PolyFAX 

HOW To -

  1. Setup PolyFAX™ for evaluation.
  2. Subscribe to the PolyFAX™ service.
  3. Send an email to one or more email addresses.
  4. Edit or Delete an entry in the Recipient list.
  5. Setup mailing lists.
  6. Setup special notification addresses and fax numbers.
  7. Change the details of your account
  8. Add servers to the default list.

 


1.0 HOW TO Setup PolyFAX™ for evaluation

The first time you use PolyFAX™ it will be setup for evaluation. You simply need to fill in some information and read the Customer Agreement . You can then use PolyFAX™ for 30 days completely free of charge.

1.1 Click the 'From' tab

1.2 Enter your personal information. Wherever you see
* next to a label you must enter the information. The email address is not obligatory, but if you enter one it will be the one to which your recipients will reply and also the one that receives receipts and notifications concerning the delivery of your fax. Your telephone and sending fax number are also obligatory to comply with US law which requires the inclusion of sender information on all faxes. We do not sell this information.

1.3 Click 'Save Sender'

1.4 Click the 'Setup' tab

1.5 Select a fax server from the list of servers. 
If you wish to use a different server you can click the 'More Servers' button or go to the PolyFAX
™ Server Page on the world-wide web to get the latest list. See also Setting a default PolyFAX Server.

1.6 Click 'Save Setup'.

2.0 HOW TO Subscribe to the PolyFAX™ service

2.1 Click the 'From' tab

2.2 If you have not already done so enter your personal information. Wherever you see * next to an entry you must provide the information. The address should be the same as the one used for the credit card you will be using for payment. The email address is not obligatory, but if you enter one we will use it to confirm your account has been opened. The telephone number may be used if we need to communicate with you and the sending fax number is obligatory under current US law

2.3 Click the 'Setup' tab

2.4 Check the box 'Subscribe to PolyFAX™'

2.5 Enter your credit card information. (This information will not be sent over the Internet in a human-legible form).

2.6 Click the 'Message' tab to read the subscription application.

2.7 Click 'Print Subscription Form'. Two pages will be printed. The first is an Address Page and the second a Message Page. Please fax them together to a PolyFAX server as indicated on the Address Page.

2.8 Your Account number and PIN will be returned to you by e-mail, or, in the absence of an e-mail address by fax. When you receive them please re-start PolyFAX and enter them as requested. You may then continue to using PolyFAX 

NB For reasons of security your Account Number and PIN will be transmitted in two separate email messages via different routes.

3.0 HOW TO Send an email to one or more email addresses.

3.1 Click the 'To' tab

3.2 Enter a valid email address under 'E-Mail Address' 

3.3 Enter the name of the recipient if you know it, otherwise leave the entry blank.

3.4 Enter the name of the recipient's company if you know it, otherwise leave the entry blank.

3.5 Click the 'To :' button above the 'Recipients' list. 
The recipient's name and email address will be added to the 'Recipients' list.

3.6 Repeat 3.2 thru 3.4 for every additional recipient, choosing the 'To', 'Cc' or 'Bcc' button as appropriate.

3.7 Click 'Message' tab and enter the Subject and Message you would like to transmit.

3.8 Click 'Print' and your PolyFAX™ Address and Message Pages will be printed.

3.9 Please sign the Address Page AT THE BOTTOM

3.10 Place the Address Page on top of the Message Page and fax them to the PolyFAX™ server at the number on the Address Page.

4.0 HOW TO Edit or Delete an entry in the Recipient list

4.1 Populate the Recipient List as described in 3.2 thru 3.4

4.2 Select the entry you wish to Edit or Delete.

4.3 Click the 'Delete' button to remove the entry, or the Edit button to copy the entry back to the 'E-Mail Address', 'Name' and 'Company' boxes where they may be modified.

5.0 HOW TO Setup a mailing list.

5.1 Populate the Recipient List as described in 3.2 thru 3.4.

5.2 Choose 'Save List' in the 'Mailing Lists' frame.

5.3 Provide a name for your list and click OK.

6.0 Setup special notification addresses and fax numbers.

6.1 If the fax number you wish to provide to your recipients for replies is different from the fax number from which you are sending click the 'From' tab and enter the 'Sending Fax' number in addition to the obligatory fax number.

6.2 If the email address you use for replies is different from the email address you use for Notifications click the 'From' tab and enter an email address next to 'Notify Address'.

7.0 Change the details of your account.

You can change most of the information concerning your subscription excluding the name, the account number and PIN.

7.1 Click the 'Setup' tab

7.2 Click 'Modify Account'

7.3 Update any information concerning your credit card details.

7.4 Click the 'From' tab.

7.5 Alter any details as appropriate. NB Your address must be the same as the one used for your credit card.

7.6 Click 'Print Subscription Form'. Two pages will be printed. The first is a an Address Page, the second a Message Page. Please sign both, place the Address Page on top of the Message Page and fax them together to a PolyFAX server as indicated on the Address Page.

8.0 Add servers to the default list.

The PolyFAX software contains a list of PolyFAX servers. Servers are continually being added. To get the latest list go click here.

To add servers to the list 

8.1 Click the 'Setup' tab.

8.2 Click 'More Servers' or get the latest list from the world-wide-web.

8.3 Select from the web page the telephone number of the server you would like to use and copy it to the 'Fax to' box on the 'Setup' tab.

8.4 Click the 'Save Setup' button.
