I. GETTING STARTED WITH PIMFORMATION
WHAT IS PIMFORMATION?
PIMformation is a utility that allows you to select data from a
wide variety of sources, decide which information is useful,
and then download that information into a Personal Information
Manager. The Personal Information Manager (PIM) can then be
used much like a phone book, a master calendar, and a reference
manual.
PIMformation is shipped complete with a database of over 9,000
entries. These entries include information on the computer
industry, travel, celebrities, and calendar events including
Major League Baseball, Football, Hockey and Basketball. Do you
want to know when your favorite team or orchestra performs
next? Ask PIMformation. Do you want to know the technical
support number for your favorite (or not so favorite) software
package? Ask PIMformation.
HOW DOES PIMFORMATION WORK?
PIMformation has an easy to use design. The user selects
interesting information from categories and sub-categories.
Then, with a simple click of the download button, the entire
download procedure is performed, and the information is
prepared for importing into the PIM package. The user then
starts the PIM and imports the new database into a new or
existing data file. In just a few minutes, the user can have
access to thousands of useful data items.
WHAT ARE THE MEMBERS OF THE PIMFORMATION FAMILY OF PRODUCTS?
PIMformation is a family of products that include:
PIMformation Lite is a fully functional version of the software
that is distributed as shareware. PIMformation Lite contains a
limited number of the most popular data items (900).
PIMformation Lite costs only $39.00 to register.
PIMformation is the exact same program as PIMformation Lite;
however, full PIMformation contains an internal database of
over 9,000 data items. PIMformation costs $69.00.
PIMformation Lite can be upgraded to PIMformation for $30.00.
PIMformation Professional is an extended functionality version
of PIMformation. PIMformation Pro contains additional features
and data. It includes the ability to select and filter data
using keywords, view selected data items before downloading
them, and update expired data in the PIM database.
PIMformation Pro also contains a database of over 100,000 data
entries. PIMformation Pro costs $99.00 and upgrades from
PIMformation for $49.00.
Custom PIMformation is a product customized to a user's data
requirements. If a user has a database that they would like
downloaded, we can build a custom version to download their
information. Call for details.
II. INSTALLING PIMFORMATION
MINIMUM SYSTEM REQUIREMENTS
To install and use PIMformation, you need:
* An 80386 or higher personal computer with a 3.5-inch
(1.44-MB) high-density floppy disk drive.
* At least 10MB of free disk space on your c: drive is
recommended if you want to take advantage of the entire
PIMformation database.
* A VGA (640x480) or higher resolution monitor compatible
with Microsoft Windows.
* At least 4MB of random-access memory (RAM).
* MS-DOS operating system version 5.0 or higher.
* Microsoft Windows version 3.1, Windows for Workgroups
version 3.1, or Windows NT 3.1.
* One of the following Personal Information Managers:
Lotus Organizer(TM) 1.1
Polaris Packrat(TM) 4.1
Commence(TM) 2.0
Symantic ACT(TM) 1.1
Arabesque ECCO(TM) 1.1
IF YOU ARE NEW TO INSTALLING WINDOWS SOFTWARE
You need to know some basic windows skills in order to install
this software. If you are unfamiliar with the operations of
Windows and Windows File Manager, we suggest that you confer
with someone who has installed windows software before.
PIMformation is easy to install if you have basic Windows
skills.
INSTALLING PIMFORMATION
This section explains how to install PIMformation using the
Setup program. The PIMformation Setup allows you to select
some options and then proceeds to automatically setup the
application on your hard disk.
You can select the location and disk drive on which you want to
install PIMformation. After you have selected the location,
Setup automatically installs the program.
1. If Windows is not running, start Windows.
2. Insert the PIMformation setup disk in the appropriate high-
density floppy disk drive.
3. From the "Program Manager" window, choose "RUN" from the
"FILE" pull-down menu (ALT,F,R).
4. In the "COMMAND LINE" box, type the drive letter for the
drive containing the Setup disk followed by a colon (:) and the
word "SETUP." For example, if you insert the setup disk in
Drive "A," you would type "A:setup."
5. Follow the instructions on the screen. When setup is
complete, choose "OK" from the dialog box.
6. Setup will automatically create a Program Manager Group
and a PIMformation icon. Double-click on the icon to start
PIMformation.
III. HOW TO USE PIMFORMATION
UNDERSTANDING THE PIMFORMATION DOWNLOAD AND IMPORT PROCESS
PIMFORMATION FOLLOWS A SIMPLE PROCESS:
1. Using PIMformation, data is selected from a series of
menus.
2. The PIM that the information is to be downloaded into is
selected.
3. An import file is automatically created by PIMformation.
4. The PIM's "Import" function is used to import the data
from the PIMformation download file into the PIM's database.
STARTING PIMFORMATION
To start PIMformation, double click on the PIMformation Icon.
The main menu screen will appear. If you want information
about other PIMformation products, press the "Information"
button. Otherwise, press the "Continue" button to start
PIMformation.
The "Update" button allows PIMformation LITE users to upgrade
to full PIMformation. See chapter 7 for information on
upgrades.
THE PIMFORMATION MAIN MENU
From the main menu, you can select topics of information that
you may wish to download to your PIM. The three main topics
are Personal Interests, Industry Interests, and Electronic
Calendar. Additionally, the main menu contains a filter button
called "Graphical Locations." This feature allows you to
filter all selections, so only selections in the desired
geography will download.
The final portion of the main menu is a download status area.
This area shows how many records have been selected for
download and the amount of disk space that they will require.
SELECTING INFORMATION TO DOWNLOAD
From the main menu, you can select topics of information that
you may wish to download to your PIM. The three main topics
are Personal Interests, Industry Interests, and Electronic
Calendar. Once a topic is selected, you can select additional
sub-topics or directly select items to download. The general
topics are as follows:
Personal Interests
Personal interests contains a number of sub-topics: Computers,
Consumer, Healthcare, People, Recreation, Sports, and Travel.
When you select one of these sub-topics, you will then be given
options to select information to download.
Industry Interests
Industry interests contain information about companies in
specific industries: Aerospace, Film, Entertainment, and more.
When you select these items, all companies in that industry
will be downloaded to your PIM.
Electronic Calendar
The Electronic Calendar contains event information:
Professional Sport dates, Convention schedules, Celebrity
Birthdays, Legal Holidays, and more. When this topic is
selected, the user can select events to be downloaded into the
PIM.
The "Geographic Location" Filter
The "Geographic Location Filter" allows you to define the
geographic location of the items selected. For example, if you
only want Aerospace companies in Ohio, select Aerospace
companies from the Industry Interests menu and then select the
state of Ohio from the Geographic Location Menu.
This filter applies to all items selected, so if you want
aerospace companies from Ohio and computer companies from
Florida, you will have to perform the entire download and
import process twice. Version 1.1 of PIMformation will allow
multiple filter operations to be performed at once.
IV. SELECTING YOUR PIM
PIMformation has the ability to download information into a
wide variety of Personal Information Managers. To select the
PIM that you use, select the "SELECT PIM" button from the main
menu and then select the appropriate PIM from the list of PIM's
supported.
V. PERFORMING THE DOWNLOAD
Starting the Download Procedure
Once you have selected all of the information that you are
interested in, you are ready to begin the download procedure.
1. Verify that the amount of information to be downloaded is
not bigger than the space available on the disk drive. The
"Bytes Required" number just above the download button should
be less than the "Bytes Available" number. If it is not, you
should go back and deselect some information until the "Bytes
Required" is smaller than the "Bytes Available."
2. Press the "Download" button.
3. When the "Download Status" window is displayed, you have a
couple of options:
a) You can leave the window open and watch as the system
downloads the information.
b) You can Minimize the window, and the download will
continue to process in the background. This allows you to
continue working in another application while the download
completes.
c) You can read or print a copy of the instructions on how to
complete the PIMformation download and import process by
importing the data into your PIM.
The whole download process can be aborted if you want to
continue this process at a later time.
4. The download process can take as long as 15 minutes,
depending on which computer system PIMformation is installed.
We suggest that you print the instructions for completing the
download and then minimize the download.
5. When the download process has completed, you can select
the "OK" button, and PIMformation will close.
VI. IMPORTING THE DATA INTO YOUR PIM
Once you have completed the PIMformation download procedure,
you must load the information into your PIM. Depending on
which Personal Information Manager you are using, the procedure
will vary. The following sections contain the information on
how to import the information into each PIM.
IMPORTING DATA INTO LOTUS ORGANIZER(TM)
Lotus Organizer is a very simple program to use and to import
data into. Organizer has two different sections to load data:
the Calendar and the Address Book. You must perform a separate
import for each section. PIMformation downloads all
information that is date based (Events) into Organizer's
Calendar Section and all address information into Organizer's
Address Book section.
Once the data is imported, you can search on any text in the
entire address book or calendar. If you wanted information
about "Multi-media," use the search function, and it will
return all records that contain "Multi-media."
Importing Addresses into Lotus Organizer(TM)
1. If Lotus Organizer is not running, start Organizer.
2. If you want to import the data you selected into an
existing Organizer data file, you must open that file. If you
want to create a new Organizer data file, select "NEW" from the
"FILE" pull-down menu (Alt F, N).
3. Next select the "IMPORT" option from the "FILE" pull-down
menu (Alt F, I).
4. To import address information, you must select "ADDRESS"
for the "Into Section" and "ASCII" for the "Import Format."
5. Next select the appropriate file to import. Use the
directory selection box to select the directory
"C:\PIMFO\DATA." When this directory is selected, the file
named "ORG.CSV" should display in the "FILE" window.
6. Select the file "ORG.CSV" by using the mouse and clicking
on the file name.
7. Next press the "OK" button.
8. When the "Field Mapping" Screen appears, press the "MAP
ALL" button and then click on the "IMPORT" button.
9. The download procedure will automatically complete.
10.When the process is complete, save the file by using the
"SAVE" or "SAVE AS" commands on the "FILE" pull-down menu.
Importing Dates into Lotus Organizer(TM)
1. If Lotus Organizer is not running, start Organizer.
2. If you want to import the dates you selected into an
existing Organizer data file, you must open that file. If you
want to create a new Organizer data file, select "NEW" from the
"FILE" pull-down menu (Alt F, N).
3. Next select the "IMPORT" option from the "FILE" pull-down
menu (Alt F, I).
4. Next select "CALENDAR" for the "Into Section" and "ASCII"
for the "Import Format."
5. Use the "directory selection" box to select the directory
"C:\PIMFO\DATA." When we select this directory, a file named
"ORGDATE.CSV" should display in the "FILE" window.
6. Select the file "ORGDATE.CSV" by using the mouse and
clicking on the file name.
7. Next press the "OK" button.
8. When the "FIELD MAPPING" screen appears, press the "MAP
ALL" button and then click on the "IMPORT" button.
9. The download procedure will automatically complete.
10.When the process is complete, save the file by using the
"SAVE" or "SAVE AS" commands on the "FILE" pull-down menu.
Congratulations. You have completed your first Organizer
download!
IMPORTING DATA INTO POLARIS PACKRAT(TM)
Once you have completed the PIMformation download process, the
data is ready to be imported into Packrat.
Packrat is a very powerful PIM but can be more difficult to use
than others. It is very important to follow the Import
instructions EXACTLY. Once you understand the import
procedure, it is not difficult, but there are a number of
pitfalls that could cause problems. Packrat does not support
importing items into the Calendar. Therefore, all dated items
are entered as to-do items. Its the best we could do until
Polaris supports importing to the Calendar. People are
combined with companies in the Phone Book Facility. (Some PIM's
keep them separate.)
Packrat's searching capabilities make Packrat very, very
powerful when used with PIMformation.
CAUTION: Importing can be slow. Be patient.
Importing Addresses into Polaris Packrat(TM)
1. If Packrat is not running, start Packrat.
2. If you want to import the data you selected into an
existing Packrat data file, you must first open that file.
Select "OPEN" from the "FILE" pull-down menu and select the
already existing file. If you want to create a new Packrat
data file, select "NEW" from the "FILE" pull-down menu
(Alt F,N).
3. To import addresses into your new or open file, you must
first select the phonebook facility by clicking on its icon.
4. Next select the "IMPORT" option from the "FILE" pull-down
menu.
5. Use the file selection box to select the file
"C:\PIMFO\DATA\RAT.CSV." Note: The "[..]" symbol will move you
up one directory when double-clicked on.
6. The next step is to select all of the fields to be
imported into Packrat. If there is a Merge Catalog named "ALL
FIELDS" in the Merge Catalog box at the bottom of the screen,
select it by clicking on it.
If there is no "ALL FIELDS" Merge Catalog, you must define all
of the fields to import manually. There is a box named
"AVAILABLE" with a list of field names on the left side of the
import screen. It begins with "*Skip*," "Assistant," and
"City(Primary)." Select each name to import by double clicking
the mouse on each name in the list. The name will move over to
the box on the right named "SELECTED." IMPORTANT: Start with
"ASSISTANT" and double-click on each name in order. When you
are finished the list should be as follows:
Assistant, City(Primary), City (Secondary), Client Rate,
Company, Country(Primary), Country(Secondary), Date,
Department(Primary), Department(Secondary), Email Destination,
Email Name, First Name, Full Name, Key, Key, Key, Key, Last
Name, Nickname, Phone Number 1, Phone Number 2, Phone Number 3,
Phone Number 4, Position, Resource Rate, State(Primary),
State(Secondary), Street 1(Primary), Street 1(Secondary),
Street 2(Primary), Street 2(Secondary), Title, Zip(Primary),
Zip(Secondary).
7. Next Click on the box that says "INCLUDE NOTES." Make
sure an X appears in the selection box.
8. If you plan on doing more than one import, we suggest that
you save this Merge Catalog setup. To save this Merge catalog,
click on the "ADD" button at the bottom of the screen next to
the box labeled "MERGE CATALOG." Next enter a name to be
saved. We suggest "PIMformation Import."
9. After you have verified that you have selected the file
"C:\PIMFO\DATA\RAT.CSV," you have selected the fields to import
in the appropriate order, and you have selected the "INCLUDE
NOTES" box, you are ready to start the import.
10.Next press the "OK" button.
11.Packrat will display the message "Importing X records."
IMPORTANT: Packrat can take a significant amount of time to
import large number of records (more than 1000). Do not shut
off your computer or exit Packrat; you will abort the import.
We suggest that you start the Packrat import process in the
evening and let your computer run over night.
Importing Dates into PACKRAT(TM)
1. If Packrat is not running, start Packrat.
2. If you want to import the data you selected into an
existing Packrat data file, you must first open that file.
Select "OPEN" from the "FILE" pull-down menu and select the
file you want to import into. If you want to create a new
Packrat data file, select "NEW" from the "FILE" pull-down menu
(Alt F, N).
3. To import Dates, you must first select the "TO-DO"
facility by clicking on its icon. IMPORTANT: Packrat does not
allow importing into the Calendar faciltiy.
4. Next select the "IMPORT" option from the "FILE" pull-down
menu (Alt F, I).
5. Use the file selection box to select the file
"C:\PIMFO\DATA\RATDATE.CSV."
6. The next step is to select all of the fields to be
imported into Packrat. If there is a Merge Catalog named "ALL
FIELDS" in the Merge Catalog box at the bottom of the screen,
select it by clicking on it.
If there is no "ALL FIELDS" Merge Catalog, you must define all
of the fields to import manually. There is a box named
"AVAILABLE" containing a list of field names on the left side
of the import screen. It begins with "*Skip*," "Client Cost,"
and "Elapsed Time." Select each name to import by double
clicking the mouse on each name in the list. The name will
move over to the box named "SELECTED" on the left. IMPORTANT:
Start with "Client Cost" and double-click on each name in
order. When you are finished, the list should be as follows:
Client Cost, Elapsed Time, End Date, End Time, Key, Key, Key,
Key, Key, Key, Key, Key, Priority, Resource Cost, Start Date,
Start Time, Status, Summary.
7. Next Click on the box that says "INCLUDE NOTES." Make
sure there is an X in the selection box.
8. If you plan on doing more than one import, we suggest that
you save this Merge Catalog setup. To save this Merge Catalog,
click on the "ADD" button at the bottom of the screen next to
the box labeled "MERGE CATALOG." Next enter a name to be
saved. We suggest "PIMformation Import."
9. After you have verified that you have selected the file
"C:\PIMFO\DATA\RATDATE.CSV," that you have selected the fields
to import in the appropriate order, and that you have selected
the "INCLUDE NOTES" box, you are ready to start the import.
10.Next press the "OK" button.
11.Packrat will display the message "Importing X records."

IMPORTING DATA INTO COMMENCE(TM)
Commence is one of the most sophisticated Personal Information
Managers available. This sophistication makes it ideal for use
with PIMformation. PIMformation V1.0 supports the Commence
BASIC DATABASE for easy import.
Importing to other databases requires a higher level of
sophistication to perform the import. We feel that the extra
sophistication of the import process is more than worthwhile.
Commence's advanced searching will allow a user to find
information quickly. It's flexible viewing allows you to
easily see your information in the format that you want.
PIMformation uses the standard import facility to load
information into the People, Companies and Appointment
Categories.
Importing Addresses into Commence(TM)
PIMformation supports direct loading into the Commence Basic
Database. The addresses are loaded into the COMPANIES
category.
1. If Commence is not running, start Commence.
2. If you want to import data into a database that is not the
Basic Database that is shipped with Commence, see the section
entitled "Importing Commence Data into Existing Databases."
3. From the "FILE" pull-down menu, select the "IMPORT"
function.
4. When the "IMPORT" window appears, select the "COMPANIES"
from the available templates. Once you have highlighted the
"COMPANIES" template, select the "EDIT" button.
5. It is necessary that we make one change to the template
before we begin the import process. Select the "IMPORT RULES"
button, and when the "IMPORT RULES" screen appears, select the
button titled "ADD DUPLICATES AS NEW ITEMS." Now select "OK"
and "SAVE" to return to the "IMPORT" window.
6. Select the "IMPORT" button, and you will move to a "FILE
SELECTION" window. Select the file
"C:\PIMFO\DATA\COMMENCE.TXT."
7. Press the "OK" button to begin the import process.
8. When the import appears to be finished, choose "OK" on the
"IMPORT" window to complete your import process.
Importing Dates into Commence(TM)
The dates are imported into the Appointments Category of
Commence's Basic Database.
1. If Commence is not running, start Commence.
2. If you want to import data into a database that is not the
Basic Database shipped with Commence, see the section entitled
"Importing Commence Data into Existing Databases."
3. From the "FILE" pull-down menu, select the "IMPORT"
function.
4. When the "IMPORT" window appears, select "APPOINTMENT"
from the available templates. Once you have highlighted the
"APPOINTMENT" template, select the "EDIT" button.
5. It is necessary that we make one change to the template
before we begin the import process. Select the "IMPORT RULES"
button, and when the "IMPORT RULES" screen appears, select the
button titled "ADD DUPLICATES AS NEW ITEMS." Now select "OK"
and "SAVE" to return to the "IMPORT" window.
6. Select the "IMPORT" button, and you will move to a "FILE
SELECTION" window. Select the file
"C:\PIMFO\DATA\COMMDATE.TXT."
7. Press the "OK" button to begin the import process.
8. When the import appears to be finished, choose "OK" on the
"IMPORT" window to complete your import process.
Importing People into Commence(TM)
Commence keeps people in a separate category than companies.
To download the records into the people category do the
following:
1. If Commence is not running, start Commence.
2. If you want to import data into a database that is not the
Basic Database shipped with Commence, see the section entitled
"Importing PIMformation Data into Existing Commence Databases."
3. From the "FILE" pull-down menu, select the "IMPORT"
function.
4. When the "IMPORT" window appears, select "PERSON" from the
available templates. Once you have highlighted the "PERSON"
template, select the "EDIT" button.
5. It is necessary that we make one change to the template
before we begin the import process. Select the "IMPORT RULES"
button, and when the "IMPORT RULES" screen appears, select the
button titled "ADD DUPLICATES AS NEW ITEMS." Now select "OK"
and "SAVE" to return to the "IMPORT" window.
6. Select the "IMPORT" button, and you will move to a "FILE
SELECTION" window. Select the file
"C:\PIMFO\DATA\COMPERSN.CSV."
7. Press the "OK" button to begin the import process.
8. When the import appears to be finished, choose "OK" on the
"IMPORT" window to complete your import process.
Importing PIMformation Data into Existing Commence Databases
If you are not using the Basic Database in Commence, you will
have to do a custom import. When you want to import data into
a existing Commence database, you have to map the PIMformation
data fields to match the appropriate Commence Fields. This
process is not hard, but requires the user to be very careful
in making the correct selections. The appropriate download
procedure is as follows:
1. If Commence is not running, start Commence.
2. From the "FILE" pull-down menu, select the "IMPORT"
function.
3. When the "TEMPLATE" window appears, select the "TEMPLATE"
of the category to which information should be imported. Once
you have highlighted the template, select the "EDIT" button.
4. When the "TEMPLATE DEFINITION" window appears, press the
"MAP..." button.
The "TEMPLATE MAPPING" window allows us to define which
PIMformation fields will be inserted into which
Commence Fields.
5. PIMformation writes its data into three text files which
can be imported into Commence. These files contain the
following information:
COMMENCE.TXT: Contains all companies selected during the
PIMformation download process. It contains information in the
following fields (in order):
ADDRESS
FAX NUMBER
NAME
NOTES
PHONE NUMBER
The information in this file must be mapped to the
corresponding fields in your Commence Database. For example,
if you have a Commence Database that has fields called COMPANY
NAME, COMPANY ADDRESS, PHONE1, PHONE2 and NOTES, you should set
up the map column in the following way:
COMPANY ADDRESS
PHONE2
COMPANY NAME
NOTES
PHONE1
COMMDATE.TXT: Contains all EVENTS selected during the
PIMformation download process. It contains information in the
following fields (in order):
ALARM - a binary value to set the alarm on or off.
DATE - the date of the event.
ENDTIME - the time that the event is completed.
NAME - the name of the event.
NOTES - the notes about the event.
STARTTIME - the time that the event starts.
TYPE - the type of event (anniversary or one time event).
The information in this file must be mapped to the
corresponding fields in your Commence Database. For example,
if you have a Commence Database that has fields called
APPOINTMENT NAME, DATE, TIME, and NOTES. You would set up the
map column in the following way:
<SKIP FIELD> (inserted so that the PIMformation field "alarm"
is not imported into the database.)
DATE

APPOINTMENT NAME
NOTES
TIME
<SKIP FIELD>
COMPERSN.TXT: Contains all PEOPLE selected during the
PIMformation download process. It contains information in the
following fields (in order):
ADDRESS - the address where the person can be reached.
BUSINESS CONTACT - a blank field.
FAX # - FAX phone number.
NAME - last name, first name.
NICKNAME - the person's nickname.
NOTES - notes about this person.
PHONE # - the person's main phone number.
TITLE - the title of the person.
The information in this file must be mapped to the
corresponding fields in your Commence Database. For Example,
if you have a Commence Database that has fields called NAME,
TITLE, ADDRESS, PHONE, PHONE1, and NOTES. You would set up the
map column in the following way:
ADDRESS

NAME
<SKIP FIELD>
NOTES
PHONE
<SKIP FIELD>
6. It is necessary to make one final change to the template
before we begin the import process. Select the "IMPORT RULES"
button, and when the "IMPORT RULES" screen appears, select the
button titled "ADD DUPLICATES AS NEW ITEMS." Now we are ready
to begin the import.
7. Select the "OK" button, and the import will begin.
IMPORTING DATA INTO SYMANTIC ACT(TM)
Once you have completed the PIMformation download process,
the data is ready to be imported into ACT.
ACT is one of the best selling PIM programs and works well
with PIMformation addresses. However, event data cannot be
downloaded into ACT, because there is no import facility for
dates within ACT.
Importing Addresses into ACT(TM)
1. If ACT is not running, start ACT.
2. If you want to import the data you selected into an
existing ACT data file, you must first open that file. Select
"OPEN" from the "FILE" pull-down menu and select the file you
want to import into. If you want to create a new ACT data
file, select "NEW" from the "FILE" pull-down menu.
3. Next select the "IMPORT" option from the "FILE" pull-down
menu.
4. Use the file selection box to select the file
"C:\PIMFO\DATA\ACT.TXT." Make sure that the "LIST FILES OF
TYPE" is set to "Delimited."
5. The next step is to map all of the fields to be imported
into ACT. PIMformation builds a file that can be imported
without mapping the ACT fields. All you have to do is click on
the "OK" button. A message will be displayed asking if the
import parameters are correct. Press the "OK" button, and the
import will begin.
Importing Dates into ACT(TM)
ACT does not support the import of dates. Until a future
release of ACT supports date imports, ACT will not be able to
use the Electronic Calendar feature of PIMformation.
IMPORTING DATA INTO ARABESQUE ECCO(TM)
Once you have completed the PIMformation Download Process,
the data is ready to be imported into ECCO.
ECCO supports both PIMformation addresses and event items.
The download process is relatively straight forward, and the
data searching tools are very powerful. ECCO users will find
that PIMformation makes their PIM even more useful!
Importing Addresses into ECCO(TM)
1. If ECCO is not running, start ECCO.
2. If you want to import the data you selected into an
existing ECCO data file, you must first open that file. Select
"OPEN" from the "FILE" pull-down menu and select the file you
want to import into. If you want to create a new ECCO data
file, select "NEW" from the "FILE" pull-down menu (Alt F, N).
3. To import addresses, you must first select the phonebook
by selecting "PHONEBOOK" from the "VIEW" pull-down menu.
4. Next select the "IMPORT" option from the "FILE" pull-down
menu. If a message box pops up that is titled "IMPORT DATA
FILE," click on the "OK" button.
5. Use the File selection box to select the file
"C:\PIMFO\DATA\ECCO.TXT" and click on the "OK" button.
6. The next step is to map all of the fields to be imported
into ECCO. ECCO displays a screen that shows the "FIELD NAMES"
on the left side of the screen, a list of "DESTINATIONS" in
the middle, and a "CHOOSE DESTINATIONS" column on the right
side of the screen. Each "FIELD NAME" must be matched to the
same "DESTINATION." To match each "FIELD NAME" to the
"DESTINATION," select the "FIELD NAME" on the left and then
locate the same name in the "CHOOSE DESTINATION" column. When
you click on the entry in the "CHOOSE DESTINATION" column, it
should be displayed in the "DESTINATION" column next to the
"FIELD NAME."
7. When you have matched all the "FIELD NAMES" to
"DESTINATIONS," press the "OK" button.
8. ECCO will display the message "Import will begin." Press
the "OK" button to begin the import.
9. When ECCO has completed the import, a message will be
displayed that will tell you if the import was successful. A
message will also tell you how many records were imported.
Click "OK" to close this message. Your import process is now
complete.
Importing Dates into ECCO(TM)
1. If ECCO is not running, start ECCO.
2. If you want to import the data you selected into an
existing ECCO data file, you must first open that file. Select
"OPEN" from the "FILE" pull-down menu and select the file you
want to import into. If you want to create a new ECCO data
file, select "NEW" from the "FILE" pull-down menu.
3. To import dates, you must first select an outline to
import to by selecting "OUTLINE" from the "VIEW" pull-down
menu. If you want to create a new outline, select the "VIEW"
pull-down, then select "OUTLINES," and finally select "NEW
OUTLINES." NOTE: ECCO will NOT let you import to the Calendar.
This is a limitation of ECCO, not PIMformation.
4. Next select the "IMPORT" option from the "FILE" pull-down
menu. If a message box pops up that is titled "IMPORT DATA
FILE," click on the "OK" button.
5. Use the file selection box to select the file
"C:\PIMFO\DATA\ECCODATE.TXT" and choose "OK."
6. Depending on whether you have previously imported data
into the outline, select the appropriate steps below.
A) IF THIS IS THE FIRST TIME that you have imported
PIMformation records into this outline, when the "IMPORT INTO
CURRENT VIEW" window is displayed, click on the "At Bottom of
Outline" button, the "IMPORT FILE HAS COLUMNAR DATA," and the
"CREATE NEW COLUMNS USING MAIL MERGE HEADER" button. Then
press "OK." After pressing "OK," go to Number 7 in the
directions.
B) IF YOU HAVE ALREADY IMPORTED PIMformation data into this
outline, when the "IMPORT INTO CURRENT VIEW" window is
displayed, click on the "At Bottom of Outline" button, the
"IMPORT FILE HAS COLUMNAR DATA," and the "CHOOSE COLUMN FOR
EACH FIELD." Then press "CHOOSE."
The next step is to map all of the fields to be imported into
ECCO. ECCO displays a screen that shows the "FIELD NAMES" of
the left side of the screen, a list of "DESTINATION COLUMNS"
in the middle, and a "CHOOSE A COLUMN" on the right side of the
screen. Each "FIELD NAME" must be matched to the same
"DESTINATION COLUMN." To match each "FIELD NAME" to the
"DESTINATION COLUMN," select the "FIELD NAME" on the left and
then locate the same name in the "CHOOSE A COLUMN." When you
click on the entry in the "CHOOSE A COLUMN," it should be
displayed in the "DESTINATION COLUMN" next to the "FIELD NAME."
The first "FIELD NAME," "EVENT NAME," cannot be changed, and
should be skipped. Start by matching "EVENT START DATE."
NOTE: If you cannot find matching values in the "CHOOSE A
COLUMN," you have not entered PIMformation data into this
outline previously. Hit the cancel button and follow the
instructions in step 6A.
When you have matched all the "FIELD NAMES" to "DESTINATIONS
COLUMNS," press the "CONTINUE" button and then the "OK" button.
7. ECCO will display the message "Import will begin." Press
the "OK" button to begin the import.
8. When ECCO has completed the import, a message will be
displayed that will tell you if the import was successful and
how many records were imported. Click "OK."
VII. UPGRADING TO PIMFORMATION FROM PIMFORMATION LITE
Users of PIMformation Lite can easily upgrade to the power of
full PIMformation. If there is a registration button on your
main menu, you can upgrade your system by pushing the "UPGRADE"
button.
1. From the main menu, press the "UPGRADE" button. A window
will display that contains the registration information, as
well as a space for an upgrade number and your name.
2. At this point, call PIMformation. They will ask you to
read your registration number. They will then give you a
matching upgrade number.
3. Key the upgrade number into the appropriate space on the
screen. When you have completed this, write the registration
number down. This number will be necessary if you ever have to
re-install PIMformation.
4. When you press the enter button, after entering the
Upgrade number, PIMformation will take a few seconds and then
will automatically upgrade itself.
5. If PIMformation returns a message that you need additional
files, call PIMformation, and we will send you a disk that will
allow you to upgrade. Most users will not need to order this
additional disk.
6. At this point, you will have access to all of the
thousands of records in PIMformation. Enjoy!
