COMTRAC is a shareware filing system that keeps track
of companies. Phone calls, appointment dates and
correspondence are kept. COMTRAC is full menu driven
and has extensive on-line help. A phone call timer
is available for those that need to keep track of
time spent on phone calls.
COMTRAC comes with predefined demo companies. To set
up your personal system, simply delete the demo
companies by entering "d" at the COMPANY MENU HEADER
PAGE. Enter you own companies by entering "a" at the
same menu/page.
COMTRAC locates companies quickly. By company name,
SIC code or products sold. COMTRAC allows you to
enter the first few characters that make that company
unique.
COMTRAC allows you to interface with ASCII text files
and has a mail/merge feature. You can customize forms
using an ASCII text editor such as Wordstar or
Sidekick. You can create rolodex cards, mailing
labels, personalized form letters, custom reports in
formats of your choosing!
Each company can be in up to 12 different user
defined categories.
A contact system provides the user with easy ways of
keeping track of future events, appointments,
meetings, etc.
A contextual help system is available throughout
COMTRAC to aid you in using the system. Press the F1
key (FUNCTION 1 KEY) and COMTRAC will place a help
window upon the screen similar to the one you are
viewing now. It will give you brief and informative
messages about the screen currently being viewed.
COMTRAC has an AUTODIAL feature that will work with
Hayes compatible modems. While in the company menu
press F3 to dial the phone number 1 and press F4 to
dial phone number 2. COMTRAC will start up the dial
sequence and you can simply pick up the phone when
someone answers the line.
COMTRAC will also record your incoming calls. Simply
press F9 from the COMTRAC menu and the call will be
recorded in the PHONE LOG PAGE.
COMTRAC also keeps track of correspondence. Both
received and sent correspondence can be tracked.
You can use your printer manual to set up different
fonts: underline, boldface, italics, compressed
print for your particular printer.
The ESC key can be used to exit menus and stop
reports at any time. This indicates to COMTRAC that
you are finished looking at the display on the
screen. This key is used GLOBALLY through the system
as an escape hatch. It is ALWAYS available. Although
not mentioned anywhere else, you can also use the TAB
key instead of ESC.
The LEFT ARROW Key will move left one field while you
are updating a record.
The RIGHT ARROW Key will move right one field while
you are updating a record.
The UP ARROW Key is used to move up one field if you
are in an update mode or the menu options are
showing. If you are in the COMPANY MENU it will move
to the prior record.
The DOWN ARROW Key is used to move down one field if
you are in an update mode or the menu options are
showing. If you are in the COMPANY MENU it will move
to the next record.
The F2 Key (FUNCTION 2) is used to make a copy of the
screen. Each time F2 is pressed, the current screen
is appended to the file "screen.sav" in the current
directory. This has the advantage over pressing
SHIFT PRTSCRN, in that screens are paginated
correctly.
The F9 Key (FUNCTION 9) will record an incoming call
while in the COMTRAC MENU for the displayed company.
The F10 Key (FUNCTION 10) is an information screen
which displays where you can contact the author (me)
about registering for the professional version.

field meaning that the companies are sorted in
alphabetic order by company name when the "company"
index is chosen.

the index is set to "SIC CODE", the companies will be

Enter the product(s) the company sells. This field
is an index field. If the index is set to "PRODUCT",
the companies will be sorted and accessed by PRODUCT
name.
Press the UP and DOWN arrow to view the previous and
next companies.

company. Enter the full name including the
salutation as this field may be used in the custom
forms.

Enter a name appropriate for a personal letter. The
"dear" field allows a personal touch when using the
custom form letters.

MEMO field cannot handle with 10 characters.

Enter "n" for company name, "s" for SIC code, "p" for
product.
The index will be changed so that you will be able to
recall the companies by name, SIC code and product
name.
You are able to abbreviate the name when searching
for a company ---
To search for "Joe's Bakery", set the index to "n"
company name and enter "joe" at the prompt. The
company name is the default index.
To search for the first company selling "automotive
supplies", change the index to "product" and enter
"aut".
To search for companies by SIC code, change the index
to "Sic code" and enter the first few digits of the
SIC code.

The form file could not be located in the current
directory. COMTRAC is looking for the following file
names in the current directory:

These must be ASCII files and must be in the current
directory. COMTRAC verifies that each file is ASCII
before proceeding.

The current month is at the lower left corner of the
screen. On MONO display screens, those dates that
have phone calls or letters will be in INTENSE
white. On COLOR display screens, the same dates are
in RED. Contact dates will be blinking.

15 different contact appointment dates are kept track
of from this page.
In typing the contact, move to cursor to an empty
slot or simply type over an old reminder date. You
must fill in the memo field in order to save the
reminder.
Don't worry about the order you insert the reminders
since COMTRAC automatically sorts the reminders with
the earliest dates at the top when you save the
changes.

This page is a log of the last 15 phone calls made to
this company. Press ENTER to change the memo and
status of call.
The fifteenth call will drop off the list.
If you don't have a modem connected to a handset you
can still use phone call logging. Set the MODEM
PARAMETER in the SYSTEM PARAMETER PAGE to "n".
Press F3 or F4 and the call will be placed "manually"
- by you. The call and its result (Busy, Noanswer or
Ok) is saved along with the current date and time. If
you wish to receive incoming calls, pressing F9 will
log an incoming call in the same manner as outgoing
calls.
You cannot make or take a call while updating the
PHONE MEMO or STATUS fields - COMTRAC will simply
beep at you if you try.

Enter the zip code. If you are entering the same zip
code repeatedly for new entries, enter the zip code
in the DEFAULT ZIP field under the SYSTEM PARAMETER
MENU.

Enter the company's phone number. There is extra room
to add a comment next to the phone number.

Make sure the comment doesn't contain an 'X'.
COMTRAC normally ignores all non-numeric chars when
autodialing for you. Thus this number would be
correctly dialed when F4 is pressed.
Note also that you can signify an extension by making
an 'X' in the number. COMTRAC will ignore all digits
appearing after the 'X'. For example:
PHONE 1 : 2554433x444
COMTRAC will dial "2554433" ignoring "444".
A comma "," will cause the modem to pause for a
moment. This is used when there is a need to dial 9
to get an outside line.

company. The selected codes will be highlighted and
marked with an asterisk '*'.
A company may belong to up to twelve different codes
or categories.

received from this company. Press ENTER twice to
update the top entry. Press ENTER then enter 'a' to
add a new entry, moving all prior entries down.

After entering F3 or F4 if the phone is busy: enter
"b". If nobody answers enter "n", otherwise press
the space bar.
Press the DOWN arrow or UP arrow to view the next and
previous company. You will notice that the companies
are sorted in alphabetical order according to what
index is set. Try changing the index to SIC then
press the DOWN arrow key to see what happens.
To change the index, enter "i" then enter "n" for
company name, "p" for product, and "s" for SIC code.
To search for a particular company enter the first
few letters of the company name.
Example:
To find the company "John's Hotub Service"
Entering "jo" will search the database for the first
occurrence of a company starting with "jo". If there
is a "Joe's Diner" in the database, it will find
"Joe's Diner" instead of "John's Hotub", as "Joe"
appears alphabetically before "John". Press the DOWN
arrow key to the next record: "John's Hotub"
Note: While searching for companies, COMTRAC does
NOT make a distinction between upper and lower case
names. I.e., there is NO difference between "Joe"
and "joe" and "JOE".

COMTRAC Menu - Add, delete, update and search for
companies from this menu. Use the UP and DOWN arrow
keys to change the selection bar or enter an option
number.
Also, you can change the index from this menu. The
default index is the company name.

COMTRAC Reports - Print listings of companies from
this menu. There are a total of 12 different
reports, 6 of which can be customized as form
letters, envelopes, rolodex cards or mailing labels.
For custom printouts see the files:

They must all be ASCII files and live in the current
directory.

Edit Codes - Edit all codes from this menu. Choose
from 12 different codes. These are custom codes
which can have any designation.
Use your imagination in using the code fields.

Change COMTRAC's idea of the CURRENT date. The
CURRENT date is displayed in the upper right corner
of the screen and is set by the DOS date initially.

Code A is the Paper Suppliers, Code B is the Ad
agencies and you wish to select all members of both

instead. COMTRAC version 1.0 doesn't work well with

Enter "n" if you don't have a modem attached to your
serial port. Enter 1, 2, 3 or 4 if your modem is
attached to COM1, 2, 3 or 4 respectively.
COMTRAC currently works with Hayes compatible modems
only.

Enter "m" if you have a monochrome screen and the
shades that COMTRAC is using are not acceptable.

beep at you if you make an input error.

This field allows you to specify how often you desire
to "sync" the file system. COMTRAC's internal file
structure needs to be physically updated
occasionally. The smaller this number is, the more
often the file system will be SYNCED. Of course,
small values for the sync will slow COMTRAC down when
adding many en- tries to the system. This may be
intolerable on a floppy based system.
When entering many companies into the database, you
may wish to set it to 10. COMTRAC automatically
sync's its files when you exit. Be sure to exit
COMTRAC by pressing the ESC key and answering "y" to
the exit prompts.
DO NOT exit COMTRAC by turning off the computer or
pressing CTRL-ALT-DELETE. This may destroy the index
files in which case you would have to reload all your
data from scratch.
It is advisable to make backups of the system after
making significant changes.

If you experience a snow effect on the screen. Enter
"y" to this question. COMTRAC will try to draw the
screen to limit the snow effect.
This may occur on some CGA monitors.

The "printer end-of-line" is used to control the
printer output at the end of the printed line. There
are 4 options to set depending upon your printer.
You may have to do a little bit of experimentation
with this to get it right. Once it is set correctly,
it will not have to be changed (as long as the switch
settings on the printer do not change).
Option 1 newline character
2 carriage return character
3 newline then carriage-return character
4 carriage-return then newline character
1) Output is double spaced - try setting option to
"cr".
2) Output is overprinting or printing on one line -
try setting the option first to "nl" and if that
doesn't work, try out the options "nl/cr" or "cr/nl".
3) Output is jagged like: This is
an example of
a jagged line.
Try changing option to "nl/cr" or "cr/nl".

Use a zero or blank space to clear out a field. The
fields to the right of the cleared out field will
also be cleared out. Since COMTRAC uses zero as a
place marker to clear out a field, you cannot enter a
zero into a print code field.
For example: sending 'ESC F' to the IBM Proprinter
will turn EMPHASIZED PRINT ON. This would correspond
to entering decimal 27 then 70 into the printer setup
string.

If you wish to send an initialization string to the
printer every time a report is printed answer "y" to
the question.
If you answer "n", COMTRAC will not send a printer
string.

Enter "1" - for LPT1:, "2" for LPT2: or "3" for LPT3
as a printer port.
COMTRAC doesn't currently support a serial printer
port, however, you can direct the output of the
report using the "capturefile" option and print the
report from DOS upon exiting COMTRAC.

Enter the number of columns that you want the printer
to start printing. I.e. if you enter 5, COMTRAC will
advance 5 spaces on each printed line.

Press "y" and COMTRAC will pause between each form
allowing you to change sheets of paper without having
to press the off-line key on your printer.
This is handy when printing individual sheets,
envelopes, or rolodex cards.

The "From name" and "Thru" fields will specify the
range of selection.
Example:
If you want to select a single record, "Cononotel",
enter "n" for key selection at the "Name selected"
prompt. Then at the "From name" and "Thru" prompts
enter "cono" and "cono". COMTRAC is NOT case
sensitive, so "CONO" will do as well.
To select all companies in the zip code 87100 thru
88000, enter "z" at the "Name Selected" prompt and
"87100" at "From Name" and "88000" at the thru name
prompts.

Enter the starting name of the field you want to
select. For example, if we want to print out a list
of companies with SIC codes names from "10" to "11"
enter "10" in the From name field, and enter "11" in
the Thru name field.
If the zip code field was selected, enter the first
few digits of the starting zip code.
If the product field was selected and we wanted to
select "software", enter "software" in both the From
and Thru fields.

as a string of MMMMMMMMMMMM's, you will want to enter
"n" at this option.
To see if it works on your printer do the following:
0) Set this option to "y"
1) Discard previous saved screens
2) Call up a calendar page
3) Enter F2 to save the screen
4) Print the saved screen
5) Check the printed output
