INTRODUCTION 1.1. WHY VINO:FILE ? Need to keep track of the bottles of wine in your cellar and have instant access to your tasting notes ? Want to be able to analyze the geographical spread of your collection, maintain a list of wines that should be drunk or tasted soon, and identify future purchasing needs ? Like to locate a particular bottle of wine by bin or box number - without hunting through the cellar, packing and unpacking valuable bottles ? The VINO:FILE Cellar Master program is the answer to these needs for every wine lover with access to an IBM PC or compatible. VINO:FILE was written by a wine collector with a moderate sized cellar of 60 dozen bottles - so you know that this program, and future enhancements, will be geared towards the needs of fellow wine lovers, not the pre-conceived ideas of a large software company. As a member of the Association of Shareware Professionals, the author will assure that all users (whether registered or not) receive a complete, uncrippled, professional program with prompt support. VINO:FILE's database system has been tailored especially for wine cellar record keeping. It gives you instant access to information about the bottles of wine in your cellar, and allows you to file tasting notes for future reference once you have drunk the wines. You may keep multiple wine databases if you wish, or save older tasting notes in a secondary database. Want to know how many 1985 California Cabernet Sauvignons are in your cellar ? VINO:FILE will tell you. Trying to remember whether the 1974 Chateau Palmer was better than the 1975 ? Just look up your notes - with a single query! All the wine records are kept in your computer's memory while VINO:FILE is running for fast and flexible execution and then stored in a single disk file between sessions. Wine records can be searched using many fields including the Winery Name, Variety, Year, Geographical Origin, Peak Drinking Period, Category and Cellar Location. Section I. Introduction Page 7 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 While you work, VINO:FILE uses a Cross Reference file to keep track of the geographic origins of the wines you file in the database. This saves you from having to enter that information more than once. Sample Cross Reference files for the major wineries in America, Australia and Europe are provided with the registered version of VINO:FILE - smaller sample files are provided with the Shareware version. All VINO:FILE's functions are driven by easy to use menus and lists with full error messages and help panels. The windowing interface will be easy to use for novices and experienced PC users alike. Mastering your wine records is just a few keystrokes away! For a quick guide to VINO:FILE and a guided tour of its major features see the next section 'Getting Started' - you'll see how easy using VINO:FILE can be. When you are begin using the more advanced features, you'll find the User Reference section has all the detail that you need to get the most from VINO:FILE Cellar Master. 1.2. SYSTEM REQUIREMENTS To run VINO:FILE you will need: * an IBM (or compatible) PC with DOS * a 3.5" or 5.25" floppy disk drive * at least 256 Kb of RAM memory * monochrome, CGA, EGA or VGA display. INSTALLING VINO:FILE To install the VINO:FILE program (Shareware Version) from a floppy disk (assumes drive 'A'): * place the diskette in your floppy disk drive; * run the install procedure by typing 'A:INSTALL A C:\WINE'. To install the VINO:FILE Cellar Master program (Shareware Version) from a BBS archive: * make a directory for VINO:FILE on your hard disk drive; * place the archived VINO:FILE file in that directory; * unarchive the file using UNPAK (.ARC), UNZIP (.ZIP) or LHARC (.LZH) etc depending on the archive version used on the BBS; * delete the archive. To see a list of changes in the current version print or display the file 'WINE.CHG' which is included with VINO:FILE. Section II. STARTING VINO:FILE WITH THE SAMPLE DATABASE VINO:FILE comes with a sample wine database and cross reference file so that you can get a feel for the program as soon as you have installed it on your hard drive. The sample wine database (SAMPLE.DBA) contains a variety of wine records and shows how the wines of various countries can be entered into VINO:FILE and typical contents for the various data fields. The sample cross reference (WINE.XRF) is a starter set of cross reference entries for some of the world's most common wine producing areas. The cross reference file is used to avoid typing in the geographic locations for every different wine that you enter into the database. To start VINO:FILE and load up the samples change to the directory on your hard disk where you installed VINO:FILE and type: WINE SAMPLE If you want to start your own database you can load VINO:FILE by typing 'WINE'. If you have an unregistered version of VINO:FILE there will be a short pause for you to read the 'Shareware' screen at start-up. This pause should be no more than a few seconds. Page 10 Section II. SETTING YOUR CONFIGURATION The VINO:FILE Cellar Master uses a configuration file (WINEPARM.CFG) to keep configuration settings from session to session. One of these settings is the color set used by the program. If the default colors are difficult to read on your computer's screen you should use the command line options '/L' and '/M' to select an alternative video mode and then change your configuration settings to ensure that this setting is used every time you start VINO:FILE. If you start VINO:FILE by typing 'WINE /L' on the command line, an alternative color set is used which should be more readable on some laptops or other computer displays which map colors to shades of gray. If you start VINO:FILE by typing 'WINE /M' on the command line, a monochrome color set is used. Try both of these to determine which is best for your computer. Now bring up the 'Summary' menu by pressing Alt-S (or press F10, use the right arrow to move the cursor to 'Summary' and then press enter). Choose 'Change Configuration' - the third choice - by pressing the down arrow twice and then pressing enter. This will display the configuration panel. The 'Video Mode' is the option that controls the color set used. Set this field to be 'L' or 'M' whichever you have decided is best for you. The default color set is denoted by a 'C' in this field. Then press Ctrl-Enter (hold down the Ctrl key while pressing enter) to accept the changes. When you change the 'Video Mode' on this panel, all new screens will use the new color set - but screens already drawn will stay in the old colors. To use the new colors quit VINO:FILE by pressing Alt-Q or ESC, and then restart the program. The other settings on the Change Configuration Panel are described in detail in the USER'S REFERENCE section of this manual under the heading 'The Summary Menu'. Section II. A GUIDED TOUR OF THE MAIN MENUS & PANELS To introduce the new user to the VINO:FILE Cellar Master, this section provides a step by step guide to the major functions of the program. To follow this 'guided tour' you should load the SAMPLE database that is distributed with VINO:FILE. Getting Started VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 All the panels in VINO:FILE have the same basic structure. Across the top of the screen is the 'main menu' which is used to access the various utility functions of the program. Across the bottom of the screen is the 'status line' which is used to show the main key functions for this screen. The status line is also where error messages are displayed. You can get help from any panel by pressing 'F1'. If the main menu is available you can access it by pressing 'F10' or Alt plus the first letter of the menu option that you want. To exit from any panel without saving changes you press either 'F3' or Esc (the escape key). To exit and accept all field entries or changes press CTRL-Enter (hold down the CTRL key while pressing Enter). Section II. Getting Started Page 13 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 2.4.1. SEARCHING AND DISPLAYING WINE LISTS The Wine Search Panel is the screen displayed when you start up VINO:FILE. Check now that you have loaded the sample database - on the left side of the title box you should have '- Database -' and underneath that the name of the wine database 'SAMPLE'. On the right hand side of the screen you should see '- XRef -' and 'WINE' which is the name of the sample cross reference. On this panel you enter the arguments which determine which of the wine records in the database will be listed. By pressing Enter without entering any search criteria you can display a list of all wines in the database. This will include all wines which have ever been in the cellar. Press Enter now. To return to the Wine Search panel, press Escape (Esc). All of the search criteria on this panel are ANDed together to restrict the list of wines that will be displayed. In this way you can construct very quickly a simple, or complicated, search for a particular wine or group of wines from your database. Type the name 'PINE RIDGE' in the 'Company' search field. Press Enter to perform the search after entering the name - you should now see a list of wines form the Pine Ridge winery only. Press Esc again. Now type 'P*' in the company search field - first press Ctrl-E (hold down Ctrl while pressing the 'E' key) to clear the field. Now when you press enter you will see a list of all the wineries which begin with the letter 'P'. Press Esc again. Use Ctrl-E to remove the company name. Use TAB and the down arrow to move over to the District field. Type 'NAPA VALLEY'. Use Shift-TAB to move back to the Variety field. Type 'Cabernet*'. Now when you press enter you will see a list of all the Cabernet Sauvignon wines from the Napa Valley. Press Esc again. Finally, use the Down Arrow key to move down to the Bottles field. Change the value of '0' to '1'. Now when you press Enter, the list of wines displayed will be restricted to wines of which there are at least one bottle currently in the cellar. To display the wines of which there is exactly one bottle in the cellar enter '=' in the 'Bottles Search Type' field. You can also enter '<' in this field for wines with fewer bottles than the number that you've entered in the 'Bottles' field. To clear all of the fields on the Wine Search panel - press PgDn. When you have finished experimenting with the various searches that can be performed, clear all the fields, set 'Bottles' to 0, and then press Enter to search. The next section uses the resulting list of wines to explain the options available on the wine list. Section II. Getting Started Page 15 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 2.4.2. DISPLAYING WINE LISTS The wine list is a scrollable list of wines from the wine database. The following fields are displayed for each wine: * Company The name of the winery or shipper of the wine; * Other Info Any other distinguishing information. The vineyard name, a bin number, a 'Reserve' wine etc; * Variety The grape variety of the wine (blank if the wine is not a varietal, such as many European wines); * Year The vintage year, which may be blank (or 'NV') for non-vintage wines; * Number The number of bottles of this wine in your cellar. A '0' shows that you have drunk all of these wines. The arrow indicator on the left hand side of the list shows the current wine record - starting at the first wine in the list. You can move the indicator up and down the list using the Up and Down Arrow keys. The PgUp and PgDn keys can be used to scroll the list one page at a time. The HOME key moves the indicator to the top of the list. Pressing Enter will select the current entry. Page 16 Section II. Getting Started Page 17 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 Pressing the letter indicated performs that action on the current wine: * S Select that wine and display the list of bottles; * C Change one or more of the data fields for that wine; * A Add more bottles of this wine; * D Delete the wine record (and all of its bottles); * F Search for a particular company in the list and scroll up or down to that position. If this company is not found in the list and you then press 'ESC', the position is set to the place where that wine would be inserted. If you end your search company with the '*' wild card character, the insert position is found immediately without displaying a message or requiring further input. Try out each of these options, if you are in doubt at any time - press F1 for Help. Now we will look at the bottle list screen - position the arrow indicator to the wine 'BEAULIEU VINEYARDS, RUTHERFORD, CABERNET SAUVIGNON, 1985' and press the 'S' key to select the bottle list for that wine. This screen, however, shows all the bottle records for one particular wine. The main information about the wine is shown in the top area of the screen - the wine you are looking at now should be 'BEAULIEU VINEYARDS, RUTHERFORD, CABERNET SAUVIGNON, 1985'. In the scrollable bottle record part of the screen the following fields are displayed for each record: * Number (#) The number of bottles that this record represents; * Size The size (in ml) of each bottle; * Bought The date when these bottles were purchased; * Cost The purchase price of each bottle; * Origin Where the bottles were bought; * Location The Cellar Location where these bottles can be found; * Drunk The date when these bottles were drunk (if applicable); * Points The point rating for wines which have been drunk. The KEY FIELDS for a bottle record are DATE DRUNK, PURCHASE DATE, SIZE and LOCATION - and each record must have a unique key - therefore any bottles with the same values for these four fields will be combined into a single record. VINO:FILE will look after splitting and combining records automatically throughout the life of the bottles of wine. The arrow indicator on the left hand side of the list shows the current bottle record - starting at the first bottle in the list. You can move the indicator up and down the list using the Up and Down Arrow keys. The PgUp and PgDn keys can be used to scroll the list one page at a time. The HOME key moves the indicator to the top of the list. Pressing Enter will select the current entry. Page 20 Section II. Pressing the letter indicated performs that action on the current record: * S or C Change data fields for one or more of these bottles; * D Drink one or more of these bottles of wine; * L Delete the bottle record; Pressing the 'F2' key lets you browse the full wine comments field. Try out each of these options. Some further notes are provided on the following pages. If you are in doubt at any time - Press F1 for Help. 2.4.4. CHANGING A BOTTLE RECORD The tricks in changing the fields of a bottle record are: * If the bottles in this record have been drunk then the Drunk Date, Occasion, Tasting Notes and Points fields are displayed - and can be changed. If the bottles are still in the cellar then these are not displayed. * Each record can represent more than one bottle of wine. So the first question you must answer is do you want to 'Change All Bottles ?'. The default is 'Y' - change the fields for all bottles that this record represents. With 'Change All Bottles' set to 'Y', changing the 'Number' field will change the number of bottles represented by the record. Section II. Getting Started Page 21 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 * If you set 'Change All Bottles' to 'N' then you are splitting this record into two records. Set the 'Number To Change' field to the number of bottles that will take the changed values, and the remaining bottles will keep the old values. When you do this the new bottles must have a new unique key - therefore you MUST change either the Drunk Date, Date Purchased, Size or Location fields. You would use this type of change to move some of the bottles to a new location, for example. * The VALUE field is initially set to the same as the COST field when you add bottles to the database. If you feel that your wines are appreciating (or depreciating ?) you can change their values on this panel. * Any field which is right justified (number, cost, value and points) will allow you to type past the end of the field. That is, if you move the cursor to the cost field in the screen shown below, the cursor will be placed over the '6' in '6.75'. You can now type '10.99' and the numbers will be automatically pushed to the left of the field to make it fit. Page 22 Section II. DRINKING A BOTTLE OF WINE Drinking a bottle of wine is fairly straight-forward - and so is updating the VINO:FILE record! * From the Bottle List screen, place the indicator next to a bottle record which does not have a drink date already, and press the 'D' key. * Check that the existing fields are correct - that you are drinking the correct bottle - and, if not, press Esc or F3 to cancel; * Enter the number of bottles that were drunk at this sitting - if you drank two or three of these bottles, and the tasting notes are substantially the same, then you need only enter them once. The Main Menu is the line across the top of the screen that looks something like: Files Add Summary Printer XRef Quit The Main Menu can be accessed from the 'Wine Search', 'Wine List' and 'Bottle List' screens. You access it by pressing the F10 key and then using the right and left arrow keys to move to the appropriate option on the menu. As a shortcut you can press the Alt key and the first letter of the option that you want. To add wines you can press Alt-A. Do that now. There is only one choice on the Add Menu - 'Add Wines' - so press Enter to select it. The first four fields you enter to add a wine to the database are the four KEY FIELDS for a wine record. These four fields uniquely identify every wine and you may need to take care entering the 'Other Info' field to ensure that the wines remain unique. This field will normally contain a bin number or 'reserve' notation (for New World wine), a vineyard name or appellation (for European wines). Page 26 Section II. When you press Enter after typing the year you will notice that the District, State and Country fields are filled in automatically for you - this is the VINO:FILE Cross Reference file at work. We know that you've got better things to do than type in 'NAPA VALLEY, CALIFORNIA, USA' every time you enter a wine from that district into the database. So, we've included a sample cross reference that knows the location of many of California's best known wineries and several others from around the world. If VINO:FILE's Cross Reference does not know which district the winery is located in, chances are it does know that District once you type it in - so it will then enter the State and the Country for you. What's more, whenever you enter a winery, a district, a state or even a country that is not already in the Cross Reference file - VINO:FILE will add it to your Cross Reference for future use. The registered version of VINO:FILE has sample Cross Reference files that include almost all the wines in California and Australia and many of the better known wines of France, Italy and the rest of Europe. Once the geographical information has been completed, there are five further fields to be added. These fields are completely optional, and the following might be entered for the Mondavi Reserve that we used as our example above: CATEGORY ==> DR (For example: DR,DW,SW,MC,FO etc) YEAR READY ==> 1990 DRINK BY ==> 1999 FLAG ==> COMMENTS ==> Exciting. As a shortcut you can press Alt and the first letter of the main menu option (Alt-F, Alt-A, Alt-S etc) instead of F10 - the pick list will be displayed immediately and you can still move to a different pick list using the left and right arrows. You will find complete instructions for all of the options and sub- options in the User Reference section of this manual. At the moment you have the database 'SAMPLE.DBA' loaded. So that you can make changes without permanently altering the sample database you should now save the database under a new name. Return to the 'Wine Search' panel if you are not there already and bring up the Files Menu by pressing Alt-F, or F10 and then Enter. The options on the Files Menu are: * Open New Database * Save Database * Save Database As ... * Clear Database * Change Directory * Shell to DOS Move to the third choice 'Save Database As ...' using the down arrow and then press enter. You are then shown the current name of the database (SAMPLE) and asked to enter a new name. Type in any name - up to 8 characters in the normal DOS filename way. The extension .DBA will be added by VINO:FILE and the database will be saved to disk. VINO:FILE will check to see that your database name is a valid filename. To save the database without changing the name you can select the second option on the Files Menu - 'Save Database'. No further input is needed - try it now, if you like. Finally, you can reload the sample database. Choose the first item on the Files Menu - 'Open New Database'. Leave the Load OPTION as 'NEW' and type 'SAMPLE' for the new name. Alternately you can leave the new name blank and a directory list will be provided for you. There are two ways you can load a database. Mostly you will load it as 'NEW' - the database currently in memory will be cleared and the new one loaded in its place. Sometimes you might want to 'MERGE' two databases together, where the wines and bottles from the new database are added to the one already in memory - with duplicates being discarded. Briefly: * Clear Database Erase the database in memory to start a fresh database. * Change Directory Read and write databases to a different directory on your hard disk. * Shell to DOS Temporarily exit from VINO:FILE so that you can run another program from the DOS prompt. The 'Current List Summary' shows similar information but is restricted to the CURRENTLY SELECTED LIST of wines only - as determined by the Wine Search criteria that you last entered. 'About VINO:FILE' displays information about the program, the version number, copyright information, where to get support and whether your copy of VINO:FILE is registered or not. If it is NOT registered you can print out a registration form by pressing 'Y'. The 'Change Configuration' panel is described on the following page. Page 40 Section II. If you don't have either of these (or a compatible) enter 'NONE' and plain text will be printed without any formatting. * Printer Port The printer port where you want the reports sent for printing. This can be 'LPT1', 'LPT2' etc or 'FILE' to send the output to a file. Serial ports (COM1 etc) are NOT supported. Page 42 Section II. Getting Started VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 * Initial Database The name of the database that is to be loaded when VINO:FILE starts. * Initial XRef The name of the Cross Reference file that is to be loaded when VINO:FILE starts. * Video Mode Determines the color set that will be used. If you have a color monitor you should leave this set to 'C'. If your monitor does not display color then you can set the video mode to 'L' - an alternative color set that displays better on some laptop gray-scale screens - or 'M' for monochrome. * Bottle Search Default The initial value for the 'Bottles' field on the 'Wine Search' panel. You would set this to either '0' or '1' depending on whether you normally want to list all wines in the database or only those that are in your cellar. * Temporary Files Directory a directory on your hard disk where VINO:FILE can put temporary files while it is working. It can be the same as the directory where you have installed VINO:FILE or any other directory. * Initial Data Directory a directory on your hard disk - or floppy diskette - where VINO:FILE can find and store your databases and Cross Reference files. Getting Started VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 2.4.11. PRINTING REPORTS If you have a printer you can produce printed reports by selecting the 'Print Menu'. The first thing to do is ensure that your printer is set up correctly. Choose the third option - 'Printer Setup'. Two printer types can be used for formatting the reports: EPSON printers and the Hewlett Packard LaserJet (HPLJ) series. Many other printers can emulate either of these printers - so even if you don't have those particular brands you may still be able to get formatted printouts. If not, then you should choose 'NONE' for formatting - you can still print reports but will not get any boldface or different point sizes. The other information that VINO:FILE needs is which port your printer is attached to. VINO:FILE can print to any parallel port (LPT1, LPT2 etc) or to a disk file but it will not print to a serial (COM) port. If your printer is attached serially you can still print but will have to use the DOS MODE command to re-direct the output from parallel to serial - see the User Reference section for details. Printing to a FILE will be useful if you do not have your printer attached but want to print the output at a later time or on another PC. If you select 'FILE', VINO:FILE will prompt you for a file name for each report that you print. Section II. THE CROSS REFERENCE FILE As I explained briefly in the section on adding new wines, VINO:FILE uses a Cross Reference file to record the geographic location of all the wineries / vineyards or shippers that you have ever entered into your database. That way, if you enter that winery name again you will not have to re-enter the District, State or Country. You can display and modify the Cross Reference file using the 'XRef Menu' options. They are: * Display XRef List all Cross Reference records. This produces a scrollable list where you can choose to change, delete or add entries; * Open New XRef You can maintain multiple Cross Reference files and load different ones from this panel; * Save XRef Save the Cross Reference file to disk; * Print XRef Print Cross Reference Reports. Choose 'Display XRef' and you will see XRef List sorted by the 'Company' field. Section II. Many wineries have several vineyards in different locations. You can enter a different Cross Reference entry for each vineyard. If a winery produces all of its wine in the same district then you should set this field to '*' which will match any value. * District the district where the grapes originated. The District can be left blank for wines which obtain their fruit from multiple vineyard areas. * State the state where that district is located. The State can be left blank for wines which obtain their fruit from multiple states. * Country the country of origin. Cannot be left blank. Section II. QUITTING VINO:FILE When you have finished this guided tour of VINO:FILE's main functions you can return to DOS in the same way you will end all of your VINO:FILE sessions. From the 'Wine Search' panel press Esc, F3 or Alt-Q, and then enter to confirm. From the 'Wine List' or 'Bottle List' screens press Alt-Q, and then enter to confirm. In either case, if you have made changes to the wine database or the cross reference file then you will be asked whether you want to save them before quitting - if you are just playing around then you will want to enter 'NO' to these questions - but normally you should save your changes when you exit. If you want to resume your VINO:FILE session without quitting or saving the files, you can press 'F3' or 'ESC'. If you are using an unregistered version of VINO:FILE it will pause and ask you whether you would like to print a registration form. If you press 'Y' a form will be printed for you to fill out, any other key will return you to DOS. We hope that you have found the VINO:FILE Cellar Master easy to use and that it provides all of the functions that you need to manage your own cellar or tasting notes. COMMAND LINE PARAMETERS When starting VINO:FILE from the command line you enter the following: WINE [drive:] [directory\] [filename] [.DBA] { /C /L /M } What all this means is that after the name of the program (WINE) you may OPTIONALLY enter the name of the wine database that should be loaded. Also you can OPTIONALLY choose one of the parameters /C, /L or /M to choose the color set. The following are all valid VINO:FILE command line alternatives: WINE SAMPLE WINE SAMPLE /L WINE SAMPLE.DBA WINE DATA\MYDBA WINE C:VINOFILE\DATA\FRENCH.DBA If you do not enter a database name then the database that you have entered on the 'Configuration' panel will be loaded. If you have not yet set up or changed your configuration then a database called WINE will be loaded if it exists. You do not need to enter the extension which should always be '.DBA' for wine database files. If the database you have specified (on the command line or the configuration file) cannot be found you'll be asked whether you want to create a new database with that name or abandon the load. If you press 'ESC' you'll be returned to DOS. You will not need to specify a color set unless the default colors (/C) are unreadable on your computer. Try /L first and if that is still not readable then enter /M. Then go straight to the 'Change Configuration panel on the 'Summary Menu' and change the default color set accordingly - see 'Setting Your Configuration' on page 11 for details. Page 56 Section III. GENERAL PANEL AND DATA ENTRY The panels in VINO:FILE Cellar Master are designed so that, as far as possible, the same keys are used for the same function throughout the program. There are several types of panel used in VINO:FILE. This section gives general instructions and key functions for the VINO:FILE program. Instructions for specific panels are given in section Error! Bookmark not defined. Error! Bookmark not defined. The following are common to all of the panels in VINO:FILE: * F1 will display a context-sensitive Help Panel. All non-trivial panels in VINO:FILE have help panels available; * F3 or ESC cancels any input on the current panel and returns to the previous panel; * CTRL_ENTER accepts all input on the current panel and displays the next panel. The panels in VINO:FILE do not always fill up the whole screen. Some panels are pop-up windows that overlay another panel on the screen. The key functions described here are the same for whole- screen panels and pop-up panels. Section III. User Reference Page 57 VINO:FILE CELLAR MASTER - VERSION 2.1 - 30 APRIL 1990 3.2.1. MENU PANELS The 'Main Menu' is displayed on the top line of the screen at all times - even though it can only be accessed from some of the panels. From the 'Wine Search', 'Wine List' and 'Bottle List' panels you can access the 'Main Menu' by pressing F10. As a short cut you can press the ALT key and the first letter of any Main Menu option. On other panels, these keys will do nothing. When the main menu is selected with F10, one of the main menu options will be highlighted in reverse video. You can choose one of the options by using the right and left arrow keys and pressing ENTER while that option is highlighted. This will display the sub-menu for that option. The ALT key short cut will automatically display that sub-menu. To choose an option on the sub-menu you use the up and down arrow keys to highlight one of the options and then press ENTER to select it. The illustration on page 35 shows the 'Files' sub- menu. The options available on each of the menus and sub-menus are documented in detail later in this section. Page 58 Section III. If there is more than one screenful of help information then the user will press the PgDn and PgUp keys to scroll through the screens. The Help Panel for the 'Wine Search' panel is shown below. For all data entry panels the last help screen will contain information on the field entry editing commands. When you have finished reading the help information, pressing F3 or ESC will return you to the VINO:FILE program where you left off. DATA ENTRY PANELS A 'data entry' panel has one or more data entry fields where the user can enter values. Each field is indicated by '==>' on the screen. The name of the field is on the left of the '==>' and the value of the field is entered by the user to the right of it. A blinking cursor is placed in the current field. The user types a value into the current field. The editing commands that are available in a data field are described in the following section. To move from field to field the following keys are used: * ENTER accepts any data typed by the user and moves the cursor to the next field; on the last field of the panel, accepts all data entered on the panel and displays the next panel; * TAB moves the cursor to the next field; * SHIFT_TAB moves the cursor to the previous field; * DOWN_ARROW on a data entry panel with two distinct columns of data fields (for example, the Wine Search panel), the down arrow key moves the cursor to the field directly below the current field; on other data entry panels, the down arrow key moves the cursor to the next field; * UP_ARROW on a data entry panel with two distinct columns of data fields (for example, the Wine Search panel), the up arrow key moves the cursor to the field directly above the current field; on other data entry panels, the up arrow key moves the cursor to the previous field; * CTRL_HOME moves to the first field on the panel; * CTRL_END moves to the last field on the panel; Page 60 Section III. In addition, however, there are many editing commands that can be used to make data entry easier for the user. Note that these editing commands are for normal or short data entry fields. The editing commands for memo fields - fields which accept multiple lines of input in a pop-up memo window - are given in the following section. Many of these editing commands are shown as 'CTRL_x' and are entered by holding down the CTRL key while pressing the keyboard key 'x' where 'x' varies from command to command. Note that many fields force all alphabetic characters to upper case. * Integer only numbers '0' through '9' are allowed. * Real (Decimal) numbers '0' through '9' plus the decimal point '.' are allowed. * Dates numbers and the '/' are allowed. When enter is pressed the date is checked for validity - months must be between 1 and 12 inclusive and the day appropriate for that month. Note that dates are edited in either mm/dd/yy, dd/mm/yy or yy/mm/dd format - depending on the Date Format option in the configuration file. MEMO FIELDS A VINO:FILE memo field contains unlimited, multiple lines of text. Examples of memo fields are the Wine Comments, Bottle Occasion and Bottle Taste fields. Initially, only the first few characters of the first line are displayed on the data entry panel. If there is more data than that displayed, three dots (. . .) are displayed at the end of that line. When the cursor is moved to the memo field, the user can pop up the memo editing window by pressing the right arrow key or by starting to type data. Once the memo window has popped up, the user can enter text by typing using the normal keyboard keys. In addition, however, there are many editing commands that can be used to make data entry easier for the user. Note that these editing commands are for memo fields. The editing commands for normal fields were given in the previous section. Many of these editing commands are shown as 'CTRL_x' and are entered by holding down the CTRL key while pressing the keyboard key 'x' where 'x' varies from command to command. If that company / district is not present in the list an error message will be displayed and you can re-enter the name. Pressing ESC or F3 will return you to the XRef List with the cursor positioned at the point where that company / district would be inserted. If you enter a partial name (with a wild card '*' character) then the XRef List will be displayed immediately with the cursor positioned to the insert position for that name - whether it is in the list or not. Selecting a different directory like this does not reset the current directory. Files will always be saved to the Current Data Directory. The current directory should contain both the wine database AND the Cross Reference file at all times. Be very careful changing directories. VINO:FILE will be temporarily suspended and the DOS prompt is displayed. When you have finished entering DOS commands and want to return to VINO:FILE you must type 'EXIT' at the DOS prompt. It is wise to save your database and XRef files before shelling to DOS. VINO:FILE uses an advanced technique to swap itself out of memory when shelling to DOS - so you have almost all of the DOS memory at your disposal when shelled. When you 'EXIT' back to VINO:FILE the program will be swapped back in. If you have EMS (Expanded) memory available in your computer then VINO:FILE will swap itself into the EMS memory. If you do not have EMS then VINO:FILE will swap to your hard disk - you will need to have approximately 600Kb of free space on your disk. If VINO:FILE cannot find either EMS or enough free space on disk then it will not allow you to shell to DOS. 3.4.2. THE ADD MENU There is only one option on the Add Menu - Add Wines. The database contains three classes of records - wine records, bottle records and text records. Fields in the record which are used internally by VINO:FILE are not listed below (and are not stored on disk between sessions) are not shown below. Note that all alphanumeric characters are stored as UPPER CASE except in text records. This is to make searching on field contents easier. Each wine in the database is kept in a WINE RECORD and identified by a unique key consisting of the following fields (in sort order): * Company Alphanumeric, 20 characters; * Other Info Alphanumeric, 20 characters; * Variety Alphanumeric, 20 characters; * Year Alphanumeric, 4 characters. Fields in the wine record which are not part of the key but are directly entered & changed by the user are: * District Alphanumeric, 20 characters; * State Alphanumeric, 20 characters; * Country Alphanumeric, 20 characters; * Category Alphanumeric, 2 characters; * Year Ready Alphanumeric, 4 characters; * Drink By Alphanumeric, 4 characters; * Flag Alphanumeric, 1 characters; * Comments A list of text records.
