sort again I got the low on conventional memory error message. I've loaded all my device drivers other than himem.sys and EMM386.exe in high memory and have 629,904 bytes of available lower memory.
I have a Gateway 2000 16mhrz 386sx with 4 meg of RAM.

I assume you've raised handles to 3500 in Preferences and obviously you've tried increasing your Max swap file size.
Sounds like you've been doing most of the same things I would try to do to fine tune the system.
In theory, GeoFile is designed to handle over 16,000 records. In practice, an advanced sort on 11,000 records is obviously going to test the limits of the system. Your startup files look good.
Have you tried increasing FILES= or BUFFERS= ? Just a shot in the dark...

Also while entering formulas fo the time fields I am not able to get the results I would like. For ex. the field type is "time" for time in, time out etc... If I deduct one from another I would like the sum to appear like this 2:37. for ex. call dispatched's entry is 10:32am, time in is 1:05pm, now the formula i've used is sum=(time in - call dispatched) but I dont get the answer i want. My field number format is:time:Hour min. trying various combination has resulted in a vary frustranting 3 hrs. I am obviously doing something wrong. Since the work day is only form 8:30 to 4:30 how do I design a formula to substract only *working hours* time, taking into account the weekend as well? can anyone help. While I got your attention, there is something else i need to figure out. I have to take reading of various meters. So I have set up some fields for those as well. Ascending, Descending, Total. When entering the fields I would like the number to automatically enter the decimal place. for ex when I enter 123456=1234.56 I tried various combination and designing my own number without success.
Something strange happende on the way to create a field. While all the field where there for editing, when it came time to go to tab layout I noticed that there were a few missing. I double checked to make sure that my field (phone) was there but for some reason wasnt in the tab for promote/demote. Anyway, I went to do some data entering and the database would not tab to the phone field, in any combination. So I though I would force it by clicking the field and as soon as I pressed enter the program gave me a KR09. I tried it three times and it did the same all three. If anyone would like to give it a go I'll upload the file. It may be a bug. I fixed it by deleting the "bad" fields and creating them again.
I know this is a lot of question but as you can tell I/m a novice at Databse. No doubt I'll have even more questions in the future. This is a great product by the way.

What I want to do is insert a record in a GeoFile document, at a specific point. Apparently, this cannot be done. Sorting is not an option, because the records are not in any order that GeoFile will sort to. I can export the data to a .CSV file (DBase III exporting always ends with a KR-07 error -- yes, I have read the GeoFax on such errors, but none of the solutions helped), manually edit the .CSV file to include the record where I want it, but I cannot import the data onto a predesigned template. I have already redesigned the template once, because I originally designed it before importing the data (nearly 600 records).
Sorry if I sound a little miffed here, but I am getting extremely frustrated. It appears that now I'm going to have to create another new database, importing the .CSV file to it, and then redesign the template to put the fields where I need them, AGAIN!
Can anybody suggest a better way?

Do I EVER know this feeling!!!!!!! Every time a change is made you must go to the Data Entry mode, and make changes to the values to see them implement. And some changes will not implement until you actually create a new record, such as creating a default expression.

Why do you want a database that has no filed that can be sorted on??
If you just have a list of data and don't want to be able to sort it, why not just have a GEOWrite document?? then you could just use the Search function there. Continually exporting the entire database everytime you update it in order to get the new records in some specific order seems like a real frustrating task that will continue to get worse and the data grows. With GEOWrite, just type the new data in whereever you want it!
Does this make sense?? Am I interpreting your problem correctly?
I guess if you are using the report features of GEOFile, maybe GEOWrite will not suffice.

Regarding my previous post on the INVOICE......I'm on my way to a solution......my problem seems to be narrowing down a bit.
The following expression in the AMOUNT field(s)
IF(QTY = VALUE(""), VALUE(""), PRODUCT(QTY,EACH))
gives me a 0.00 in each AMOUNT field if there are no values entered. They total out correctly in the SUBTOTAL field. ( SUM(AMOUNT:AMOUNT_12) )
What I want to do is eliminate the 0.00 in the amount fields, and deal with only blanks. (Aesthetics, ya know!) The following expression:
IF(QTY= VALUE(""), (""), PRODUCT(QTY,EACH))
gives me the blank AMOUNT fields just fine, but then the SUBTOTAL field returns a #TYPE# error.
It seems that SUM(AMOUNT:AMOUNT_12) doesn't recognize the blanks created with the ("") part of the AMOUNT fields expression. I've tried using STRING in place of VALUE - no workie.
Hmmmm.... if this makes sense to ANYONE - I'd appreciate any help, and congratulate you, since typing this just blew MY mind!!!

Yes. I may have left out an important step. :)
First, select the field on the document page with the arrow pointer, instead of selecting it in the Field Organizer box. Then select the FIELD NUMBER FORMAT option. And be sure to hit APPLY.
Initially, I tried to do this by just highlighting the field in the Field Organizer box, but that didn't do the trick.

I can't imagine why this isn't working for you. Here's step-by-step what I do...
1. Go to Design Mode
2. Select the field by clicking on its border or dragging around it. You can choose more than one field at a time. The fields must, of course, be Integer or Real Number fields
3. Click the Properties menu
4. Click Field Number Format
5. In the Field Number Format dialog box, click Currency, Currencywith commas, or Currency Integer, whichever one you want.
6. Click Apply.
That's all. Go back to Data Entry mode. While you are entering data in Data Entry mode, the field which contains the insertion point will not show the dollar sign, but it will appear as soon as you move the insertion point to another field.

Hi there, I just started using Geofile and while Im liking it so far, I find myself stuck and wnat to know if any of you folks could give me a hand. I am designing a customer database to keep track of all my customers. but also to keep track of all the equipment that they have. I also would like it to be a work order. that is I might go and service one customer say five times a year. From my customer list database I would like to enter this info: time call dispatched, time call answered, response(answered-dispatched) time in, time out, response time (time in - dispatched). Now Ive pretty well have done all the fields for the above but my question is. If I have all the info on the cutomer, and just wnat to enter the work order info, how can I design my database in such a way as to do multiple
If I could take a year off, I could probably write a comprehensive book about how to write expressions in GeoFile. And it would probably not be much more useful than the manuals are now, to be honest. Everything you need to know about using the functions is in the docs.
As it is, I don't know what to offer except that I do seem to have a knack for writing good expressions if I can understand exactly what fields someone has and what they want to accomplish. Whether that's a talent or the result of being a math major, I don't know. I also don't know how to quickly hand over the ability to someone who says they don't have it. Everyone has different needs and the possibilities of how to use expressions are endless.

OK, so I'm a writing fool who uses the left side (or is it the right?) of my brain, OK? That's my dilemma. I do have a strong desire to use the DB, but can't seem to get my brain's right side to match the left side's view of what information I want to pull up with ANY function in the manual. I figured that all the functions were listed in the manual, but what's issing is real LIVE applications that incorporate them. When I tried to used the one or two examples that WERE listed, they failed, just like your example predicted they would.
Also, I know how unconstructive it is to complain and not offer alternatives. So try this one on for size:
How about getting someone to teach a class in the Interactive Education program all about just GeoFile ALONE. No gimmicks, no DTP templates and such, just classroom instruction and homework assignments on plowing thru a simple DB file that all the students would download and that had known specific information in it, and learning how to do this stuff. That way, we'd all be enriched and I'd be eternally grateful that both sides of my brain could figure out that

When I try to use data from GeoFile in a GeoWrite document, the merge fields are all right except for the date format. GeoFile allows the date field to show in several formats, but when the data is exported to a GeoWrite merge (via Clipboard), the date on the printed document will be a five digit Julian Date. Any suggestions as to how I can get the date formatted properly on the printed document. Also, when a document has been printed, is there any way to save the file to disk for later retrieval? What I want is a document that will stand alone and not rely on the merge operation any longer - a document that contains the merged fields in place of the merge indicators.Subj: Sandy... get's my vote!

In the new document (import), select Layout, Create New Layout, and you'll get a blank screen. In the one containing the layout you want to preserve, click Edit, Select All (or drag to get everything. Then just right click anywhere in the selected area and DRAG the whole thing into the new document. Sure. In the higher user levels (level 4 anyway), under the menus
feature, I get one of those "the expression does not evaluate to true or false" statement, and my cursor locks. Not a crash, but a definite annoyance. Also, the ability to save the formulas that we create would be handy for repetitive tasks. I guess it could be achieved through the notepad.
I would of course like to have the ability to link to multiple database files, but I understand the current incarnation of File as part of a works package. I am hoping GeoWorks has plans for a stand-alone (sold by itself to run under 2.0 like Escape) full featured version.

YES! It certainly does help, but I stll don't get it! Why can't I just ask it for SHOES = w? Seems like I shouldn't have to tell it to look for the leftmost character, and the default search should be on the first letter of the data that matches.
Also, why do some expressions need a 0 in them? What is the 0 doing there, and how do I know when it should be a 0?
And why does the expression writer use the ISNUMBER fnx for text string searches???
I hate to be a pill, but that is just not at all in keeping with any sort of intuitive language that I know of. This stuff is beginning to make writing custom prompts with ANSI escape codes look EASY. OK OK, I know I haven't had math since my junior year in high school, and that was in 1970, and I admit that logic was never a strong suit of mine, but this logical linguistic hoop jumping is just frustrating me now, and I STILL haven't gotten the db to mark only those records that DO have a phone number. But my cursor has become a permanent hourglass every time I try to write another expression that the parser won't accept. I'm really ready to give it all up, but I'm too stubborn to say "UNCLE".

It would be nice to have a simple "search form" that looks like a blank record and in which you could just fill in the data you want to look for.
I don't know any way to make this easy. The language of GeoFile makes intuitive sense to me, but I often have to study the manual to find the right function or figure out its syntax.
"SHOES = w" probably works. It just finds no records, because it doesn't evaluate to true for any record. SHOES = "w" would find any record in which the field SHOES contains only the letter w. If you want all the records in which the contents of SHOES begins with a w, then you have to say so--LEFT(SHOES,1)="w"
If there's a zero used in a function, then it's usually a required paameter. Exactly why it's there depends on the function, so I'd have to look up the function in the manual just like the next user, unless I happen to already be familiar with that function.
ISNUMBER is a way to test to see if a field is numeric or a text string. I don't understand some of the expressions that are built automatically, since sometimes I can think of much simpler ones to accomplish the same thing, but whoever designed those must be trying to cover data that might contain more variations than my data.

4. Select Data Entry mode in GeoFile, then choose PASTE from the Edit menu. Resize the field box so you can see the entire pasted address. Make the field box "label size." In other words, don't make it bigger than it needs to be.
5. Select "new" record, go to the next record in your GeoDex file and repeat the proces... until all your GeoDex records have a corresponding record in GeoDex.
6. Finally, go back to Design mode in GeoFile and go to FILE>Page Setup. Make the Single Record Size the size of the labels you want to print. Also, turn off Field Edges under the Attributes menu. Then, switch to Multi-Record mode and adjust the record template, if necessary, using the Pointer tool.
Switch to Data Entry mode (while still in Multi-Record mode) and you should see your records arranged label-style.
Do a test print.
The only part of this that's a little kludgy is manually copy/pasting GeoDex's Address Field into GeoFile fields. QuickCopy won't do it, and a test export of GeoDex Address Fields to .CSV and dbIV files proved to require far more editing in GeoWrite than it was worth. Copy/Paste was easier.

Bad news and good news ;) You can't import a file into an existing template in geoFile - bt you don't have to rekey the entire database either. You can import your data (from .DBF or .WKS/1 or .CSV) into a new geoFile document and then format it however you like - in as many layouts as you like. You can't merge imported data into an existing gF database either :(
Something to look forward to in an update of geoFile, like we're looking forward to a row and column feature in geoCalc!!!

LaRueW... I do not believe there is any such animal as a Dex>Calc>File workaround. The stumbling block is the Address field in Dex, which cannot be broken out by Street, City, State, Zip.
All exporting routes, including via Clipboard, yields an Address field text string which is formatted as:
<<Name Address City State Zip>> and cannot be differentiated without a good deal of manual massaging. It also seems to me that making a pitstop in Calc only increases the amount of massaging required.
It doesn' matter whether you export to a file format or via the Clipboard.
But, this is just one person's experience. If someone has indeed perfected a Dex>Calc>File or even Dex>File workaround, I'll be all ears, too.
In the meantime, I've reposted my response to a similar query in this thread just a few days ago, in the next post.
It speaks to just bringing the Address field into File for the purpose of outputting labels.
If you wanted to bring the entire Dex file into GeoFile, you could do that through normal file exporting, then deleting the resulting "text string" Address field, creating a new Address field, and proceeding with the workaround as described, record by record.

Unfortunately, GeoFile does not support merging two or more files on import, or bringing an imported file into an existing GeoFile database.
If possible, it would be best to merge those databases in the exporting application and importing the already-merged result into GeoFile.

For me this has been a very consistant problem. I was working on a document today where I began creating a new layout. After spending some time on it I had to exit and saved everything. When I came back EVERYTHING was gone. Even the name of the new layout. Nothing was there. I have been using computers and GEOS for some time so I know that I am not simply forgetting to save. In fact I am saving more often than usual. Like I said before, saving as a template works, but it is a lot of extra steps.

Maybe there's an easier way, but this is the easiest way I've found so far:
1. Make GeoDex a Desk Accessory by moving the GeoDex application icon into the Desk Accessory folder in GeoManager. Doing this will keep GeoDex "on top" of GeoFile, which you launch next.
2. Create one field in a new GeoFile database and close the Create Fields box. Open your GeoDex file.
3. Assuming the Address Field in your GeoDex file looks something like this and doesn't include any other information...

... select all the text in the Address Field box and then select COPY.

There's no way to import data "into" a GeoFile database in the current version.
To some degree, you could copy/paste elements of one database into another, but a lot of the design might have to be done over again from scratch.
Delete Mark Records doesn't work. That's a known problem and there's no work around that I know of other than deleting each record one by one.
I agree that automatic adjustment of the length of fields would be nice. It's on our list of feature requests already, and I'll add your "vote." Do keep in mind, though, that it's quite a challenge to implement such a feature in an environment that supports variable point sizes and styles using proportional fonts.
I haven't tried grouping field names and fields themselves. That's something new for me to look into.

That doesn't work.......you can group fields together but I havemn't found a way to group field names together. The only workaround for that is to select each fieldname and move them that way.....also, you can move a fieldname and a field in the same way.....select the fieldname and the corresponding field and move them that way......see pages 2.8 thru 2.24 in manual #2 for information on selecting objects.

what is in these files? how many records? do they contain any Graphics?
This may have a bearing on why you are getting the error message. Have you tried running CHDSK on your HDD? are you using any *special* options to save these files? are you having problems with other GeoFile files?

I also found a pretty reasonable work-around. I exported the database as CSV, imported that into GeoWrite as ASCII, with appropriate field mapping to get the right field order...and then used find/replace to turn all those commas into tabs! I have been attempting to figure out the formula for getting a total amount of time spent on a project. My database is a worklog that has fields for "Time Started" and "Time Finished", then a "Total". Each field in a GeoFile Database Layout can have its own text attributes. One field can be 10 pt URW Roman Dark Blue, the next 14 pt Sans Black, the next 36 pt Superb Bold Italic Dark Cyan, etc.
Field Label attributes can be changed independently of fields.
Between GeoFile Database Layouts, you can change Field text attributes. For instance, Field_1 in Layout 1 might be 12 pt URW Sans Black. You could bring this field into a new Layout and assign it completely different text attributes, perhaps 42 pt Cranbrook Italic Dark Purple. When viewed from Layout 1, data in Field_1 would be 12 pt URW Sans Black; when viewed from Layout 2, the sae data would appear as 42 pt Cranbrook Italic Dark Purple.
It is not possible to mix font attributes within a given field, however.

Then I went to the options/annotations menu and clicked the print annotations button...voila! Everything printed :-)
It looks like our friends at the AGD were really fancy when they made up that GeoFile document. The more I see of these geos apps the more I like them - even if it does take some experimenting!!!

Has anyone else had trouble saving design changes? I have made changes in either a screen form or report design only to find that they were not saved when I exited. Yes, I did select save before I exited. The only way that I have been able to save some of these changes is to save the file as a template... reload the template and "save as" the original file name. A lot of extra steps.
Like I said... has anyone else run into this?

I have found that your layouts can be copied to the scrapbook and saved. These layouts can then be bought back into a database and all the fields will be intact. If those fields are not in your new database, the will be deleted when imported. Now, I finally feel free to use some creative effort on the files I use the most. They are all imported from .dbf files on a daily,weekly or monthly basis, and I thought it was just a waste of effort to keep redesigning my layouts.
Now, I just import my database and copy in my layouts from the scrapbook. I tried to copy the layout to GeoDraw, but you field definitions bet lost. I was hoping to be able to use snap-to-grid to create a precise layout. It's strange, because you can copy the fields in but they loose text and borders. I did a whole layout, snapped every thing together and when I placed it in the GeoFile no data showed up like it does when I import from the Scrapbook. I guess my next request is for snap-to-grid in GeoFile.

I'm trying to print out a Geofile "bug report form" supplied by AGD. It displays fine, but all that prints is a little box outlining where the date should be, no text, no graphics, nothing else. I haven't used Geofile much, but it does print database I imported from Clarion Personal Developer ok. I read the manual and the help file, but no go. 486sx25, 4 meg ram, Canon BJ200. Any suggestions?

You cannoth cause this kind of action. With a derived field, you can limit what will show but you cannot limit entry.

Create a calculated field that takes your X field and has a formula "ucase fieldname". I'm not sure of the exact syntax as I use to many different packages.

Calculated fields can ONLY be calculated from other fields and other data. Don't expect to type in the field space if it is calculated.
