MyPhonebook User Instructions
IBM/Tandy version 1.7.1
We suggest you use the software before reading these instructions past
section I. 'HOW TO GET STARTED', we feel the best way to learn the
program is to use it. Our goal is to develop software that is so easy to
use that you can be up and running in less than 5 minutes.

I HOW TO GET STARTED...............................................
Hard Disk Users...
1. Create a subdirectory on your hard disk, you might call it PHONE.
a. from the C:\ prompt type MD PHONE and press Enter.
b. type CD PHONE and press Enter. You are now in the PHONE
subdirectory.
2. Copy all the files from the master disk to the PHONE
subdirectory.
a. put the MyPhonebook master disk in drive A.
b. from the A> prompt type COPY *.* C: and press Enter.
3. Run by typing, from the C:\PHONE> prompt, BOOK and press Enter.
Floppy Disk Users...
1. Make a working copy of the master disk.
2 drives:
a. put the master disk in drive A.
b. put a blank disk in drive B.
c. from the A> prompt type DISKCOPY A: B: and press Enter.
1 drive:
a. put the master disk in drive A.
b. from the A> prompt type DISKCOPY A: A: and press Enter.
2. Run by putting the working copy in drive A and from the A> prompt
type BOOK and press Enter.
II HOW TO USE.......................................................
Choosing Between Business and Personal versions
Choose from the following versions by returning to DOS and typing
SETUP and pressing <Enter>. You will be presented with a brief menu
from where you can make a choice between the business and personal
version. The program comes out of the box set to 'personal'.
1 Business Version Includes "Interlacing" ...
When you sort your data base the program will check to see if you
have entered data on both the "Last Name, First" line and the "Company"
line. If so, the program will create an additional record; this one
will be indexed by the "Company" data. This feature is great for
creating a cross referenced data base since your records will be
indexed by Company as well as Name.
Example: You've entered a record with 'Smith, John' as the Name and
'IBM' as the company. When you alphabetize your data you will see that
an additional record was created; this one with 'IBM' appearing on the
top line and 'Smith, John' appearing on the second line. You can now
search for this record by looking for Smith or IBM.
Note : since interlacing creates an additional record the use of this
feature will limit the number of records you may enter to 200.
2 Personal Version Option ...
The program comes set up for the personal version. This affords you
5 lines for text entry. Only the prompt for "Last Name, First" appears.
Moving Around the Screen
The cursor freely moves about the 400 Index and Entry positions by
using the cursor keys, they are:

Entering Data
Data can be entered in any order on the "Entries" portion of the
screen. Each record consists of 6 lines. To enter a name simply
position the blinking cursor on the letter 'L' of "LAST NAME, FIRST"
and begin typing. As soon as you do the prompt will disappear.

Any new data you type will replace the old, just as it appears on the
screen! Now press <F1> and watch your data alphabetize!
Use the Index to Find an Entry
The left hand portion of your screen contains the Index. It
displays the index to each of your records. Each index being the
information you typed on the 'Last Name, First' line. Use the Index
to find and display your records.
Move to the Index by either pressing the <Esc> key or the Left Arrow
cursor key until the cursor leaves the Entries window. As soon as it
does, a "3-line Index Cursor" will appear along the Index window. Move
the Index Cursor with the cursor keys. Press <Home> to go to the top
of the index, <End> to go to the bottom.
A 'Hot Key' feature allows you to quickly find any Entry. To find
an index, press the key of the first letter of the index. For instance,
to find the Wilson index, press <W>. The Index Cursor will appear
opposite the Wilson index. Now press <Enter> and the Wilson entry
will appear in the "Entries" portion of the screen. To go back to
Entries just press <Esc> or the right arrow cursor key.
Function Keys
You can perform any function at any time by just pressing the
associated function key.

All booklets are printed on consecutive 8.5 by 11" sheets of paper.
Around each page pair is printed a border. Assembly instructions follow
the booklet cover page.
The 5.5 by 8.5" Loose Leaf page fits standard personal organizer
binders. This format requires that you have special paper. We do
offer the exact size paper you need on our supplies order form.
The roster prints on regular 8.5 by 11" printer paper. Each page
is paginated and date stamped. Just tear along each perforation and
stack.
F4 ---------------------| Saves your data on disk before quitting
| Quit & Save | and returning to DOS. If you do not

session then press <Ctrl-Q> to exit without saving.
III HELPFUL HINTS...................................................
1 MyPhonebook is not copy protected, you are authorized to make copies
for archival purposes only! You can install MyMailList on your
hard disk by copying ALL the files from the diskette to your hard
disk. To do so, issue the copy *.* C: command from the drive
containing the diskette. If you use a floppy based system we
suggest you make and use a working copy of the program. Use the
DOS DISKCOPY program or copy all the original files to your
copy via a COPY *.* command.
2 Assemble your phonebook by stacking each page, face up, as it comes
off your printer. Cut along the dashed lines, place the cover
upside down on the bottom of the stack, staple on the '+++' marks, and
fold the stack so that the two middle pages touch each other.
3 Every other page of your phonebook will be blank. Use them to pencil
in new entries.
4 Print enough phonebooks so you have one for home, office and car.
Each phonebook is date stamped on the cover so you know when it's
time to print updates. You can change this date by typing DATE and
pressing <Enter> at the DOS prompt.
5 Enter your name, address and phone number in the very first record.
This is printed on all the booklet covers so should you loose it, it
can be returned. This record will always be record #1, it will not
be alphabetized.
6 MyPhonebook will print on any printer. The program comes set up to
print to parallel port #1. You can change this setting by pressing
<Ctrl-P> with the cursor in the Entries portion of the screen. You
will be presented with a brief menu showing the printer port options.
All printouts are formatted assuming your printer is set to 10
characters per inch and 6 lines per inch. If your printouts do not
match the sizes indicated in the print format menu it is most likely
because your printer is set to settings other than those just
mentioned. Most printers can be controlled directly from the control
panel or from internal switch settings.
IV IN CASE OF DIFFICULTY...........................................
1 A common mistake is made when you type a phone number or address
on the company line when using the business version of MyPhonebook.
This causes a phone number sorted entry to appear. To avoid this
problem leave the company line blank if there is no company.
2 The program and its data base must be on the same diskette. If
you are using subdirectories then they must be in the same
subdirectory. If they are not then you will get an error message
warning you that the data file : RECORDS.DAT is missing.
3 Not alphabetizing ... If your data is not being alphabetized when
you press <F2> make sure that you have typed OVER the prompts.
4 Printer is skipping every other line ... MyPhonebook sends a line of
text to your printer followed by a linefeed and a carriage return.
Your printer will skip every other line if it too is sending a
line feed with every line of text. Correct this by turning your
printer linefeed off. To do so consult your printer manual under
DIP switch settings. You need to turn the auto linefeed switch off.
V HOW TO GET HELP..................................................
If you have a question relating to MyPhonebook you can reach tech
support by calling 415/325-9372 9AM to 5PM PST. If your question relates
to printing please make sure your printer is working. Test your printer
by pressing <Shift><PrtSc>. You can help us greatly if you have the
program up and running when you call. Please have your serial number
handy, it's located on the original floppy disk label.

* DOS 2.0 or higher, 3.0 for the 3.5" disk.
