Table Assignments   

The Table Assignments screen is used to create seating arrangements for your guests for a party.  The Table Assignments screen works in the following manner:

  1. Enter the total number of tables needed for the event/party by clicking the Add button at the top of the screen. 
  2. You can assign each table a name (instead of the number) by double-clicking in the table name field, back spacing over the current table name and typing in a new name (Head table, Wedding Party, etc).
  3. For each table, enter the number of guests at each table by manually typing in the number of chairs (replacing the 0). 
  4. To seat the guests, select the unseated guest on the left and drag to the position at the table where they will site.  Each guest party is listed by last name and will have a box next to it.  This box will either contain a '-' or a '+'.   The "+" indicates that the group name can be expanded to show individuals in the group.  For example the party name will be Jones, and under that you should have John, Julie, Jim, all individuals listed).  You can seat individual guests by selecting the individual guest, or you can move an entire party by selecting and dragging the party name that is located next to the box.  

Once a guest is seated, you can move them to another seat by selecting them and dragging them to a new seat.  If another guest is already seated in the seat that you move them to, the two guests will switch seats. 

If you remove a table or a seat that has guests in it, the system will remove the guests and move them to the unseated guests column.

Table Assignments For:  Select the appropriate party from the drop down box.  As a party is selected, the guests that have RSVPed that they will be attending the party should be shown (either in the Un-seated Guests column, or on a table). 

To add a table , click the Add button at the top of your screen.  You should notice the tables being added to the left of your screen in the table summary section.  You can now change the name of each table, and enter the correct number of seats for each table. 

To delete a table, make sure that you have the table highlighted in the table summary list on the left and click the delete button. 

 

Highlight :      

This feature allows you to 'highlight' a specific category of guests.  For example if you want to see at a glance where the bride's family are all seated, select "bride's family" from the drop down box.  This should bold all names that belong to this category.  To remove the bold highlight, select "Highlight Off" from the drop down.

 

Total Number of Guests:  This shows the total number of guests that have RSVPd for this party. 

# of Tables:   This shows the total number of tables that you have added for this party.

# of Seats:   This shows the total  number of seats (multiply the number of tables by number of seats at each table).

# of Available Seats:   This shows seats that are still not assigned;  the total number of seats minus guests who have been assigned a seat.
