Call Logging | |
When you make or receive a phonecall TCM allows you to make notes during the call, schedule return calls, create sales forecasts, and it then files the phonecall as an event in the relevant folders. There are two ways of logging a phonecall: |
||

An Incoming call - click this icon when the phone rings. The search box will appear and you can search for the caller by name, postcode, or any other indexed field.

If the caller isn't already in the system you can add their basic details to the database from within the search box by clicking the New Contact icon, and then continue with logging the call.

An Outgoing call - click this icon to make an outgoing call. The search box will appear and you can search for the person you want to call. TCM will then list their phone numbers.

Using Templates | ||
After a while of logging calls you'll probably discover that you keep typing in the same notes over and over: He wasn't at his desk, She was out for lunch, and so on.

TCM allows you to create Templates which wrap around the Call screen (and most other TCM screens) to speed up note-taking. When you click a Template button it can either auto-type a comment such as 'There was no reply so I left a message', or present a list of phrases for you to choose from. When you close the call by clicking the 'Hang-Up' button TCM will file your notes into the folder of whoever you were speaking to. If you called a company and spoke to more than one person, TCM will file a copy in each persons folder as well as the Company's folder. |
|
Setting reminders | ||
Typically when you make a phonecall you need to schedule a return call for either yourself or another TCM user.

To schedule a return call click the Rescheduler button and you will be able to set the date and time of a return call. You can also view your diary from the Rescheduler if you want to check that you are calling at a convenient time.

Note: If you have a TAPI compatible modem or telephone system, TCM supports caller ID, auto-dialling and even DDI. You just need to install the TAPI module and have it running on your computer in the background.
