Roster, Practice, and Fire Database

About the Author:
I am the Fire Chief of a small Volunteer Dept. in
southwestern British Columbia.
I found that the bookeeping involved in running the Dept.
required considerable time and effort and really wasn't as
orderly as I would have liked it.
This program was written to simplify the record keeping
for Practice, Maintenance and Fires and the preparation of Firefighter
rosters.
If you use this program I would encourage you to register now
and would welcome any suggestions for improvements that would
ensure its continued development.

Overview:
These are the things this program can do for your Dept.
1. Keep your Firefighter Roster up to date.
2. Print out individual Records or Whole Rosters.
3. Keep Track of Practice Records (what you practiced and when)
4. Show and /or print only the Practice Records you want.
5. Show the honourarium owed or wages owed for Practices.
6. Show all Practices or only those of the current year.
7. Keep track of your Emergency Calls
8. Print out the Emergency Calls you want.
9. Keep track of the amounts owed to FireFighters for Emergency Calls.
10. Show and / or Print all Emergency calls, or only those of the current
year.
11. Keep Maintenance Records on your Equipment
12. Keep all Records pertaining to Practices, Maintenance, Fires and
Firefighter Records at the press of a key.
13. Keep appointments and Schedule up to date
Important:
There are a few items that are very important to the smooth
operation and set up of your files.
Please read this document file before using use the program.
Setting up the Roster:
This is a very easy but important part of the program.
This program will run on a floppy drive but will of course run much
faster on a hard drive.
If you have a hard drive make a directory called C:\Fire or something
similar. Then copy all the files from your A: or B: drive to your new
directory. You can use the Dos command Copy A: *.* C:
If you are not sure what to do please refer to your Dos manual for
the command syntex.
Start the program at the Dos prompt by typing FF.
This will start the program and after the preliminary screen
you will be at the Fire Roster Menu.
View Roster:
Press the <Enter> key and you will go to a menu of Roster
Names if you have some records to see.
Enter Roster:
Tab down with the arrow keys to the Enter Roster menu
selection.
Press <Enter>
You will see a Roster Form and the cursor sitting on the
first line of the Form.
You must always enter a First name and a Second name on the
first two lines of the form.
Press Enter to continue down the form, filling in the
information as you come to it.
Now comes a most important part of the Roster Form.
You MUST fill in the form where it askes you for a per
practice rate and the hourly rate for Emergency Calls.
If you do not recieve an honorarium or per Practice and hourly
fire rate then you can leave these blank. The program will ignore
the blank lines. But if you do recieve remuneration then make
sure these are filled in and are accurate.
Fill a form for each of your Firefighters. The program will
then ask if you want to save the information you have
inserted. Answer Y) if you want to save or N) if you do not.
After saving the record, if you want to change it you can use
edit record.
Edit Record:
Edit record is a better alternative than DELETE.
To Edit a record use <Enter> to go to the line you want, or
use the arrow keys. After changing the Record enter until you
are at the bottom of the file and then enter once more to
save the file.
You can edit the record as many times as you want.
Delete Roster:
To delete a Record tab down to the Delete Roster and press
enter.
You then tab up or down to the name you want to delete and
press enter.
You will be asked if this is the record you want to delete.
Answer Y) if you want to continue to delete the record or N)
if you do not.
BE CAREFUL.....
Remember once a record is deleted it is no longer available
in your files.
Schedule and Appointments:
This is a useful calendar for keeping track of your appointments etc.
The program is self explanatory so I won't go into detail.
When you start up the calendar you will be asked if you want to open a new
file, answer Y .
You can then enter any information you wish by using the Alt + E keys.
Drop to Dos:
This is a way to get to Dos without leaving your program.
Tab down to Drop to Dos and press <Enter>.
You will now be at the Dos prompt. If you look at the top
left hand corner of your screen you will see the statement
"Type exit to return to program."
This is the only way you can get back into the program.
When you have finished with Dos then you must type Exit at
the Dos prompt to return to the program.
Entering Practice Records:
Tab over using the arrow keys to Practice records
Tab up or down to the Enter Practice Record.
Enter each catagory as you come to it.
When you come to the Attendance Section you will have to
enter each name followed by a comma and space.
Now comes the really important part...........
PLEASE READ CAREFULLY:
When you enter the names in attendance if you have any DUPLICATE
names then you MUST enter both FIRST and LAST NAME.
This is so the program can find the records for both parties.
For example,
Suppose you had two Smiths. One named John, the other named
Joe. You would then enter in the attendance record as follows:
Attendance:
Richards, Underwood, Joe Smith, John Smith, Edwards, etc.
^ ^ ^ ^
comma and space space etc.
notice how the names have a comma and a space after the comma
and that both Smiths have no commas between the first and last
name.
Use LAST NAMES ONLY if there are NO "Duplicates".
Suppose that you have two John Smiths or two Joe Blows.
In that case it up to you to make sure that you call one
Johnny or Joseph and the other Joe and John.
This is very important to the operation of the program.
Make sure you also enter the Date of Practice correctly.
The form for this is MM/DD/YYYY meaning month/day and year
in the fashion....06/07/1991.
You must also set the date on your computer if you do not
have a date time chip.
To do this type date at the DOS prompt and enter the
date using MM/DD/YYYY eg: 06/07/1991
Edit Practice Record:
Edit record is exactly the same as the Edit roster.
You may also edit this file as many times as you wish.
Look at all Practice:
This will let you see every practice you have entered since
starting to keep your records, or will show only the current
year's record.
Answer L) at the prompt to see the current year or press enter
to see them all.
You may also enter Q to quit at anytime.
Individual Records:(practice)
Tab down to Individual Records and press <Enter>.
You will see the number of Practices available in the top right hand
corner of the screen.
Enter the number of the practice you want to see as many times as you
want.
Attendance Records:
Tab down to the Attendance Record and press <Enter>
You will be asked for the LAST Name of the FireFighter.
Enter the last name if not a DUPLICATE, otherwise you will have to use the
first name of the FireFighter exactly the way it is used in the practice
record. (do not enter the last name.... only the first name in this case).
This part of the program will give you the number of practices the
firefighter has attended this year.
The program will pick out only this year's record and will disregard any
previous year's record.
It will then proceed to tell you how much is owed the firefighter up to
the present date.
Enter Fire Report:
Tab over using the arrow keys to Fire records
Tab up or down to the Enter Fire Record.
Enter each catagory as you come to it.
When you come to the Attendance Section you will have to
enter each name followed by a comma and space.
Now comes the really important part...........
PLEASE READ CAREFULLY:
You must enter the Number of hours on this emergency.
Use the form of 1.0 for 1 hour and 1.5 for 1 1/2 hrs
2.75 for 2 3/4 hrs etc.
When entering the names in Responding FireFighters if you have
any DUPLICATE names then you MUST enter both FIRST and LAST NAME.
This enables the program to find the records for both parties.
For example,
Suppose we had two Smiths. One named John, the other named
Joe. We would then enter in the attendance record as follows:
Responding Firefighters:
Richards, Underwood, Joe Smith, John Smith, Edwards, etc.
^ ^ ^ ^
comma and space space etc.
notice how the names have a comma and a space after the comma

The program will tell you if you have forgotten to set your date.
Edit Fire Record:
Edit Fire Record is the same as previously mentioned.
You will notice that there is NO delete in the Fire Record section.
This was done purposely (to stop Deleting Records by mistake).
Use edit record if you want to change a Fire record.
Look at Individual Records
This will let you look at the whole record in individual
form.
Press the number of the fire you want to see and when finished
press <Enter> to quit.
Look at All Fire Records:
This will let you see every Fire you have entered since
starting to keep your records, or will show only the current
year's record.
Answer L) at the prompt to see the current year or <Enter>
to see all records in the file.
You may also enter Q to quit at anytime.
Call Out....Records
Tab down to the Call Out.... Record and press <Enter>
You will be asked for the LAST name of the FireFighter.
Enter the LAST name if not a DUPLICATE, otherwise you will have to use the
first name of the FireFighter exactly the way it is used in the Fire
Report record.(do not enter the last name, only the first name in this case).
This part of the program will give you the Hours on Emergency Call-Outs
the Firefighter has attended this year.
The program will pick out only this years record and will disregard any
previous years record.
It will then proceed to tell you how much is owed the Firefighter up to
the present date.
Print:
This is self - explanatory and a little experimentation should have you
printing in a few minutes
Make sure your printer is turned on.
Some of the files are made to print two and sometimes three files on a
9 x 11 computer paper.
Make sure that you set your printer head at the top of the margin and
then click your printer "on" then "off" to set it.
Maintenance Records:
This is where you will enter the equipment you have to maintain.
Enter your trucks, compressors etc.
A little experimenting with this part of the program is in order. For instance
I enter the equipment to maintain and each time the equipment is serviced I
edit the file to show the mileage and / or hrs. of the equipment and when the
next service is due.
Exit:
Will save all the files and exit the program.
Problems:
The program tells me that it can't find a name in the Practice or Fire
records.
You have not spelled the name correctly or you have not entered the name
in the Practice(Attendance) Record or the Fire(Responding FireFighters)
record or the name is not in the Roster Record.
(read Enter Record)
Problem:
The program tells me that the name is a DUPLICATE.
This means that you must use a First name and NOT the Last Name to find
the record.
Make sure that if you have a DUPLICATE name you read how to enter records.
Problem :
When I go into the View Records the program tells me it can't find any records
You must have records entered for the current year.
The program will not show any records for previous years in the View Records menu.
Ending Statement:
This program was written with the Volunteer Firefighter always in mind.
I have tried to keep it simple yet as functional as possible.
I know the problems of keeping up to date records in the Volunteer Fire
Depts. and I believe this program will solve those problems.
I have spent considerable time in writing this program and hope that you
