SECTION 1
THIS IS TBS Inventory Control
Thank you for your interest in TBS Inventory Control(TM). TBS Inventory Control is a program designed to track items that are used in your business either for sale or used otherwise. Minimum and maximum quantities can be specified for each item, and reports are available that list items that should be ordered when the quantity on hand is less than the minimum quantity, or when quantities on hand exceed the maximum quantity for the item.
A on-line, context sensitive help system provides help with the press of the F1 key. TBS Inventory Control was written to provide a simple means of entering information.
TBS Inventory Control gives you a simple, straightforward, menu driven system to allow for all operations, such as entering data, and the printing of reports.
This document describes the installation and usage of TBS Inventory Control. It also describes many features and functions of the program. Once you begin using TBS Inventory Control, you'll discover more about how it works from the on-line help facility and by experimenting with the various commands.

INSTALLATION
2-1 System Requirements
TBS Inventory Control requires an IBM PC, XT, AT, PS/2 or compatible computer with 512K RAM (or more) to work properly. In addition, version 2.0 or greater of PC-DOS or MS-DOS is required. A printer that will print 132 columns is also required. This can be a narrow carriage printer in condensed mode.
TBS Inventory Control requires approximately 380K of computer memory to contain the program's executable code and common data. Additional memory is allocated as required.
TBS Inventory Control works well with the IBM Monochrome Display Adapter (MDA), Color Graphics Adapter (CGA), Enhanced Graphics Adapter (EGA), Video Graphics Array (VGA), and compatibles. Other video adapters that can emulate either the MDA or CGA should work properly.
2-2 Installing TBS Inventory Control
Installing TBS Inventory Control is a very simple process. Basically, we will be creating a subdirectory on the hard disk and coping the contents of the floppy disk to the subdirectory. The following makes the assumption that you will be copying from drive A: to your hard disk C:, and that the name of the subdirectory you will be using is ITEMS.
The first time the program is run, it will create the required
data files.

Network Support
This shareware version will work on a single user system, or on a network as long as only one person uses the program at one time. The registered version provides support for networks, and allows multiple users to use the program at the same time by the means of file and record locking.
SECTION 3
GETTING STARTED
To start TBS Inventory Control, enter the following commands (assuming that the subdirectory that TBS Inventory Control was installed in is \ITEMS : (Your dos prompt may not show the path, as the following examples do. If you would like your dos prompt to display the path, enter the following command at your dos prompt: (This command can be added to the beginning of your autoexec.bat file in the root (\) directory on your system.)

First, enter todays date. (This date will be printed at the top of the various reports that are available.)
The first time you use the software, select Enter Your Company Name. The name that you enter will be shown at the top of the various reports and at the top of the Inventory Control Main Menu.
This is where you would also enter your printer control codes. For values less than CHR(32), enter the value by holding down the ALT key and entering the numeric value on the numeric keypad (not the numbers above the letters), then releasing the ALT key. The value for ESC is 27. The standard codes for a Epson dot matrix printer are CHR(15) for condensed mode, and CHR(18) for normal print. For a HP Laserjet or compatible, one command to print at 16.7 CPI is ESC&k2S, (or "27 38 107 50 83") to return to 10 CPI is ESC&k0S (or "27 38 107 48 83"). (Only values less than 32 have to be entered with the ALT key - to enter the HP condensed command you would: Press and hold ALT, enter 27, release ALT, enter &k2S, press return.
Select Inventory Control to bring up the Inventory Control menu following, or Quit this Application to return to DOS.
The first item will be highlighted. To select that option, just press the enter key. To select a different option, use the down arrow and up arrow keys to move the highlighted bar down or up the displayed options, and press the enter key when the option you want is highlighted.
Select Quit (or press the ESC key) to return to the opening menu.
3-2 Add/Change Items
This option starts by displaying a list of items that exist in the database. Use the up and down arrows to move a line at a time, the pageup and pagedown to scroll a screen at a time. Use the INS or INSERT key to add a new record, the DEL or DELETE to delete the selected (Highlighted) record, or press enter to change the selected (Highlighted) record.
Category Codes allow you to group similar type items together in a number of the reports. A computer dealer, for example, might use category codes of HAR for Hardware, SOF for Software, PRT for Printers, etc.

3-4 Change Inventory Quantities
This routine allows you to change the quantity on hand for a certain item. (If the item does not exist, you can add it by pressing INS when prompted)
The Category, Bin Location, and Unit Price are displayed for information purposes only, you can not change these fields.
3-5 Sell/Dispose Items
This routine allows you to record the sales or disposal of items. By entering the quantities here, the appropriate fields in the inventory master file (ITEMS.DAT) are automatically updated. Quantity on Hand is reduced, MTD and YTD sales and cost of sales are increased, and the last sale date is changed if it is later that what is in the master file.
This procedure allows for the receipt of goods to automatically change the quantity on hand, and the quantity on order, for the item in the master file.
This procedure allows you to transfer quantities from one warehouse to another. You will be prompted to enter the warehouse and item number to transfer from, the warehouse and item number to transfer to, and the quantity to transfer. This amount will be subtracted from the quantity on hand in the FROM warehouse and added to the quantity on hand in the TO warehouse.
3-8 Copy Items to New Warehouse
This procedure allows you to copy items from one warehouse to another. You will be asked for the warehouse to copy from, the beginning and ending part numbers, and the warehouse to copy to. The system then prompts you to press CTRL+ENTER to copy the items. (When the items are copied, the quantities and sales values are set to zero).
3-9 Month/Year End Processing
This routine sets the Month To Date, or Year To Date, Quantity Sold, Sales Dollars, and Cost Dollars to zero. You will be asked if you want to run this program for the Month or Year. The Year option will zero out the Month to Date and the Year to Date amounts.
THIS PROCEDURE SHOULD BE RUN ONCE A MONTH AT THE END OF THE MONTH.
MAKE SURE YOU BACK UP THE DATA FILES BEFORE YOU SELECT THIS OPTION!!!
Note about report printing:
Most of the following reports allow you to specify the items that you wish to print. The following screen will be displayed allowing you to enter the beginning and ending Warehouse Codes and the beginning and ending Item Codes to be printed.
A confirmation window gives you a chance to abort printing by pressing ESC, or press any other key to print.
3-10 Print Item Listing
This report prints a list of the items in Item Code order. The report shows the Item Code, Description, Unit of Measure, Category Code, and the quantity on hand and on order.
3-11 Print Items by Category
This report prints a list of items sorted and grouped by Category Code.
The information includes the Item Code, Description, Unit of Measure
and quantity on hand.
3-12 Print Items by Vendor
This report prints a list of the Items sorted and grouped by the Vendor Code. Information includes the Item Code, Description, and the Vendors Part Number.
3-13 Print Price List
This report prints in Item Code order, and shows the Item Code, Description, Unit of Measure, Category, Sales Tax indicator, and the Selling Price.
3-14 Print Ordering Report
This report prints in Vendor Order, and shows the Item Code, Description, Vendors Part Number, Order Point, On Hand and On Order Quantity, Unit Price, Date of Last Sale, the suggested Order Quantity, the cost for the suggested order quantity, and the number that have been sold Month to Date and Year to Date.
3-15 Print Overstocked Report
This report list those items where the quantity on hand is greater than the Maximum Quantity. The report shows the Item Code, Description, Maximum Quantity, Quantity On Hand, and Quantity On Order. In addition, the report shows how much your carrying cost is to carry these overstocked items in your Inventory. The carrying cost is calculated as the On Hand Quantity times the Unit Cost for that item.
3-16 Print Evaluation Report
This report is designed to show the Year to Date profit for the item. The report shows the Item Code, Description, Year to Date Sales, Year to Date Cost, and the Profit realized on that item.
3-17 Print Sales Analysis
This report prints out in Category Code order, and shows the Item Code, Description, Quantity On Hand, YTD Quantity Sold, YTD Dollars Sold, YTD Cost, YTD Profit, and the Profit Percentage (to the YTD Sales Dollars).
3-18 Print Inventory Count Sheets
This procedure allows you to print worksheets to assist in taking a physical count of your inventory.
3-19 Print Inventory Report
This report list the items, quantity on hand, selling price and unit cost, and the extended selling price and cost. The extended cost amount is the value of the inventory when the report was run.
