MAIL-OUTS is a powerful tool for businesses or organizations needing an
efficient way to print mailing labels and form letters.
With MAIL-OUTS, you create and maintain a database of "datacards," records
which keep names, addresses, telephone numbers, and other information.
MAIL-OUTS uses this data to print mailing labels, 3x5 cards, and telephone
directories.
Form letters are also easy to create: MAIL-OUTS has its own full-fledged word
processor. The text of the letter is entered just like it would be with any
other word processor. When the user comes to a section that needs specific
information (a name or address, for example), a single keypress inserts the
proper "field" in the letter text. MAIL-OUTS' mail-merge function does the rest,
inserting the proper information before the letters are printed.
This version of MAIL-OUTS is a demonstration copy, limited to 50 entries in
the master files and another 50 names in a file named CARDFILE. See the next
item on the menu for information on ordering the full, unrestricted program.
A Closer Look
-------------
While MAIL-OUTS is capable of handling thousands of records and can sort those
records in many different ways, help screens and user prompts make the program
easy to use and understand. MAIL-OUTS runs from a main menu with options to:
-- Add New Data. When this option is selected, the program displays a blank
datacard. MAIL-OUTS guides you through the data entry, telling you what to
enter for each field. Just follow the screen prompts to edit the card, proceed
to a new card, or return to the main menu. Remember: when you are finished
with the data entry session, MAIL-OUTS automatically saves your work to disk.
-- Review/Change Files. This option lets you view, edit, or delete existing
files. You are first asked to set up a "data filter" so that only records
which fit certain criteria will be displayed.
There are number of filter options. The first filter control uses ZIP codes
to restrict records. Other filters restrict records on the basis of reference
numbers, telephone numbers, or titles. You may also search record fields for
specified "strings" like names or addresses. Remember that you don't have to
remember a name or address exactly -- use MAIL-OUTS' "wildcard match" or
"aproximate match" options if you are a little hazy on the exact spelling.
-- Extract/Combine Files; Import/Export Files. The Extract/Combine option
allows you to copy data from one MAIL-OUTS file to another, or merge data from
two MAIL-OUTS files.
The Import/Export option allows you to read mailing lists generated by other
programs, so long as the files are standard text files. The option also
converts MAIL-OUTS files to standard text files so that the files can be read by
other programs.
-- The Word Processor. The word processor is used to create the text of form
letters. It works much like other word processors: press F8 to see a list of
word processor and mail-merge controls. Press F9 to print, load, or save a
document.
-- Printing. The printing option is used when you are ready to print mailing
labels or form letters. You may also print a report which tells how many
labels are printed for each ZIP code. Mailing lists (in one of four different
formats) can also be created.
-- Sorting. Sorting changes the order of datacards in a file. You can only
sort MAIL-OUTS "satellite" files (separate files you've created). The MAIL-OUTS
database stays in a standard order determined by a record's ZIP code.
A record is sorted on the basis of what is recorded in its fields (a name or
a city, for example). You can tell MAIL-OUTS in what order you would like the
fields considered.
Hard Drives
-----------
To install MAIL-OUTS on your hard drive system, follow these steps:
1. Follow normal startup procedures, making sure the hard drive is the default
drive.
2. When the prompt for the default drive appears, insert the MAIL-OUTS disk in
Drive A.
3. Type A:INSTALL and press ENTER.
The MAIL-OUTS program and system files will have been copied to a directory
called "MAILOUTS". To use the program on the hard drive:
1. Make sure the hard drive is the default drive, then type ^1CD \MAILOUTS^0 and
press ENTER.
2. Enter ^1MAILOUTS^0 to run the program.
Additional Information

If you intend to use MAIL-OUTS extensively, you will probably want more
detailed information on the program's many options and features. We recommend
that serious users register with Alligator Software. Registered users receive
the full, unrestricted version, the MAIL-OUTS printed manual, technical
support, and notification of any future MAIL-OUTS up-grades.
