1.0 STRUCTURE
The TaxAide program contains the following files which you may
use in the preparation of your income tax return:
AUTO123.WKS - The file used to start TaxAide when you begin a
session.
TAXAIDE0.WKS - The "master" TaxAide file which contains the
"blank" income tax return forms, schedules, and
worksheets. This file is used for your return on
a floppy disk and to start a new return on your
hard disk.
TAXAIDE1.WKS - TaxAide file used for multiple returns on a hard
disk.
TSCRATCH.BAT - File used to print the "scratch pad" used to col-
lect and organize your raw data.
TSCRATCH.FRM - File containing "scratch pad" format.
RELEASE2.BAT - File used to rename TAXAIDEx.WKS files as required
for use with all releases of 1-2-3 Release 2.
RELEASE3.BAT - File used to rename TAXAIDEx.WKS files as required
for use with 1-2-3 Release 3.
HARDDISK.BAT - File used to install TaxAide on a hard disk.
Copies files from TaxAide distribution disk and
generates TaxAide2-9 files used for multiple re-
turns.
TAXAIDE0 (shareware) contains the following form, schedules, and
IRS worksheets:

W-2 Data Input
Wksht
All 1-2-3 worksheet files have the extension .WKS (or are con-
verted to .WK1 for Release 2 or .WK3 for Release 3). The tax
tables and schedules are included for Form 1040. The tax is com-
puted as data is entered into the sheets. The table for figuring
the Earned Income Credit is included. The credit is computed as
data is entered.
The screen presentation of the worksheet is designed to resemble
the IRS printed form. Some differences exist because of screen
size and some descriptions have been abbreviated to facilitate
usable screen presentation. Instructions have been added to pro-
vide conditional information necessary for proper computation to
occur. Instructions have been given in some cases which direct
you to instructions on the IRS form. Line numbers of data entry
correspond to the line numbers contained on the IRS form for the
same information.
In some cases a line entry has been split into two entries for
YOU and for SPOUSE. This facilitates the entry of double infor-
mation which may be needed for a joint return and will reconcile
into the needed single entry. This double entry may be informa-
tion which you enter or may be information from two forms which
are automatically combined onto one line provided on the IRS
form.
For example two Schedules SE are provided, one (Sched SE-YOU) for
you and one (Sched SE-SPOUSE) for your spouse. The data from the
two schedules are combined on Form 1040 and print on the appro-
priate line. The same is true for Schedule C, one for you (Sched
C-YOU) and one for your spouse (Sched C-SPOUSE).
6
Compute the two schedules independently (as one must be submitted
for each spouse) with the data combining automatically on the
proper form.
If you are not preparing a joint return, use the schedule/work-
sheet for YOU. The "spouse" worksheets will remain "0" and will
have no effect on the tax computation.
All cells, except those into which data is to be entered, have
been protected. Lines which contain data brought from other
forms will be indicated by the use of braces in the line descrip-
tion, e.g. {Sched B}.
Files beginning with an "X" are special transfer files and should
not be retrieved by you.
In several locations throughout the package there are "*****
Checks *****". These are locations where conditions requiring
your attention are displayed. These checks usually take the form
of an expected number match or a "0" changing to "ERR" or "NA".
An "ERR" or "NA" will replace the match or "0", or will be en-
tered into the cell in question. These are explained on the
sheets.
CAUTION: Rows or columns should not be added or deleted. The
worksheet contains information and formulas in cells not in the
normal field of view which support cells in the field of view.
Macros are used to control various parts of TaxAide. If rows or
columns are added or deleted, which affect the position of the
Macro reference location, the Macros may NOT automatically change
as the worksheet configuration changes. Cell locations should
not be changed on the worksheet for this reason. Tax tables, tax
schedules, and formulas are not necessarily in the field of view.
If a row or column is deleted which contains part of the tax ta-
ble, the table will be rendered useless or an important formula
may be deleted.
Do not rename worksheet or xtract files. The worksheets contain
Macros which reference other worksheets and xtract files.
Do not interrupt macros as they are working. Such interruptions
could interfere with proper data transfer from sheet to sheet.
2.0 REQUIREMENTS
Your computer should have the following amount of memory:
Release of 1-2-3 Version of DOS RAM Requirement
1A 2.xx 448K
2 3.xx 512K
3 4.xx Lotus rqmt's
7
You will also need one floppy disk drive and a printer. Of
course, you will need a working Lotus 1-2-3 system. While Tax-
Aide is designed to be as "user-friendly" as possible, you must
have a working knowledge of Lotus 1-2-3. Your Lotus 1-2-3 should
be set so that the default drive/directory is the drive/directory
which will contain your TaxAide worksheets. You need not have
experience in building worksheets since TaxAide comes ready for
input.
NOTE: The TaxAide0 file is large. If you have other programs
such as a memory resident background or an Add In program in
memory concurrently with Lotus 1-2-3, it is possible that there
will not be enough memory available for the TaxAide0 file. If
this happens, remove the other program(s) and use your TaxAide.
It may be necessary to delete the add in manager from the driver
set. Consult your add in manager documentation for further in-
formation. Unless you have sufficient memory it is possible that
you may not be able to load TaxAide with Release 2.2 or 3 with
UNDO on.
The same condition may occur if you have previously used a pro-
gram which reserved a block of memory which was not released when
that program ended. It may be necessary to reset your computer
so that the maximum amount of memory is available for Lotus 1-2-3
and TaxAide. If you still have memory difficulties, check your
system start-up configuration (buffer size, files, etc.) to be
sure that enough memory is available for Lotus 1-2-3 and TaxAide.
You should have the income tax forms which you will be submitting
as your 1990 Income Tax Return with you. You should also have
the appropriate instructions for these forms.
It is not the purpose of TaxAide to determine the appropriateness
of your return. You must do that. TaxAide will make the prepa-
ration of your tax return much easier since TaxAide will make
most of the computations for you.
3.0 INSTALLATION
To ensure proper operation of TaxAide, follow these installation
procedures:
3.1 5 1/4" and 3 1/2" Disk Users:
Using your system's copy utility, make a working copy of the Tax-
Aide distribution disk. Assuming that the TaxAide distribution
disk is in Drive A: and the disk which will contain the working
copy of TaxAide is in Drive B:, make Drive A: the default drive
and type "COPY *.* B:". Store the TaxAide distribution disk in a
safe place. CAUTION: Do not use sub-directories on a working
disk. The TaxAide disk is quite full and needs the space which
8
would be occupied by sub-directories.
3.2 Hard Disk Users:
FOR PROPER OPERATION OF TAXAIDE, IT IS IMPORTANT THAT YOU USE THE
FOLLOWING PROCEDURE FOR HARDDISK INSTALLATION. DO NOT USE YOUR
SYSTEM'S COPY UTILITY.
For ease of use, it is suggested that a new, separate, sub-direc-
tory be established for 1-2-3 to use the TaxAide worksheets. Do
this using the Make Directory command from your operating system.
Enter the Lotus 1-2-3 directory and make a new sub-directory for
TaxAide. In most MS/PC-DOS operating systems, this is accom-
plished using the MKDIR or MD Command. For example, to make a
new TaxAide sub-directory under your 123 directory: From the
root directory, type "MKDIR \123\TAXAIDE"; or make the 123 direc-
tory the default directory and type "MKDIR TAXAIDE". If you have
set up a directory of \123 or \123FILES for use with your Lotus
1-2-3, make your sub-directories for TaxAide from your Lotus 1-2-
3 Directory. This will make finding the desired TaxAide work-
sheet much easier. Consult your operating system manual for fur-
ther information.
From your Lotus sub-directory, make the TAXAIDE sub-directory the
default directory by typing "CD TAXAIDE" and press <RETURN>. At
the system prompt, type the following:
3.2.1 If the designation of your floppy drive is A: type;
"A:HARDDISK" and press <RETURN>.
3.2.2 If your floppy drive is designated something other than
"A:", you must also include the floppy drive designation
with the command and type:
"<Floppy Drive>HARDDISK <Floppy Drive>" and press <RETURN>. eg.
if your Floppy disk drive is designated "B:", type "B:HARDDISK
B:" and press <RETURN>.
3.3 Lotus 1-2-3 Release 2, 2.01, 2.2, and 3 users:
After performing the above installation procedure, convert the
files to the Release 2 or 3 naming convention. To do this:
3.3.1 Floppy Disk Users:
Insert your working TaxAide Disk into a floppy drive. Make the
drive containing the TaxAide working disk the default drive. At
the system prompt, type "RELEASE2" or "RELEASE3", as appropriate,
and press <RETURN>. This will rename the 1-2-3 files to the Re-
lease 2 or 3 naming convention.
9
3.3.2 Hard Disk Users:
Make the TAXAIDE sub-directory the default directory. At the
system prompt, type "RELEASE2" or "RELEASE3", as appropriate, and
press <RETURN>.
3.4 Using TaxAide
Start your 1-2-3. Then:
3.4.1 Floppy Disk Users:
Make the drive containing the TaxAide disk the default drive. If
that drive is B: drive, enter the command "/WGDD B: <RETURN>".
For ease of use, Retrieve the AUTO123 file first. If the 1-2-3
default drive at 1-2-3 startup is the drive containing the Tax-
Aide disk, the AUTO123 file will be Retrieved automatically at 1-
2-3 startup.
3.4.2 Hard Disk Users:
To use the TaxAide worksheets, make the new "TAXAIDE" sub-direc-
tory the 1-2-3 default directory. Enter the command "/WGDD TAX-
AIDE <RETURN>". so that the TaxAide files will be displayed for
retrieval. For ease of use, Retrieve the AUTO123 file first. If
you have "Updated" your 1-2-3 system so that the TAXAIDE sub-di-
rectory is the default directory at 1-2-3 startup, the AUTO123
file will be Retrieved automatically at 1-2-3 startup.
3.5 Multiple Returns
3.5.1 Floppy Disk Users:
Make a new TaxAide working disk for each return you wish to pre-
pare and keep.
3.5.2 Hard Disk Users:
There are nine prenamed TaxAide files available: TAXAIDE1, TAX-
AIDE2, TAXAIDE3, TAXAIDE4, TAXAIDE5, TAXAIDE6, TAXAIDE7,
TAXAIDE8, and TAXAIDE9. These files will be used when using the
"Save" and "Hard Disk" menu options. They are subsequently
available using the "Retrieve" menu option. Up to nine separate
TaxAide returns may reside on the hard disk at one time (space
permitting). As will be explained later, each new return must be
started using the "New" menu option which loads the file named
TAXAIDE0. The return started using this file is then saved to
one of nine prenamed TaxAide files.
4.0 PROCEDURE SUMMARY
Use the following procedure when using TaxAide:
10
1. Read and sign the Agreement and return the registration.
2. Read the documentation.
3. Print the "scratch pad", if desired, by typing "TSCRATCH"
and pressing <RETURN> at the DOS prompt. This file is a
"scratch pad" to help you gather and organize your raw data.
4. Following your system instructions and the installation in-
structions above, make a working copy of TaxAide and store
the TaxAide distribution disk in a safe location.
5. Retrieve the AUTO123 file.
6. Select "New" menu option. (Retrieves TAXAIDE0 file.)
7. Follow menu command selections as desired.
8. Enter data using the right and left arrows to move from cell
to cell.
9. "Save" the file as desired.
10. "Print" the Forms/Schedules as desired.
5.0 USING TAXAIDE
5.1 Getting Ready
The TaxAide distribution disk contains all of the files needed
for use with your Lotus 1-2-3. Make working copies of your Tax-
Aide distribution disk. Copy the files to your hard disk using
the installation instructions above. Then store your TaxAide
distribution disk in a safe location.
Collect all of the raw data you will need to prepare your Federal
income tax return. A "scratch pad" is provided to help you col-
lect and organize your raw data. To print this "scratch pad",
type "TSCRATCH" from the DOS prompt.
You should have the IRS forms and instructions with you as you
work TaxAide. You will need to refer to them for amplified in-
structions which, because of space considerations, are not pro-
vided on the computer screen.
5.2 Starting
NOTE: If you leave the TaxAide menu structure, press <ALT>-M to
return to the TaxAide menu. Press <ESC> to return to the previ-
ous menu. If you are at the first menu, pressing <ESC> will keep
you at that same menu.
As you proceed with various menu commands, the screen may change
presentation, flash, and the status window may flash. This is
all normal operation. There may be times when the "CALC" sign
may appear at the bottom of the screen. TaxAide places Lotus
1-2-3 in manual recalculation at various times to speed up opera-
tion. TaxAide places Lotus 1-2-3 in automatic recalculation and
recalculates when necessary to ensure that information is updated
when needed.
11
Load your 1-2-3. Use the 1-2-3 command, /FR, to retrieve a file.
If a disk containing TaxAide is in the default drive\directory,
the file named AUTO123 will be Retrieved automatically. If the
directory containing the TaxAide files is the default directory,
AUTO123 will be retrieved automatically. Select menu option
"New" to start a new tax return. This will retrieve the file
named TAXAIDE0.
NOTE: The TAXAIDE0 file is large. It may take up to two minutes
for this file to load. If you are using Lotus 1-2-3 Release 2 or
3, this time may be increased the first time this file is re-
trieved.
In the TaxAide menu, select "Enter". We suggest you start with
the W-2 Data Input Wksht. Type "56" and press <RETURN> then
<ESC> (or <RETURN> twice). Enter data into the W-2 Data Input
Wksht. Press <ESC> to return to the menu.
It is suggested that you next enter data into Form 1040. As
above, select "Enter", type "1" for Form 1040, page 1, and press
<RETURN> then <ESC>. Enter data as appropriate, until you reach
a line which requires data from a supporting form/schedule.
Press <ESC> to return to the TaxAide main menu, select "Enter"
then type the number corresponding to the next desired
form/schedule/worksheet and press <RETURN> then <ESC>. Complete
the supporting form/schedule/worksheet. Return to Form 1040 us-
ing the same method indicated above. Continue down Form 1040
making entries until data from another form/schedule/worksheet is
needed. Complete the next supporting form/schedule/worksheet and
return to Form 1040. Continue in this manner until the entire
Form 1040 is completed and the worksheets, forms, and schedules,
needed for your return, are completed.
5.2.1 Menus
After selecting "New" and entering the TAXAIDE0 file, menu op-
tions will be presented. Move the cursor onto the menu option
desired and press <RETURN> or type the first letter of the menu
option.
5.2.1.1 Enter
For data entry, select "Enter" and press <RETURN>. A list of
forms, schedules, and worksheets will be presented. Select the
desired form, schedule, or worksheet as indicated above. The
cursor can be moved from unprotected cell to unprotected cell.
It is suggested that the RIGHT ARROW (-->) be used to move the
cursor down the sheet to the next unprotected cell available to
accept data entry. Likewise, you should use the LEFT ARROW (<--)
to move the cursor up the sheet to the next unprotected cell
available for data entry. This will ensure that no cell is unin-
12
tentionally left unfilled. Using the up arrow or the down arrow
will move the cursor to the next unprotected cell IN THAT COLUMN
ONLY. This may cause the cursor to miss an unprotected data en-
try cell which is not in that column. (See "Leave" menu option,
sect. 5.2.1.4.).
Specify that the form is to be included in your return by enter-
ing 1 as indicated. Move the cursor into the cell where the in-
formation is needed and type in the data. When you are finished
entering data, press <ESC> to return to the menu.
IMPORTANT NOTE: In a cell where numbers and text are entered,
and the entry begins with a number, you must start the entry with
an "'" (apostrophe) to indicate a label entry. An example of
this is the address in Form 1040. (Type "'123 Anystreet").
Likewise, if a social security number contains a leading 0 in a
section, an apostrophe must be used. (Type "'000-23-3486" or
"'123-00-4567"). Do not use commas when entering dollar amounts.
Cells are formatted to display commas automatically in the proper
location.
NOTE: Enter amounts in whole dollars only. Since TaxAide is
configured to compute whole dollar amounts, as requested by the
IRS, amounts not entered as whole dollars could cause rounding
errors.
RELEASE 2 NOTE: (Does not apply to Release 2.01 or 2.2) Do not
enter text where a number is expected. Doing so will cause cal-
culations which depend upon that cell to display "ERR".
For some data entry locations, the highlighted cursor position
will not appear as wide as the area which receives the informa-
tion, such as the area to enter the last name in the Form 1040.
This is intentional. Type in the data as needed and the informa-
tion will overflow into the complete data entry area. Do not
exceed the data entry area indicated on the screen.
Cells which are to obtain data from other sheets are indicated by
the following: {Sched D}. This reference, which will be in
braces, indicates that the cell will be filled by data which will
be transferred from Sched D.
When you come to a cell which gets its data from another
form/schedule/worksheet, press <ESC> to return to the main menu
and select "Enter" and then enter the number corresponding to the
desired form/schedule/worksheet and complete that
form/schedule/worksheet.
5.2.1.2 Save
A sub-menu will appear with the following options:
5.2.1.2.1 Floppy
13
Selecting this option will automatically save the 1-2-3 worksheet
which was retrieved, TAXAIDE0.
5.2.1.2.2 Hard Disk
Select this option to save a TaxAide return on your hard disk.
After selecting this option you will be presented with a screen
giving you the opportunity to save the return to one of nine pre-
named TaxAide files, TAXAIDE1-9. You may enter a note identify-
ing each specific TaxAide file. Move the cursor to the indicated
position and type the number corresponding to the desired TaxAide
file 1 thru 9, 1 for the TAXAIDE1 file for example, press <RE-
TURN> then <ESC>. The return you were working on will be saved
to TAXAIDE1 and the originally retrieved TAXAIDE0 file will be
left empty on the disk so that it may be used again to start
another return. Save the next return to another unused TAXAIDE1-
9 file, TAXAIDE2 for example, and so on. If you have no further
need for one of the previously used TAXAIDE1-9 files, TAXAIDE1
for example, you may save a new return to TAXAIDE1.
5.2.1.3 New
Use this option to start a new tax return.
5.2.1.4 Retrieve
NOTE: Remember, retrieving a new file will replace the file cur-
rently in memory. Save the file on the screen first, if desired.
A sub-menu will appear with the following options:
5.2.1.4.1 New
Use this option to start a new tax return.
5.2.1.4.2 Floppy
Use this option to retrieve your TaxAide return from a floppy
disk.
5.2.1.4.3 Hard Disk
Use this option to retrieve your TaxAide return from a hard disk.
A list indicating the previously used TaxAide files will be dis-
played. Select the desired file by entering the number corre-
sponding to the desired file and press <RETURN> then <ESC>.
5.2.1.5 Leave
This menu option will cause you to leave the TaxAide menu struc-
ture. You can then move the cursor around the worksheet as de-
sired. Entries may be made in unprotected cells. (Do NOT make
14
entries in xtract areas.) To return to the TaxAide menu, press
<ALT>-M.
5.2.1.6 Quit
This menu option will quit Lotus 1-2-3. You will be prompted for
a confirmation of this selection. Remember to save the worksheet
if desired.
5.2.1.7 Print
The RETURN and IRS options print the forms and schedules as re-
quired for IRS submission. Instructions and notes displayed just
for TaxAide operation, "Checks", etc. are omitted. For the IRS
forms/schedules, the paper should be positioned in the printer so
there will be approximately 3/4 inch top and left margins. The
TaxAide IRS printouts have been arranged so that if a 3/4 inch
top margin is provided there will be sufficient bottom margin.
NOTE: Do NOT submit the Lotus 1-2-3 "Screen" version of the
printout. It is not acceptable for submission. Only the print-
outs produced using the "Return" and "IRS" menu options are suit-
able for submission with your Tax Return.
A sub menu will appear with the following options:
5.2.1.7.1 Return
This option "batch" prints Form 1040 and all of the supporting
forms, schedules, and worksheets used for your tax return in IRS
approved format.
5.2.1.7.2 IRS
This option produces the IRS approved printout for each form and
schedule individually.
5.2.1.7.3 Screen
This option prints forms, schedules, and IRS worksheets individu-
ally as they appear on the screen.
6.0 IMPORTANT NOTE: UNLESS OTHERWISE INDICATED, ALWAYS ENTER
NUMBERS AS POSITIVE VALUES.
7.0 SPECIAL NOTES
7.1 Unexpected "ERR"'s or "***"'s
15
Many cells are set to accept only the identified values. For
example, where you have the option to enter a 0 or 1, entering
another number may result in ERR being displayed. If you see an
unexpected ERR check to be sure that you have not entered a 2 or
3 where 0 or 1 is directed.
7.2 Changing or Erasing Cell Entries
If you find the need to change the contents of a cell after you
have made an entry, simply type over the old data. If you want
to erase the contents of a cell either enter 0 if it is a number
cell or enter a space into a text cell.
7.2 Release 2.2
Make sure that Lotus 1-2-3 is set to run the autoexec macro. (If
you have not changed the default settings it should already be
set to ON.) When you QUIT TaxAide you may be asked about saving
the worksheet. Do not save the worksheet at that point since you
may be saving the TaxAide0 file. This file should remain blank
so that it is available for additional returns you may wish to
prepare. Save your work ONLY using the TaxAide SAVE menu selec-
tion.
7.3 Release 3
Make sure that Lotus 1-2-3 is set to run the autoexec macro. (If
you have not changed the default settings it should already be
set ON.) See 7.2 regarding the proper response to the Save ques-
tion when quitting TaxAide. Dates must be entered using dashes
(10-25-90) NOT slashes (10/25/90), even though TaxAide prompts
may indicate slashes.
7.4 HP Laserjet Printers
Occasional pagination problems have been reported by Laserjet
printer users. Resetting the page length from 66 lines to 60
lines should solve this problem.
8.0 PREPARING THE PRINTOUTS FOR SUBMISSION
8.1 Form 1040
The shareware version does not produce an IRS submittable version
of Form 1040. Print the screen version and transfer the data
onto a Form 1040.
8.2 Supporting Schedules
The printouts TaxAide produces are IRS approved for submission as
they are printed on either plain or green/gray bar paper. Be
sure that the ribbon produces dark, clean type. With the top
16
edge of the paper positioned to provide a top margin of approxi-
mately 3/4", proper margins will be maintained around the rest of
the schedules. Remove the perforated strips containing the pin-
feed holes.
8.3 TaxAide Identification
A number is printed in the lower left margin of all supporting
schedules. This number identifies the schedule as being produced
by Software Applications of Wichita, and is required by the IRS.
9.0 SAVING INCOMPLETE RETURNS
To save an incomplete return for later completion:
9.1 Floppy Disk
Save the disk containing the incomplete return and use it when
returning to work on that return. If you wish to work on another
return before completing the incomplete return, make a "fresh"
copy of TaxAide files on another disk.
When you wish to return to the previous incomplete return, insert
the disk and pick up where you left off.
9.2 Hard Disk Systems
9.2.1 Select the save menu option. Enter the desired identifi-
cation in the space provided and select a number 1 thru 9 corre-
sponding to TAXAIDE file 1-9.
9.2.2 When you wish to return to a specific TaxAide file select
the "Retrieve" menu option. Then select the "Hard Disk" menu
option. From the displayed list of used TaxAide files, select
the desired file and continue working on that return.
10.0 BEFORE YOU SUBMIT YOUR RETURN
Be sure that you have entered the data correctly into the work-
sheets. Review the forms/schedules and IRS instructions to be
sure that your return is accurate and complete. Assemble your
return using the sequence numbers in the upper right corner if
forms and schedules, in accordance with IRS instructions. If you
are satisfied that your return has been properly completed, sign
it and submit it to the IRS.
TaxAide will make completing your Federal Income Tax return easi-
er. TaxAide will allow you to concentrate on the appropriateness
of your entries since, you will no longer have the burden of per-
forming so many calculations. However, you are the one responsi-
ble for the accuracy of your tax return. Even if you have your
17
return prepared by someone else (human or computer), you are re-
sponsible for the content of your return.
