b) Print the file ORDER.TXT which is part of the CTSDOC.EXE compressed

c) From within the CTS program, select the "Shareware" option from the
"Utils" menu pad, then press "R" while the program information screen
is showing.
Fill out the form, remembering to specify the size disk you want. Only high-
density disks will be provided. Since there is no difference between the freely
distributed version of the software and the registered version, this information
will be used for updates to which the user is entitled.
Remember to sign the form.
Enclose with the form a check for $25 ($20 for registration, $5 for shipping and
handling). Send the form to the address printed at the top of the form.
Acknowledgement of the receipt of your payment will be provided either by

CTS is the acronym for the Contact Tracking System product.
All rights to CTS are owned and reserved by Gordon McI.
Fuller, except as specified below.
A payment of $20 for registration fee to Gordon McI. Fuller or ENC
Enterprises is requested from CTS users. Users are free to distribute the base
product to other individuals free of charge. Registration of this product
entitles the user to one free upgrade within a two-year period after the
registration has been paid. Subsequent upgrades will be available at announced
prices.
Registration also entitles the user to obtain (at an additional charge)
add-on modules designed to complement CTS for a wide variety of industries; each
module contains specific functionality and data elements required for industry
segments. Any such modules received by the user are considered a part of the

DEFINITION OF SHAREWARE
Shareware distribution gives users a chance to try software before buying
it. If you try a Shareware program and continue using it, you are expected to
register. Individual programs differ on details -- some request registration
while others require it, some specify a maximum trial period. With registration,
you get anything from the simple right to continue using the software to an
updated program with printed manual.
Copyright laws apply to both Shareware and commercial software, and the

CTS is a "shareware program" and is provided at no charge to the user for

automatically granted to distributors recognized by the (ASP) as adhering to its
guidelines for shareware distributors, and such distributors may begin offering
CTS immediately (However ENC Enterprises must still be advised so that the
distributor can be kept up-to-date with the latest version of CTS.).

Keys
════
Pressing computer keys results in two possible outcomes:
a) an exact duplicate of the character on the key is placed on the
screen;
b) a function or collection of functions is performed.
The usual convention is to represent keys which result in (b) inside
<> marks, as in <PgDn>, <Ctrl>, <Alt>, <Home>, <Shift>. Function keys,
labeled F1 through F10 (or F12) are generally presented either way.
Some keys are occasionally represented by their symbols on the
keyboard or by common abbreviations (e.g. ^ = <Ctrl>).
Keystrokes
══════════
In general, when instructed to press a key that means that the key
should be pressed and released. However, some commands require a
combination or sequence of keys to be pressed.
When using <Ctrl>, <Alt>, or <Shift> in combination with other keys,
this means that the key in <> should be held down while the other key is
pressed and released.

Buttons
The screens in this application are based on event-driven, object-
oriented code and are identical to Microsoft Windows usage. This is done
for two reasons -
first, it is easier for the user to perform specific tasks by
selecting one "object" which does that task;
second, it provides upward compatibility and familiarity with
graphical-based applications which all use the same concepts.
Each "object" the user sees on the screen performs a set of commands
behind the scenes. Highlighted letters within the object are called "hot
keys" and provide shortcuts to selecting an object, depending on its type.
Objects are of three major types:

▀ Menus
Menu pads are the words shown in a row near or at the top of the
display screen. When selected, a pad will show a list of menu options
from which the user may select. Pressing the <Esc> key will
deactivate the menu pad or menu option list from the screen.
Menus are accessed by simultaneously pressing the <Alt> key and the
highlighted letter in the menu (or by clicking a mouse on the menu
option). When selected, menus in turn provide a menu list of options.
Those options may be selected in three ways:
√ using the cursor keys to highlight the option, then pressing
<Enter>;
√ using a mouse to click once on the option;
√ pressing the highlighted letter "hot key" WITHOUT pressing the
<Alt> key.
▀ Popups
Popups are lists containing choices. Menu option lists are popups.
Other popups can contain lists of user-entered information from which
the user selects a single option identifying the data (or set of data)
he/she wishes to include in an action.
Some popups have hot keys when the options are not lists of user-
defined data (such as the menu popups).
Popups which are part of menu choices can have an arrow in the right
margin of the popup. This indicates that selecting this option will
give the user a new list of options, rather than immediately launching
a program.
▀ Buttons

Buttons are generally activated by pressing the Space Bar, or by
pressing the <Enter> key. The spacebar will leave the cursor highlighting
the current button - <Enter> will skip to the next object after activating
the button. Buttons can also have hot keys, which activate the button when
the user presses the highlighted key (unless he/she is in a text entry
field, where the program decides that the user really wants to print the
letter rather than push the button).

■ Radio buttons let the user identify which ONE of a mutually exclusive
number of choices applies to the current data set. They do not
usually initiate any actions, but identify various conditions for when
the transaction is committed for verification or addition to the
general database. Example:

■ Check buttons, such as the "Foreign Currency" button on the Main
Screen in this application, are Yes/No indicators. For example, a
checked Foreign Currency box indicates "Yes" to the program when it
asks whether to convert the number in the amount column to U.S.
Dollars. Example:

■ Push buttons, which are sprinkled liberally throughout this
application, are the objects which usually trigger a change in the
data set. Example:

The <Esc> key is usually directly tied to the <Cancel> button on a screen.
The double carets around the "Finish" button indicate that it is a default,
and pressing <Ctrl>-<Enter> at any point on the screen is the same as
selecting that button.

Some database terms are commonly used in this document and in the on-line
help.
Field A discrete unit of data, such as a Customer Last Name, Zip Code,
or Birthday.
File A DOS file containing a group of records.
Menu List of options to perform specific tasks. Usually only one
option may be chosen at a
time.
Record A group of Fields which taken together provide useful information
about a Customer.
Text
════
Words which appear in the text surrounded by «» indicate important and
frequently mentioned or used topics.
Windows
═══════
A window is loosely defined as an area of the screen which appears on top
of an existing portion of text, and which reveals that underlying screen data
when it disappears rather than overwriting it. Usually windows have a solid
border around them to distinguish them from their background.
For keyboard commands which move and resize windows, see "Using Help" on
Page 2-1.

To find and manipulate blocks of text, the following key combinations

Hardware and Software Requirements

▀ Hardware
CTS requires a hard disk with at least 3Mb of free space. Use your CHKDSK
command at the DOS prompt to determine how much free space you have - it is the
line showing "number of bytes available on disk" in the listing CHKDSK provides.
▀ Software
CTS will run on laptops with 512K of memory. At least 450K of free memory is
generally required - laptops running network software may encounter memory
problems.
CTS uses expanded memory automatically if it is available. The more expanded
memory the computer has, the faster CTS will run.

All documentation files, such as the one you are now reading, come from the
CTSDOC.EXE file, a self-extracting compressed file. These files may be placed
onto any directory. A listing of all files supplied for CTS can be found in
Appendix B and in the DOCFILE.DOC file.
All executable files and associated Help, Database, Index, and Source files come
as part of the CTS_EX.EXE file. CTS will automatically install itself into the
directory and drive where the user places the CTS_EX.EXE file. To execute this
file, simply type its name at the DOS prompt in the directory where you want CTS
to exist.
A batch file, CTS.BAT, is included in the CTS_EX.EXE file. If you do not want
to put the CTS directory into your AUTOEXEC.BAT PATH statement, you may place
this batch file into your root directory to run CTS from anywhere on your hard
disk. CTS.BAT assumes the program will be on the C: drive and in the \CTS
directory. You must edit the batch file if you have placed CTS elsewhere.

your keyboard.
1. Loading Files
a) Insert the installation or update disk into drive a: (usually the
uppermost slot on the front of the PC). The disk will say if it is an upgrade
or an installation disk.
If the 3½" drive on your system is the b: drive, type the
following line at the DOS prompt:
assign a=b <Enter>
After installation, type assign by itself at the DOS prompt to restore the
proper drive assignment. (Ignore if computer has rebooted.)
b) Begin the installation or update process.
Type: a: <Enter> (floppy drive is assumed to be a: in
this example)
Type: install <Enter> (if a first-time installation)
OR
update <Enter> (if an update)
c) Swap to the second disk when the screen prompts you.
d) The CTS installation disk will automatically change your CONFIG.SYS
and AUTOEXEC.BAT files to enable CTS to run on your laptop. If you do
not wish the installation program to do this, watch the screen and
abort the procedure when asked.
If you let the installation program change your files, you may skip
sections (2) and (3) and proceed to section [4].
2. CONFIG.SYS File
a) Move to your root directory
Type c: <Enter>
cd \ <Enter>
b) Ensure that your CONFIG.SYS file contains the following lines by
typing:
Type: Type config.sys <Enter>: (Actually type the word
'type')
FILES = x (where x ≥ 40)
BUFFERS = 32
STACKS = 0,0

If the FILES line has x < 40, refer to section c.(i) below. If you
receive an error message saying the file does not exist, refer to
section c.(ii) below.
c) If your CONFIG.SYS file does not contain these lines, or if you do not
have a CONFIG.SYS file, edit or create the file and save the result.
Consult your DOS manual for full editing instructions using EDLIN.
Otherwise:
(i) Existing CONFIG.SYS
Type: edlin config.sys <Enter>
The new prompt will be an asterisk (*).
Type: L <Enter>
The program will list each line in front of you. Find the line # that
says "FILES=xxx".
Type: x <Enter> (x = line # of FILES line)
The text of the line number selected will appear indented and the line
number will repeat below as the new prompt.
Type: FILES=45 <Enter> (40 or higher)
The asterisk prompt will reappear at the left-hand edge of the screen.
Repeat as necessary to modify other lines of the file in the same
manner. When finished:
Type: exit <Enter>
You will be returned to the DOS prompt.
Reboot the computer using the <Ctrl>+<Alt>+<Del> key combination (hold all
three down at the same time).
(ii) New CONFIG.SYS
If you received a message in part (b) saying the config.sys file did
not exist, the quickest way to create a new one is as follows:
Type: copy con config.sys <Enter>
No prompt will appear, but the cursor will move to the left side of
the screen. Type the following lines exactly as they appear (the <Enter>
mark represents the enter key, do not type "<Enter>"):
FILES=45 <Enter>
BUFFERS=30 <Enter>
STACKS=0,0 <Enter> [zero,zero]

The DOS prompt will return and the CONFIG.SYS file will have been created.
Reboot the computer using the <Ctrl>+<Alt>+<Del> key combination (hold all three
down at the same time).
3. AUTOEXEC.BAT File
a) This file is also located in your root directory (see 1.a above).
b) Remove any TSR (terminate-stay resident) programs such as Sidekick
which may reduce the RAM available to the Contact Tracking System.
Use EDLIN or other edit program (see 1.c above)
c) CTS suggests that your PATH statement contain the directories:
..;C:\CTS
using EDLIN, find the line (see 1.c in section (2) above) containing
your PATH statement. Type the line number at the asterisk (*) prompt,
and repeatedly press the right cursor (arrow) key to redisplay the
line, When the entire line has been redisplayed, type the additions
shown above. Press the <Enter> key. Type exit and press the enter
key again.
Just as with the CONFIG.SYS file, you must reboot your computer for changes
to the AUTOEXEC.BAT file to take effect.
4. Starting the Program (all other times)
If you have a menu program you are encouraged to add this program to your
list of options. The commands necessary to activate it are the same as you
would perform individually in (4a) and (4b). If you are not on the C: drive,
include the command C: <Enter> as well.

Manual Activation

a) If not already in the program's directory:
Type: cd \ <Enter>
b) Type: CTS <Enter>
The first time the user tries CTS, the program will ask if the user wishes
to modify the AUTOEXEC.BAT and CONFIG.SYS files. Because CTS expects to find
all its files in the current directory, putting "CTS" in your PATH statement may
not be necessary unless you wish to start CTS from elsewhere on your PC.
The program will also make sure that the FILES statement in your CONFIG.SYS
is set to at least 40. If not, CTS will offer to modify that file to increase
the parameter to 45.
This modification occurs ONLY during the first entry into CTS and will not
be seen again.
After initial installation of the CTS system, the user will be placed in
the «Display» Screen.
▀ Title Screen
After starting the Customer Tracking System either by menu
selection or the cts <Enter> keystrokes, the initial screen will appear.
The date shown defaults to today's date (assuming your PC has a clock and
battery).

Pressing F1 in most portions of CTS will call up Help. Help consists of
two areas - general topics and specific explanations. Each topic has one
associated explanation.
If Help is called from the Display Screen, it will list the topics in the
Help Window.
Topics with an arrow in front are broad explanations of the program and its
functions. Other topics refer to specific field names and explain the sort of
data each one requires.
Any help topic may be printed out (since some are several pages long) after
the user has set a default printer (see below) by using the "Help+" menu pad and
the "Print Help Topics" option.

The screen is divided into 4 main areas; going down the screen from top to
bottom they are called:

The top 3 areas are interactive areas - that is, they change based on user
actions. The fourth area, called "Bottom Information" in the on-line help, is
static information which tells the user where he/she is in the file and what
«Mode» the screen is in.
This screen is the heart of the CTS program. Initially most function keys
will not work since there are no customers entered in the system. Once your
customer information has been entered, viewing, editing, and making use of the
information will occur from this screen and the associated menu. This
documentation will refer to the activities and information occurring in each
area.
If your copy of CTS has been provided with the SMPL_1 or SMPL_2 sample data
files, most function keys and menu options will work as normal. When you create
a new file (see the section on Creating Files) the screen will be empty and the
function keys disabled.
Display Menu
────────────
The six categories shown
- 'File', 'Data', 'View', 'Print', 'Utils', 'Help+' -
are the menu headings which give the user access to CTS functions. The menu is
activated by pressing just the <Alt> key; options can be directly selected by
pressing <Alt>+the highlighted letter in the menu heading. Most menu selections
will deactivate the menu afterwards. To leave the menu without selecting a
topic, press <Esc> or click the mouse outside the menu window.
Customer Detail
───────────────
This gives information about the customer selected from the Customer List
area.
Customer List
─────────────
This shows up to eight customers at any time, ordered by whichever «index»
has been selected by the user. Cursor keys, mouse, <PgUp>, <PgDn>, <Home>, and
<End> can be used to select names from anywhere in the file.

Bottom Information
──────────────────
Row 22 provides information about the current file: which file is selected;
where the user's record pointer is within the file, and the «mode» which is in
use. Error messages are
shown here when attempting to locate a record which is not in the file. Row 24
menu messages give more detail about an option.

■ Press <Alt>-U to activate the Display Menu. You will be in the
'Utils' list of options. If the colors are not showing contrasts
correctly, you will find the 'Utilities' menu on the second pad from
the right and the first option it displays is "Default Settings".
■ Press <Enter> or 'D' to select "Default Settings".
■ Use up or down keys to move the selection bar, or press 'C'
to select the 'CTS Startup Option' item.

Defaults are saved to disk so that each time the user starts the program,
settings such as color are recalled and used, avoiding reentry each time the
user begins the program.
Defaults will be reset and the screen changed after the "Save+Exit" button
is selected.

User Info

■ Enter your personal information, such as name and address. These are
used as the return address on correspondence.
Colors
──────
The colors displayed on the computer screen should show
contrasts, highlighting menu choices and the menu selection
bar.
■ Press <Tab> or use the mouse to move the selection bar to "Generic
Mono" {laptop users} or 'VGA Desktop' {desktop users}.
(NOTE: If other color selections allow the user to
see the 'hot' letter and selection bar while in
the menus, you are encouraged to use the
combination you like best. This initial choice
simply guarantees that most users will be able to
see the hot keys and selection bar.
Other options on the 'Utilities' menu are discussed later in this section.

The screen will change and prompt you for input. The customer input screen
is identical to the MAIL SCREEN layout on the Display Screen (chosen by the
"UTILS-Default Settings" Screen Selection menu option).
Context-sensitive help is available in this screen. What this means is
that when you press F1, information about the field the cursor is currently in
will be displayed. You may access the other help topics by pressing 'T' from
the help explanation window, or press <Esc> to leave Help.

Sex: Male or Female? If male, the salutation defaults to
'Mr.'. If female, 'Ms.'.
M/M (Salutation): You have the ability to edit the default selected by
the sex query for 'Dr.', 'Maj.', etc.
First Name: First name of the customer.
M.I.: Middle initial/Name of the customer.
Last Name:* Last name of the customer.
Title:* You may put the customer's business title in this
field.
Department: You may put the customer's department in this field.
Company:* You may press <F2> to obtain a listing of
companies in the company table, or enter a new company
name. You may select an existing company by scrolling
down the list and pressing <Enter> on the highlighted
name, or you may press <Esc> and enter a new name.
If you enter (or change) a company, a window will
appear asking if you wish to add the name to the
company table.
Companies which are listed in the company table
are permitted industry designations and street
directions (see below).
If you choose to add a company name to the table,
CTS will first search the table based on a segment of
the company name selected by the user. This is an
attempt to eliminate duplicate entries.
ONLY COMPANIES WHICH ARE ADDED TO THE DATABASE CAN
HAVE INDUSTRIES ASSIGNED TO THEM.
Rating:* Account classification - 'AAA', 'D2', or you may use
Standard & Poor's or Moody's ratings if you wish.
Mailings: These are the one-letter codes which users can use to
determine which categories of mailings the customer
should receive. Since these may change, press F1 when
you are in this field to see what the current codes
are.
Note: Any brief note.
Last Contact:* The last date for a meeting with this customer.

Work/FAX/Home #: You need not enter the dashes of the phone numbers -
the program displays but does not store them.
Street Address: Two lines of address are allowed.
City:* The customer's city.
State:* You may press <F2> to obtain a listing of U.S. states
and Canadian provinces. By selecting a state, the
State Abbreviation and Country fields are also filled.
For foreign customers, enter in their information as
best you can.
Postal Code/Zip:* Customer's Zip code.
Mailing Address: Street, City, State, Country, and Zip will default to
the Street address during entry, and can then be
directly changed if necessary.
This completes the basic information normally seen on the Display Screen.
Spouse/Dates
────────────
Next, the program prompts you for any personal information about the
customer you may wish to enter.
[This information is available from the Display Screen by pressing <F9>]
■ Spouse Last Name (Defaults to Customer last name)
■ Spouse First Name
■ Spouse Middle Name
■ Customer Birthday
■ Spouse Birthday
■ Customer Anniversary.
When finished with the customer, the program asks if the information is
correct. If you answer 'N', the program asks if you wish to abort the process
and return to the display screen. If you answer 'Y', all data for this
particular customer entry will be deleted. If you answer 'N' to the abort
question, you are returned to the top of the screen and given the opportunity to
modify the information you entered previously.
If you are satisfied with the data, the program asks if you wish to assign
children to this customer. Answering 'N' will return you to the Display Screen.

▀ Adding/Editing Children
To add children to a selected customer you can either go to this screen
directly after inputting a customer, or from the Display Menu - Data Add
Children option. From the Display Screen, press <Alt>+D to activate the Display
Menu, Data options list, and select the Add Children option by using the cursor
keys to highlight the desired option and <Enter>.

Locating and Changing Information

Selecting Customers
───────────────────
When you have entered more than one customer, the «Customer Detail» portion
of the Display Screen will show details of the customer name highlighted in the
«Customer List» portion of the Display Screen.
The following keys may be used to position the highlight bar on the desired
customer:
up,down 1 line up or down;
<PgUp>,<PgDn> 1 screen up or down;
<Home>,<End> Top or bottom of customer list.
A-Z 1st letter of index key field:
[See "Viewing Information" section]
Depending on the index selected customers are sorted by
name, company name, city, or other methods. The letter will
select the first customer whose name, company, city ...
matches the current index.
Pressing the same letter will cycle the highlight bar
through all customers whose first letter matches the index.
Example: if index on Company + Name, 'W' will cycle through
Westinghouse, Weyerhaueser, Woolworth, etc.
The <F5> key is also available as a "Super Search" key. This allows
users to search the currently indexed field for ANY text string, not just
the first few letters. For example, if the index is set to "Company",
pressing <F5> and typing "Tech" will find any company with those four
letters anywhere in its name.

Editing Information
───────────────────
Pressing the <F2> key from the Display Menu will allow the user to edit the
customer information of the highlighted customer (selected as described in the
previous section and shown in the Customer List segment of the Display Screen)
directly from the Display Screen.
The MODE: indicator in the bottom section of the screen will change from
"DISPLAY" to "EDIT", and the cursor will be positioned in the "Last Name:" field
of the Display Screen.
The method and sequence of editing fields is exactly as described in the
"Adding Customers" section above. When the last field has been entered, the
MODE: indicator will return to "DISPLAY".
Pressing <Esc> will return the display mode to "DISPLAY" and restore the
information previously associated with the customer.
Pressing <F2> a second time while in EDIT mode will call up a popup menu
for the Company and State fields only. The user may select an option from the
popup, or press <Esc> to input a new value. Previous versions of CTS used F2 to
select specific fields to edit, avoiding <Tab>ing through fields to edit one in
particular. By removing the previous versions' automatic popups, using <Tab>
has become less onerous.
If the user has a mouse, simply clicking on the desired editing field will
place the cursor in that field.
Version 1.5 added a mailing address section. If the screen is displaying
the mailing address, the mailing address portion will be edited the same as when
entering a customer name. If the display screen is not the MAIL SCREEN
selection (see the Utilities section), after the street address has been updated
a question will flash on the screen asking if the user wishes to update the
mailing address as well. The current mailing address will appear in a window.
A "Yes" response will activate the window containing the mailing address,
which will then default to the most recently entered street address. IF YOU
WISH TO LEAVE THE MAILING ADDRESS AS IT IS, ANSWER "NO".
A "No" response will leave the mailing address with the old (or blank)
information.
See the "Adding Customers" section for field descriptions and lists of
keystrokes for editing these fields.

Customer Changes

Changes to related customer information (i.e. information not displayed on
the main screen) can be accessed through the Data Menu Pad by pressing <Alt>+D.
A list of choices will appear. Figure 6 illustrates these options with the
"Special Functions" option already chosen.

When this screen is called from the "Data" menu pad, the company and
industry from the current person/contact is placed into the upper-left portion
of the screen. The matching (or nearest) company name from the company table is
placed in the box directly below the imported company name. THIS REGION CANNOT
BE EDITED.
Users have the option to Add the current (or edited) company in the top
left box to the company table; to replace the current company with the selected
item from the company (using the list of companies at the right to select the
replacement); to change a listed company to the values listed in the top box; or
to delete a company name from both the company table and all databases. These
options are selected with the buttons in the lower-left portion of the company
edit screen.

Edit Children
─────────────
Selecting the "Add/Edit Children" option from the "Data" menu pad allows
the user to alter or delete a child from the related record. This screen
functions exactly as described in Figure 5 on Page 4-10.
Copying/Moving Customers
────────────────────────
Copy Person/Contact
───────────────────
Selecting this option from the Special Functions popup of the "Data" menu
pad will cause a new record to be added to the file chosen. The user selects
whether to copy to the same file or to a different file. If a different file is
desired, a window containing file names will appear and the user may select one
of the choices (except the current file).
When copied to a different file, the function will duplicate the currently
selected record in all information. When copied to the same file it will
duplicate everything except for the customer last name which will be preceded by
"xxx" in order to differentiate the new record and to remind the user to edit
the record (see Editing Customers above) as soon as possible.
Comments and directions are not copied since they are assumed to be unique
to an individual.
All related data (i.e. children, any advanced module information) which has
been entered into the system will also be copied to the new record.
Move Person/Contact
───────────────────
Selecting this option from the "Change data in CTS" menu popup will move
the highlighted record to a different file. A window containing file names will
appear and the user may select one of the choices (except the current file).
The difference between this option and the one above is that the
highlighted customer will be deleted from the current file after it has been
copied to the new file.
(If the user has entered customer data with the Advanced Screen which is
not displayed as part of the Standard Screen, that data will also be copied to
the new record.)
Special Mailings
────────────────
Mailing codes handle ordinary types of mailings such as brochures and other
planned information. However, there may be occasions when users have an
opportunity to market a special product or service. Selecting this option
allows the user to identify specific customers to receive mailings.
■ Press <Alt>-D to call up the Display Menu Data Options.
■ Select the "Edit Data" option from the Data Menu Pad.

■ Select the "Special Mailing" option from the "Change data in CTS" menu
popup. [See Figure 6 on page Page 4-15]
First, the program will ask whether the user wants to erase previous
markings. If the new mailing utilizes many of the same customers, this may save
some work by leaving previous selections, and vice versa.
The program will then display a screen with an alert window in the center
of the screen stating the keys to be used to toggle customers. The same
customer selection keys may be used:
up,down 1 line up or down;
<PgUp>,<PgDn> 1 screen up or down;
<Home>,<End> Top or bottom of customer list.
A-Z 1st letter of index key field:
Mailing keys:
<F9> Toggle special mailing selection.
When this is pressed for a customer without a
mailing, the toggle sign '■■■' appears to the right of
the State indicator in the Customer List section of the
Display Screen. Pressing it again will remove the
symbol.
All customers showing the toggle sign will receive
the special mailings.
<F10> Finish special mailing selection.
When finished, the screen will revert back to the Advanced Display Screen.

Deleting Information

Deleting related data from CTS can be done from the Data Menu Pad. Select
the Data Menu Pad by pressing <Alt>+D.
Person/Contact
──────────────
Selecting this option from the "Data" menu pad will delete the currently
highlighted customer record in the current file only. THERE IS NO WAY TO RECALL
A DELETED RECORD - USE THIS OPTION CAREFULLY!
ONLY INFORMATION SPECIFICALLY RELATED TO THIS INDIVIDUAL
WILL BE DELETED. COMPANY INFORMATION WILL BE RETAINED.
Company
───────
Selecting the "Modify Company Data" option from the "Data" menu pad will
delete the company and related industry information from the *company* list
ONLY. IF ANY INDIVIDUAL NAMES ARE ASSOCIATED WITH THAT COMPANY THE NAMES WILL
REMAIN - ONLY THE COMPANY FIELD WILL BE ERASED. This is because individuals may
reappear working for other companies, and users may wish to keep accumulated
information about that person. To delete an individual's information, use the
previous option.
Children
────────
Selecting the "Add/Edit Child" option from the "Data" menu pad will allow
editing and/or deletion of any children for that particular contact.

Displaying Specific Information

the screen. If one set of windows is

Spouse
──────
Pressing <F9> will display the spousal information associated with a
customer - spouse name and important dates.
Comments
────────
Pressing <F7> will reveal a choice for the Comments field Comments can be
tied to an individual name ("Contact") or to a company ("Company"). Comments
for a company can be created, viewed, or edited while viewing ANY contact name
assigned to that company. Comments for the individual contact can only be
viewed or edited while viewing that individual. If the company has not been
added to the database yet, the user has the option to do so in order to
initially store comments.
Company-wide comments are reported with the "Company Profile" Print option,
while comments for individuals are reported with the "Contact Profile" Print
option. See the discussion in the "Entering Data" section for valid keys and

To-Do List
──────────
Pressing <F6> will display the To-Do list window. This window allows the
user to maintain a prioritized list of tasks. A smaller window also appears in
the lower-right corner of the screen showing what keys can be used to add, edit,
mark as complete, or delete an item.
Dates for start and completion of tasks are assigned automatically, but can
be altered if desired. Entering a task sets the start date to the current date.
Marking a task as completed sets the finish date to the current date.
Only one line of text is allowed per to-do item. Priority can be either
numeric or alphabetical, or a combination (e.g. A1). After the user saves the
information with the <Ctrl>+W key combination the list is sorted by
priority/rank prior to being recalled.

Viewing Information

Press the <Alt>+V key to access the "View" Menu Pad from the Display
Screen. The options for this choice will be displayed. Alternatively, <Alt> by
itself will highlight the menu pad options, allowing the user to select the
desired option with the cursor keys and pressing <Enter>.
▀ Sorting Data
Select the "Sort Order" option from the "View" menu pad, and the list
of choices will appear.
NOTE: A SORT will order all data in the existing file
according to the index. All menu choices normally
available remain active.
A FILTER will display only the data matching the
criteria the user specifies for the filter. Other
data remains in the database, but is inaccessible
until the filter is removed (using the "Remove
Filter" option on the Sort Menu Pad).

Users may sort their data according to nine index keys: the A-Z code shows
whether pressing the alpha keys will work with the index to accurately locate
customers.
Name + Company A-Z Orders customers by last name, then company name.
Company + Name A-Z Orders customers by company name, then last name.
Industry A-Z Orders by Industry, then company name.
City+Company A-Z Orders customers by city, then company name.
State+Company A-Z Orders customers by state, then customer name.

■ Filtering Data
Users may specify from a selection of fields in the database which matching
records will be shown. Printing options will maintain the filter, but DATA and
FILE options (called from those menu pads respectively) will remove the filter.
From the "View" Menu Pad, select the "Filter" option. The following
choices will appear:
Mailings Display only those records with mailings matching the
criteria;
User-defined The user may specify from a limited list of fields in
the database which fields will be involved in the
filter.

The user is permitted a multiple filter - i.e. one that includes two
conditions, joined by a logical AND or OR. Thus, if a user wished to display
only those customers who had Mailing Code 'A' AND who were located in the state
of Illinois, that user could specify those conditions. The popup list contains
the list of choices the user is allowed to make.
To activate the second condition choice, place an "X" in the "2nd Filter"
check box by highlighting the option with the cursor or <Tab> keys and pressing
<Enter>.
Once the filter has been assigned, the "MODE" indicator on the lower right
of the main screen will change to "FILTER" indicating that a filter is in
operation.
Filters are not cumulative. That is, if a filter is in effect and the user
attempts to filter the information again before a reset, only the second filter
will be in operation. However, the first filter is still in effect during the
selection, so records not matching the old filter but matching the new one will
not be displayed. Always use "Remove Filter" before creating another filter.

■ Frequency Listing
The user may select a field (such as STATE) and discover how many
times each entry in that field appears within a file. For example, if the
user selects INDUSTRY as the field, a window will appear showing the
number of times each industry is represented in the file. Blank fields
will be counted as blanks. The list which appears in the window may be
printed if desired. This option uses SQL commands - in general, this means
that if RAM memory is limited on the user's machine this option will not
run.
■ Remove Filter
Removes any existing filters and resets the database to display ALL
records.

Printing Information

Users have a limited ability to perform some printing tasks on customer
data. The Print Options can be called up by pressing <Alt>-P to activate the
Advanced Display Menu Print Options.
USERS MUST SELECT THE "DEFAULT PRINTER" OPTION FROM THE
"UTILS" MENU PAD, "Default Settings" OPTION BEFORE PRINTING
ANY REPORTS.
■ Setting Printers
Default Printer
───────────────
A small selection of printer models is available. The user MUST select
this option before attempting any printing, otherwise the output will not be
correctly formatted. See the on-line help topic "Printing" for more
information.
This option is also available in the "Utils" menu pad under the "Default
Settings option".
Printers included in the list have been selected for their ability to
handle a software-supplied change from portrait to landscape mode, since several
reports require this change. If users have printers that are not listed but can
accept these software commands, please send the escape sequences to the
developer.

Will eject a page to the next page break in any printer.

1. In order to print reports to a file, the user must choose the "File" port
option when selecting a default printer. This must be done before printing
any reports. Also, be sure that the selected printer matches the type of
printer which will eventually be used to print the report.
2. When selecting an option to print, a window will appear asking the user to
specify a drive and file name for the report. The 'A' drive is usually a
laptop's floppy disk drive: 'C' is usually the hard disk. Any file name
the user chooses is sufficient, but if the file already exists it will be
overwritten. MAKE SURE A FLOPPY DISK WITH ENOUGH STORAGE IS IN THE FLOPPY
DRIVE!
3. After the report has finished printing, take the floppy to the destination
printer. With the disk in drive A:, at the DOS prompt type:
PRINT A:xxx <Enter>
where xxx is the file name the user selected. You may see a message asking
about the print or default device [PRN]: simply press <Enter> to continue.

■ Changing Form Letter and Postcard Text
Choose the "Edit Letters" option from the "View" menu pad.
Form Letter Edit
────────────────
This option permits the creation or editing of a form letter. A form
letter will contain the text of the message (entered by the user as part of this
option) with the header (name, address etc.) supplied from the database.
The user must be sure to enter only the text of the letter (not the header
or salutation) and the complimentary close (e.g. Sincerely, Very truly yours,
etc.). The window in which text is entered is identical to Comments and
Directions in the way it handles text entry.
Since CTS is not a word processor, no attempt has been made to provide
sophisticated text handling features. The form letter is a basic ASCII text
file which is useful for notifications or other impersonal business
correspondence or mass mailings. If there is sufficient interest in improving
the functionality of this feature, future versions might incorporate user
suggestions.
Postcard Message Edit
─────────────────────
Creates or changes the message which can be printed onto postcards (see
"Printing" section above). The entry screen is similar to the Form Letter Edit
screen.

To use this window:
1) Users will first select the type of printing - envelopes, postcards,
or labels.
If "Other Envelope" is selected, the box labelled "Other Env. Size:"
will be activated and the height and width in inches will be sought.
If "Labels" is selected, the "Label Options:" and "Fonts:" boxes will
be activated allowing selection of rows, columns, and fonts for the
labels.
2) Style determines whether the spouse's name (if any) will be included
in the address, if ONLY the spouse's name is desired, and whether to

place the salutation with the name. The text below the "[ ] Formal"
selection demonstrates the appearance of the name for each selection.
3) Verify return address allows the user the chance to change the return
address which will appear on envelopes.
4) Verify default printer allows the user to change the type of printer.
For envelope and postcard printing:
───────────────────────────────────
The screen will then display the current customer name in the default
format. The user has the option to print the name and address, edit them, skip,
or move back to a previous name. Keys are:
<Space> Print the name and move forward one customer
<Tab> Edit the name and address
<Del> Quit
<End> Quit
<PgDn> Move forward (according to the current index) one customer
<PgUp> Move back one customer
A-Z Find a customer (according to the current index)
Envelopes
─────────
Note that on an HP Laserjet printer, envelopes should be fed into the
document tray address side upward with the short (stamp) side first into the
tray, using the centering guides.
Postcards
─────────
Postcards will also print by using the centering guides on the HP Laserjet
paper tray, but may not be long enough to be fed into the machine. If this
happens, print a sample address onto a regular sheet of paper and lightly tape
or glue subsequent postcards on top of the printed address, running the same
sheet of paper through the printer until finished.
Labels
──────
Label printing is designed for common sizes of Avery Dennison labels, but
for true label printing users may wish to purchase an add-on product which will
allow for different fonts, graphics, and other features to be placed on the
labels. Such add-on products are very inexpensive and work directly with
existing file structures (.DBF).
MLPRINT.ZIP is also available from the PC Magazine Utilities forum (GO
ZNT:UTILFORUM on CompuServe).
Postcard Messages
─────────────────

Messages created in the "Postcard Message Edit" option of Utilities (see
next section) can be printed out on postcards (or any printing surface the size
of a postcard). Users are given the option of editing this message before
printing.
Once printing starts, the following keys may be used to control the
process:
P Print the name and move forward one customer
<Del> Quit
<End> Quit
<PgDn> Move forward (according to the current index) one customer
<PgUp> Move back one customer
Note that customer names and addresses are shown on the screen during
printing. This is simply to keep track of how many postcard messages have been
printed: the messages are identical for each printing and have no relation to
the customers.
Form Letter
───────────
Form letters are created from the "View" - Edit Letter option (see prior
section). Form letters have the same text and closing for all customers, but
the heading will print for the current customer name and address. One letter is
printed at a time.
Faxing Form Letters
If the user's PC or laptop is equipped with a fax
board, he/she may use it to fax the form letter
(or any other printing for that matter) to another
fax machine. If you are equipped with such a
board, consult your user manual for help on which
printer and port (usually LPT3) to select from the
Default Printer option of this menu pad.
Single Envelope
───────────────
This option prints out one envelope with the address for the currently
selected customer.

On-line help provides a more comprehensive set of explanations in building
a report, so only the minimum usage will be described here.
Note the status bar on the window showing row and column of the report, and the
"Move" indicator. This indicator will change to "Text" when the user enters
text.
Enter text: Move the cursor to the desired location. Begin typing.
Pressing the <Enter> key will finish the text and change the
status back to "Move".
Select data: Press Ctrl+F to get the list of fields (see the "Expression
Builder" section below).

Create data group: A data group allows your report to separate, summarize, or
otherwise distinguish records sharing characteristics. When
the report is printed, the sort order must match the report
grouping order. To create a group, select the "Data
Grouping" option from the Report menu pad. See on-line help
for more details.
Select object: Once a field or text item is on the report you may move it
by positioning the cursor onto the item and pressing the
spacebar or clicking the mouse. The object will be
highlighted and will move with the cursor keys (or mouse) to
the new location.
Report Layout: The option on the Report menu pad will set the report for
landscape or portrait mode, and allow other options for the
appearance of the report.

A sample label setup is included with CTS, showing a basic layout for
labels.
Label creation is straightforward. Some common label layouts are provided
from the Label menu pad, but the user may modify the layout to fit particular
types.
When finished creating either a report or label layout, the "Close", "Save", and
"Save As" options on the file menu will allow the reports to be saved to
whatever name the user wishes.

Printing Reports or Labels

Please note: If you have used data groupings in your
report, the current sort order must
match the order of your groupings,
otherwise a group may repeat if it
recurs later in the database.
Printing of these reports is as simple as selecting the menu option to
print. A window appears asking the user to select the report (extension .FRX)
or label (extension .LBX) to print. Assuming the file is in the correct sort
order, CTS will deliver the results to your printer.

■ To-Do List
Users may print out a copy of their To-Do list with this option.
Select the "Other Printing" option from the "View" menu pad by
pressing "O" or highlighting the option with the cursor keys and pressing
<Enter>. Select the "To-Do" option from the
list of choices.
■ Birthdays
Users can print out any customer birthdays, anniversaries, or major
holidays for any year.
Select the "Other Printing" option from the "Print" menu pad by
pressing "O" or highlighting the option with the cursor keys and pressing
<Enter>. Select the "Birthdays" option from the list of choices.
Enter the year in which you wish the printout to provide you with the
dates. ONLY BIRTHDAY AND ANNIVERSARY DATES WHICH THE USER HAS INPUT WILL BE

Shareware Message
─────────────────
This option provides basic information about the CTS program while the user
is in CTS. There are two screens of information which will remain on the
screen for 30 seconds apiece. While viewing either screen the user may
press "L" to view a copy of the license, or "R" to print out a shareware
registration form.
Default Settings
────────────────
These change certain values to be the same every time the user starts the
program.

Select the "Default Settings" option from the "Utils" menu pad by pressing
"D" or using the cursor keys to highlight the option, then pressing <Enter>.
File
────
Changes the current file and index to be the default file and index, which
will be shown when first entering CTS. (See "Creating and Using Multiple Files"
in the next section for further information.)
Printer
───────
A small selection of printer selections is available. The user MUST select
this option before attempting any printing, otherwise the output will not be
correctly formatted. See the on-line help topic "Printing" for more
information.
This option is also available in the "Utils" menu pad under the "Default
Settings option".
Printers included in the list have been selected for their ability to
handle a software-supplied change from portrait to landscape mode, since several
reports require this change. If users have printers that are not listed but can
accept these software commands, please send the escape sequences to the
developer.
Password Change
───────────────
This allows a user to password-protect a file. To enter a password, select
this option and enter in a password of up to 8 letters. This screen will time
out if no key is pressed within 7 seconds, so unless you have entered the
password and pressed <Enter> it will not be stored.
Passwords, once set, must be used to change to a file (see the File menu
options below), delete a file, append from a file, or re-display the file if the
screen has blanked out after 3 minutes.
Colors
──────
This option is more fully covered in the "Entering Defaults" section of the
Advanced Display section. Colors options will improve the visibility of various
menu and editing options depending on the type of PC and display.
User Information
────────────────
This option is more fully covered in the "Entering Defaults" section of the
Advanced Display section. This option inputs information about the user to CTS.
User Address Edit
─────────────────
Creates or changes the return address used by the printing options (see
"Printing" section above). Up to 3 lines of return address are suggested.

Screen Selection
────────────────
Allows the user to select various display methods for displaying
information.
NAME SCREEN places the customer's name at the top of the display.
COMPANY SCREEN places the customer's company information at the top of the
display.
MAIL SCREEN duplicates the user input screen, making the mailing address
visible at all times.
■ Telephone Dialing
NOTE THAT CTS IS NOT A TERMINAL EMULATOR - YOU CANNOT DIAL
INTO COMPUTERS AND EXPECT TO INTERACT WITH THEM. FOR THAT,
YOU MUST PURCHASE A SEPARATE SOFTWARE PACKAGE SUCH AS
PROCOMM PLUS OR CROSSTALK.
What CTS will allow the user to do is dial a telephone number that has been
entered into the database so that the user can pick up the telephone after the
program has finished dialing. This feature will work only if the user has a
modem installed on a SINGLE CHANNEL phone line.
Select the "Telephone Functions" option from the "Utils" Menu Pad by
pressing "T" or by highlighting the option with the cursor keys and pressing
<Enter>.
Modem COM port
──────────────
Selects which COM port (1, 2, 3, or 4) to use for the modem. This can
usually be determined by looking at the back of your computer and seeing if the
port which the modem uses is labelled. Most laptops will use COM1, most
desktops COM2. Do not use COM3 or COM4 with DOS versions lower than 5.0, or
with a BIOS over 2 years old.
Dial Telephone Number
─────────────────────
Hot key <Ctrl>-T
Allows the computer to dial a telephone number IF the computer is hooked up
to the voice line (the user's voice telephone line). Options for which number
to dial, and any long-distance or local PBX prefixes will appear.
Hang Up Modem
─────────────
In case your modem is left off-hook, this will issue the command to hang it
up.

■ Appointment Diary
CTS allows users to keep a rudimentary appointment diary, and to print
weekly listings of appointments. This is useful for sales call planning and
follow-up.
Note that multiple entries into the appointment diary for a single day are
listed by the order in which they were scheduled, not by the appointment time.
The appointment diary is a free text field with no sort capabilities.
Reordering entries by time (or other method) can be done using the text
manipulation keys described in previous sections (Shift-cursor, <Ctrl>+X,
<Ctrl>+C, <Ctrl>+V).

Add Appointment
───────────────
Hot key <Ctrl>-R
Will add the currently highlighted customer to the diary/appointment
calendar function (see Help+ menu). The first window popup asks the desired
date and time of the appointment.
The program then inserts the name, company, phone # into the diary and
leaves it open.

The user may make notes prior to the meeting or afterward, transferring
them to and/or from the Comments window or the Directions window using the text
editing features, and print them out as part of the Weekly Listing command
mentioned next.
Weekly Listing
──────────────
Displays a weekly listing of appointments and notes kept in the appointment
diary (see Help+ menu section), Can be edited and printed if desired. When
exiting, the user will be asked if he/she wishes to save any changes (if they've
been made), then whether the user wishes to print the file. Note that for
printing, the printer must have been set using the "Default Settings" option of
the "Utils" menu pad.
Delete Diary Entries
────────────────────
Will delete all appointment diary entries prior to a selected date. Date
select defaults to 30 days prior to current date. Users should use this
function frequently to increase free disk space on their computers. The "Diary"
menu pad which appears when the diary is visible also allows deletion of
entries. See the "Diary/Calendar" on-line help topic.

▀ File Maintenance
Users may find it convenient to create additional files to further subdivide
customer information. For example, rather than sorting through one large file
for all information, separate files could delineate customers by:
■ Business addresses/Personal addresses
■ "A" Customers/"B" Customers ...
Certain functions on the Display Menu allow users to create and use multiple
customer files.
NOTE: All other functions which can be utilized from the
Display Screen and Display Menus are applicable to
any file created by the user.

New files can be created with this option. The user is prompted for a
file name for the new file. The name can be no more than eight characters
long and must not include any spaces, punctuation, or other ASCII symbols
not allowed by DOS.
Also, CTS reserves some file names for its own use. These names, and
segments of them, should not be used; otherwise, the user risks corrupting
or losing his or her data. See Appendix C for the list of prohibited file
names.
When entering a new name, the program will check for spaces or illegal
punctuation. If the name is acceptable, and the users wishes to continue,
a new file will be created and the program will change to that file. Since
the file is newly created there will be no names in it.
To change to a different file, use the "Change" option discussed
below. To copy information from one file into the current file, use the
"Import .DBF" option discussed below. To make the new file the default
file, which is the first one shown upon starting CTS, use the "Change
Defaults - File" option of the "Utilities" menu (detailed above).
Change
──────
Changes to a different file name. Upon selection, a window appears
listing the currently available files. Use the window scrolling keys to
make a selection, and the program will switch to that file. The file name
will appear in the bottom information section, "Current File:", of the
Advanced Display Screen. To make the new file the default file, which is
the first one shown upon starting CTS, use the "Change Defaults - File"
option of the "Utilities" menu (detailed above).
Append CTS File
───────────────
Adds all the information from a chosen file into the current file.
Upon selection, a window will appear listing the currently available files.
Use the window scrolling keys to make a selection, and the program will add
the data from that file into the current file (identified in the bottom
information portion of the Advanced Display Screen). Customer names which
have been imported will not be changed in any way and must be edited by the
user if different information is to be attached to any customer.
Delete
──────
Customer files created by the user may also be deleted.
WARNING! Files deleted in this manner cannot be
recalled!
The program will show a window listing the currently available files. Use
the window scrolling keys to select which file to delete. You cannot
delete the current file.

Export
──────
Users will see four choices in a pop-up menu.
a) Export to WP Merge file
Exports names to WordPerfect 5.x secondary merge file format.
Checks for a valid path and file name.
b) Sharp Wizard Business Card
Exports names to Sharp Wizard's .SDF format. Note that you must
also have Sharp's OL2 software installed to actually
transfer the data to the Wizard.
c) Sharp Wizard Telephone
Exports names to Sharp Wizard's .SDF format. Note that you must
also have Sharp's OL2 software installed to actually
transfer the data to the Wizard.
d) File Transfer to Floppy Disk
Exports names to a floppy disk. Recall using "Import" function
below.
Import
──────
Allows import of data from floppy disks created with the "File -
Export - File Transfer to Floppy Disk" option. The new customer file is
given the source file name as a default, and may be appended to existing
files with the "File - Append CTS file" menu option.
Reindex
───────
Occasionally you may receive an error message saying "Record out of
range" or "Database is not ordered" or "Index does not match database". The
most common reason for these errors is that the user has rebooted his/her
PC from within CTS. The result is that either the database or the index
gets updated while the other does not.
Version 2.1 added automatic rebuilds for the main data files when this
error is encountered. Other files such as company information are not
automatically rebuilt.
Reindexing is a lengthy process, which is why it is not performed
automatically. If you should get one of these error messages, select this
option to repair your index. A list will appear of your files -choose the
file on which the error appeared, or if it was a company or other file
choose any main file and the others will be automatically included.

Every attempt has been made to provide full functionality for CTS on every
type of machine - laptops in particular. However, because of the wide
disparity in hardware and software possible through shareware, users
may get this message despite the CTS safeguards. Typical memory hogs:
TSRs e.g. Sidekick, schedulers, automatic backups
Networks e.g. Banyan, Novell, Pathworks, LANMan
Depending on the user's DOS version and AUTOEXEC.BAT and CONFIG.SYS files,
the user must be the one to increase the free memory available to the
program by removing other applications from memory.
In general, database programs (like dBASE and its clones, Paradox, etc.)
are the second-most intensive users of computer resources after CAD and
other graphics+mathematical applications. SQL-based databases like Oracle
and Sybase have even greater requirements than other database products.

Directories
───────────
DOS files are stored in *directories* on disks. The *root* directory
is at the top - all other directories are sub-directories of the root
directory. Sub-directories may have their own *child* sub-directories, and
are thus the *parent* for those directories.
CTS is generally stored in the \CTS sub-directory. "\CTS" is a
*path*, showing what relation the CTS subdirectory has to the root
directory.
Directories are represented separated by the backslash character. A
backslash by itself, or at the start of a path, represents the root
directory.
File Names
──────────
DOS file names can be a maximum of 8+3 letters: eight characters in
the 'name' portion of the file, plus 3 letters in the extension, separated
by a '.' period. Blanks, slashes, and the characters below are also not
allowed in file names.
Special Characters
──────────────────
The following characters can be used in DOS commands, but NOT in file names.
* Wildcard character - stands for any combination of characters in a file
name.
? Single Wildcard - stands for a single character in a file name.
. Current directory - stands for ALL the files in the CURRENT directory.
.. Parent directory - stands for the parent directory.

breakdown: CTS = look for CTS child directory in the CURRENT directory.
(Only the root directory has a child named CTS, so this
command will generate an error unless the command is
issued while in the root directory.)

COPY <drive1><path1><filename1> <drive2><path2><filename2>
* note the space between the first and second file info.
examples: COPY \AUTOEXEC.BAT AUTOEXEC.BAK
copies the autoexec.bat file from the root
directory to a file named autoexec.bak in the
current directory
(note that the second file has no path, thus
defaulting to the current directory).
COPY \CTS\*.DBF A:\
copies all files with a .DBF extension from the
\CTS directory to a floppy disk (A) root
directory, keeping the same names.

Θ Delete a File
DEL <drive><path><filename>
examples: DEL \CTS\*.TMP
deletes all files with a .TMP extension from the
\CTS directory.
DEL A:*.*
deletes all files from the root directory from the
floppy disk in A drive.
Θ Move a File
To move a file, first use the copy command above to copy it to its new
location. Then, delete the file from the old location.
