INTRODUCTION
------------
Thanks for your interest in WIN/OUT v1.0. For years, organizations
have used IN/OUT boards in their reception areas to display the
status of employees. These boards basically have names with
magnetic dots next to each name designating them as IN the office,
or OUT of the office. Larger boards also have "White Board"
coatings that allow the receptionist to add notes to a specific
employee. Up until now, to check on the status of an individual,
one had to walk to the reception area to check on a status, or call
the receptionist.
WIN/OUT v1.0 was written to eliminate these inconveniences and goes
several steps further. First, the product is electronic, which
means that all members of the organization have access to the
information without having to leave their desks. Second, the
package allows entry of specific NOTES as to the individual's
whereabouts and/or a number where he/she can be reached. The NOTES
field can actually be anything up to 80 characters in length.
Phone numbers are also displayed for each member in the
organization. In larger organizations, this can be a plus. It
eliminates the need to look in the corporate directory for phone
information. Finally, information may be updated by the individual
or by the receptionist. The package can also be configured so that
only the receptionist can enter information.
There are two main executables in WIN/OUT. IOADM10.EXE is the
administrator program and has full read/write access to all users
in the WIN/OUT database. Users can be added, deleted, and updated
from this executable. A receptionist (or the person who tracks
employees) would be the primary user of this program. IOCLI10.EXE
is the client piece that the user will access to check on the
status of others, OR, to change his/her status.
WIN/OUT was designed and tested on a Novell NetWare local area
network (LAN). Any network that supports file and record locking
should function with WIN/OUT.
------------
INSTALLATION
------------
This program requires Windows v3.1, 450KB of workstation RAM and
500KB of fileserver disk space to install and operate. WIN/OUT
will work with any network operating system that supports DOS v3.30
or higher file and record locking.
The WIN/OUT files accompanied with this ZIP file should include the
following files:
IOADM10 .EXE - The Administrator program
IOCLI10 .EXE - The Client program
IOEMP10 .DAT - The actual WIN/OUT database
IOSTATS .DAT - WIN/OUT Statistics file
VBRUN200.DLL - Dynamic Link Library
THREED .VBX - WIN/OUT .VBX File
WINOUT10.DOC - This file
README .1ST - Pre-installation notes
The REGISTERED versions of WIN/OUT ship with the traditional
Windows SETUP.EXE installation program whereby one can insert the
distribution diskette into the drive of their choice and type
SETUPxx. The version in your possession is a
shareware/demonstration version and is limited to 10 users.
WIN/OUT v1.0 comes in 25, 50, 100, and 200-user versions. Pricing
and ordering information is included at the end of this
documentation. This documentation is also an abridged version of
the actual printed documentation that ships with the product.
Installation is quite simple.
1. Copy VBRUN200.DLL and THREED.VBX to the Windows SYSTEM
directory (it should be \WINDOWS\SYSTEM on most systems).
If you are running a shared copy of Windows from your
fileserver, install these files on the server. If you
run Windows from local hard drives, the two files MUST
reside on every workstation.
2. Copy the rest of the files to the server in a shared
directory. Example: F:\WINAPPS\WINOUT
3. Make sure that all files on the server are flagged as
follows:
All *.EXE's - SHARABLE, READ-ONLY
All *.DAT's - SHARABLE, READ-WRITE
All *.VBX's - SHARABLE, READ-ONLY
All *.DLL's - SHARABLE, READ-ONLY
4. Add the ADMINISTRATOR program (IOADM10.EXE) to the
person's workstation who will perform the administrator
function. This is usually the receptionist as this
person can visually see who is coming and going and who
also takes calls.
5. Add the CLIENT program (IOCLI10.EXE) to the rest of the
workstations in the office. NOTE: If you wish the
user(s) to have the ability to modify his/her own status,
be sure to place the users name (LAST, FIRST) as a
command line parameter. Example:
F:\WINOUT\IOCLI10.EXE SMITH, JOSEPH
This will allow the user to modify his or her status.
Do not add the name to the command line if the
administrator/receptionist is the only person to alter
user status.
-------------------------------------------------
WIN/OUT v1.0 10-USER ADMINISTRATOR DEMO OPERATION
-------------------------------------------------
Double click on the ADMIN icon. The first screen that appears is
the "ABOUT" screen that will display information about the
publisher (and how we can be reached), and the USER VERSION that
your firm owns. In this case, it will be the 10-USER DEMO VERSION.
Click on the OK button to continue.
The MAIN SCREEN will now appear. It is from this screen that most
of the work will take place for the administrator/receptionist.
Each area of the MAIN screen will now be explained:
EMPLOYEE LISTING: It is here that the employee names will
appear once they have been added (discussed below). There are
three ways to move about this list. First, using the mouse
click on the sidebar arrows and the list will move up and
down. Second, type the first letter of the last name you
are searching for, then drag the mouse to the name. And
third, you can go through the list by dragging the mouse
(holding the left button down and moving the mouse in an
up and down motion) to the appropriate name. Once a name
is highlighted and clicked on, the status and other items
may be changed.
STATUS: This area shows the status of the selected EMPLOYEE
LISTING individual. It will be either IN or OUT. REMEMBER,
a name MUST be highlighted and clicked on for this window to
display a status. Once you have clicked on a name here, you
can also change the status by clicking on the opposite button.
Thus, if the button reads IN for an individual and he/she is
walking out the door, click on OUT to change the status. You
would then click on UPDATE to save that status (more on UPDATE
below).
NOTES: This window displays any specific comments about the
individual highlighted and clicked on in the EMPLOYEE LISTING.
This field allows up to 80 characters of information. Info
might include the phone number, or time returning. This is
also the area to enter actual data. If an individual is
leaving the office for a lunch date and says he/she will
return at 2:00PM, you would highlight and click on the
individuals name in the EMPLOYEE LISTING window and change the
NOTES field by clicking on the first position in the window.
You would then click on UPDATE to save this information to the
database.
LAST ACCESSED: Will show the last DATE and TIME this
individual accessed/updated his/her status. Every time the
UPDATE button is hit for the specified individual, this field
is updated with a date and time stamp.
EMPLOYEE INFORMATION: These two fields simply show the voice
and FAX number for the highlighted individual. The
information in these fields is set when a name is added and
are NOT editable.
UPDATE BUTTON: This button is to update the database when a
change has been made. Simply changing a person from IN to OUT
and exiting WIN/OUT will NOT update the status of that person.
UPDATE must be clicked on to update a status. NOTE: UPDATE
need only be clicked once per status change. Thus, the
receptionist could change a person from IN to OUT, and add
NOTES, and only hit UPDATE once.
EXIT: Will EXIT the administrator/receptionist from WIN/OUT.
ADD: Will bring up the ADD USER window. The ADD USER window
asks for the users LAST NAME, FIRST NAME, VOICE NUMBER, and
FAX NUMBER. After this information has been entered, hit the
SAVE button and you will be returned to the MAIN SCREEN.
NOTE: The add user function will first check the license
count followed by a duplicate check. If a problem is
encountered from either of the checks, an ERROR window will
pop up and the name will not be added.
DELETE: Highlighting and clicking on a name and then clicking
on the DELETE button will remove a user. You will first be
asked to confirm the deletion. If you answer YES, the name
will be deleted.
SETTINGS: Clicking on the SETTINGS button will bring up a
window where you will be able to customize this verion of
WIN/OUT. A company name can be entered and will appear in the
TITLE BAR upon execution. MINIMIZE ON UPDATE will simply
minimize the WIN/OUT window when the UPDATE button is hit.
Once you have made the changes to the desired settings, click
on SAVE to record the settings.
ABOUT: Clicking on ABOUT will bring up the ABOUT screen.
------------------------------------------
WIN/OUT v1.0 10-USER CLIENT DEMO OPERATION
------------------------------------------
The client piece functions in the same way EXCEPT that it does not
give the user ADD, DELETE, SETTINGS, or ABOUT capabilities.
--------------
ERROR MESSAGES
--------------
WIN/OUT has error correction routines that will notify the user if
something is wrong. The primary error condition that could occur
would be that WIN/OUT can't find the data file IOSTATS.DAT or the
database file IOEMP10.DAT. These files MUST reside in the
directory from which IOCLI10.EXE or IOADM10.EXE were executed from,
OR from the WORKING DIRECTORY stipulated in the PROPERTIES setting.
-------
SUPPORT
