Creating Booklet Forms
This document details the steps for creating booklet forms using
WordPerfect 5.1 for DOS.

Note:
The information contained in this document will only work for
printers that have internal landscape fonts: laser printers,
postscript printers, new deskjets, etc. If you have a dot matrix
printer or a daisy wheel that does not have internal landscape
fonts, you would have to set a paper size of 11 x 8.5 with a
portrait font. You would then need to insert the wide side of
the paper into your printer.
Creating a Labels Paper Size
The two examples shown below will only deal with paper sizes
created using an 8.5" x 11" sheet of paper. Choose the option
that pertains to your particular booklet.
Booklet Page Size 5.5" x 8.5"
1 Create a paper size by pressing Format (Shift+F8), Page (2),
Paper Size (7), and then Add/Create (2).
You are now at the Format: Paper Type screen.
2 Choose Other (9) and name this new paper type something that
reminds you of the style: "Booklet" or "Pamphlet" are two
suggestions. Then press Enter.
3 Choose Paper Size (1), then Standard Landscape (2).
4 Make sure that the Font Type (3) is set to Landscape.
5 Choose Labels (8), then type Y for Yes.
You are now at the Format: Labels screen.
6 Choose Label Size (1). Enter 5.5" for the Width and 8.5"
for the Height.
7 Choose Number of Labels (2). Enter 2 for the Columns and 1
for the Rows.
8 Make sure that the settings for Top Left Corner (3) and
Distance Between Labels (4) are all 0".
9 Choose Label Margins (5). Enter the desired margins for the
Left, Right, Top, and Bottom settings. The smallest margin
you can set is .3". If you try to set your margins
smaller than this, you will get the message Error: Label
margins increased due to printer's minimum margins.
WordPerfect will automatically set your margins to the
minimum your printer will allow.
If you have set up the booklet size correctly, your Format:
Labels screen will look like this:

10 Press F7 twice to return to the Format: Paper Size/Type
screen.
11 Make sure that your new paper size is highlighted, then
choose Select (1) and press F7 to return to your document
screen.
Booklet Page Size 4.25" x 11"
1 Create a paper size by pressing Format (Shift+F8), Page (2),
Paper Size (7), and then Add/Create (2).
You are now at the Format: Paper Type screen.
2 Choose Other (9) and name this new paper type something that

5 Choose Labels (8), then type Y for Yes.

for the Height.
7 Choose Number of Labels (2). Enter 2 for the Columns and 1
for the Rows.
8 Make sure that the settings for Top Left Corner (3) and

9 Choose Label Margins (5). Enter the desired margins for the

screen.
11 Make sure that your new paper size is highlighted, then
choose Select (1) and press F7 to return to your document
screen.
Labels are used to create booklets so that each "label" or page
can moved and given a page number. Although there are two labels
printed on each sheet of paper, each label is considered to be an
independent page.
Typing The Booklet
1 After you have selected the Labels Paper Size, it should be
the first code at the top of the document. If you want to
use a Page Numbering code, insert it at this point. If you
do not insert the Page Numbering code now, adding the page
numbers later may cause problems. Also at this point, make
sure that the Initial Base Font is the font you want for
your page numbers. Press Format (Shift-F8), Document (3),
and then Initial Base Font (3) to verify the selected font.
2 Begin typing the text for your entire booklet. Let
WordPerfect add Soft Page Breaks [SPg] as you type. When
you have finished typing, go to the top of the document and
insert Hard Page Breaks (Ctrl-Enter) between each page,
replacing the Soft Page Breaks. You may end a page before
the Soft Page Break if you prefer. You must put Hard Page
Breaks in properly. If you add your page numbers after you
have typed in your text, you will need to go back and redo
the Hard Page Breaks. You also need to insert a Hard Page
Break at the end of your document so that it will paginate
correctly.
3 Save your document by pressing F10 before you move on to the
next section.
Paginating the Booklet
Pagination is an important part of the process of making a
booklet. You first need to determine which pages or "labels"
should be printed next to each other for the complete booklet to
print correctly.
Here is an example of a 12-page document in the correct order
needed to print side by side, back and front, so that it will be
correct when folded.
Pages: 12 and 1, 2 and 11, 10 and 3, 4 and 9, 8 and 5, 6 and
7
Note: All even pages are first, and all odd pages are second.
When the booklet is finished, pages 12 and 1 will be printed on
the same sheet of paper as 2 and 11, then the next sheet of paper
will have 10 and 3 on one side, 4 and 9 on the other. The last
sheet will have pages 8 and 5 on one side, and 6 and 7 on the
other side.
To Paginate the Booklet:
1 Count the number of pages in the booklet. The total number
of pages must be a number divisible by 4 since each sheet of
paper can contain 4 booklet pages (2 on each side).
2 Divide the total number of pages by 4. This will tell you
how many single sheets of paper it will take to print the
finished booklet.
Note:
If you cannot divide the number of pages evenly by 4, you will
have extra blank pages. Simply make sure that you figure those
in your page count.
3 Using the number you just calculated, take that many sheets
of scrap paper and fold them the way you will fold your
booklet.
4 Place this scrap paper booklet before you on the desk with
the cover face up. Number the pages as you would read them:
on the first page write a "1", put a "2" on the back, and a
"3" on the next page. Keep turning the pages and numbering
them consecutively until you have gone through the entire
booklet.
In this example, there are 12 pages in the booklet. When you
unfold the scrap paper booklet, you will be able to see which
pages print side-by-side and which pages should be on the front
and back of each sheet of paper when you print them. Save this
scrap paper booklet because it has the information you will need
when it comes time to paginate and print.
5 For a single page "program", one sheet would have pages 4
and 1 on one side, and pages 2 and 3 on the other.
Creating a Booklet Macro
The following macro will help you organize your booklet's pages
in the correct order. This macro will remain the same,
regardless of the number of pages in your booklet.
Creating the Macro
1 Press Home, Macro Define (Ctrl-F10).
2 Name the macro Booklet, and press Enter.
3 Type the macro description Blocks and copies text for
booklet and press Enter.
You are now in the Macro Edit window.
4 Press Right Arrow to move the cursor to the right of the
{DISPLAY OFF} command.
5 Press Enter to move the cursor down to the second line, and
then add the commands in the order they are shown below:

Running the Macro
Before running this macro you need to have your completed
document on the Doc 1 screen.
1 Press Switch (Shift+F3) to go to the Doc 2 screen.
2 Press Format (Shift+F8), then Page (2), and Paper Size (7).
3 Select the label paper size you just created.
4 Press Switch (Shift+F3) to go to Doc 1, and run the BOOKLET
macro: press Alt+F10, type BOOKLET, then press Enter.
5 Type the first page number as prompted by the macro. It
should be the last page in your document. In this example
of a 12-page document, type 12.
6 Press Enter. The macro will continue to prompt you for page
numbers. Enter them in the order you determined earlier
with the scrap paper booklet.
7 Press Cancel (F1) to quit the macro when you have entered
all of your page numbers. Your document appears on the Doc
2 screen in the correct printing order. It is now ready for
printing.
